1 The University of Texas MD Anderson Cancer Center (MD Anderson) Request for Proposal (RFP) Statement of Work (SOW) Indoor Location and Navigation Enhancement to the MD Anderson Mobile App A. Background: MD Anderson and Wayfinding The University of Texas MD Anderson Cancer Center, located in Houston on the campus of the Texas Medical Center, is one of the world s largest and most respected centers devoted exclusively to cancer patient care, research, education and prevention. U.S. News & World Report s Best Hospitals survey ranks MD Anderson the nation s top hospital for cancer care in MD Anderson has been ranked the nation s leading cancer hospital for 11 of the past 14 years. The institution has been named one of the nation s top two hospitals for cancer care every year since the survey began in With employees working in more than 50 buildings in the Greater Houston area and in central Texas, MD Anderson is the largest freestanding cancer center in the world. MD Anderson's facilities in the TMC cover nearly 15 million square feet and feature the latest equipment and facilities to support growing needs in outpatient and inpatient care, research, prevention and education. In Fiscal Year 2014, more than 127,000 people sought the superior care that has made the institution so widely respected. 2 With our large scale and our high number of patient visits, MD Anderson has made a long-term commitment to provide the best tools for our community to navigate our facilities. Since the launch of our innovative wayfinding system in 2004, MD Anderson has been a global leader in developing effective and state-of-the-art wayfinding tools for our visitors. From our comprehensive signage system and pathway-and-landmark directions logic, to ground-breaking deployments of onsite touch screens and a website that provides driving, parking, and walking directions to appointments, MD Anderson delivers a wide range of wayfinding guidance, wherever and whenever people need it. Over the last year, MD Anderson has undertaken a pilot project to test indoor location and navigation technology to determine its relevance and suitability for wayfinding. We tested accuracy and usability factors and conducted a formal user research study. The results of that pilot were positive, and have informed the project definition, scope and requirements for this project. B. Project Definition MD Anderson seeks to include indoor wayfinding capabilities in the MD Anderson Mobile App, providing visitors to MD Anderson Cancer Center in the Texas Medical Center with the abilities to self-orient and navigate to/from any public destination within the campus. From previous wayfinding studies, we know that the five most-asked questions about getting around our facilities are: a) How do I get to my appointment or other destination? b) Where is the nearest restroom? c) Is there a café or other food option nearby? d) Where am I now? e) How do I get back to my car/transport? The enhanced wayfinding section of our app should answer these questions, always providing an annotated map and step-by-step directions as the person navigates toward their destination. C. Scope The app will provide indoor location and navigation services in all public destinations on North Campus (including Main Building, Mays Clinic, Duncan Building, and all connections and related parking) at MD Anderson facilities in the Texas Medical Center. Functionality will include our current Google directions and related Access directions to other facilities on the TMC campus. Currently out of scope but potential enhancements may include indoor location and navigation services to: a) non-public destinations within a secure, staff-only utility October 12, 2015 page 2

3 b) MD Anderson facilities outside the Medical Center D. Requirements Each requirement in this section should be addressed in your proposal. 1. USER EXPERIENCE 1.1. When the app has identified a user s location on the campus, the you-arehere dot is prominently displayed on the map The you-are-here dot has a directional indicator, so users can tell which way they are facing A user can search for a public destination or browse destinations by category. When they have selected a destination, they can generate directions from their current location or from another starting point. The direction set shows a route line on the map along with step-by-step directions. As the user proceeds on the route, the next step in the directions is displayed All nomenclature and direction set logic is consistent with the Access website (access.mdanderson.org) If the app cannot locate the user, the functionality degrades gracefully. At a minimum, the user should be able to access a map of any building and floor with public destinations, search for a destination and see that destination on the map in the context of its floor and building The you-are-here dot should seamlessly follow the user as they walk. Lag time should be minimal at normal waling speed. An acceptable example is the user experience of state-of-the-art GPS Floor transitions such escalators, elevators and stairs are communicated in the direction set and seamlessly revealed on the map When a route is generated, the app clearly communicates where the starting point is and when the user has arrived at their destination When a user veers off route, alerts should help them get back on track The app offers the ability to hear audio directions. 2. MAPPING 2.1. Maps are to be consistent in visual design and level of detail with the map styling used on MD Anderson signs and printed maps, with accommodations for usability on handheld screens. 4 2.2. The map, labels and icons zoom in and out seamlessly, growing larger as the user zooms in The map defaults to heads-up, meaning that the top of the map points in the direction that the user is facing. If a user rotates in place, the map will reorient to match the user s perspective with minimal lag Use of icons is limited, and organized into layers that are revealed as the user zooms in. 3. CONTENT MANAGEMENT AND REPORTING 3.1. Destination names and directions logic is either pulled from the Access Management System database via a feed or otherwise kept in sync with the system so that redundant tasks are minimized for the MD Anderson wayfinding staff Updates to the maps can be made in a web-based tool by MD Anderson wayfinding staff, without incurring outside professional service fees Vendor will provide orientation and all necessary in-service training to Facilities wayfinding system administrators, including written documentation of the proposed system Reports are available to gauge usage of the features of the app. 4. NETWORK AND SENSORS 4.1. Solution will not require network upgrades, such as wireless access points or MSE versioning. Solution can include the addition of BlueTooth LE beacons (life expectancy of a minimum of three years) If hardware/networking is part of the solution, management and maintenance services are to be included All beacons and other hardware must be new and in proper working order. 5. INTEGRATION 5.1. Because these features are to be built within the existing app, coordination with the app s developers and MD Anderson IT staff is critical. It is recommended that the features be incorporated via a commercial SDK; the vendor will provide the components necessary to allow real time communication between the existing facilities database and the mobile October 12, 2015 page 4

5 wayfinding application Users are able to get directions to their appointment (current app functionality), which requires integration with the patient portal. (Specific content flow and functionality to be determined.) 5.3. The current app and Access website (access.mdanderson.org) includes Google Maps integration for driving and transit directions and integration with indoor location and navigation services is required Integration with the Access Management System database (as currently integrated with the Access website and app) is required. E. PROJECT DELIVERABLES Working app, for ios and Android (state specific versions to be supported) The supporting indoor location network System and content management tool for MD Anderson wayfinding staff Sensor management and reporting tool for MD Anderson IT staff 6. VENDOR PRESENTATIONS 6.1. Vendors should be prepared to present features of their application on mobile devices. Minimum features to be demonstrated are from Sections (1), (2) and (3) above Vendors should be prepared to present features of the backend mapping and database maintenance, including editing of maps and updating the database. Vendor should have a minimum of 2 years experience installing and configuring indoor navigation systems in hospitals using bluetooth low energy beacon technology Vendor should be able to provide at least three references from customers who are currently using the vendors indoor navigation system and who would be willing to speak with members of the project team to answer questions about the implementation of their indoor navigation system.
