5 1 Introduction 1.1 General Information WINPLAN++ online is the advanced version of the plan and document management system WINPLAN++ classic that has been used for many years by a large number of architects and engineers, construction and prefabricated component companies, project managers, real estate management companies, and building owners. During a construction project, WINPLAN++ online allows you to exchange data and information via the Internet. WINPLAN++ online brings together a community of any number of participants in a project. Depending on their particular tasks, the participants can upload data from their local locations to the project server in order to make the data available for the public, or download data for further editing. WINPLAN++ online allows users to define workflows for each individual action. When a particular action is selected (e.g. the addition of a new plan or index), these workflows trigger further actions (e.g. the notification of other participants). In addition, tasks (ad hoc workflows) or reproduction orders can be defined at any time. WINPLAN++ online constantly logs any and all actions and operations in its database in such a manner that they can be fully tracked. When a new project is created, the participants involved in this project are assigned access ID and rights on the basis of their particular tasks as well as addresses, contact names, and addresses. In addition, each participant is assigned one or more workspaces where he or she can store data. A project coordinator or administrator is selected who is entitled to make further settings (assign privileges, define workflows, etc.). For security reasons, users may change their passwords at any time. In order to use WINPLAN++ online, you do not need to download or install any software. The only software you need is a current standard web browser (Internet Explorer, Mozilla, Safari, Opera, Chrome) running on Windows, MacOS or Linux operating systems. Depending on the browser used, the following advanced settings should be set when using WINPLAN++ online: Add website to trusted sites Allow cookies Enable JavaScript Disable pop-up blocker Bypass proxy server, or make sure that the configuration of the proxy server ensures the permanent flow of data. If your company uses a proxy server that cannot be bypassed, please contact our hotline for information on the correct configuration. NetzWerkPlan GmbH Page 5/104

6 WINPLAN++ online displays plans and documents using a special preview feature. If you want to display a detailed version of your plot files, we recommend a local installation of the Plan- View plot viewer. Acrobat Reader, which can be downloaded free of charge, is recommended for the display of PDF files. Further viewers can be made available depending on the project. This short guide refers to the delivery state of the German language version of WINPLAN++ online. Due to constant further development of the software, new foreign language versions, and/or company- and product-specific adjustments, the actual user interface might look different from the illustrations shown in this User Guide. (*) Features marked with an asterisk are rights-specific, i.e. if no rights are set, the respective button will not be displayed on the screen. 1.2 Using the Software The page contents of WINPLAN++ online are transferred via Internet to the respective servers. This is why the speed of the application is dependent on your local Internet access. When working with WINPLAN++ online, please always wait until a page has been completely loaded. Although it is possible to open several WINPLAN++ online windows at the same time, this does not lead to increased speed, in particular with regard to uploading files. Please make sure that you use only the WINPLAN++ online navigation buttons when navigating the program, not the navigation elements provided by your browser. Also, always quit your current WINPLAN++ online session by logging out using the button. Do not just close the browser window. All actions carried out in WINPLAN++ online are started by a single click on the respective buttons or links. Avoid using double clicks, because this might start the action twice. 7 2 Login Opening WINPLAN++ online is project-specific. You have Demo access to the software at Login screen Please log in using your user name and password. For logging in, use the access data that were assigned to you in the Welcome to WINPLAN++ online or that were otherwise submitted to you. Change password We highly recommend that you immediately, preferably during your first session in WINPLAN++ online, change the assigned password to a password of your choice by selecting Settings / Change password. Avoid using numbers in a row (e.g. 123), names of family members, or other words that can easily be figured out. Each password must contain at least six characters, of which one needs to be a special character and one a number. A traffic light symbolizes the strength of your password. Change password Usually, a participant (e.g. a planning office) is assigned only one access to WINPLAN++ online, even if several employees are working on the management of plans and NetzWerkPlan GmbH Page 7/104

8 documents. Please make sure that the access data are treated in a confidential way when you forward them to your employees or colleagues. NetzWerkPlan does not assume responsibility for any data changes, damages, or any loss of data resulting from the transfer of access data to third parties. Forgot your password? If you have forgotten your password, you can use the small blue question mark page to request a new password. on the login Clicking this small button opens a separate window, where you are asked for your address. Please enter the exact same address that you entered when you registered as a participant in WINPLAN++ online. After clicking Send password, you are asked for your user name. Enter your user name, and a few seconds later you will receive an with your new password. 9 3 User Interface 3.1 Select Project Screen If you participate in several projects managed via the WINPLAN++ online server, the first screen that appears displays the Select project page. This page lists all projects which you can access. It also tells the administrator which participants are currently logged on to the system and provides him or her with other valuable information about the current sessions. Furthermore, the administrator can use the mask to send a message to the logged in users. If you participate in only one project, you will not see the screen below. 10 3.2 Welcome Screen Once you have successfully logged in, the Welcome screen appears. This screen offers you the latest information at one glance. This information includes: Latest tasks and events Latest messages Latest plans Latest documents Latest logs (if released in your version) Defects/Agenda items (if released in your version) News about the program Additional information: o Unprocessed data packets during batch transmission o Info on software version In the case of the first four topics, latest refers to a time period of seven days. By default, 10 entries per topic are displayed. If there are more current entries, click on the link (e.g. (10 of 27) to display the following pages. Welcome screen Latest tasks and events: Displays unfinished tasks, but also events entered in the WINPLAN++ online project calendar. Click on a task or the button to open the task management screen, or click on an event to open the calendar. Latest messages: Displays the messages that were sent to you from within WINPLAN++ online. 11 Latest plans / Latest documents / Latest logs / Latest defects/agenda items: These lists display the latest plans, documents, logs, defects, and agenda items that were entered into the system, regardless of whether you were notified (given a task) or not. Click on an entry to go directly to the corresponding view displaying a detailed overview of the selected object. You can also use the button to put the highlighted plans, documents, defects, or logs in the Clipboard for further processing (for example downloading related files, creating tasks and reproduction orders, printing lists). Select or deselect the plans, documents, logs, defects, or agenda items by clicking the corresponding checkboxes. News: Presents new features of the current software version. The text may include links to additional information resources. Additional information: Displays the number of file packets that have not yet been processed. Click on the link to switch to the batch transmission page. Next to the link appears the current version number of the software. 12 4 Operation 4.1 Screen Arrangement Unless a different arrangement has been chosen for your project, the screen arrangement throughout WINPLAN++ online is uniform and consistent. Screen arrangement in the plans section Page 12/104 NetzWerkPlan GmbH

13 Status bar Next to the logo, the status bar displays the name of the current project, the name of the logged in participant, and the button. If you participate in several projects, you will also see a button allowing you to select the desired project. Click the button to go the select project screen, or use the small triangle to display the list of your other projects: The current date and time appear on the right side of the status bar. Click on the date to open the calendar. WINPLAN++ online is also available in other languages. Use the list box to select the desired language. The Quick search feature on the right side allows you to perform a fulltext search in all data fields of all plans, documents, logs, defects, agenda items, and messages. If you want to use a detailed search feature, use the tab in the navigation bar. Navigation bar Below the status bar is the navigation bar offering all the features available in WINPLAN++ online. The individual features will be described more in detail below, see chapter 5: The Navigation Bar Features (page 17). NetzWerkPlan GmbH Page 13/104

14 Project tree The project tree on the left side of the screen allows you to navigate any desired subproject. Click on the plus sign or the text to expand the corresponding subprojects. The plans, documents, logs, defects, and agenda items associated with the selected subproject are then listed in the main window. Next to the name of the project or subproject, a number in brackets shows the sum of all the elements belonging to the project or subproject. If you move the mouse over the number in brackets, you will see a list of the types and numbers of elements saved in the respective folder. Clipboard Below the project tree you can see the Clipboard feature. The Clipboard is used for collecting those elements during your WINPLAN++ online session that you want to use for further processing (for example downloading data to your local computer, creating tasks, or starting a reproduction order). 15 Overview section and detail section Overview section and detail section The overview section on the left side of the main window shows all entries of the subfolder selected in the project tree. The first entry or the entry on which you have clicked is displayed in the detail section on the right side of the screen. The position of the separating line between the overview and the detail sections is variable. By clicking and holding the left mouse button (Cursor: ) you can move the line to the left or right. The position of the line is stored for each user and view (plans, documents, tasks, etc). 4.2 Plans, Documents, and other Elements WINPLAN++ online distinguishes between plans and documents. A plan is a drawing or graph (in most cases in a big-sized format), that is used to construct a building. A document is a file that is also used in the process of constructing a building, such as a memo, building permit, static certificate, expert report, presentation, digital photo or a video and audio document, i.e. any file that is not a plan. Contrary to plans, documents have less descriptive fields, e.g. no scale, no page size, etc. In addition, a document is only linked to one file, whereas a plan can be made up of up to three file types and any number of additional files. Some projects do not distinguish between plans and documents. In this case, plans and documents are included in one single mask, which is the plan mask. In addition, you can add logs, defects, and agenda items, provided the respective feature is released for your project. Enter the contents of these items in the respective masks. 16 Principally, each subproject can hold plans, documents, and other elements at the same time. For most projects, however, you would want to define separate branches of the project tree, where you would only save one type of information. Page 16/104 NetzWerkPlan GmbH

17 5 The Navigation Bar Features The navigation bar in the upper section of the screen offers you access to all the features available in WINPLAN++ online. This chapter provides an overview over the various features, which will then be described more in detail in the following chapters. 5.1 Start Page You can click the tab or the logo in the upper left corner of the screen at any time to go to the start page that offers you an overview of the latest plans, documents, tasks, logs, defects and agenda items and provides additional information. For a more detailed description see chapter 3.2 Welcome Screen (page 10) and chapter 4.1 Screen Arrangement (page 12). 5.2 Clipboard Click on the tab or the button in the lower left corner of the screen below the project tree to open the Clipboard. Please refer to chapter 10 Clipboard (page 56) for a detailed description of the Clipboard features. 5.3 Reminder Click the tab or the button on the start page to open the screen for managing your unfinished tasks. For the most part, these tasks include taking note of, or reviewing plans or other content that was entered in WINPLAN++ online. See chapter 11 Reminder (page 65) for more information on this feature. NetzWerkPlan GmbH Page 17/104

18 5.4 Participants You can use the contact data. tab to open a list of all participants in the project including their List of participants Clicking an address shown on the right side of the screen opens a window of your program where you can write a new (without using WINPLAN++ online). The feature allows you to print the list of participants to a PDF or Excel file. New participants are added by the project administrator. 5.5 Calendar When you click on the tab or the date/time indicator in the upper right part of the screen, the calendar will be displayed. The calendar provides an overview of project-related dates (e.g. regular meetings), yet also of the tasks assigned to you for plans and other WINPLAN++ online content. For information of this feature, please refer to chapter 14 Calendar (page 80). 5.6 Lists The tab opens the list feature which allows you to output database content (e.g. plan lists) in PDF or Excel files. WINPLAN++ online offers you a large number of different list types to choose from. Page 18/104 NetzWerkPlan GmbH

19 See chapter 15 Lists (page 84) for more information on this feature. 5.7 Settings Use the tab to display the administrative section of the program, which allows you to define and change customized settings. You can also view project-specific settings defined by the administrator. 20 5.9 Plans Use the tab to switch from any other view mode to the table of plans for your last selected subproject. Please refer to chapter 6 Plans (page 22) for a detailed description of the plan features Documents The tab opens the table of documents for your last selected subproject. Please refer to chapter 7 Documents (page 31) for a detailed description of the document features. The plans and documents. tab is used in some projects for the common management of 5.11 Logs Use the subproject. tab to switch from any other view mode to the table of logs for your last selected Please refer to chapter 9.2 Add a Log (page 47) for a detailed description of the log features. The log feature may not be released for all projects. 21 5.13 Agenda items The tab opens the table of agenda items for your last selected subproject. Please refer to chapter 9.3 Add an Agenda Item (page 49) for a detailed description of agenda items and To-Do lists. The feature for managing agenda items may not be released for all projects. These projects do not show the corresponding tab in the navigation bar Mailbox and Messages Use the WINPLAN++ online. tabs to open the management page for messages in See chapter 16 Mailbox and Messages (page 86) for more information on these features Batch transmission Click on the tab to open the batch transmission and batch processing module. This feature offers you a fast and effective alternative option for uploading individual plans and documents. Please see chapter 8 Batch transmission (page 35) for more detailed information Search The tab opens a detailed search feature providing special search masks which you can use to search for the different WINPLAN++ online elements. The detailed search feature is an alternative to the quick search feature. The quick search entry field is displayed in the upper right corner of the screen. You will need the detailed search in particular in those cases, in which the quick search produces too many hits, or if you need assistance during the selection of possible search terms. Please refer to chapter 12 Online Viewer (page 68) for a detailed description of the detail search feature. NetzWerkPlan GmbH Page 21/104

22 6 Plans 6.1 General Information Use the project tree in the left part of the screen to navigate to the subproject, whose plans you want to view or edit. The plans associated with this subproject are then displayed in a table on the left side of the main window. If there are more plans than can be displayed on the page, use the navigation elements to open the next or the previous pages. A list box at the top of the window allows you to sort the list according to different criteria. Plans You can change and customize the number of entries that can be displayed on one page under Settings / User configuration / Number of lines per page. The buttons below the plan table provide the following features: Puts selected plans in the Clipboard Inverts a previous selection of plans Displays only thumbnails of plans to allow for graphic navigation Adds a new plan (*) (*) Features marked with an asterisk are rights-specific, i.e. if no rights are set, the respective button will not be displayed on the screen. 23 Clicking on a row in the plan table displays the details of this particular plan on the right side of the main window. Plan list and details From top to bottom, the mask includes the following information: Basic describing data (master data) of the plan, such as plan number, creator, content of plan, etc. Files linked to the plan Variation(s) of original file(s) Buttons for editing general plan data (Edit, Copy) Buttons for performing general plan actions (New task, Reproduction order) Thumbnail (can be enlarged) Index data of the plan (Index identifier, Date of latest index, Reason for change, etc.) Buttons for editing index data (New index, Edit) Buttons for performing index actions (Old versions, if applicable) Buttons for adding other files to the plan (Attach file) The basic data (master data) of the plan include the data describing the plan and are generally located in the plan heading (plan number, original creator, content of plan, scale, page size, etc.). The number and type of fields displayed are project-specific. The Date and Status fields (if NetzWerkPlan GmbH Page 23/104

24 shown) refer to the first version of the plan. For subsequent versions, you will find the same fields in the index. The files for the plan stored on the server by the creator of the plan (CAD files, such as DWG, DGN; plot files, such as PLT, PDF; exchange files, such as DXF) are listed by name and date of creation. If you move the mouse over the names of the files, file size, date and time of insertion are also displayed. When you click on the files, they are immediately downloaded. Please note that direct viewing is only possible, if you have the matching display modules for the various file extensions installed on your computer (e.g. Acrobat Reader for PDF files, or the Plan-View plot viewer for PLT files). When you right-click on the files, further options are displayed. These options are basically the same as those that your browser offers when you download content from the Internet. However, we recommend that you use the direct downloading option in exceptional cases only, because the transmitted files are not compressed. Downloading files using the Clipboard (see chapter 10 Clipboard, page 56) is usually faster and safer. "Variation(s) of original file(s)" lists PDF files that have been created after rotating the added PDF file (see chapter 6.8 Rotate Plan, page 29) or adding additional comments or review notes (see chapter 11 Reminder, page 65). The naming convention for files created after rotating plans is as follows: Original file name_rotated_rotation angle Example: A-BA5-DP A-rotated-270.pdf The naming convention for files created after adding comments is as follows: Original file name of editor_date_time_seq. number Example: A-BA5-DP A Engineer_ pdf The following buttons for plan features are available: Edits individual fields of the currently selected plan (*) Adds a new plan on the basis of the currently selected plan (*) Puts the currently selected plan in the Clipboard Adds a new task for the currently selected plan Creates a reproduction order for the currently selected plan Displays the workflow history of the plan Page 24/104 NetzWerkPlan GmbH

25 The index data of the plan include the current index identifier, the date and status of the index and the reason for change. Further available fields are project-specific. In addition to showing the current (highest) index, a thumbnail of the plan is displayed. Clicking on this thumbnail opens the plan in the Online Viewer allowing the user to see and review the plan directly in WINPLAN++ online. Older versions of the plan, differences between two plan versions or comments already added can also be displayed in the Online Viewer. Please refer to chapter 12 Online Viewer, page 68, for a detailed description of the Online Viewer. The following buttons for index features are available: Adds a new index Edits individual fields of the current index (*) Displays previous versions of the plan (if applicable) Rotates the thumbnail, if its orientation is not correctly displayed. This has no impact on the actual plot file. Furthermore, you can also attach other files to the plan in addition to the three default files. 6.2 Add a New Plan If you want to add a new plan in the current subproject, select the button and complete the input fields in the detail section on the right side of the window. If you want to make the associated CAD data available to other project participants, click the button next to the respective file type and select the desired file from your local hard drive or network. Repeat this step for all files that you want to publish. Click to complete the action. NetzWerkPlan GmbH Page 25/104

26 Adding a new plan If your project has a consistent plan number configuration, WINPLAN++ online displays several input fields and options instead of one single input field for the plan number. In this case, the program automatically checks whether the plan number entered is correct. For most projects, you will define that the first version of a plan added shall already have an index, i.e. that there are no indexless plans. In this case, the mask for adding plans also automatically displays the fields for entering the first index. After you have completed the mask and selected the files for upload, the data will be uploaded on the WINPLAN++ online server. A progress bar shows the progress of the upload process. Progress bar displayed during upload If this process takes a little longer due to a currently slow Internet connection or high traffic on the server, you can put the window in the background (do not close it) and continue your work in other windows on your computer. Do not try to speed up the process by opening new windows and starting additional uploads. Page 26/104 NetzWerkPlan GmbH

27 Following the upload, the program usually starts a workflow that notifies the other participants about the existence of the new plan and assigns new tasks to them. The workflows are defined by the project leaders and can be executed interactively or automatically. Interactive workflows allow the user to influence the actions to be triggered. Before the workflow is executed, the user can modify existing tasks, define or change processing days, and control options. In addition, the notification of a participant can be completely deactivated. Interactive workflow After setting the options for an interactive workflow, the corresponding tasks are started and the s are sent. For automatic workflows, these actions are performed automatically without any interaction by the user. In each case, WINPLAN++ online records the performed tasks in a log, which, depending on the defined settings, is also sent to the address of the sender. Workflow log Click to quit this window. WINPLAN++ online will then go back to the plan table and the current plan is displayed. The thumbnail of the added plan should be displayed after a few seconds. Adding a plan using the feature described above is the most time-consuming method, because the data are not compressed during transmission. We recommend using one the following alternative methods: Batch transmission Transmission using FTP-Client.exe Transmission using another FTP client These methods are described in chapter 8 Batch transmission (page 35) of this User Guide. 28 6.3 Edit Plan Data The feature allows you to change the describing data of the currently selected plan, for example to correct typos. The plan number and any files that have already been added cannot be changed. However, it is possible to add files that have not yet been uploaded to the current index at a later point of time. Existing files can only be uploaded again, if a new index is assigned. 6.4 Copy Plan Use the feature to add a new plan by re-using the describing data of the currently selected plan. You may edit the already completed fields. However, you must always assign a new plan number and re-upload the files associated with this plan. 6.5 Add a New Index Use the feature to add a new modification state for the selected plan. The program suggests the next highest index identifier. If you want to choose another identifier, please make sure that you only use IDs that are allowed in your project. Also, enter additional data such as date, state and reason for change. You can then upload the updated CAD files by following the same procedures used for adding a new plan. If there is more than one plan date, click to load an overview of old indexes for the current plan. Corresponding data and associated files are displayed. Click on the files to download them. Please note, however, that the files cannot be downloaded via the Clipboard. Also, you cannot trigger any tasks or reproduction orders for previous versions (this can only be done by the administrator). Based on the defined settings, the addition of a new index starts an interactive or automatic workflow (see chapter 6.2 Add a New Plan, page 25). 6.6 Edit Index Data The feature allows you to change the describing data of the currently selected plan, for example to correct typos. The index ID and any files that have already been added cannot be changed. However, it is possible to add files that have not yet been uploaded to the current index at a later point of time. Existing files can only be uploaded again, if a new index is assigned. Page 28/104 NetzWerkPlan GmbH

29 6.7 Add a New Task Select the button to assign a new task relating to the current plan to other participants. This ad hoc workflow can be started independently or in addition to the workflow that is already being used. The participants are notified of their new tasks in WINPLAN++ online and, upon request, also via an external . Please refer to chapter 10 Clipboard (page 56) for a detailed description of this feature. If you want to trigger tasks for several plans at the same time, first put the desired plans into the Clipboard, then switch to the Clipboard and select New task. 6.8 Rotate Plan Click the button to rotate the thumbnail and adjust the display of the plan in the Online Viewer. In order to so, select the rotation angle in the Rotate plan window and click OK to confirm your selection. The system then calculates the rotation of the plan and saves the rotated plan in a new file. This file is listed under Variation(s) of original file(s) in the detail view of the plan. Rotations can also be carried out by the system automatically, for example if you have configured PDF files to be rotated by 90 degrees. It may take a few minutes for the rotated drawing to display for the first time. 6.9 Attach a File In addition to the three default files (exchange, plot, and CAD files), you can also attach other files to the plan (e.g. steel or parts lists, explanatory notes, etc.). Use the current plan. button to select the file that you want to attach. If you click the button, the file will be transmitted to the server and then attached to the If you want to attach multiple files, click the button. 31 7 Documents 7.1 General Information Click the feature in the navigation bar to switch to the document view mode. If the corresponding subproject contains any documents, they are displayed in a table on the left side of the window (like plans). If there are more documents than can be displayed on the page, use the navigation elements at the top of the window to open the next or previous pages. A list box at the top of the window allows you to sort the list according to different criteria. Document list and details The buttons below the document table offer the following features: Puts selected documents in the Clipboard Inverts a previous selection of documents Displays only thumbnails of documents to allow for graphic navigation Adds a new document (*) Clicking on a row in the document table displays the details of this particular document on the right side of the main window. Important information about the document includes the file name and document type (file type) as well as the document name (if not specified otherwise, the document name is the file name without the extension). 32 The Subject, Comment, Keywords, Status, etc. fields are used to further describe the document. Like plan files, documents can be downloaded directly and opened in the corresponding application (e.g. Word, Excel, Acrobat Reader) by clicking on the file name. Right-clicking the files provides additional options according to the browser. If possible, WINPLAN++ online also creates thumbnails for documents. Clicking on a thumbnail opens the document in the Online Viewer allowing the user to see and review the document directly in WINPLAN++ online. Please refer to chapter 12 Online Viewer, page 68, for a detailed description of the Online Viewer. The following buttons for document features are available: Edits individual fields of the current document (*) Adds a new document on the basis of the currently selected document (*) Adds a new index for the currently selected document (*) Puts the current document in the Clipboard Adds a new task for the current document Creates a repro order for this document Displays the workflow history of the document Displays previous versions of the document (if applicable) (*) Features marked with an asterisk are rights-specific, i.e. if no rights are set, the respective button will not be displayed on the screen. Unlike plans, documents do not have a separate data set describing the current index and the modifications performed therein. Use the feature to create a new version of a document. This allows you to edit the describing fields of the document. Use to check the history of modifications. If plans and documents are summarized under one section in your project (i.e. if the tab is displayed), the documents are treated as plans and the input masks for plans are used. 33 7.2 Add a New Document If you want to add a new document in the current subproject, select the button and complete the input fields in the detail section on the right side of the window. If you want to make this document available to other project participants, click the button next to the File field, and select the desired file from your local hard drive or network. Click to complete this action. The data will then be uploaded on the WINPLAN++ online server. A progress bar shows the progress of the upload process. If a corresponding document workflow is defined, it is started immediately following the upload. Please refer to the information concerning plans in chapter 6.2 Add a New Plan (page 25). 7.3 Edit Document Data The feature allows you to change the describing data of the currently selected document, for example to correct typos. The document name and any files that have already been added cannot be changed. Existing files can only be uploaded again, if a new index is assigned. 7.4 Copy Document Use the feature to add a new document by re-using the describing data of the currently selected plan. You may edit the already completed fields. However, you must always assign a new document number and re-upload the associated file. 7.5 Add a New Index Use the feature to add a new modification state for the selected document. Unlike in the case of plans, this state is identified by a date instead of by an index identifier. This feature also allows you to edit the describing data of the document. Unlike in the case of plans, there is no separate mask for index data. If there is more than one document date, click to load a list of previous versions of the current document. Corresponding data and associated files are displayed. Click on the files to download them. Please note, however, that the files cannot be downloaded via the Clipboard and no tasks or reproduction orders can be started for previous versions. 35 8 Batch transmission 8.1 General Information In addition to publishing a single plan or document using the methods described above, you can use the feature to transmit multiple plans or documents as a compressed packet. You can choose between three options: 1. Batch transmission via the Internet mask of WINPLAN++ online 2. Using the FTP-Client.exe program 3. Using any FTP client 8.2 Batch transmission via the Internet mask If you want to use this method, first save the plans or documents that you want to transmit in a folder in your file explorer. Please note that for each single batch transmission, you may collect either plans only or documents only. However, collect any and all files associated with the respective plans or documents, i.e. you should also collect different file types (e.g. DWG files as CAD files, PLT or PDF files as plot/preview files, etc.). Once the batch transmission is completed, it is no longer possible to automatically assign single file types to existing plans! In order to speed up transmission to WINPLAN++ online, you can create a compressed ZIP file containing the plans or documents you want to transmit. Most projects work with a consistent plan number configuration. Using intelligent plan numbers consisting of individual sections with predefined meanings allows WINPLAN++ online to assign the files to the correct subproject and complete the fields containing the plan describing data immediately following the upload. This is why the file name of each file must consist of the plan number and the index. Generally, the following naming rule applies: File name = plan number + index + file extension For security reasons, the plan number cannot be changed at a later point of time. Generally, plan number configurations are defined consistently throughout the entire project, and can only be created or changed by the administrator. NetzWerkPlan GmbH Page 35/104

36 Clicking the tab opens the following page: Starting batch transmission Click files. to open the page that allows you to select and upload the Selecting the files Now you define whether you want to transmit a plan or document batch. Drag and drop the individual files or the ZIP file from Windows Explorer to the respective gray fields, i.e. drag any plans to the Plans field and documents to the Documents field. You can also select the files to be uploaded by using the button. Please note that the Drag &Drop feature is only available in Internet Explorer Version 10 and higher! The transmission of the files or ZIP file will then start automatically, and a progress bar indicates the transmission progress for each individual file. Please do not close the window during processing and refrain from making any further entries in WINPLAN++ online. You may, however, continue your work in other programs during the transmission. Once a transmission rate of 100% has been reached for each file, the transmission is completed. You can then upload further files in WINPLAN++ online or click Next to switch to the overview list of the transmitted files. Page 36/104 NetzWerkPlan GmbH

37 Individual files that have been uploaded will automatically be compressed into a ZIP file packet; uploaded ZIP files remain unchanged. In the next step, the files will be processed and assigned to the project folders. This operation must take place upon request and under the supervision of the user. There is no need to process the packets immediately after the upload. The packets will be displayed in the list until they are further edited, i.e. even over a period of several days. The left side of the screen shows the ZIP file that was uploaded or created automatically. The individual files contained in the ZIP file are shown on the right hand side of the screen. List of existing packets To start the processing of the files, select one or more packets in the list on the left side and click the button. WINPLAN++ online now analyzes the files contained in the ZIP file and tries to assign them to a project. The assignment takes place one plan at a time. 38 If a file is transmitted for the first time, the basic version of the plan and its master data will be created. The index data will be created immediately afterwards. If a file associated with an already existing plan is transmitted, only the index will be assigned. In a project with a plan number configuration, files are assigned according to this definition. Attached index identifiers are recognized. Subproject assignment is determined by the configuration and cannot be changed. If the transmitted batch includes files that are associated with multiple plans, use the option Remember these values for the next cycle, if you want to adopt the values entered for a plan for all subsequent plans. If you do not want the program to display any additional questions or messages, use the or options. Please be sure, however, that the values really apply to all files, since these options process the complete batch. If you want to assign a CAD file to multiple plans included in the batch, you can use the option below to assign the CAD file to the other plans as well. This way you do not need to select the CAD file each time: Input of index data and file assignment during batch processing If the file name does not match the plan number configuration, or if the specified index already exists, or if the participant does not have write permission in the assigned subproject, processing is refused and the reasons for the refusal are indicated. 39 Refusal of a file due to a wrong name If you have selected or, the processing of the batch will be interrupted should the program encounter an incorrect file name or insufficient rights, and will be continued later. If you have defined a corresponding workflow, it will be triggered upon completion of the batch processing. 41 8.3 Using the FTP-Client.exe Program In addition to uploading files via the WINPLAN++ online web interface, you can also use the FTP-Client.exe utility, which is available for download on the page. Save the program after downloading and unpacking the ZIP file in a separate folder in any location on you computer, e.g. on the desktop. A double click will start the program. The benefits of the program include: the data included in the program will be compressed automatically data transfer is considerably faster than via the web interface the size of the file to be transmitted is not limited. If you use the program for the first time, please use the configuration page to enter the server name (which is the WINPLAN++ online website), your user name and your password. This is where you will find the uploaded batch which you can further process as usual. Currently, the FTP-Client.exe utility is only available for Windows computers. 44 8.4 Using other FTP Clients If you do not want to use the FTP-Client.exe program but still would like to benefit from the faster transmission of an FTP protocol, you can also use any other FTP client. However, you must first compress the files before you can upload them. Enter your WINPLAN++ online access data in the FTP client. Your files will then be transmitted via the FTP client in the same way as described in the previous section. 45 9 Logs, Agenda Items, and Defects 9.1 General Information You can use WINPLAN++ online to generate smart logs. These logs are not written in any text processing program and then converted into PDF format, but they consist of individual modules that are recorded in WINPLAN++ online and later assembled into one overall log. The individual modules include the agenda items of a meeting or execution or warranty defects which you want to track in WINPLAN++ online. The log is the parent instance of these modules. It can be created as a meeting minutes, an inspection log or a construction diary. You can then assign agenda items and defects to one or more logs, or you can manage agenda items and defects separately. This method has the advantage that each individual module (agenda items, defects) has its own database entry, its own status and its own workflow and is assigned to one creator and to one responsible/defect causing person. If log management is released for your project, you can invoke this feature by clicking the navigation bar. in If the corresponding subproject contains any logs, they are displayed in a table on the left side of the window (like plans). If there are more logs than can be displayed on the page, use the navigation elements above to open the next or the previous pages. You can use the defect mask to describe the unsatisfactory or outstanding work or services in as much detail as possible and explain the defect even further by referring to existing or new plans or documents in the system. The progress window shows the progress during the creation of the report. Upon completion of the report, the PDF program installed on your computer opens and the generated letter will be displayed. 55 9.7 Agenda Items as To-Do List Agenda items are stored as separate items in the database. Due to this fact, you can also use them as separate To-Do lists, regardless of any logs. If you select the tab in the navigation bar, you will find a list of all agenda items for the corresponding subproject. Regardless of any log, you can use this mask to create new agenda items, attach associated files, assign new tasks to the participant, or trigger an existing workflow. 56 10 Clipboard 10.1 General Information Click the tab in the navigation bar or the button in the lower left corner of the screen to open the Clipboard. The Clipboard is a virtual place where you can collect WINPLAN++ online elements (plans, documents, logs, defects, agenda items, events) for further processing. The following processing options are available: Save files locally on your computer Define new tasks Trigger a plotting order Trigger a workflow Print lists. The button is displayed in both the list view and the detail view of all pages of WINPLAN++ online. This allows you to quickly and easily copy single or multiple objects to the Clipboard. Use the arrows key to expand or collapse the Clipboard section in the project tree. If the section is expanded, the Clipboard content will be displayed. Use the button to start a plotting order for the selected elements. This button will only be displayed, if there is at least one reproduction service defined for your project. Use the and buttons to trigger complete, predefined workflows in addition to the ad hoc workflows described above. Select the desired workflows on the following page. Please note that you can only trigger plan workflows for plans and document workflows for documents. If there are no plans or documents in your Clipboard, the corresponding button will not be displayed. The same applies to. Use the button to generate a list in PDF or Excel format from the current Clipboard content. Clicking this button opens the list type selection mask. Please refer to chapter 15 Lists (page 84) for a description of this feature. The elements you have collected in the Clipboard during a session will remain intact as long as you are logged on in the system. By clicking, you can enter a name and save the Clipboard for future use. Select and click ( ) to display a selection of the saved Clipboards and the content contained therein. Load Clipboard In addition to selecting the Clipboard you can also choose whether the saved content shall replace the current Clipboard or be added to it. Click Load to open the Clipboard and display the saved elements. Clicking displays an overview of the saved Clipboards. The overview also enables you to delete one or more Clipboards, if necessary. You can select or deselect individual plans or documents by clicking the checkbox for the desired element, or you can select or deselect multiple plans or documents by clicking the checkbox in the appropriate header. Selecting files for download starts the download operation. The selected files are compressed on the server and can then be downloaded using the features of your Internet Browser. Choose the option to save the files and select an appropriate location on your local computer where you want to save your data. Please note that each download operation is registered on the server and can be tracked by entitled project participants. 59 10.3 Add a New Task Use the button to assign a new task related to the current Clipboard content to other participants. This ad hoc workflow can be defined at any time, regardless of any other action. The participants are notified of their new tasks in WINPLAN++ online and, usually, also via an external . The workflow can be started independently or in addition to a workflow already being executed. New task When a new task is added, the following fields are available: Participant(s) Group(s) Selects the project participant who shall receive the task. If you want to select more than one participant, click on the desired participants while at the same time pressing the <Ctrl> or <Shift> button. If participant groups are defined in the project, you can select these groups using the column next to the participants. Clicking on a group automatically selects all participants belonging to this particular group. Once you have selected one or more group, you can still remove or add individual participants. Task In the task list, click to select the task that the recipient of the task shall perform. Send The participant is also notified of the task via external . Each and every project participant who is repeatedly assigned tasks or sent plans to should be added as a participant in WINPLAN++ online. This option refers back to the previous option for external participants. In order to be able to document their tasks, WINPLAN++ online allows users to mark these tasks as their own tasks and complete them on behalf of the external participants. Choose whether the corresponding files shall not be sent with the being sent (No), shall be sent as an attachment (As file) or shall be provided as a link (As link). We recommend the last selection (As link), because this does not unnecessarily increase the size of the , while still allowing a download from outside the WINPLAN++ online portal. Define until when the task shall be performed, by setting either a period of time or a definite deadline. If both fields are left empty, no time frame is scheduled. If required, add an individual comment to the current task. Click to complete the entries for task creation. Instead of creating a single task, you can also use the or buttons to trigger a complete workflow. In this case, you do not have to complete the abovementioned fields. 61 10.4 Create a Reproduction Order If a reproduction service is defined for your project, you can use the button to generate a plotting order for the current Clipboard content. The available settings depend on the project in question. This is why the mask shown below is only to be considered an example. Repro order for a single plan When a new repro order is created, the following fields are available: Repro service Recipient of bill Plot recipient Select the reproduction service company, if there is more than one available. Select the party that is to receive the bill, if this selection is enabled in your project. If not, the recipient of the bill will be the party ordering the plot. Click to select the plot recipient who you want to receive the copies. If this option is not activated, the company is only notified of the task within WINPLAN++ online. The default value is the current date. You can, however, manually enter another date or use the calendar to select another date. WINPLAN++ online displays all selected plans or documents. You can still make entries concerning punching, folding, paper type, color printing, and quantity. In addition, you can select the type of file you want to plot/print. By default, WINPLAN++ online selects the plot file. If this file is empty, or if you want to (additionally) print another file, you can also send the exchange or CAD file to the repro service. You can also indicate whether you want to submit a selection of individual files or all attached files. Please note that if you have selected more than one reproduction receiver, each individual plot recipient will receive the number of copies you define here. Please select how your plots shall be delivered. Please indicate at what time you want the plot to be delivered. If necessary, enter a customized comment. You can define the options for the reproduction task for each individual project. This is why the options available for selection in your project may be different from the ones shown here. Note with regard to the file types: Usually, WINPLAN++ online sends the preview/plot/plt/pdf file to the repro service. If this type of file does not exist, or if you want to send another file type, you must select the file type manually. The same is true for plotting attached files, which are usually not sent to the repro service. If you want to change the settings for an entire column of the plotting order table, you only need to change the first row and then click the corresponding header. 63 Click to complete the order. The program creates the result log for this operation. Result log for repro order 10.5 Workflows If the current Clipboard contains plans, the button is displayed. If the Clipboard contains documents, you will see the button. These buttons allow you to trigger the corresponding workflows for the Clipboard content. Click the or the button to open a selection from which you can choose one or more workflows. The following options are available: Trigger workflow as in new operation This option triggers the workflow(s) which would also be triggered if the corresponding plans/documents were newly created. Trigger workflow as in edit operation This option triggers the workflow(s) which would also be triggered if the corresponding plans/documents were changed. The other workflows available in this selection are the plan or document workflows that have been created for this particular project. 65 11 Reminder Whenever a participant in a project publishes a plan, document, log, defect, or agenda item, this can trigger a new task for you, for example reviewing the plan or taking note of it. If you as a participant are assigned a new task in the current or another project you will instantly receive a corresponding notification shown in the status bar while working with WINPLAN++ online: Click on the message to display more details: New task Go to your task by clicking the button, or the tab in the navigation bar, or the button on the start page. 66 The left side of the Reminder window shows a list of all the tasks, and the right side of the window displays the details for the currently selected entry. Filtering tasks Clicking the arrows or on Conditions opens an area where you can filter the tasks assigned to you according to certain criteria. This list field allows you to filter your tasks according to additional database fields which you can select. 67 Completing tasks Tasks can be completed in different ways: There are simple tasks such as Taking note that can be completed by downloading the plans or documents or by clicking the button. Decision tasks (for example during review or release) are completed by answering the corresponding question (e.g. Approve plan?) with Yes or No. Status tasks (for example during review or release) are completed by selecting the appropriate status from a list (for example change status from Preliminary to Approved). When you complete a task, you can always enter a comment. When you complete a task, you can also add comments to plans or documents (for example during review or release). In order to do so, click the thumbnail of the plan or document to open the Online Viewer, where you can use the Redlining elements to add for example clouds, comments or stamps to the plan or document. Please refer to chapter 12 Online Viewer, page 68, for a detailed description of the Online Viewer. When you complete a task, you can also attach explanatory files by clicking the be attached. button for the first file or the button for any further file to Instead of completing single tasks on the right side (detail side) of the window, you may choose to complete multiple tasks simultaneously. However, these tasks must all be of the same type, i.e. you cannot complete several tasks of different types at the same time. First, use the filter feature described above to filter your tasks according to one particular task type. 68 12 Online Viewer 12.1 General Information You can use the Online Viewer to view plans or documents of different file formats directly in WINPLAN++ online without having to download them. This allows you to comfortably evaluate their quality. In addition, you can display older versions of a plan and even show differences between two plan versions. Opening the Online Viewer from the Reminder window even provides additional review features allowing you to add for example clouds, comments or stamps to the plan by using the Redlining elements. The thumbnail displayed in the Online Viewer will automatically be generated by the system following the upload of the plan or document. Thumbnails of plans or documents are created from PDF, PLT, TIFF, JPG or DWG files, among others. Please note that the Online Viewer is not suitable for defining sections or for plotting or printing to scale. Plotting and printing to scale is only possible after you have downloaded the respective file to your local computer. Online Viewer in Read Only Mode You can open the Online Viewer by clicking on the thumbnail of a plan or document (see chapter 6 Plans, page 22, and chapter 7 Documents, page 31, and chapter 11 Reminder, page 65). 69 12.2 Navigation in the Online Viewer Use the 4 arrow buttons to move the currently visible plan section in the direction of the selected arrow. You can gradually enlarge or reduce the size of the display using the plus or minus buttons of the zoom bar. Alternatively, you can also move the sliding bar to the desired position or just simply turn the mouse wheel. If a multipage document is displayed in the Online Viewer, a page display is shown in the lower left corner of the screen. Enter the page number to be displayed in the text field, or use the buttons or to scroll through the document. You can search thumbnails created from PDF files for specific keywords by entering a search term in the search field and clicking the button. If the search term is found in the document, all occurrences will be highlighted in yellow. Clicking the button again will also search the following pages of the document. 70 12.3 Overview Screen Click on the "Overview" bar in the lower right corner of the Online Viewer to open the overview screen. Clicking once more will close the screen again. The overview screen shows the plan section which is currently displayed in the Online Viewer. The current section is highlighted by a red-dotted rectangle. By moving the rectangle, the plan section displayed in the Online Viewer is also moved accordingly Versions, Differences and Layers Screen Click on the "Versions Differences Layers" bar in the upper right corner of the Online Viewer to open the screen showing any available versions, differences or layers. Clicking once more will close the screen again. The "Plan/Document" section lists all versions of the plan or document displayed in the Online Viewer that have been added so far. When you select any version in this list, the Online Viewer will immediately display this version. At first, the Online Viewer always displays the most current version. If you want to find out the differences between any two plan states, you can display them in the Online Viewer. Any available differences are listed under the heading "Differences/Comments". As soon as you mark any difference, the changes are calculated and displayed with the help of a highlighter feature. Blue entries show elements that have been added in the newer version, whereas red entries show elements which have been removed. In addition, you can show any and all comments relating to the currently visible plan version that have already been added. You can see the Redlining versions, including the name of the participant, the editor, the task type and the date and time of the entries. Please note that evaluating and displaying the differences between two plan versions makes only sense in those cases, in which all plan versions (plot/pdf files) have been created using the same precise segment and orientation. 71 12.5 Online Viewer Options The kind of options available in the Online Viewer depends on where in WINPLAN++ online you open the Online Viewer. Clicking on the thumbnail in the detail view of a plan or document opens the Online Viewer in Read Only mode. This mode offers all options needed to control the view. Opening the Online Viewer in connection with a task in the Reminder window offers additional features for creating comments ("Redlining"). The following buttons are available for the following features: Read Only The Online Viewer is in Read Only mode. The only features available are those for view control and general tasks. View Control Move view Change the currently visible section by clicking and holding the left mouse button and moving it to a different position in the workspace. Magnifying glass Use this option to enlarge the view to the selected screen section. Full screen Use this option to adjust the size of the plan or document to the size of the workspace. Adjust workspace Adjust the framed workspace to the size of your browser window. When the size of your browser window changes, the workspace will be adjusted accordingly. Using this option again will reduce the workspace back to its original value. Previous view Use this option to restore a previous view. Next view Use this option to restore the view that had been cancelled before. General features Print PDF Use this option to generate a PDF file containing any combination of indexes, differences and comments relating to the plan or document that is actively displayed in the Online Viewer. If comments were added, a new PDF file is created which is listed under "Variation(s) of original file(s)" in the detail section of the respective plan or document (see chapter 6 Plans, page 22). Help Use this option to open the Online Viewer Help. Clicking on one of the options displayed in the bar on top of the screen opens a text field showing a description of the respective option. 73 Color settings Outline color/fill color Use this option to define the outline/fill color for the Redlining elements you want to add. Redlining elements Features for placing comments Rectangle Use this option to add a rectangle using the preset outline and fill colors. Draw the rectangle by clicking its starting point and dragging the mouse with the left mouse button held down to define the size and aspect ratio. Once you have reached the desired end point of the rectangle, release the mouse button. Cloud Use this option to add a cloud using the preset outline color. Draw a rectangle by clicking and dragging the mouse with the left mouse button held down. The cloud will be placed along the rectangle. Text field Use this option to add text using the preset outline color. First, click the mouse to define the desired insertion point. A text field opens where you can enter your comment. You can enter a text size between 1 and 20. Place text field Arrow Use this option to draw an arrow using the selected outline color. The arrow is drawn from the end of the arrow to the arrowhead with the help of two individual mouse clicks. Polygon Use this option to add a filled polygon using the preset outline and fill colors within freely selectable corner points. Doubleclick to define the end point and terminate the input. This will automatically close the polygon. Polygon course Use this option to draw an unfilled polygon course using the selected outline color along freely selectable corner points. 74 Circle Use this option to draw a circle or an ellipse using the preset outline and fill colors by defining the center point and drawing the radius. Stamp Use this option to add a stamp using the preset outline color. You can choose between stamps using predefined texts, or create a stamp using your own text, or use a predefined stamp with a fixed layout. The text size of the stamp can be in the range between 1 and 30. In order to add the same stamp on all pages of a multipage PDF file, you must enable the "Add stamp to all pages" option. Selection list of the stamp feature You can use your template to configure predefined stamps for your project, which are then displayed for selection in the drop-down list. Edit elements Move element Use this option to move an element by moving the mouse pointer to the edge of the element until its outline is displayed in yellow. Now click on the element and keep the left mouse button pressed to drag the element to the desired position. Several elements can be moved in the same way, after you have selected them using the "Select element(s)" option. Rotate element This option allows the rotation of elements. Click on the element that you want to rotate and change the rotation angle by moving the drag handle located on the right side below the element. The drag handle in the center of the element is the rotation center, which you can use to move the element without having to change the option. Page 74/104 NetzWerkPlan GmbH

75 Scale element This option allows the resizing of elements using the same aspect ratio. Click on the element that you want to scale and change its size by moving the drag handle located on the right side below the element. The drag handle in the center of the element is the scaling center, which you can use to move the element without having to change the option. Change element The appearance of elements consisting of individual points can be changed by clicking on the element to display all line end points. They can then be moved by using the mouse or deleted by using the keyboard. To delete a point, click on the desired point until it is marked in orange and press the Delete button. You can see a drag handle in the middle of each line. Click on this handle to divide a line or drag the point to add an additional corner. Select element(s) Use this option to select one or more elements by directly clicking on the desired elements or by drawing a border. These elements can then be moved using the "Move element" option. When the "Select element(s)" option is active, clicking on the document outside of an element clears the selection. You can clear the selection of a single element by clicking on it again. As long as the "Move element" option is still active, you can clear the selection by right-clicking. Change element color Use this option to change the line or fill color of an element to be selected to the currently selected color values. Delete element Use this option to delete a single element that you want to select. Delete all elements Use this option to remove all elements created during this session. 76 13 Search WINPLAN++ online offers a quick search feature as well as a detail search feature. The quick search is available in the upper right corner of the WINPLAN++ online screen: You can use the quick search entry field at any time to enter a search string (word or part of word or plan number or part of plan number, etc.). WINPLAN++ online then searches for this search string in all WINPLAN++ online elements (plans, documents, logs, defects, agenda items, messages, and subproject names) as well as in all database fields and displays a list of the search results. In all elements found, the search text entered will be highlighted in yellow. Searching for ground floor If an element does not have a visible marking, the desired search word might have been found in the background, i.e. it is not present in the basic data, but for example in some earlier version of a plan or in the workflow history. 77 If the quick search result offers too many hits, you can refine your search by using the detail search feature. To use the detail search feature, click the tab in the navigation bar. This opens a search mask where you can specifically define in which fields to perform the search. Search input form for plans Since the main WINPLAN++ online elements (projects, plans, documents, logs, defects, agenda items, workflows and messages) have different database fields, there is a different search mask for each element. When you open the detail search window, the plan search mask is displayed by default, because this is the mask that you would probably use most often. 78 Most entry fields display two icons on the right side for opening all available selections: The content of the selection windows is the same. Both methods enable users to select one or more search criteria. Depending on which method you prefer, you can make your selection by enabling the checkboxes (see right window) or collecting the desired options (see left window) from a list by clicking on them. In the left window, you can deselect individual selections by clicking the cross next to the corresponding item. Click on the cross on the white background next to the small triangle to deselect all selections. In the right window, you can correct your selection by disabling the checkboxes for the options to be deselected. Once you have entered all search conditions, click the Start search button. 79 Choose Reset fields to delete all entries in this search mask. If you often use the same search patterns, you can also save them by clicking on Save after entering the search term. You must then specify a name for the search pattern. Click the triangle to display the saved search patterns. Select the desired pattern and click Load to load it in the search mask. Once the search has been completed, the search results are displayed as described at the beginning of this chapter. If you want to further refine or otherwise change the search pattern, please switch again to the mask. The values that were entered last are still displayed, and you can add or edit them. 80 14 Calendar When you click the tab or the date/time indicator in the upper right part of the screen, the calendar will be displayed. The calendar provides an overview of project-related dates and events (e.g. regular meetings), yet also of the tasks assigned to you for plans and other WINPLAN++ online content. Calendar view Use the arrows < and > to navigate to the previous or following months. Double arrows << and >> allow navigation to previous or following years. You can filter the events to be displayed by selecting the desired role. In addition, you can filter which types of calendar entries you want to display by placing a check mark in the appropriate fields. 84 15 Lists The tab in the navigation bar allows you to create different kinds of lists extracted from the WINPLAN++ online database, for example plan lists, plan route or workflow lists, lists of participants, lists of defects, etc. Available lists are displayed in a graphic list, providing an impression about their final layout. 85 Once you have selected a list template, click to have WINPLAN++ online create a PDF file on the server. When you click on this file, it will be immediately displayed in Acrobat Reader or downloaded. Similarly, you can also create a list in Excel table format by clicking. Please observe the browser- and company-specific security settings when downloading and saving Excel files from the Internet. Please note that the content of the list depends on the starting point in the project tree. If you are in the main project (top level), the list will be created for the whole project. If, however, a subproject (subfolder) is selected, the list content only reflects the content of this folder and any child folders. If you start the list feature in the Clipboard, the content of the Clipboard will be output in a list. The type and number of the offered lists can vary according to the project. 86 16 Mailbox and Messages 16.1 General Information Experienced users of WINPLAN++ online only know the Messages feature. As of the version of October 2012 WINPLAN++ online has a new Mailbox tab. As of this version, every participant in WINPLAN++ online will be assigned his or her own address in the following format: Example: participant.projectnumber@servername.de architect @ s sent to this address will be displayed and can be managed in WINPLAN++ online (i.e. you can save these s in the project structure, forward s to others, etc.). In addition, WINPLAN++ online allows you to compose s which will be sent both internally as well as externally to the specified address. You can compose s as a text file or in HTML format. Attachments are possible. Under Settings / Change signature you can specify your own signature (see chapter 17.6 Change Signature, page 102). s sent or received via WINPLAN++ online will be saved in the database. Any associated actions (reading, forwarding) will also be saved. Messages received or sent by you will be collected in the Mailbox. They can then be saved in the project tree structure and can be viewed under Messages by all users who have the appropriate permissions for the corresponding folder. This is how you can make accessible important messages to other project participants. If you are in the main project, or if you did not yet save any messages in the tree structure, the view automatically changes to the mailbox. Page 86/104 NetzWerkPlan GmbH

87 Mailbox The mailbox and messages views are similar to other views in WINPLAN++ online. On the left side, you will see a list of all messages, and on the right side, you will see the details of the entry selected on the left side. In addition, you can double-click on a message in the left side to open the message in a separate window. Inbox and Outbox are managed separately. If the inbox is selected, the Inbox term appears in dark blue letters; if the outbox is activated, Outbox appears in dark blue letters. Change from one box to the other by clicking the underlined name. Inbox or Outbox 16.2 Sort Messages You can sort the messages alphabetically or by date by clicking on the corresponding header. The selected field appears with a light blue background. Click again to invert the sort order. The sort order is indicated by the arrowhead next to the entry. 88 Click on the triangle to open a separate window where you can select whether you want to sort in ascending or descending order. In addition, you can select Columns to define which table columns to display. You can click on the fields in the header and use drag & drop to move the columns or resort them individually Filter Messages Select Filter to filter your selection by specific text in a subject line, by specific senders or recipients or by a specific date or time period. If you have set a filter, the corresponding heading appears in italics and bold. Deselect the filter by disabling the checkbox to the left of the Filter option. 89 Filtering by specific senders or recipients: Filtering by a specific date or time period: The messages displayed vary according to the selection you make: before date displays only the messages before the desired date, after date displays only the messages after the specified date, and on date displays only the messages of the specified date. 90 16.4 Save Messages Messages that are relevant not only for you but also for other participants or the project as whole should be saved in the project structure so that they can be accessed by other project participants as well. In order to do so, click on the icon in the Actions column of the corresponding message. This opens the tree structure of the project. Selection of folder in which to save messages In the project structure, select the folder in which you want to save the message. The selected folder appears with a light blue background. Click the Move button. If you want to return to the mailbox without saving your changes, click Cancel. If the icon in the Actions column is displayed in grey, you do not have the permissions to save any messages. You can also save several messages at once in the same folder. 91 16.5 Workflow of Messages Just as in the case of plans, documents and other elements in WINPLAN++ online, each message has its own workflow history, which shows you what has already happened to it. In order to show the Workflow of a message, click the icon in the Actions column. A window opens showing the workflow of the selected message. Here you can see exactly who has received this message and when and whether the message has been read by the recipient. 93 16.8 Write a Message The New message button is on the right side of the user interface. Click this button to open the window in which you can write your message: The Sender is automatically added. Creating a new message Clicking on the white field next to Recipient or on Recipient in the uppermost row opens a window showing the list of all participants. 94 If you want to notify additional recipients who are not listed as participants in WINPLAN++ online, click on free addresses. A window opens where you can enter any desired addresses. Entering additional recipient addresses Click OK to confirm your selection. The selected recipients are entered, and the window closes. Use the white field next to Subject to enter any text you want. Now you are ready to type in your message in the big white input field. Edit your text using the usual editing features displayed by the various icons. You can also send an attachment with your message by clicking on Attachments in the uppermost row. The File attachments menu is opened in the right side of the window. Click on the icon to open the file structure of your computer to select the desired file. After confirmation, the file is immediately uploaded, with a progress bar showing the progress of the upload operation. File attachments Send your message by clicking Send in the upper left corner. 95 16.9 Read a Message Double-click on the left side to open a message so you can read it. Reading a message Use the options in the menu bar at the bottom to view the Attachments of the message. Displaying the attachments In addition, you can see which Recipient has received the message, and if he or she has already read or deleted the message. 96 16.10 Reply to and Forward a Message Click the Reply feature on the right side in the uppermost row to only reply to the sender of the currently opened message. Click Reply to all to reply to the sender of this message and to all other persons who have received this message. You can edit your selection by clicking on Recipients. Use Forward to forward the received message to third parties. In this case, you must select the recipients yourself. The received text is marked with a blue line at the left margin. Above the text of the received message, there is room for your own text, including your signature. You can also include attachments. Click Send to send the message Using the Message Feature for Batch Transmission Furthermore, you can send data packages (plans) via directly to batch transmission, provided the address for example projectnumber.batch@servername.de batch@winplan-online.de is used. The sender will be determined based on the address of the sender. Hence, it is important to send such mails only from addresses that are known in WINPLAN++ online. 97 17 Settings Use the tab in the navigation bar to define project-specific and personal settings. New participants are added by the project administrator. List of participants Clicking on an address displayed on the right side of the screen opens a window of your program where you can write a new (using your regular program; WINPLAN++ online is not used). 98 Use the feature (chapter 15 Lists, page 84) if you want to print a list of participants as a PDF or Excel file. Click the button to display the available groups and the members of each group. The group assignment can only be changed by users who have administrator rights. Participant groups 17.2 Workflow How many of the five options listed above appear on your interface depends on your project settings. The options allow you to view the types of workflows there are and in which workflows you are involved. Since you do not have administrator rights, you cannot change the workflow definition. 99 Plan workflow The left side shows an overview of any existing workflows and their dependencies. Take a look at the right side to find the details for the selected workflow, e.g. which actions are performed, or when the workflow is triggered. Actions may include tasks such as taking note, reviewing, plan creation or release Addresses Clicking the button displays your own address including your contact data saved in the project room. You may change these data under this option even if you do not have administrator rights by clicking and then confirming your input by clicking. The address field indicates the address of the company or the contact person. If you want to notify several persons for a particular task, you can enter additional addresses in this field, separating them by a semicolon or a line wrap. 100 17.4 User Configuration Here you can define individual settings for using WINPLAN++ online. User configuration In the mask displayed above, you can define the following settings: Specify the Number of lines per page in all tables displayed by WINPLAN++ online. Specify the Language, in which WINPLAN++ online communicates with you. You can also change the language at any time in the status bar next to the date and the quick search feature at the top of the screen. You can choose whether you want to display the number of plans, documents and other elements in the project tree by enabling the checkbox for the appropriate option. In addition, you can specify whether to display empty subfolders in the tree structure or not. Select the next option to define that the search results will be highlighted in color. Information on Batch transmission: Shows which index separator (delimiter between the plan number itself and the index) is defined for your project (in our example: -). Usually, the index separator is defined centrally by the administrator for all project participants. 101 Information on index separator If you want to receive a warning before the expiration of deadlines, use the appropriate option to enter the number of days you want to be warned before the deadline expires. Zero days means that you do not want to be warned. Click Configure summary to open a window in which you can define whether your project information shall be sent immediately or in a bulk . In addition, you can choose the content and time of delivery. Notification configuration If you participate in several projects, you can also create a summary for multiple projects.
