2 2 Prepare Your People: Orient, Train and Equip Prior to Departure Corporate Health Trends: 10 Key Recommended Actions to Protect your Global Workforce The International Corporate Health Leadership Council report, Corporate Health Trends: 10 Key Recommended Actions to Protect your Global Workforce assesses current literature and reviews corporate polling results to provide management recommendations to best protect an organization s mobile workforce. This webinar covers one recommended action: Orient, train and equip personnel prior to departure. Pre-travel medical information should be provided for all international travelers and assignees (and dependents) as well as training and medical kits for those working in high-risk locations. Leveraging technology such as online training tools and automated s can maximize the opportunity to effectively prepare personnel. ORIENT, TRAIN AND EQUIP PERSONNEL PRIOR TO DEPARTURE. Recommended Actions: Prepare employees and their dependents by informing them of predictable health risks and options for mitigation. First aid training and travel kits should be considered for all traveling employees, not just those going to remote locations or areas with limited medical care. Polling Results 68-percent report providing a briefing to their business travelers on health risks and prevention prior to the start of their travel and nearly the same percentage offer their travelers a medical consultation. 48-percent provide their international assignees with an orientation program to educate them on local health resources and risks prior to deployment. 34-percent of respondents use e-learning to educate employees about health in remote locations. 15-percent or less of the companies indicated that they offered first aid training for their international assignees or travelers. 26-percent offered training for employees in high-risk or medically underserved locations. 80-percent of large companies (25,000 or more working outside the US) offer medical kits to their international travelers. Council Commentary The Council believes that there is significant opportunity for improvement as many companies still do not effectively orient and train their internationally mobile personnel, nor offer first aid training and travel kits. In high-risk environments, training and kits may make the difference between life and death and must be considered a standard.

4 4 Prepare Your People: Orient, Train and Equip Prior to Departure Panel discussion Panel question: What are some best practices in briefing your international travelers and expatriates on health risks or prevention before they leave? Are you involved in orientation programs? ANSWER: Preparing employees and their dependents by informing them of predictable health and security risks is an important part of the process and should be provided for all international travelers. It s also a large part of Duty of Care. Work with in-house medical and security personnel as well as travel assistance organizations to provide this information to travelers. Information should include health risks and threats, necessary immunizations, security briefings and who to call if help (or just advice) is needed. Be proactive so travelers know the risks ahead of time and can make sound decisions. Beyond informing travelers, a best practice is having a travel policy in place so employees know what they can and cannot do while representing the company on a trip or assignment. This policy should cover activities that are not allowed on company trips, as well as a process for approving trips to higher risk locations. This should be done in a way that encourages travelers to make sound decisions, not scare them into not wanting to make the journey or take the assignment. It s also good to know travelers demographics. Are they seasoned or new to the drill? Are they Baby Boomers or Millennials? The needs of travelers change with their demographics, and information should be tailored to the group. For an example, older travelers may face chronic health issues like diabetes and high blood pressure while younger travelers may be prone to car accidents or get into trouble venturing out on their own. Information can be pushed out automatically at the time of ticketing and should be provided even to seasoned travelers. Expatriates and dependents should have pre-departure exams and yearly physicals. Behavioral health is key to address, and screenings can be an important tool. It should be noted that the same kinds of help the assignee is used to in their home country may not be available abroad. BEYOND INFORMING TRAVELERS, A BEST PRACTICE IS HAVING A TRAVEL POLICY IN PLACE SO EMPLOYEES KNOW WHAT THEY CAN AND CANNOT DO WHILE REPRESENTING THE COMPANY ON A TRIP OR ASSIGNMENT.

What about providing first aid training or travel health kits? Panel Question: How do you show the value of preparation and prevention to the business? ANSWER: Leveraging technology such as online training tools and automated s can maximize the opportunity to effectively prepare personnel. Training can take several forms from e-learning to in person sessions. Information can also be pushed to travelers in forms like in-house social media, newsletters and blogs. These can cover topics in the news like Ebola, MERS and other health and security threats for various regions and serve as a starting point for discussions on how to keep them healthy, safe and secure. It s the right message to the right people at the right time. Global training can be challenging, as one size rarely fits all. Global training tends to be basic and higher level, and there is value in that, but there is also value in training at the country level. Targeting employees at the country level cuts down on the chance that travelers will not take the information into consideration. Track the fact that employees are trained. First aid training and travel kits should be considered for all traveling employees, not just those going to remote locations or areas with limited medical care. ANSWER: In The Link Between Workforce Health and Safety and the Health of the Bottom Line: Tracking Market Performance of Companies That Nurture a Culture of Health published in September 2013 by the American College of Occupational and Environmental Medicine, it is noted that organizations that build a culture of health yield a greater value for investors. That s a powerful message for senior management. Quantifying the return on investment is an important part of engaging the c-suite and upper management. This can be done by demonstrating increased productivity, employee morale, and economic impact, including the cost of a failed assignment. It shows that preparing travelers is not just the right thing to do, but has a positive financial impact as well. Also, evaluate the number of medical cases and evacuations as opposed to the outcome of these cases if a program was not in place. Many organizations ask staff to participate in employee surveys. Consider asking questions about health, wellness and travel preparedness and assistance. These surveys can also influence the c-suite and demonstrate that prevention is essential. QUANTIFYING THE RETURN ON INVESTMENT IS AN IMPORTANT PART OF ENGAGING THE C-SUITE AND UPPER MANAGEMENT.

She is on the Board of Directors of the Global Health Benefits Institute, the Physician Steering Team for the ORC and the Cigna Medical Advisors and the International Corporate Health Leadership Council. She serves on the Board of The Health Project (Koop Award). She is on faculty at the Univerisity of Cincinnati College of Medicine as an Adjunct Clinical Professor of Occupational Medicine and Environmental Health and serves on the ERC-External Advisory Board. Sandra Stratford, MD, Chief Medical Officer, Global Health Resources, Raytheon Company Professor Robert L. Quigley, MD, D.Phil., Regional Medical Director and Senior Vice President of Medical Assistance, International SOS Dr. Quigley is responsible for leading the delivery of high quality medical assistance, healthcare management and medical transportation services. Lori Zimmerman, MD, Medical Director, Citigroup, Inc. Dr. Stratford, MD, MSc assumed the position of Raytheon s Chief Medical Officer and head of the Global Health Resources Department in In this role, she has responsibility for occupational health and episodic care service provided at the 27 vendor supported occupational health service locations, preventive health and wellness programming, international health management and business support, crisis management and WorkLife/Employee Assistance Program (EAP) services. Dr. Stratford is a board-certified specialist in occupational medicine. She is a member of the American College of Occupational and Environmental Medicine, Global Business Group on Health, the International Corporate Health Leadership Council, the American Medical Association, the American College of Physicians, and past Board Member with the New England College of Occupational and Environmental Medicine. A panelist in 2010 and 2014 for the MA Conference for Women, Dr. Stratford was also one of the featured panelists for Color Magazine s Women of Color Leadership and Empowerment Forum in June Dr. Zimmerman is the Corporate Medical Director for Citi.
