2 Introducing Civica Paris EPR and Case Management About Civica Care providers face unrelenting social, demographic and financial pressures. Demands keep growing for improved services that support health, independence and wellbeing through multiple agencies. Civica delivers software and services to streamline and join up core processes across health and social care through our unique combination of people, technology and business process expertise. Civica s Paris solution is an integrated Electronic Patient Records (EPR) and Case Management system for monitoring and managing all aspects of communitybased health and social care. It is used by healthcare providers and local authorities across the UK and Western Canada. We re making a major investment because it s needed for better patient care. This is a local solution, led by local clinicians with an impressive supplier. We ve got an excellent product and staff will work with Civica to mould it further to what we need. Andrew Geldard // Chief Executive North Essex Partnership NHS Foundation Trust Civica also provides Service Level Agreement Management (SLAM) and Costing Systems for healthcare commissioners and providers. Adopted by 185 trusts, SLAM is the leading product of its type in the sector. Civica s Electronic Document Management (EDM) systems are amongst the most widely used in the public sector. Some 200 organisations, including over 50 Trusts, have successfully deployed our solutions and utilise our scanning services to make substantial savings from the removal of paper records. Our Solutions We provide a comprehensive range of software and services to support mental health and community-based health and social care. Paris is an established product in wide use within the health and social care space; it has comprehensive functionality supporting community health, child health, mental health, adult and children s social services. Paris has always been a system that was designed with clinical practice at the forefront, providing functionality that delivers clinical benefit to its users; the latest release, ParisVision, takes this philosophy to the next level, ensuring that the software is more intuitive and easy to use. Mental Health Supporting mental health service users in both the community and in hospital is dependent on giving care workers and clinicians access to the most up-to-date information. High quality care is also dependent on the ability to create person-centred assessments and care plans which are underpinned by evidence and best practice. Paris enables organisations to create models of care delivery which make processes more efficient and safe. It also enables each organisation to tailor care processes and documentation to meet its own local requirements across care settings, teams and agencies. Care planning and delivery can be configured to meet individual needs and it has a safe and flexible security model to ensure information can be shared appropriately to support the delivery of best outcome for each service user. > The only EPR and Case Management system that supports integrated health and social care services > Incorporates the latest thinking on clinical safety, usability, accessibility and best practice; including relevant NHS Common User Interface (CUI) guidance such as the patient banner > User Defined Forms and User Defined Applications that provide the flexibility for customers to configure and tailor the system to their respective needs > Supports on-line and off-line mobile working plus touch-screen tiles. > Supports multiple referral intake and care processes models > Support for payment by results, clustering and care pathways > Integrated inpatients and Mental Health Act > Supports flow of care information between care documents and teams/services > Person-centred risk management framework > Flexible design of local care documentation > Supports outcome measures > Robust and flexible security model > Integrated letters and reporting > Support for e-prescribing > Statutory extract compliant. Belfast Health & Social Care Trust Civica is working with Belfast Health & Social Care Trust, one of the UK s largest Trusts, to enhance the provision of community health and social care built upon the foundation of an Electronic Patient Record (EPR) and Case Management system designed to improve services and efficiency through integrated working. The Belfast Trust delivers health and social care services to 340,000 people across the city as well as specialist services to all of Northern Ireland. When fully deployed the Paris EPR system will support over 5,000 clinical staff and will be accessed from over 120 locations to support the joined-up delivery of safe, timely and high quality care. The system underpins the Trust s focus on patient-centred services which can be delivered from central locations or in the community as appropriate, including the seamless sharing of information to support Belfast s modernisation agenda and to enhance decision making, risk management and cost savings Paris EPR and Case Management 03

3 Community Health Adult Social Care Community healthcare is becoming more important due to a number of factors including earlier discharge from hospital and of course, the population requiring ever increasing, age related care. Paris enables community staff to work within one area of Paris, namely staff diary. Within this application, the healthcare provider can view upcoming contacts, book new contacts and record their entries into the clinical record. Assessments, reviews, care plans and progress notes can be recorded, updated and viewed from one place allowing quick and easy access to the care record. ParisMobile enables peripatetic workers access to the person s clinical record at any time during their working day. > Supports multiple referral intake and care processes models > Fully supports the community information data set > Personal diary and group diaries > Planned visits easily booked into staff diaries > Supports outcome measures > Toolkit that allows the trust to design and implement their clinical documents on the system > Integrated letters and reporting > Support for e-prescribing > Robust and flexible security model > Clinic booking > Spell checker with medical dictionary. The landscape for adult social care continues to change rapidly as organisations strive to find creative ways of making their budget go further. Personalisation, Self-Directed Support (SDS) and Personal Budgets are enablers for this but their implementation poses a variety of challenges. New business processes and roles are evolving and the systems that support these must respond to this change flexibly and quickly. Paris fully supports the end to end care process with a locally tailored solution incorporating adult safeguarding, supported assessment, support planning, personal budget calculation/management, financial assessment, charging and provider payments. Paris enables local authorities to implement innovative, locally defined solutions within a secure, adaptable and user-friendly system environment. > Ability to define a local SDS process > Resource Allocation System (RAS) driven by local rules > Flexible support planning > Personal budget management > Safeguarding > Service planning, direct payments including for mixed packages of care, financial assessments, billing and provider payments. Child Health Civica s technology is helping us to establish the most effective electronic patient record for the community of Cardiff and Vale, used by 158 teams and 2,500 staff as their day to day recording solution. Mark Cahalane Programme Manager Cardiff and Vale University Health Board Civica Social Care & Health continues to provide Conwy Social Services with a product that can be quickly adapted to meet our increasing requirements. The developing work to link Paris with the Civica EDM is a key element in our digital agenda; this will allow us to provide a social care service that can meet the demands of both practitioners and public. Jenny Williams Director of Social Services Conwy County Borough Council Children s Social Care Through Paris, staff have the opportunity to work with a fully integrated Electronic Health and Social Care Record (ESCR/ EHR) covering all aspects of a child s care from birth. The benefits of this become apparent when accessing information regarding other services involved in a child s care. The child health professional can access information on family grouping, circumstances and history for each child enabling them to make fully informed decisions regarding care for the child, siblings and family unit. > Birth notification, bloodspot results and neonatal hearing > Auto-assignment of new births and movements in to local health visiting or school nursing teams > Supports immunisations and immunisation planning > Surveillance assessments customised to local requirements > National screening programs supported with data extracts > Comprehensive scheduling for any type of event preschool and school > Appointment generation with flexible setup of clinics and sessions > Meets local authority and health requirements for looked after children, children in need and safeguarding > Fully supports the community information data set > Integrated letters and reporting. Paris Child Health has proved an efficient and effective tool for the planning of vaccination and immunisation services within Cheshire. The flexibility of reporting from the system has meant that we can produce detailed data within a short time period and respond to the changing demands of modern health care provision. Howard Johnson Applications System Manager Cheshire & Wirral IT Solutions The Paris Children s solution has been the most flexible system available from the very first release. The integrated user defined forms toolkit enables users to either modify the provided exemplars or create their own forms as required. The latest release of Paris includes the ability for organisations to create their own user defined applications, enabling them to tailor the system to match their own local requirements. It further enhances the usability of Paris with a completely new user interface design, ensuring that social workers are able to maximise the time spent working with families. Civica continues to work closely with its Children s Strategic Sub Group that meets regularly throughout the year. This forum creates the opportunity to share initiatives and also provides valuable guidance for the on-going development of the Children s functionality. Following the Munro Review, Paris users were able to refine and simplify their own exemplars as soon as they decided to do this. There was no need to wait for any software development. > Highly flexible and configurable system that supports local processes > Active caseload monitoring with prompts and notifications to social workers and managers > Integrated Children s finance > ParisConnect capability for accessing and sharing information with other systems > CIN Census Extract and Data Quality Monitoring Suite Paris EPR and Case Management 05

4 Prescribing Other Capabilities Research has shown that the application of electronic prescribing and associated on-line decision support can reduce serious adverse drug events by 55% (Bates et al, JAMA 1988). ParisPrescribing provides electronic prescribing with integrated decision support, provided by First Databank. Civica s solution allows a trust to assess the cost of prescribed drugs against their effectiveness for individual patients, by combining prescription data with patient demographics and clinical parameters such as diagnoses, admissions, length of stay and patient outcomes. > e-prescribing and administration removes paper medication records, improving patient safety > Safer and more accurate prescribing, resulting in fewer prescribing errors > Control over which drugs can be prescribed and their cost implications > Full audit trail of prescribed drugs, supporting compliance with local governance standards > Integrated decision support, reducing prescribing errors and facilitating evidence-based best practice with respect to medicines. Civica has a broad range of products and services to support the health and social care sectors, including: Electronic Document Management (EDM) > 57 healthcare trusts use our WinDIP solution. Scanning and Mail Room services > The majority of our customers also take advantage of our scanning and mail room facilities. Patient-level Information Costing (PLICS) and Service Line Reporting (SLR) > More than 60 Acute and Mental Health Trusts now use Cost Master. Commissioning > Our SLAM product is used by a third of NHS Commissioners to support healthcare pricing and service level agreements > It is used by 80% of NHS Acute Trusts and an increasing number of Mental Health Trusts to help support agreements with CCGs and CSUs > Additional support is provided by our SUS/Claims Validation system. Hosting and Managed Services > Civica provides a comprehensive hosting and managed service based on secure, N3 compliant data centres with full disaster recovery capabilities, to support Cloud-based delivery. Interoperability Mobile Working ParisConnect introduces the ability for Paris to interoperate with other systems by providing access to the Paris data layer, managed through ParisConnect web services. ParisConnect enables internal or external event-driven processes to be automated, thus removing the need for manual data entry. This results in higher data quality levels and reduced costs which ultimately improve the level of care offered to patients. Working directly with the electronic care record whilst out in the community is proven to save time and reduce risk. Many Civica customers already benefit from using Paris in their communities but, to-date, this has been constrained by the availability of a mobile network signal. Now, ParisMobile offers a complementary solution that is available regardless of network availability. Patient/client records are securely synchronised and stored on a mobile device. This gives staff the confidence to know that, wherever their visit takes them, they ll have an up-to-date care record available and the ability to perform their key tasks electronically. Nurses now have consistently up-to-date information for each patient and spend less time and money on travel. The initiative has freed up an extra 1,300 working hours per month across the department to spend giving frontline care. In addition, patients say they feel more involved in their own care and satisfied with the service.
