Introduction 1.1 Purpose of This Guide This ordering guide is designed to help Cisco partners order Cisco WebEx subscriptions; specifically, to: Understand the Cisco WebEx products being offered Understand the specific Cisco WebEx Global Price List (GPL) and Cisco Wholesale Price List (WPL) offers, and identify the best ones for your customers Ensure customers purchase the correct quantities and types of SKUs to minimize the risk of order rejection Know the entire quote-to-fulfillment process for these offers 1.2 Audience This guide is for Cisco sales staff and partners qualified to sell Cisco GPL and Cisco WPL WebEx offers. 1.3 Scope This ordering guide provides information about pricing, packaging, and ordering for Cisco WebEx products available on the Cisco GPL and WPL. 2. Understanding the Products Table 1 describes available Cisco WebEx products and add-ons. Table 1. More details about the Cisco WebEx Messenger application are available at: Storage Audio Cloud Connected Audio Cisco WebEx Storage is cloud storage, including NBR (recording storage) and standard storage (files, documents, etc.). Cisco WebEx GPL Audio is packaged in blocks of 5000 minutes per month - termed equivalent minutes. The minutes can be used for any types of calls - domestic, international, toll, toll-free, and call-back - for all countries. Each call type, when combined with an originating or terminating country, consumes a different number of equivalent minutes. A fixed ratio is assigned to each call type and country combination. Cisco WebEx Cloud Connected Audio (CCA) is a cost-effective audio conferencing solution for WebEx meetings, delivered over a hybrid deployment model. Cloud Connected Audio is designed for large enterprise customers using a minimum of 1.5 million minutes of audio conferencing per month. 4 Product Name AIM Federation Collaboration Meeting Rooms (CMR) Hybrid Collaboration Meeting Rooms (CMR) Cloud Toll Named User Description The AIM Federation program allows the Connect deployment to communicate with contacts that use the AOL AIM network for instant messaging. The federated instant messaging experience is presented transparently to end users, while providing a cohesive network community consisting of both Connect and AIM network contacts. AIM Federation capability is available for all web conferencing offers that include Cisco WebEx Messenger Application (Instant Messaging [IM]). Cisco WebEx Collaboration Meeting Rooms (CMR) Hybrid, formerly WebEx Enabled TelePresence offers companies a manner in which they can advance business-to-business and internal communications by bringing together video, unified communications, and web conferencing in an easy-to-use meeting experience. CMR Hybrid requires new or existing Cisco WebEx Conferencing Services. Cisco Collaboration Meeting Rooms (CMR) Cloud is a simple-to-use video collaboration service that combines Cisco video bridging and WebEx web conferencing into one, always-on meeting experience from the Cisco WebEx Cloud from any video device. Organizations can enhance productivity by bringing people together to accelerate decision making and scaling from one to hundreds of attendees in a single meeting. CMR Cloud is available through the Cisco GPL and must be enabled with new or existing Cisco WebEx Conferencing Service (Meeting Center or Enterprise Edition) and WebEx Hybrid Audio, CCA or an approved TSP. Toll Named User is a Named User based audio subscription, where each Named User has unlimited access to Global Toll Call in and Domestic Toll Call in, for a flat monthly fee. 3. Understanding the Offers 3.1 Licensing Models The Cisco WebEx offers are divided into two categories: Company-wide offers and Access offers. The Companywide offers include the Employee Count and Active User (formerly Active Host) licensing models and the Access offers include the Named User (formerly Named Host) and Ports licensing models. The Access offers also include a set of SKUs that you can use to step up from Ports to Named User and from web conferencing to Enterprise Edition. See Table 1 (Product Descriptions). Note: Licensing model and service dictates the number of participants allowed in a web conferencing session Company-wide Offers Employee Count: This subscription is designed for a company to purchase the offering for each employee within their entire organization. For example, a 1000-employee organization will need to purchase 1000 licenses. This model offers simplicity in procurement and predictability in cost for organizations willing to make an enterprise-wide licensing commitment. Note: In order to purchase the Employee Count subscription, your organization must have a minimum of 100 employees. If your organization has fewer than 100 employees or does not need to enable collaboration for all employees, consider the Named User offers outlined in this document. Active User: This subscription is designed for organizations that expect broad usage of Cisco WebEx services, expect the usage to grow over time, and prefer a fixed annual payment. In this model, the initial subscription is based on 15 percent of the total employee count, yet all employees receive access to the Cisco WebEx service. In year two, Cisco will calculate the number of active users averaged over the immediately preceding three-month period (months nine, 10, and 11) to determine the new subscription count. An employee is considered an active user if it hosts one or more meetings per month. The year two subscription is the number of active users calculated in the audit or the amount of the initial subscription, whichever is greater, meaning that if the number of active users falls below 15 percent of the total employee base, the customer still needs to renew for the full 15 percent Cisco and/or its affiliates. 5 3.1.2 Access Offers Named User: This subscription is designed for organizations that want the simplest possible approach to buying Cisco WebEx applications. A Named User is any individual who may schedule and host meetings. User accounts are individualized and may not be shared or used by anyone other than the one employee to whom the user account is assigned. Named Users can hold an unlimited number of meetings with up to 25 participants per meeting, and one meeting per named user is allowed at any time. An organization must purchase a minimum of 25 (Enterprise Edition) or 5 (Meeting Center) Named Users in order to buy from the GPL, and there is no maximum order size. Ports: With the Ports model, customers have access to a specific number of concurrent users, shared across the entire system. For example, if a customer purchases a license for 100 ports, 100 people can use the WebEx service at any one time. The breakdown might be anything from a single meeting with one host and 99 attendees to 50 meetings - each with a single host and a single attendee - or anywhere in between. Whatever the breakdown, the total number of users across the system at any one time cannot exceed 100. If the 101 st person tries to attend (or host) a meeting, that person will go into overage. Ports Overages If, at any time during any Measurement Period the total number of meeting attendees (including the meeting host) as measured by the total number of network connections that are connected to a physical server or an online service exceeds the total number of Ports purchased (an Overage ), then Subscriber is subject to an Overage Fee pursuant to the WebEx Port Overage order form. In the event of an Overage, Cisco WebEx will bill Subscriber the applicable Overage Fees. Those Overage Fees are payable monthly in arrears based on actual usage. Please note that you can also purchase Meeting Center Named User through the Cisco Unified Workspace Licensing (CUWL) Pro bundle. Refer to the Cisco CUWL Pro Ordering Guide for additional details Step-ups Step-ups are not associated with any specific licensing model, but rather the ability to upgrade from one licensing model to another. Step-up licenses must be purchased for each existing license - cannot purchase less than existing subscription quantity, and step-ups must co-terminate to the existing service. Two types of step-ups are currently available, described in Table 2. Table 2. 6 3.2 Subscription Type There are three types of subscriptions to choose: New 1. A New subscription is for orders where the customer does not currently have a subscription to any WebEx services and is effectively starting a brand new WebEx subscription, (Customer does not have an existing URL or IM domain - First Time Customer). New is defined as a new service. Separate SKUs have been created for new subscriptions and the high-level SKUs will have a -NEW for clear identification. A New customer may desire to co-terminate to an existing WebEx subscription for a different service Renew 2. A Renew subscription is for orders where an existing WebEx subscriber is nearing the end of a subscription term and simply wants to renew the existing subscription, (Existing URL or IM domain remains the same at expiration subscription). Separate SKUs have been created for renewing subscriptions and the high-level SKUs will have a -RENEW for clear identification. MUST use -RENEW SKU for any upsells at renewal. Note: You cannot use the Add-on SKUs to extend the duration of a contract. Customers who are coming to the end of their current contract must renew with one of the Renew SKUs (1-, 2-, 3-, or 5-year) for all users that need access to the service after the point of renewal Add-on Co-term 3. An Add-on subscription is for orders where the existing WebEx subscriber wants to add an existing subscription. When there is a current subscription then the additional service must co-terminate to the remaining term length of the existing service. Separate SKUs have been created for Add-ons to existing subscriptions and the high-level SKUs will have -ADDON for clear identification. (M1-M59) SKUs have been created for the Add-on subscription type. Use this SKU when adding additional users to an existing WebEx application subscription term (Web Conferencing or Instant Messaging). 3.3 Licensing Terms and Limitations for the Offers Table 3 lists the licensing terms and limitations for the Company-wide and Access offers. Meeting Center: Branded microsite included. 3.5 Optional Services Cisco WebEx customers may elect to purchase optional services at the time of initial purchase or during the subscription term. These Optional Service SKUs are listed in Appendix D. There are several optional services available: WebEx Audio WebEx Audio promotes efficient discussions among participants by providing seamless, integrated experiences. WebEx Audio is available for purchase through the GPL during initial purchase time or as an add-on service. Cisco WebEx Audio must be co-terminated with the Web Conferencing Service. In the event the customer is interested in purchasing Cisco WebEx Audio, please see the WebEx Audio Ordering Guide: SKUs are listed in Appendix D. Customers may also opt to purchase Cisco Cloud Connected Audio through the GPL, Partner Audio through a partner, WebEx Audio through Cisco WebEx direct, or no audio Toll Named Users Toll Named User is a Named User based audio subscription purchased by the Subscriber, where each Named User has unlimited access to Global Toll Call in and Domestic Toll Call in. Subscriber is required to purchase the quantity of Toll Named Users as specified below. Toll Named Users is available with Named User, Active Hosts, and Employee Count Subscriptions only. Toll Named Users is not available in all countries. Regulatory issues in certain markets may limit or restrict use of Toll Named Users. Contact your sales representative for further information. If the Service is ordered but is limited or restricted in the end-customer s market, this product will not be provisioned as part of the service. When aggregating telephony all subscriptions that are being aggregated must purchase Toll Named Users. Can be sold in conjunction with Monthly Billings Commit telephony, Monthly True Up Billings Commit telephony or Basic telephony only. Active User - For Active User licensing model, the Subscriber must purchase a quantity of Toll Named Users equal to the subscription quantity on the data service. Named User - For Named Host licensing model, the Subscriber must purchase a quantity of Toll Named Users equal to the subscription quantity on the data service(s). Employee Count - For Employee Count licensing model, the Subscriber must purchase a quantity of Toll Named Users equal to the total number of Employees, as defined above in section 3.1 (Licensing Models). 9 3.5.3 Add-on WebEx Cloud Storage Additional storage is available for purchase through the GPL at the time of initial purchase or during the subscription term. There are two ways to obtain WebEx Cloud Storage, which the customer can use to store uploaded files or network-based meeting recordings. Committed Add-on Storage Add-on refers to additional storage purchased by a subscriber, in excess of the storage included in their initial WebEx purchase. Add-on storage is available in 1 GB increments, with 50 GB minimum, for a time period up to 60 months. The customer must purchase as many months of storage as they have remaining on their WebEx contract. These SKUS are listed below in Appendix D. Storage Add-on Example 1. A customer buys a five-year (60 month) WebEx contract 2. The customer comes back in six months, and wants to buy 90 more Gigabytes of storage. 3. Since the customer has 4.5 years (54 months) of WebEx contract remaining, they must purchase a 54-month storage SKU. Since the customer wants 90 GB of storage, they must purchase 90 of this SKU. Overage Storage Storage used in excess of the included storage and the committed add-on storage. An overage agreement is required and is available at Overage storage will be billed monthly in arrears for actual usage per Gigabyte per month and invoiced through Cisco WebEx. Committed add-on storage and overage storage may be purchased per Gigabyte per month. Note: The subscriber is entitled to a predetermined number of Gigabytes of storage at no additional cost. This amount varies by licensing model and is outlined in Table AIM Federation Federation is a term that describes messaging servers that are connected to each other to enable the exchange of presence information and instant messages. AIM Federation is available for purchase through the Cisco GPL during the initial purchase time or as an add-on service. For example, two different companies are using two different IM solutions: Acme Inc. is using the Cisco WebEx Messenger application and Coyote Inc. is using AOL AIM Network. In order for these two companies to exchange instant messages and presence information, they need an interdomain federation Collaboration Meeting Rooms (CMR) Collaboration Meeting Rooms (CMR) Cloud Cisco Collaboration Meeting Rooms (CMR) Cloud is a simple-to-use video collaboration service that combines Cisco video bridging and WebEx web conferencing into one, always-on meeting experience from the Cisco WebEx Cloud from any video device. Organizations can enhance productivity by bringing people together to accelerate decision making and scaling from one to hundreds of attendees in a single meeting. Improve the flexibility to join a meeting from any standards-based video device without concern for location and how to connect Cisco and/or its affiliates. All rights reserved. 10 And, maximize cost savings with a monthly subscription service while reducing travel costs. From the proven leader in video and web conferencing, CMR Cloud is the only offering to provide business-quality, industry-leading technologies from the cloud with the largest number of concurrent participants in a single meeting. CMR Cloud is available as an addon to WebEx Named User, Active User, Employee Count and Ports based web conferencing service. CMR Named User is available across all WebEx Meeting Center and Enterprise Edition licensing models. Named User minimum is five (5) licenses, Active User minimum is 3% of employee base or minimum 15 licenses, and Employee Count is 100% of employee base or minimum of 100 licenses. A CMR Cloud Active User is a Named User who has, within the last thirty (30) days, hosted one or more CMR Cloud-enabled Meeting Center or Enterprise Edition meetings which included a Video Device. CMR Cloud, (Named User) includes Term Expressway Rich Media Session licenses. Note: CMR Cloud licenses cannot exceed Meeting Center or Enterprise Edition licenses, with the exception of Ports. Below is a diagram of licensing model availability. CMR Cloud must be enabled with new or existing Cisco WebEx Conferencing Service (Meeting Center or Enterprise Edition) and requires WebEx hybrid audio (VoIP in conjunction with PSTN audio), Cloud Connected Audio or an approved TSP Partner. VoIP only and Meeting Place audio are not currently supported. Contact your Cisco Account Manager for more information about WebEx Audio, and to obtain the latest list of verified TSP Audio Provider partners. CMR Cloud SKUs are listed in Appendix D, Table 19. Before placing the order, the Cisco account manager and partner will first need to ensure that an Assessment to Quality (A2Q) has been submitted and approved. Collaboration Meeting Rooms (CMR) Hybrid, formerly WebEx Enabled TelePresence By using CMR Hybrid companies can advance business-to-business and internal communications by bringing together video, unified communications, and web conferencing in an easy-to-use meeting experience. Purchase is not required for CMR Hybrid, however the Cisco account manager and partner must ensure an Assessment to Quality (A2Q) Questionnaire has been submitted and approved. 11 3.6 Additional Services Available - Sold Separately In addition to the optional add-on services that are available at the time of initial purchase or during the subscription term, there are additional services that are sold separately, but in conjunction with a web conferencing service. CCA Cisco WebEx Cloud Connected Audio (CCA) is a cost-effective audio conferencing solution for WebEx meetings, delivered over a hybrid deployment model. It extends the functionality of Cisco Unified Communications Manager, and incorporates premise-based equipment to connect your organization to a Cisco Collaboration Cloud data center using dedicated peering connections. Call routing is performed on-premises, call signaling and audio traffic occurs over redundant IP connections, and call mixing is done in the cloud. Cloud Connected Audio is designed for large enterprise customers using a minimum of 1.5 million minutes of audio conferencing per month. WebEx Cloud Connected Audio is available from the Cisco GPL and may only be used with new or existing Cisco WebEx Conferencing Services also purchased from the Cisco GPL. Advanced Services In addition to Enterprise subscriptions of Cisco WebEx products, you can also purchase Cisco Advanced Services or Cloud Configuration Accelerator Services. These services can help your organization with setup, configuration, and deployment, addressing basic security, policies, and single sign-on needs. In addition, our professional services staff will provide basic administrator training, as well as tips and best practices, that can enable a more rapid absorption of the product into your organization. To order Cisco Advanced Services, follow these steps: Step 1. Identify the total number of users to be deployed. Step 2. Contact your Cisco service account manager or send an message to: CiscoCloudConfigSvc@cisco.com. Step 3. Request a Statement of Work. For more information about Cisco Advanced Services, visit: Additional items that Cisco WebEx customers may want to purchase are not currently available on the GPL or WPL. This can be optimized by working with your Cisco account manager or Cisco collaboration specialists. Please contact your account manager or collaboration specialist contact to discuss solution offerings available for purchase through a separate Cisco WebEx contract. 4. Cisco WebEx Product Availability 4.1 Licensing Model Availability Table 5 shows Cisco WebEx product to licensing model availability for GPL offers. Employee Count - This subscription model is designed for a company to purchase the offer for each employee within its entire organization. The SKU identifier for Employee Count is -EC. 2. Active User - This subscription is designed for organizations that expect broad usage of Cisco WebEx Services, expect the usage to grow over time, and prefer a fixed annual payment. 3. Named User - This subscription is designed for organizations that want the simplest possible approach to buying Cisco WebEx applications. 4. Ports - This subscription is designed for organizations that want a concurrent user model. With the Ports model, customers have access to a specific number of concurrent users, shared across the entire system Type: New, Renew, and Add-on Is the customer buying a new subscription, adding to an existing subscription, or renewing an expiring subscription? This question is important because the SKUs have been structured such that different high-level and option SKUs are used for new subscriptions, renewing an existing subscription, and adding on to an existing subscription. Separate SKUs have been created for these subscriptions. High-level SKUs for new subscriptions will have a -NEW for clear identification. Renewing subscriptions of high-level SKUs will have a -RENEW and Addons to existing subscriptions of high-level SKUs will have a -ADDON for clear identification Cisco and/or its affiliates. 15 5.2 Orderable Subscription SKU When choosing the correct WebEx Orderable Subscription SKU to order, there are three major decision factors to consider in selecting the Orderable Subscripton SKU, as decribed in Table 8 (Outline of Orderable Subscription SKU Structure). They include: 1. Volume Tier 2. Type 3. Term Length Volume Tier The SKUs have been established with different volume tiers. The volume tiers have increasing discounts for customers purchasing larger quantities of licenses. Table 10 outlines the volume tiers. Table 10. N stands for New, R stands for Renew, and M stands for Add-on Term: 1-, 2-, 3-, 5- Year Terms or Co-Termination Monthly New and renewing subscriptions will be given the option of a purchasing a 1-, 2-, 3-, or 5-year subscription. Discounts, on a per license basis, are built into the pricing for the 2-, 3-, and 5-year options. The SKU structure is such that, -NY1 is for a 1-year term for a new subscription. -RY1 is for a 1-year renewing subscription. 2-year, 3-year, and 5-year follow the same structure. Note: Do not sell new and renew SKUs to a customer that is adding on to an existing subscription. These SKUs are only for new customers and customers renewing their subscriptions. Add-on subscriptions will have to select a term between one and 59 months in which to co-terminate the Add-on users to the existing subscription end date. For example, a customer with six months remaining on its web conferencing subscription must select the 6-month SKU. The Add-on SKU structure is such that -M1 is for a month term for an Add-on subscription. All the Add-on SKUs follow this same structure Note: These Add-on SKUs are only for co-termination purposes. Only sell Add-on (monthly) SKUs to new customers when co-terminating the new service to a separate existing service Cisco and/or its affiliates. All rights reserved. 16 5.2.4 Number of Licenses When selecting the correct SKU, the number of licenses must be selected within the defined tier. Company-wide Offers: Verify the current Employee Count; this number is essential to determining how many hosts will be sold. The Employee Count offer requires a license for all employees. Access Offers: Determine how many distinct individuals will need to schedule and host WebEx sessions. The Named User Count offer requires a license for each employee who will be using the WebEx Service. 5.3 Configurable Service Options Once you have configured your WebEx subscription you will have the option to select more services. Additional services include: Collaboration Meeting Rooms (CMR) Cloud - CMR Cloud is a video collaboration service that combines Cisco video bridging and WebEx web conferencing into one, always-on meeting experience from the Cisco WebEx Cloud from any video device. CMR Cloud is available as an addon to WebEx s Named User, Active User, Employee Count and Ports based web conferencing service. AIM Federation - This messaging service allows multiple messaging services to connect to each other. This service allows the Cisco WebEx Messenger Application to connect to the AOL Instant Messaging Service. WebEx Audio - This embedded audio capability promotes efficient collaboration between participants by providing seemless voice integration services. For more information, refer to the WebEx Audio Ordering Guide. Toll Named Users - Toll Named User is a Named User based audio subscription purchased by the Subscriber, where each Named User has unlimited access to Global Toll Call in and Domestic Toll Call in. WebEx Add-on Storage - Committed Add-on storage is purchased by the subscriber in excess of the storage included in the initial WebEx purchase. Offers have various amounts of included storage which may result in a need for additional Add-on storage. Note: All service options are available at the time of initial purchase or may be purchased separately using their respective high-level SKUs. For a list of the correct part numbers, refer to Appendix D. 5.4 Add-on Service - Not within Initial Purchase Period When choosing the correct WebEx Optional Service SKU to order, there are two pieces of information needed. Table 9 (Outline of High-Level Optional Service SKU [not with initial order]) describes the structure for the optional Add-on services. 1. Optional services. There are five optional Add-on services available: a. Storage - Add-on storage is available in 1-Gigabyte increments, with a 50-Gigabyte minimum, for a time period up to 60 months. b. AIM-Fed - AIM Federation capability is available for all web conferencing offers and one license is required per WebEx Messenger user, for a period up to 60 months. c. Audio - Cisco WebEx GPL Audio is packaged in blocks of 5k minutes per month - termed equivalent minutes, for a period up to 60 months. d. TPINT - CMR Hybrid is enabled as a feature and does not require a quantity. e. 17 2. Term length Once you have determined the optional service desired you must select the proper Add-on term length. The customer must purchase as many months of the optional Add-on services as they have remaining on their WebEx contract. Therefore, term length must be co-terminated to the existing WebEx web conferencing service. This is calculated by determining the number of months until the existing service end date. That number of months must be selected or the order will be rejected during compliance hold. 6. Quote-to-Activation Process for GPL Before you submit an order for a Cisco WebEx subscription on the Cisco GPL you should understand the quote-todeployment process for Cisco WebEx sites purchased through the Cisco GPL. Understanding this flow will help ensure the fastest possible processing of orders and deployment for your customer. 18 6.1 Creating a Quote Using Cisco Commerce Workplace (CCW) 1. The partner and account manager determine the right subscription and order the quantity. 2. Log in to Cisco Commerce Workspace (CCW): 3. Click on Estimates & Configurations, followed by Create New Estimate. 4. Enter the desired high-level SKU. 5. Click on Select Options. 6a. Initiate which configuration by selecting the conferencing option that satisfies your tier and term requirement. 6b. Conferencing tiers are found under New Service Subscriptions - Annual Tiers. Each orderable SKU underneath a tier will contain a 1-, 2-, 3-, or 5-year term length. 7. If a conference enhancement Add-on service is desired, additional orderable SKUs can be found within the left toolbar. 8. The ordering configuration requires the annual or monthly terms to co-terminate and match with your conferencing selection. 9. Review quote and make edits or click done to complete the configuration. 10. Review quote with customer. 6.2 Assessment-to-Quality Process The account manager and partner work together to ensure Assessment to Quality, (A2Q) has been submitted and approved prior to the ordering process. This step is necessary to ensure the WebEx meeting application and integrations will function as desired. 19 6.3 Placing an Order Using CCW There are three ways to create orders in CCW: 1. Standard Contractual Discount-Based Orders Orders being placed using a partner s standard, Cisco contractual discount rate can be placed simply by building the configuration and converting it to an order within the system. No additional approvals are necessary. 2. Partner-Initiated Deal-Based Orders Partners requesting additional discount rates or Opportunity Incentive Program (OIP) discounts can register deals in CCW, and then coordinate with your Cisco account team to create the configuration and quote. The deal can then be exported to the Partner Quote Tool and converted to an order through CCW. 3. Account Manager-Initiated Deal-Based Orders Partners requesting additional discount rates or OIP discounts can create the configuration in CCW, and then pass it along to the Cisco account manager, who will then register the deal on the partner s behalf. The partner can then export the bill of materials (BOM) from CCW to build the customer-facing quote. The deal is imported to the Partner Quote Tool, and then converted to an order through CCW. 6.4 Compliance Hold and InfoDoc edelivery A compliance hold will be placed on the order. As part of the process, the CSG Operations team verifies the order to ensure that: The A2Q has previously been submitted and approved. The part numbers have been entered correctly. When the compliance hold is released, the partner will receive an Information Document (InfoDoc) containing the link to the Provisioning page and the TelePresence Product Authorization Key (PAK). Note: The compliance hold process normally takes up to two business days. 6.5 InfoDoc edelivery - Provisioning Form 1. Receive edelivery Fulfillment. 2. Click on Access Order.
