3 GENERAL INFORMATION The Village of Briarcliff Manor is proud to provide a comprehensive year round recreation program for our residents. Our service area includes those who reside within the corporate boundary of the Village, and those who reside in the Briarcliff Manor School District. If at any time you have questions, concerns, suggestions for new programs, or ways to improve our existing programs, please do not hesitate to contact our office. We are eager to offer you the services that you desire and we are always open to your ideas! SEASONAL BROCHURES and RECREATION NOTICES via The Recreation Department now prepares three electronic brochures per year, with issues produced for Fall, Winter & the Spring/Summer seasons. These brochures include information pertaining to most everything we offer, however, we also encourage residents to join our Recreation News notification system, as new programs may be announced at any time! In addition to announcing new offerings, we use the system to keep you informed of such things as upcoming registration dates, deadlines, cancellation announcements and community special events. Simply visit the Village s website at access the Recreation page, and click on the Subscribe to E- News link to register! REGISTRATION PROCEDURES & DATES - ONLINE REGISTRATION NOW AVAILABLE! Each program season begins with an initial registration day to kick-off enrollment for the upcoming season s programs. Registration forms can be submitted by mail, dropped-off in person at the Recreation Office during regular business hours, and for many programs, you can now register online. Registration begins at 8:30 am on each of the registration kick-off dates listed below: SPRING PROGRAM REGISTRATION POOL & TENNIS PERMITS Monday, March 16 - See Spring Programs & Events Brochure Sales Begin Monday, March 16 - See Pool & Tennis Permits & Programs Brochure DAY CAMP REGISTRATION Monday, March 16 - See Pages 4-6 SUMMER PROGRAM REGISTRATION Monday, April 20 - See Pool & Tennis Permits & Programs Brochure Registration is handled on a first-come, first-served basis. Online registration and registration in-person at the Recreation Office will begin on the same date, at the same time and will occur simultaneously. In person registrations at the office will be processed prior to those received in the mail. Mail-in registrations will be processed in the order in which they were received. If you come to register in person, you may register only for members of your immediate family. If you are delivering registration forms for other people, they will be treated as mail-ins and will be numbered and processed accordingly. Payment for all programs is due upon registration. Cash, checks and credit cards are accepted at the Recreation Office, while online registration requires credit card payment (Only MasterCard, Visa and affiliated debit cards are currently accepted, and these transactions require an additional 2.5% fee). Please see Page 2 for further information regarding our online registration system and the Village s credit card fee policy. REGISTRATION ELIGIBILITY & FEES Village residents (VBMR) and Briarcliff Manor School District (BMSD) residents are eligible for all programs & services offered through the Recreation Department, including Pool & Tennis Permits and Day Camp programs. Fees vary according to residency, and the following codes are used to indicate the appropriate fees for program participants: VBMR = Village of Briarcliff Manor Residents BMSD = Briarcliff Manor School District Residents In certain situations, select individual programs may also be open to other non-resident (NONR) participants. This is done for the sole purpose of supplementing resident participation numbers when doing so helps to ensure program operation or improvement of the program experience. When eligible, non-resident registration forms will be held for one week after the first date of registration, at which time they will be processed on a first-come, first-served, space available basis. Non-resident eligibility and fees are indicated within program information by the code - NONR. ENROLL EARLY! For most of our programs to be conducted, a minimum enrollment number must be reached. In addition, many programs have a maximum enrollment number due to factors such as facility size and instructor requirements. For these reasons, we register participants on a first-come, first-served basis, and almost always set Register by dates. We encourage individuals to register early! Page 1

4 ONLINE REGISTRATION with WebTrac To utilize our online registration system, please click on the link provided on the Recreation page of the Village website at If any member of your family has registered for a program or permit with us in the past, a unique Household ID number has already been created for you within our RecTrac registration database. This Household ID number serves as both your initial user name and password the first time that you login to register online. Once you have accessed the system, you will be able to reset your user name and password to whatever you wish. If you have never registered with us before, you will be able to create a new household in the WebTrac system which we will then verify and approve within 2 business days in order for you to utilize the online registration system. If you do not know your Household ID number, or have forgotten your password after changing it during a previous WebTrac session, please call our office at and we will be happy to help you and answer any additional questions you may have. When you log on to the site, please make sure you review & update all of the information in the system pertaining to your household and each of your family members. Please pay particular attention to items such as phone numbers, birthdates, grade levels, emergency contact information and the primary address you would like associated with your account. If you have any questions or problems, don t hesitate to give us a call! PLEASE NOTE ONLINE REGISTRATION IS NOT AVAILABLE FOR ALL TRANSACTIONS Due to the need to confirm residency & eligibility, Pool and Tennis Permit Purchases and Renewals are not available for online registration. Please purchase or renew your permits at the Recreation Office or via mail. Due to the need to collect original forms and signatures to comply with Health Department regulations, Day Camp enrollment is not available through online registration. Please complete all required forms and submit them with full payment in-person or via mail to the Recreation Department Office located at 3 Library Road. CREDIT CARD PAYMENTS - FEE POLICY Please be advised that all credit card or affiliated debit card charges made to the Village of Briarcliff Manor incur an additional 2.5% charge that is passed on to the card user. This is done to cover bank fees associated with accepting payments by these methods and a requirement of law that prohibits the Village from absorbing these transaction fees. This means that all WebTrac payments will include this additional fee, as will all credit card transactions processed at the Recreation Department Office. This fee will appear as a separate transaction on your credit card or bank statement. RETURNED CHECKS The Village of Briarcliff Manor incurs additional administrative costs and bank fees when checks are returned due to insufficient funds. The fee for all returned checks is $20 as established by the Village Board of Trustees. PROGRAM CANCELLATIONS Programs must sometimes be cancelled due to weather conditions and other situations that occasionally arise. The Recreation Department strives to notify participants of these instances in a timely fashion and will utilize such methods as phone calls, messages, and posted notices to the Village website in an effort to reach you. In addition, the phone message system at the Recreation Office is updated when cancellations occur and individuals can check the status of programs by calling the office at Generally, programs are not held when school is not in session. Cancelled classes and program sessions are normally made up at the end of the program season and every effort is made to provide participants with full value for the programs they register for. REFUNDS The Village of Briarcliff Manor does not issue refunds unless a program has been cancelled due to insufficient enrollment. If this occurs, all fees paid, including credit card charges, will be refunded back to the enrollee. Registrants assume full responsibility for any changes in their personal life, which may affect their ability to participate. In rare cases, a participant may encounter an unforeseeable, and unavoidable, situation that they feel may warrant a refund of fees paid. These situations will be reviewed on an individual basis by the Superintendent, who will then make a refund determination. A processing fee of $25.00 will be retained by the Village in all cases that refunds, or partial refunds, are granted. Page 2

5 INSURANCE The Village of Briarcliff Manor maintains a standard liability insurance policy that does not cover medical costs for anyone injured during the normal course of participation in any Recreation Department program or at any Village facility. All persons participate at their own risk. FACILITY RENTALS Need a venue for a personal event? Look into renting a Village-owned facility! Residents are eligible to rent the Recreation Center, the Youth Center and the Law Park Pavilion for private functions. Availability varies by facility and season, so call the Recreation Office at to discuss your needs. Base rental fees start at $75 per hour with a 4-hour event rate of $250. Additional charges are required for a Village-assigned facility supervisor, and if alcohol is to be served. Facility use applications are available from the Recreation Office or Village website and must be submitted no earlier than 6 months, and no later than 3 weeks, before your desired date of use. FIELD USE & GROUP USE PERMITS Use of Village Athletic Fields and Park Facilities for groups and family functions requires a written permit issued by the Recreation Department. To obtain a Group Use Permit, please call the Recreation Department at , or download the form from the Recreation page of the Village website at Applicants must be Village or School District residents age 21 years or older. Please submit Group Use Permit Applications at least 3 weeks prior to your desired date(s) of use. Village sponsored programs and events always receive priority over requests for private functions and uses by outside groups. Approval is subject to facility availability, suitability of request and adherence to application requirements. PHOTO POLICY The Recreation Department reserves the right to photograph program participants for promotional purposes. Images of participants engaging in Briarcliff Recreation sponsored activities may be used in flyers and brochures and may also be displayed on the Village website and in online publications. Names will not be associated with photographs used unless prior consent to do so is obtained from the individual, or in the case of a minor, the Parent or legal guardian of the child. PROGRAM BEHAVIOR Participants are expected to exhibit appropriate behavior at all times while engaging in activities and programs conducted by the Village. We ask all participants to adhere to the following guidelines so that our programs are safe and enjoyable for all. Additional rules may be developed & implemented for specific programs and athletic leagues as deemed necessary by staff. Participants in Briarcliff Manor Recreation Department programs shall: Show respect to all fellow participants, staff members and themselves. Refrain from using foul or abusive language. Refrain from causing bodily harm to other participants and staff. Show respect and care for equipment, supplies and facilities. Participants who fail to adhere to these basic guidelines will be removed from a program when it is determined by staff that their behavior is detrimental to the safety, well-being or enjoyment of the program by others. The decision to formally remove or suspend a program participant will be made by the Superintendent of Recreation after consultation with the Village Manager. SUMMER STAFF POSITIONS Employment applications are now available for positions such as lifeguards & pool attendants. Applications are available on our website & through the Recreation office. Call to have one sent to you. All applicants for paid positions must be 16 years of age (15 yr. old certified lifeguards are the only exception). Day camp Counselors must apply by Friday, March 27th Counselor Assistant (14 years old) & C.I.T. (15 years old) Positions The DEADLINE HAS PASSED - All positions may be filled! 6 DAY CAMP PROGRAMS GENERAL INFORMATION Youngsters from 5 to 13 are invited to participate in Briarcliff s own summer day camps! Children entering Kindergarten and 1 st grade are eligible to enroll in Tree Camp, while Super Camp is for those entering 2 nd through 4 th grades. Camp Adventure is available for children going into 5 th and 6 th grades, and the Camp Horizon program serves those entering 7 th, 8 th and 9 th grades. Tree Camp will be conducted at Todd Elementary School, Super Camp will be held at the Briarcliff Middle School, Camp Adventure will call the Youth Center home and Camp Horizon will be a 3 days per week travel only camp. We will once again offer an Extended Day program to those enrolled in Full Day Tree and Super Camps. NEW this year, we are offering a Before Camp early drop-off program open to all Tree, Super and Camp Adventure campers. Drop off will take place at the Briarcliff High School/Middle School campus starting at 8 am. The camp season will encompass a 5 week timeframe, opening on Monday, July 6 and running through Friday, August 7. Participants have the option of enrolling for three, four or five weeks. Half-day and full-day options are once again available for Tree, Super & Adventure campers. Please Note: Complete immunization records are required to be filled in on the back of all registration forms & all forms require a parent or guardian signature. All TREE CAMP kindergarten and 5-year-old registrations must be accompanied by a copy of the child s birth certificate. All 1 st -6 th grade FULL DAY CAMPERS are required to purchase either a seasonal pool permit, or a day camp only pool permit prior to the first day of camp. REGISTRATION DEADLINE.IMPORTANT! The Registration Deadline for all camps is Wednesday, May 6th at 4:00 pm. Starting May 7th, registrations WILL ONLY BE ACCEPTED ON A SPACE AVAILABLE BASIS within individual camper grade groups. Each camp fee also increases by $ Register by May 6th to Ensure Your Spot! TRANSPORTATION - Home to Camp & Camp to Home Briarcliff Bus Co. has announced that they will once again be happy to attempt to provide transportation to and from our campsites for interested campers. This service is being offered directly by Briarcliff Bus, and is contingent upon household location as well as financial feasibility as determined solely by Briarcliff Bus. 7 DAY CAMP PROGRAMS BEFORE CAMP for TREE CAMP, SUPER CAMP & CAMP ADVENTURE Dates/Times: July 6 - August 7 Drop off starting at 8 am. Location: High School / Middle School Eligibility: Tree Camp, Super Camp and Camp Adventure Campers Options 3 Weeks: $ VBMR $ BMSD & Fees: 4 Weeks: $ VBMR $ BMSD Season: $ VBMR $ BMSD The Before Camp program is open to all enrolled Tree, Super and Adventure campers. This program is designed to help working parents get to work on time with one drop off for all of your campers! The program will take place at the High School/Middle School complex, where campers will be supervised by camp staff. Transportation will be provided for Tree and Adventure campers to their camp sites at 9 am. Advance registration is required. EXTENDED DAY for TREE CAMP & SUPER CAMP Dates/Times: July 6 - August 6 End of Full Day Camp day 5:00 pm Location: Todd School (Super Camp participants are bused to Todd School ) Eligibility: Full Day Tree Campers and Full Day Super Campers Options Daily: $30.00/day - VBMR $38.00/day - BMSD & Fees: Weekly: $110.00/week - VBMR $138.00/week - BMSD Season: $385.00/season - VBMR $480.00/season - BMSD The Extended Day program is open to Full Day campers already enrolled in Tree or Super Camp. This program is an extension of the camp day to aid working parents who need additional care after the traditional camp day ends. The program will take place at the Todd School, where campers will be supervised by camp staff until 5 pm. Transportation will be provided from the Middle School to Todd for all participating Super Campers. Advance registration is required. TREE CAMP... Returns to TODD SCHOOL for 2015! Dates/Times: July 6 - August 7 Half Day: 9:00 am-12:30 pm Full Day: 9:00 am-3:00 pm Location: Todd Elementary School - Ingham Road Grades: Children entering Kindergarten and 1 st Grade in the fall, or 5 years old by Dec. 31, Eligibility: Village residents (VBMR) and Briarcliff School District residents (BMSD) only. Making the summer fun and exciting is our main goal. To accomplish this, we offer a variety of activities and events for our young campers. Camp activities include swim instruction by certified Red Cross Instructors, sports, games, music, arts & crafts, nature study, and so much more. Professional entertainers, special events and an out-of-camp trip enhance the Tree Camp atmosphere of fun and excitement. Our campers will be divided into coed groups of children, based upon grade. An adult group leader, one counselor and a counselor-in-training will staff all groups. Each camper will receive two camp shirts with the program. Full day campers will be required to bring their lunch. All campers must provide their own snack. All full day first grade campers must also possess a valid 2015 pool permit. Page 5

Campers are grouped according to grade and participate in a variety of activities. Camp activities include arts & crafts, music, nature study, sports, swim lessons, field trips and more. Full day campers will be required to bring their snack and lunch and will have the opportunity for afternoon free swim time. All full day campers must also possess a valid 2015 pool permit. CAMP ADVENTURE Dates/Times: July 6 - August 7 Half Day: 9:00 am-12:30 pm Full Day: 9:00 am-3:00 pm Note: Dismissal times vary on trip days (Tuesdays & Thursdays) Location: Briarcliff Manor Youth Center Grades: Children entering 5 th -6 th Grades in the fall of Eligibility: Village residents (VBMR) and Briarcliff School District residents (BMSD) only. On non-trip days, campers will enjoy a varied program of activities emphasizing active participation in sports, group games, arts & crafts, as well as special events, including Boat Regatta, Competition & Games Days and Amazing Race. All campers will participate in one morning free swim session per week at the Village Pool. Full day campers will spend each of their non-trip afternoons at the pool. The Camp Adventure staff will supervise afternoon swimming, and buddy checks will be performed every 15 minutes as required by New York State law. Our staff is comprised of adult and college age counselors who aim to maximize summer fun and social interaction for each camper. CAMP HORIZON - 3-days per week TRAVEL ONLY Camp for Grades 7-9! Dates/Times: July 7 - August 6 8:45 am Drop off with return times varying depending on trip. Please see complete trip schedule with return times listed in the Parent Handbook & on the Trip Schedule posted to our website. Location: Law Park Pavilion Grades: Children entering 7 th -9 th Grades in the fall of Eligibility: Village residents (VBMR) and Briarcliff School District residents (BMSD) only. Trips range from theme park excitement, entertainment centers, water parks, deep sea fishing, etc. Please check trip schedule for all departure and return times on Tuesdays, Wednesdays and Thursdays. Our staff will be comprised of adult and college age counselors. Camp Horizon intends to provide all of its campers with a fun, active, healthy and engaging activities in an environment that promotes a positive and memorable camp experience. Page 6

Class-sizes are limited, so register early! Participants will build cities, bridges, motorized cars/planes & explore the many creative possibilities of engineering with the LEGO system. With access to thousands of LEGO pieces, your child will have the opportunity to build what they have only dreamed of with the support of an experienced Play-Well Engineering instructor to guide them. These programs are hands-on, minds-on, 1/2 day programs suitable for LEGO novices to maniacs. Class-sizes are limited - register early! For more information visit LIVE ACTION FLIX: Do you want to have a blast making a movie? You don t have to be an actor to star in these movies that you make from Action to That s a wrap. We ll guide you through the Hollywood process as you brainstorm, location scout, bring in props and costumes, act and direct in a collaborated movie that will be fun for the entire audience. ANIMATION FLIX: In this fast paced camp, students will create up to 5 stop-motion animated flix! Each day you ll use a new style of stop-motion, combining the favorites of past years with some completely new styles, making this camp new each year for everyone to enjoy! It s the ultimate arts & crafts camp where campers create, direct, and film their movies in age-appropriate groups. Students will be able to download professionally edited versions of all Flix created within a month after camp ends.
