2 Logging into the PBX Configuration Facility To login, perform the following steps: 1 In the address field of your web browser, enter the uniform resource locater (URL) of your PBX. This is normally The login screen appears. You will be prompted for a user name and password. 2 Enter your user name and password in the required fields. By default, your user name is canpbx and the password is also canpbx.
3 Using the PBX Configuration Facility Navigation The PBX Configuration Facility is organized into sections that can be accessed by clicking on the appropriate tab at the top of the Network Extensions Phone Numbers Conference Bridge E911 The following options are available: Attribute Network Extensions Phone Numbers Conference Bridge E911 Description Local configuration of network devices and services. Extension settings and dial sequences Inbound phone number routing and automated attendants Pin code settings for the Conference Bridge Address information for E911 location services Entering text When clicking on a text field, the element will display a yellow background denoting that it is currently being modified. Once the modifications are complete, you can either use the Tab key or click outside of the text field in order to register the changes. Saving Changes Whenever a modification to a screen is made, the following buttons will appear in the lower right hand corner of your browser screen: Clicking on Apply Changes will commit your changes, and clicking on Clear Changes will revert the settings back to their original form.
4 Extensions The Extensions screen allows you to define how each individual extension on your PBX is configured. Use this screen to assign extensions to groups, change the caller ID name, and dial sequences. Select the appropriate extension from the Local drop down menu. Extensions are divided into three types: Regular extensions. Virtual extensions. These are non-physical locals that are created for dial sequences using combinations of other extensions. Remote Extensions. These are extensions that exist on other PBXs that are connected remotely. You can only change the Caller ID Name on these extensions. All other changes are done on the extension s host PBX. The settings screen for the chosen local appears.
5 The extension features are as follows: Attribute Group Caller ID Voic to Include Attachment Offline Number Description Use the drop down list to choose a group that you want associated with the extension. Groups are used to ring more than one extension simultaneously. You can choose from groups 1 to 9. Leave the field blank if you don t want the extension associated with any group. Enter the name of the person or function to which the phone belongs. This name will appear when you call another extension. Enter the address where voice mail notifications are to be sent. Enter only one valid address here. Check this box if you want a voic attachment to be sent along with your notification. Enter an alternative phone number such as a cell phone number that can be used in place of your extension in the event of a service interruption. Dial Sequences A dial sequence is the chain of events that occur whenever the extension is dialed. Dial sequences are arranged into two categories: 1 2 Default Dial Sequence: This is a simple two-step configuration that is suitable for most generic extensions. Normally an extension rings four times, and then goes to voic . Alternate Dial Sequence: This is a more advanced configuration that can be extended to six steps. It enables complex find-me / follow-me rules to be defined in which the extension dials around to various locations. Selecting a dial sequence category Each of the two categories of dial sequences operate individually, and can be selected using the first drop down menu located in the Alternate Dial Sequence section.
6 Dial sequence selection options are as follows: Attribute Description Visual Example Always Enabled This enables the Alternate Dial Sequence and disables the Default Dial Sequence on a permanent basis. The background color of the Alternate Dial Sequence will change to green to reflect the changes. Enabled on... Disabled on... Always Disabled This enables the Alternate Dial Sequence and disables the Default Dial Sequence on a scheduled basis. The background color of the Alternate Dial Sequence will change to yellow, and additional scheduling options will appear. This disables the Alternate Dial Sequence and enables the Default Dial Sequence on a scheduled basis. The background color of the Alternate Dial Sequence will change to red, and additional scheduling options will appear. This disables the Alternate Dial Sequence and enables the Default Dial Sequence on a permanent basis. The background color of the Alternate Dial Sequence will change to red to reflect the changes. Scheduling Dial Sequences When Enabled On... or Disabled on... are selected for the dial sequence category the following scheduling options appear: Select the appropriate start time for each day in the left hand drop down menu. Then select the appropriate end time in the right hand menu. Selecting All Day for the start time disables the end time since the schedule is valid for the full day. Selecting a blank start time disables the schedule for the day. For the ending times, only times later than starting times are shown, and the End of Day option denotes that the schedule is in effect until midnight.
7 Configuring Dial Sequences Changing the dial sequence is similar to structuring a sentence. For example, to describe the default behavior of an extension, one would say this: Call extension 200 for four rings, then access voic for extension 200. The dial sequence selection allows you to specify these events in exactly the same way. Both categories of dial sequences behave identically. 1.Choose an event type The event types are as follows: Attribute Extension Dial Description The call gets routed to an extension. A drop down menu of available extensions will appear. The call gets routed to an outside number. A text field to enter the number will appear. Voic Follow Call Queue The call is answered by a voic box. A drop down menu of available voic destinations will appear. This is a terminal event, no other events are available after its selection. The call is handed over to another extension s call sequence. A drop down menu of available extensions will appear. Since the sequence is now being executed on the other extension s rules, no other events are available for the current extension after its selection. The call is sent to the automated call distribution system. Hang up The call is ended.
8 2. Choose a destination The options under destination are dependent on the prior event type selection. For example, choosing Extension under the event type will produce a list of available extensions, extension groups and All Locals. Choosing Dial for the event type will produce a text field where the number to be dialed can be entered. 3. Choose the number of rings The number of rings is only available for events where ringing makes sense. For example, voic is answered immediately, so number of rings is irrelevant and is not displayed for this option. If rules are combined using the And modifier, then only the last rule will contain a ring field. 4. Choose the sequence modifier The sequence modifier enables you to ring multiple devices simultaneously by changing Then to And. Note that you can only do this if the event type to the right of the modifier supports it. Events such as voic or hang up are not eligible for combination with other events because of their terminal nature.
9 Phone Numbers The Phone Numbers screen allows you to define how each phone number assigned to your PBX is configured. Use this screen to define an auto attendant or a direct inward dial to an extension. Select the appropriate phone number from the Number drop down menu. The settings screen for the chosen number appears.
10 The event types are as follows: Attribute Ring Type Description Use the drop down list to choose a distinct ring for the chosen phone number. The ring types correspond to the standard ring types available on your Polycom phones. Please refer to the Polycom manual for more information on ring types. Description Enter the descriptive name of the phone number. This name will subsequently appear in the Number drop down menu. It is for informational purposes only. Default Forward Enter the extension to use when the automated attendant is disabled. Incoming phone calls will then follow the extension s dial sequence Automated Attendant An automated attendant answers incoming phone calls using interactive voice response. This section of the screen allows you to configure an attendant, record the appropriate prompts and enable other features. Enabling the Auto Attendant To enable the auto attendant, select the appropriate scheduling option from the first drop down menu located in the Automated Attendant section.

12 Configuring the Automated Attendant The automated attendant features are as follows: Attribute Greeting Language Description Your PBX is capable of interactive voice greetings in both French and English. Use this drop down menu to select the default and alternate languages. Operator Extension This is the extension that is dialed when 0 is pressed from the automated attendant or voic prompts. Recording Extension This is the extension that will be dialed when automated attendant greetings are recorded. Please refer to the Recording Greetings section for more details. Voic Access Enter a key sequence that will be used to access voic boxes from the automated attendant menu. You can use any valid telephone keypad character, including pound (#) and asterisk (*), for example *98. Attendant Menus The automated attendant consists of a main menu and up to eight distinct sub-menus. Each of these menus are configured identically. 1. Select the menu 2. The main menu is enabled by default. To enable submenus, check off the box next to Enabled. Once enabled, then submenu will appear as selectable options under other menus.
13 3. Select the appropriate action for each digit. Available options are as follows: Attribute Extension All Extensions Conference Bridge Directory Main Menu Submenu Description Follow the chosen extension s dial sequence Ring all extensions indefinitely Join the conference bridge Enter the dial by name company directory. This interactive voice menu is generated automatically by the PBX, allowing for callers to find extensions by entering the first three letters of a person s last name using a touch-tone phone. Replay the main menu voice prompt Play the chosen submenu voice prompt and branch to the submenu s options. Recording Greetings To record a menu greeting message, click on the language specific record button. For example, to record the English greeting, click on the following button: The extension defined under Recording Extension will now ring. Pick up the receiver and wait for the beep. Record your message and press the pound (#) key when done. Your message will then be played back to you. If you want to hear the message again, you can click on the language-specific play button. For example, to play the English greeting, click on the following button:
14 Submenu Example This is a simple example to illustrate the usage of submenus. When a caller calls the auto attendant, they are greeted with the following message: Thank you for calling Camp Jody. If you know the extension of the person you are trying to reach, dial it now. For information, press one, For registration, press two. Selecting option one from the main menu produces the following greeting message: For information about Camp Jody programs, press one, For information about working at Camp Jody, press two, For the main menu, press three. Selecting option two from the main menu produces the following greeting message: To register now, press one For dates and prices, press two, For information about programs or employment, press three, For the main menu, press four. This can be achieved using the following menu configurations: Main Menu Option Selection 1 Submenu 1 2 Submenu 2 Submenu 1 Option Selection 1 Extension Extension Main Menu Submenu 2 Option Selection 1 Extension Extension Submenu 1 4 Main Menu
15 Conference Bridge A conference bridge is a facility which connects multiple callers together. All PBX systems are pre-configured with a conference bridge. The conference bridge screen allows you to set the Personal Identification Number (PIN) code for your conference bridge. This PIN code is subsequently used to grant access to the conference bridge 1. Type the desired PIN code into the field provided 2. Press TAB 3. Click on the green Update button Accessing the Conference Bridge Access to the conference bridge from internal extensions is achieved by dialing External access to the conference bridge can be accomplished in two ways. Use the Phone Numbers screen to do one of the following: 1. Change the Default Forward of a phone number to Conference Bridge, and disable the automated attendant. This will automatically put the caller into the conference bridge whenever they call the selected number.
16 2. Add Conference Bridge as an option in the auto attendant. The caller will then enter the conference bridge whenever the selected digit is pressed from the attendant menu. Digital communications for your business E911 The E911 screen is where your address information is defined. This information is essential for proper dispatch of 911 services. Required fields are as follows: Attribute Type Company Name Door No. Street Name Suite/Apt Province Postal Code Description Select either Corporate if the PBX is installed in a business, or Residential if the PBX is installed in a home. Enter your company name here. Note that this field is only displayed when Corporate is selected for Type above. For Residential, the field is split into First Name and Last Name entries. Enter the civic number of your business or residence. Enter the street name of your business or residence. Enter your suite or apartment number, if applicable. Otherwise leave this field blank. Select your province code. Enter your postal code without using any spaces.
