2 Route 2 Dashilan Street 23 October, 8:30-11:20a.m The Summer Palace Attending the Opening of the Beijing Forum on Arts and Cities 22 October, 9:00-10:00am Registration of Participants and Service Information There will be a registration desk and reimbursement desk (only for the cities who bought the flight tickets by themselves) at Tangla Hotel from 19 to 20 October, 9:00am to 5:00pm Upon registration, the participants will receive meal tickets in Tangla Hotel (for breakfast, lunch and supper, each delegation-maximum for two representatives and up to four days). Upon registration, the participants will also receive a package including: Beijing Summit Handbook, meeting badge, meal tickets, and other promotional materials for the Summit. 3 International Conference on Learning Cities (English, Chinese, French and Spanish simultaneous interpretation) Entry Formalities for China Upon confirmation of attendance of the Summit, an official invitation letter from the Organizing Committee will be issued to the participant. All participants entering People s Republic of China must be in possession of valid passports and entry visas. Participants are advised to make inquiries in their respective country of residence. Participants residing in a country where China does not have a resident Diplomatic Mission are advised to obtain entry visas from the neighboring Missions closest to their country of residence. Reception upon Arrival and Departure Airport Pickup All participants are requested to inform the Organizing Committee of their flight schedule by 12 October, 2013 to ensure their pick up in good time. The Organizing Committee will arrange shuttle bus at the Capital International Airport on October, 2013 which will depart to Tangla Hotel at regular time. Participants are advised to take the bus to Tangla Hotel according to the schedule provided by the organizing committee (which will be sent to the participants before 15 October). Airport drop-off All participants are requested to inform the Organizing Committee of their flight schedule by 12 October, 2013 to ensure their drop off in good time. The Organizing Committee will arrange shuttle bus at Tangla Hotel on October 2013 which will depart to the Capital International Airport at regular time. 3

4 Participants are advised to take the bus to the Capital International Airport according to the schedule provided by the Organizing Committee (which will be sent to the participants before 15 October). The Organization Committee cannot provide pick-up and drop-off services for those who have not confirmed their flight schedule in time. In this case, please take the taxi from the airport to the hotel. A one-way ride to the hotel should cost about 150 Yuan (RMB) (approx.us$25) including airport highway toll fee. It usually takes around one hour, depending on the traffic condition. Transport The Organizing Committee will supply participants transportation for attending Summit activities and detailed information will be provided before 15 October. Participants will bear the charges for the transport of activities other than the Summit. Participants may ask hotel to book a taxi or choose to take subway or bus. Accommodation The address, room rates and contact details of the hotel are as follows: Tangla Hotel, Beijing No. 19 Fuxingmengwai Street, Chang an Avenue West, Beijing , China Tel: (86-10) Website: The Organizing Committee is responsible for reserving hotel accommodation for up to four nights (from 19 to 22 or from 20 to 23 October 2013) for representatives (each city is no more than 2 persons). If participants would like to stay in Beijing extra days, the accommodation will be covered by participants themselves. 4

5 The rate of the hotel is 698 Yuan (RMB), surcharge and single-person breakfast are included. Buffet breakfast costs 160 Yuan (RMB) for each person. Participants who choose other hotels have to accommodate breakfast by themselves. Incidental expenses and unspecified fees involved by each room will be settled by guests before leaving the hotel and the Organizing Committee will not bear such expenses. The participants need to go through the procedures of credit card preauthorization at the reception desk (500 RMB/room per day), or pay a cash deposit (500 RMB/room per day) when checking in. Currency The currency in China is the Renminbi (RMB), commonly referred to as the Chinese Yuan (YUAN). The exchange rate as of September 2013 is about 6.12 Yuan to a dollar (US$). The exchange rate may vary slightly. The local time is +8 GMT. Time difference Health Regulations Participants are advised to consult their travel agency, airline or national vaccination centre to obtain all necessary information. Please consult your doctor before departure in order to obtain advice on the best preventive treatment in your case. Please take some common medications, if you have any medical care demand, please inform Organizing Committee in advance. 5

6 Electricity The standard electricity supply is 220V/50HZ in China. Please bring any electric adaptors that you might need for your laptop, cell phone, and any other electrical devices you might need to use. The hotel is not able to provide electric adaptors to all guests.
