1 1 Decorator Guidelines Decorating Dates: Friday, November 18, :00 AM - 9:00 PM Saturday, November 19th, :00 AM -2:00PM Whitney Peak Hotel Main Ballroom It is with great pleasure that we invite you to join us For the Inaugural Gala of Trees and Lights as a Designer /Contributor. We are confident that you will create that "Million Dollar" look. Your display will be seen by hundreds of visitors, and will be purchased by individuals and comm unity business leaders who have provided financial support to the Safe Embrace organization. We are looking forward to displaying your talents at this year's Festival. Holiday Trees Decorating Possibilities From traditional to unique, let your creativity soar at the Gala of Trees & Lights by choosing to decorate a 4 1/2 to 7 1/2 foot artificial slim or full tree. Floor space for a vignette will be 10' X 10. You are welcome to provide additional props in order to create a festive look within this space. (PLEASE NOTE: We may have a need for 9' trees. Please indicate on the contract if you are willing to decorate a 9' tree if requested.) Wreaths Choose either a 24" or 36" to be displayed on a freestanding door provided by Gala Organizers. (Lights are optional and quantity is limited. Lights must be battery operated).

2 2 Gift Baskets or Stockings Gift Baskets can range in size and can equally garner as much value as trees. Creative gifts of value intrigue buyers. Designers also have the option of doing a stockings with gift vouchers inside. TREE DECORATOR GUIDELINES Trees Trees are not supplied by the Gala. If your tree or your entry is larger than 71/2 feet, you must contact the Gala Chair. Trees may be supplied by designers at their own expense. All trees must be artificial and fire retardant. If you want a tree supplied by the Gala sponsor (Nevada Backyard), you must pick up a signed voucher from the Safe Embrace office prior to picking up the tree at Nevada Backyard. This voucher can only be used at Nevada Backyard. Safe Embrace and the Nevada Backyard Partnership gives you 60% off the tree of your choice and 50% off any decorations you may purchase from Nevada Backyard. Any price over that will be the tree designer's responsibility. REMEMBER: YOU MUST HAVE THE SIGNED TREE VOUCHER WITH YOU WHEN GOING TO NEVADA BACKYARD TO PICK OUT YOUR TREE. Tree Sizes Small Gala trees are 4 1/2 feet tall and available in many different tree types and colors. Small trees supplied by designers must be 4 1/2 feet in height. Large tree selections include 6 1/2 foot and 7 1/2foot. There are many tree types to choose from. Tree Stands A regulation tree stand will be provided by the tree supplier. A wooden dowel or screw inserted in the metal tree trunk helps stabilize the tree during transport. All tree stands MUST be affixed permanently to the tree. Entry Title Titles should be acceptable for any home or business. Entries should be tasteful in color, design, proportion and decoration. You must advise the Festival Chair of your entry's title and judging category by October 1 st You must submit your storyboard and gift list information by November 1st, No changes can be made beyond that date. If two designers choose the same title, the entry with the earliest postmark will be allowed to keep that title while the other designer will be asked to choose another title.

3 3 Proper Wiring and Gluing Techniques Remember, these trees will be transported. Decorative items must be secured and in good condition when they arrive at the purchaser's home or business. At the conclusion of the Festival, we ask that you or a representative help in the packing of gifts and boxing of your tree. The trees are then moved and delivered by the delivery crew: All decorations must be secured to the tree. Wiring Wire all decorations onto the tree with florist or beading wire to prevent damage to the decorations and lights. All wire should match the color of the tree or be invisible. This takes time and effort; however, all decorations/lights must be wired. A four inch long piece of wire is needed to tie any average ornament to the branch of a tree. Wrap the wire firmly, using several twists. USE CAUTION AS TO NOT DAMAGE YOUR LIGHTING CORDS. Moving the tree can shake loose the lights, unless you have purchased a tree which is pre-lit. We highly recommend pre-lit trees. The two separate pieces of the large trees should be wired together, making transporting the tree much easier. Do not use loop hangers to hang ornaments on the tree. The ornament must be wired directly to the tree. Gluing All ornaments with an inserted or slip-on hanging attachment usually found on purchased ornaments such as glass bulbs etc., must be glued where the two pieces meet so the "hanger" cannot slip out. Hot glue sticks used with an electric glue gun is recommended. Decorations Be certain your decorations enhance the tree when the Festival site's lighting is dim and the tree's lights are on. Please make sure you have enough decorations. It is easier to take a few home or return them to the store than to search for more decorations at the last minute. Use decorations of high quality, as the tree's buyer may use them for years to come. The larger the ornament, the fewer you will need. NOTE: Decorations smaller than four inches are not easily visible. Accessories or gifts under the tree should be in proportion to the tree and are sold with the tree.

4 4 Materials Use only materials that will withstand a vigorous movement which will include tipping, transporting with a moving van and delivering through elevators and stairways. Separate hanging attachments need to be glued to ornaments before wiring ornaments to the tree. Use large, light weight ornaments. They show up better and fewer are needed. Ornaments and decorations must be secured to the tree. All decorations and gifts are sold with the tree. Please provide the boxes with the gifts for transport. Incorporate the box into your display. Gifts on display should complement your tree theme. Look at your tree from two separate viewpoints: the overall design and appeal of the decorations on the tree add to the dollar value of the tree with the gifts under it. Underneath it all! Gifts!! We recommend the gifts under your tree compliment your tree title and are in proportion to its size. Gifts should have an accompanying box for transporting purposes, which you should incorporate into your display under your tree. For security reasons, very small items may not be displayed with the tree except for Gala night. You may display an attractive photo representation in lieu of the small item. This also applies to gift certificates as well. Do not display the originals. Please give originals to either Global Chair or Friday upon check in on the Friday before and they will be kept in secure storage, to be secured until given along with the tree and other gifts to the winning bidder. Gift boards will tell the Festival patrons who your supporters are and will be displayed the entire length of the Festival. Remember, items placed under the tree are sold with the tree. The Festival asks that you DO NOT put any items under the tree that you want back. For continuity, as well as to prevent duplicating hard work, we ask that you copy the office on any gift requests you make in written format. We encourage you to use Festival letterhead. We have enclosed a sample letter for requesting gifts from local businesses. Please give everyone who donates anything to you a receipt. NOTE: It is required to give a receipt on items with values over $ Your follow-through on these requests should help ensure proper sponsor and gift donor recognition.

5 5 Set up / Break down All tree designers are expected to set up their tree. You can do this on either Friday -November 18th from 9 am to 9 pm or on Saturday November 19 th from 8 am to the final deadline of 2 pm. Although not mandatory, we are asking tree designers if they are able to also box up their tree and gifts after the festival. This can be done after 10 pm on November 19 th, or from 7 am to 11 am on Sunday Nov em ber 20th. We MUST be out of the room at the Whitney Peak by 2:00 pm on Sunday. -so any designers that could help us in boxing up their trees would be greatly appreciated. NOTE: See Attached Page (12) PLEASE COMPLETE AND RETURN THE GIFT INFORMATION FORM. THIS MUST BE IN TO THE FESTIVAL OFFICE NO LATER THAN THURSDAY, NOVEMBER 1st, 2016, SO THAT GIFT BOARDS CAN BE PRINTED. (Any gifts secured after that date will not be Printed for Display)

6 6 HOLIDAY GIFT BASKET GUIDELINES Guidelines Minimum value of baskets should be $75.00 All baskets should be wrapped in cellophane (or other secure wrapping)tied with a bow, ribbon or other decoration Please submit the gift list form just as you would with a tree, with a title for your basket. List your best gifts first Make sure all food items are non-perishable Creative Ideas Use wicker/metal/plastic baskets/wood crates or tubs, baby bath tubs, garden planters, luggage, briefcases, hat boxes stockpots, etc. Ideas for Baskets Gourmet Food Baskets Bath, Body and Beauty Baskets Tea and Coffee Baskets Gardner Baskets Office Baskets Family/Fun Baskets Tool Man Basket or Box Car Maintenance Organizer Dining/Hotel/Show Basket Packages Wine Baskets Grand Baskets We challenge all basket makers to rival trees in the silent auction. Perhaps there is a jewelry or vacation package with the contents of the basket... A Grand Basket may even be auctioned in the live auction!

7 7 WREATH/DOOR DECORATION GUIDELINES *Wreath/Door Decorations must have a minimum value of $75. *Wreath/Door Decorations should be a minimum of 24" at their widest point. *All Wreath/Door Decorations that use lighting must come with their own hidden power source, such as a battery pack. Wreath/Door Decorations will not be displayed lighted during the Festival, only during the Gala. *Wreath/Door Decoration should have hooks on the back to allow them to be hung properly. In order to display your Wreath properly, please put the hanger at the top of your wreath. *Each entry must be delivered to the Festival in an adequate storage box. Please have box marked clearly, displaying entry title and name of designer. *Delivery will be accepted at the Festival site on Friday Novem ber 18th from 9 AM to 9 PM Or till 2pm the day of the festival.. *If you do not plan to deliver your wreath/door decoration to The Whitney Peak, pieces may be delivered early to the Admin Office & Donation Center 780 East Lincoln Way Sparks, NV to Wednesday, November 16 th. *Exhibit space for your Wreath/Door Decoration is confirmed upon receipt of the Designer agreement. *Subject to change

8 8 Wreath Tips There are probably volumes available on the "how- to" of doing a wreath. For our purposes we offer the following suggestions: Scale This is the one element that usually catches the eye first. If the scale is too small the wreath will not seem as significant as it could be. The scale is too big and/or too cluttered then there is no negative space on the wreath (a total fill type wreath would be the exception). Color It probably goes without mentioning, that color harmony is a crucial ingredient. Drama in color is created by using opposite colors on the color wheel (black/white, etc.). They will also tend to draw in the surface area of the wreath. Texture Unlike textures give interest to the overall statement of the wreath. Be sure that when you mix textures they feel harmonious together. Pearls with a very country look would probably not be a good combination of textures. The type of wreath you use will often dictate a certain look that would work better than another. Focal Point Unless you are creating an overall effect, be sure to have a place for the eye to rest. Too many things going on can create a visual confusion. There are several things you can use to create the focal point: Bow, flowers etc. Dimension A feeling of depth is created by using things that are lighter in texture. Things like baby's breath, stars, etc. give a feeling of lightness and space. Sprays There are many types of sprays on the market that will add a different feeling to your wreath. There are clear lacquers, gold/silver glitters, pearl, washes, etc. Much of the use of these will depend upon the type of wreath that you begin with. Hangers Always tells us which way the wreath is to hang by creating a hanger on the back. Sometimes we have not hung a wreath the way it was designed, because we thought it could go several different way

9 Benefits for Designers Designer Package Benefits - (Tickets must be purchased in advance) Design Team Gala Tickets may be purchased in advance at $ each - (Two (2) Tickets maximum ) Participating Wreath/Door decoration and tree design teams will receive: 1. Certificate of Participation 2. Recognition in the Festival program 3. Festival Designer Workshop to be held on September 17, 2016 (Location to be announced) 4. Plus, the knowledge you have thrilled Festival guests and helped Safe Embrace The Gala Committee will make every effort to accommodate wishes of designers. Any questions should be directed to the Festival Chair at All items delivered to the Festival become the property of the Festival of Trees and Lights. Because of overwhelming requests for anonymity, sale price of trees and purchasers names and addresses will be kept confidential. Thank you for your understanding in this matter. Decorator Checklist Check ln Decorators must check in with the event chair before unloading; please do not select your own site and start setting up or decorating before checking in - each platform has been pre-assigned, and the Event Chair will direct you to your site. Your Personal Items List and Decorator Information forms will be turned in at this time. Tree Stand The tree stand must be affixed to the tree permanently. Tree Topper Tree toppers must be designed to be removed before delivery. If fragile items are included in the tree topper, the decorator will be required to replace any items broken during delivery. It is suggested that you separately bubble wrap your tree topper or secure to prevent breakage in some other manner.

10 10 Tree Skirt Tree Skirts are mandatory. The tree shirts are part of your tree package and will be given along with the tree and other gifts to the winning bidder. Lighting Requirements: 1. Trees are pre-lit, but you may add lights if you choose. 2. No more than three strands of lights may be connected to each cord. 3. Each connection must be wrapped with electrical tape. Extension Cord Requirements: 1. Decorators provide their own cords (minimum of 12' cord from tree to electrical source) 2. Only 12 gauge cords accepted. Decorations Requirements: 1. All decorations must be secured to trees and wreaths with wire or hot glue. 2. Decorations should be of high quality and enhance the overall value of the tree. 3. No living materials may be used and only non-perishable food items may be used. Check Out Before a tree can be considered finished, decorators must check out with the Event Chair. All decorating must be completed for the public to view by 2:00 PM on Saturday, November 19th, at which time the festival will open. PLEASE NOTE: Decorators will be asked to assist with adjustments of decorations if necessary during the Festival and up to 48 hours following delivery of the trees or wreaths. Remember the trees will be moved after the Festival. Decorators are encouraged to package and prepare trees for delivery either the night of the Gala or before noon on the following day.
