2 Norwest Head Office Sampling & Demonstrations Thank you for your inquiry regarding booking space at Norwest Head Office. Please find enclosed details on each site s specification and an accompanying site map indicating the location range of sites available. We have also included information regarding the conditions of entry into Norwest Head Office which are applicable to all vendors, contractors and demonstrators. The following conditions must be followed: A copy of your $20 million Public Liability insurance is provided prior to entering Norwest HO. Electrical cords must be tagged and tested by a professional electrician. Displays need to be of a professional standard (e.g. No hand written signs) and in consideration of access and site lines. At least one member of the demo staff team is required to man the display/setup at all times. Should you wish to make a booking, please complete the enclosed booking request form and return it to the In-Store Demonstration team. All requests are assessed with respect to existing bookings; should a conflict of interest arise or if we are booked out, another date will be suggested in its place. Once your booking is approved, a confirmation of the booking date(s), coupled with an outline of requirements will be provided to you. If you would like more information feel free contact us. 4 CONDITIONS Should any damage occur to the immediate or surrounding area at Norwest Head Office (floors/fixtures/fittings etc), as a result of bump-in, during the event or bumpout, you will be liable to cover any repair costs incurred. We recommend that consideration is taken into using the appropriate floor protection at all times. Instructions on Arrival Upon arrival to Norwest please park in the visitors parking. Make your way to reception and sign in to receive a contractor s pass. Please ask for the In-Store Demonstration and a representative will come down and direct you to Facilities where you can sign into Pegasus. Please ensure your contractors pass, received from the Pegasus sign in, is visible at all times. Following completion of sign in and induction, you will be shown where your setup area is located, as well as where the sample stock is stored. Pegasus and Site Inductions All contractors will be required to sign into the Pegasus machine on arrival. This applies to everyone, regardless of whether they are first time or repeat staff. A short site induction will also need to be completed by all staff. To speed up this process, we have provided you with an induction pack to read and sign. Please bring this with you on the day and present it to facilities management. Online Safety Induction for Merchandisers and Demonstrators All contractors attending a Woolworths Ltd site to either merchandise or conduct a demonstration will need to complete the Online Safety Induction before undertaking work. To complete this induction click on the following link and select the merchandiser and demonstrators button under the specialist contractors heading at the bottom right hand corner of the page. Equipment A valid Safe Work Method Statement is mandatory if you are using any type of power or hand tool(s). Depending on the setup, your SWMS may require you to make use of Personal Protection Equipment e.g. safety boots, high visibility vest, gloves etc. Nowest Sampling & Demonstrations Page 3
5 At Norwest Head Office, trolleys are required to have soft rubber wheels for transporting equipment and goods inside the building and across Central Space. This applies to any form of equipment on wheels. Unless the equipment has the correct soft rubber wheels, it will not be permitted usage internally. Pallet jacks and forklifts are not permitted inside the building. No petrol, diesel or gas operated machinery of any sort is allowed in the building. All electrical goods must be tested and tagged prior to coming on the premises by a qualified electrician; please ensure tags are in-date and visible for ease of inspection. Any piece of electrical equipment out of date or without a tag will be deemed invalid and will not be permitted usage. If you are plugging in a large display e.g. a photo booth that may have specific power requirements, you will need to provide us with all the necessary information so the appropriate checks can be made to ensure the unit can be powered. Displaying Vehicles The following applies to vehicles displayed in Central Space. Vehicles too high, wide or heavy cannot enter the building; so ensure to check the height and weight restrictions as outlined below: - Measurement of the double class doors: 2.65m (H) x 2.77m (W) - Measurement of the reception glass saloon opening: 2.77m (W) - Vehicles must not exceed the 4Kpa load rating. On arrival to Norwest Head office please call both Norwest Security on and Norwest Facilities on Setup should be made at 6pm the day prior to the event and removed on the final day of the activation at 6pm. Leading up to the building you are required to stay between the white lines; facilities staff will be available to guide you on the day. Warning: If driven outside of these white lines, there is a risk the weight of the vehicle could break the pavers, causing the wheels to sink and the vehicle getting stuck. No trucks are permitted on the forecourt area, however if you do have a larger vehicle, depending on the weight, you may be able to park it at the pavement area in front of the lawn. Do not drive on the lawn; any costs incurred as a result of damage to the lawn will be your responsibility. The vehicle engine is to be turned off and physically pushed into Central Space from the front door; vehicles must not be driven inside at any time. You are to supply your own man power to assist in pushing the vehicle to reach the final location; please note, there is a slight incline to reach some of the site areas. Woolworth s staff will be here to guide and direct you to the appropriate spot. Please ensure that no tyre shine is used on the vehicle. All vehicles should have a mat placed underneath to catch any potential leaks. Nowest Sampling & Demonstrations Page 4
6 If the display vehicle is to be transported on another vehicle, trailer or truck, the transport vehicle will need to be removed as there is no parking on site to accommodate. Cooking in Central Space Before cooking in Central Space please ensure to notify Norwest facilities so they can isolate the areas Vesda fire system. If this is not done, there is a possibility that the fire system may go into alarm mode causing an evacuation. Please ensure to have a mat under and around the cooking area to minimise the risk of slips and falls. As previously outlined, all electrical equipment including power boards, extension leads, cooking equipment etc, will need to be tested and tagged prior to coming on site, by a qualified electrician. For safety reasons, it is a requirement to have leads/cords taped securely to the floor, in order to minimize any trip hazard. If in doubt, please speak with Norwest facilities management to assist. BBQ Cooking Outside the Building The BBQ Ute and drop off of equipment must have pre-approval prior to driving on the Forecourt area. You are required to stay between the white lines; facilities staff will be available to guide you on the day. Warning: If driven outside of these white lines, there is a risk the weight of the vehicle could break the pavers, causing the wheels to sink and the vehicle getting stuck. All BBQ s must have the appropriate ground protection underneath to ensure pavers do not get stained by fats or oils. This also minimises the risk of slips and falls. There is no power out in the Forecourt area. Do not drive on the lawn; any costs incurred as a result of damage to the lawn will be your responsibility. Requests to hold a BBQ event should be submitted to the In-Store Demonstrations team for approval, prior to booking the event. Animal Displays Please ensure the appropriate floor protection is placed under and around any animal display to protect the floor and also catch any animal waste. Animals are to be kept in display pens at all times; unless being handled by a professional as part of the event. You will need to dispose of any animal waste and ensure the area is thoroughly cleaned before leaving the site. Nowest Sampling & Demonstrations Page 5
7 Large Shed Displays Please ensure the appropriate floor protection is placed under and around any large shed display. The area should be barricaded off and treated as a construction zone. A valid Safe Work Method Statement must be brought in and presented on site prior to any work commencing. Appropriate Personal Protection Equipment e.g. safety boots, high visibility vest, gloves etc are to be worn at all times during bump-in and bump-out. You will need to ensure dock staff are aware of the vehicle unloading and loading times in advance to ensure no disruption to the normal hours of the dock. The In- Store Demonstration team can assist you with this if needed. Audio and Visual In consideration of the fact that Woolworth s staff may be working or engaged in meetings in the nearby vicinity, restrictions have been placed on the volume used in Central Space. As a result, all audio is to be approved by Senior Management, via the In-Store Demonstration team. Should you require the use of microphones, these can be borrowed from Facilities. When collected and returned, they must be signed for. All advertisements intended for display on the big screen will need to be approved by Internal Communications, via the In-store Demonstrations team. To play clips, files need to be either stored on DVD or USB and provided in advance to test compatibility with our systems. With the exception of microphones, all singers are required to bring their own sound equipment. Please enquire with the In-Store Demonstrations team as to equipment compatibility. Should you require Woolworths to set up the stage, this should be requested well in advance. Depending on your requirements, there are two stage sizes available. Please enquire with the In-Store Demonstrations team for more staging information. Delivery and Sampling To address: 1 Woolworths Way Bella Vista NSW 2153 Lunchtime Sampling This sampling session is conducted between 12-2pm in Central Space, with setup from 11am. The number of samples required is 1000 units and should be of sample size, not retail size. The recommended number of staff required for sampling is 2-4. If the stock is greater than 1 pallet, please inform the In-Store Demonstrations team to coordinate space requirements with the Dock Manager. Nowest Sampling & Demonstrations Page 6
8 Pallets must be rear loaded from the truck, onto the 1.1m high dock the delivery truck must meet this 1.1m height minimum to avoid being sent away. Delivery should be made to Dock 3 the day prior to the sample giveaway between the hours of 6am and 2pm. To avoid confusion, the Delivery Docket (pg. 9) should be included with stock. Should you be going through a third party delivery company to deliver the stock, please emphasise the delivery specifications. Stock will be refused drop off as a result of non-compliance. To be included in the Norwest Events Calendar which is distributed to all staff, please provide a short blurb about the product and sampling activity to the In-Store Demonstrations team; PDF format is preferred. Afternoon Giveaways This giveaway is conducted between pm at both Norwest Head Office exits. The number of samples required is this giveaway should be a non-food product and generally a gold coin donation is collected for charity. Collection buckets for the gold coin donation can be supplied by the In-Store Demonstrations team. The recommended number of staff required for sampling is 5-6. If the stock is greater than 1 pallet, please inform the In-Store Demonstrations team to coordinate space requirements with the Dock Manager.
