1 Fairmont Château Laurier is proud to celebrate its 15 th annual Trees of Hope event in support of the children and youth at CHEO! We hope that you and your company will take part in the celebrations! The date has been set for Monday, November 26 th from 4:45 p.m. to 6:30 p.m. We look forward to another wonderful fun filled event with plenty of food and festivities to go around, in addition to some wonderful draw prizes throughout the evening to spread some pre-christmas cheer. Attached you will find a list of NEW categories for this year. Your green PRE-LIT tree will be waiting the rest is up to you. Please remember that you must have a tree topper and skirt for your tree. What does your company or organization receive in return for the $1,000 sponsorship fee? Your company/organization s tree will be placed with prominent signage and receive excellent visibility during Fairmont Château Laurier s busiest seven-week period; You choose what you want to promote on your signage web-site, phone numbers, special offers it is up to you (within the number of words guideline); The trees will be displayed from November 26th until January 4th (tear down day is on January 6 th and 7 th ); Team building opportunity with a maximum of six team members participating in the Tree Decorating Party; Media coverage visibility, both on the night of the event, as well as pre and post media awareness; Great prize packages for the winners of the three categories (see attached categories); Be featured in social media initiatives;
2 The silent auction is a great event following the decorating party; your team will have the opportunity to invite clients, additional colleagues, or friends and family; Following the November 26 th event, all the trees are moved into the public spaces of the hotel and the People s Choice Votes begin, offering you additional visibility as a community minded company/organization. Please see list of FAQ s attached. SILENT AUCTION INFORMATION: The public is invited to walk through the Forest of Trees in the Ballroom from 6:30 p.m. to 8:00 p.m. During this time visitors can put in an early vote for the People s Choice Award, bid on outstanding silent auction items and enjoy some Christmas cheer. This component will further enhance your company s visibility; while raising much needed additional funds for the hospital. Clients, colleagues, friends, and family are also invited to support your team! Guests wishing to participate in the auction MUST RSVP by calling Deneen Perrin at or by at deneen.perrin@fairmont.com. 3 FREEQUENTLY ASKED QUESTION 1. How does the event work? The event is divided into two parts. The first part is the tree decorating event, where all the companies arrive and decorate their trees. We ask that companies follow the three category criteria outlined in your package. Your team of 4-6 people have approximately one (1) hour to complete the decorating of your company tree. The judges start walking through halfway into the tree decorating. If your team is not finished when the judges come, please ask them to come back. When the decorating is done, there is a tree lighting that takes place; all the lights go out leaving only the beautiful twinkling white lights of the Christmas trees. 2. Can we promote our company within the tree i.e. using our logo on Christmas Balls etc? Absolutely, this event is made for you to promote your company. Please do stay within the colour themes as this helps us position all the trees throughout the hotel. 3. How do I sign up? We can only have 33 trees so the first right of refusal is given to companies who have supported this event in the past. To reserve your tree, call Deneen Perrin at and please fill out the attached RSVP form. Your $1,000 payment must be received before the day of the event. PLEASE MAKE THE CHECK OUT TO CHEO FOUNDATION and send it attn: Deneen Perrin, 1 Rideau Street, Ottawa, ON, K1N 8S7. You will receive a confirmation letter immediately following the receipt of your RSVP form giving you more information about parking, arrival times etc NEW this year! We would like to have 3 STAR SPONSORS this year. Star Sponsorships are $5,000 and offer a variety of extra coverage and visibility in
4 addition to a Tree. If you would like more information. Please contact Deneen Perrin at for a full information package. 5. How much of the funds raised from this event go to CHEO? Thanks to our wonderful sponsors, we are proud to say that we have almost no overhead for this event. As a result approximately 96% of the funds go directly to helping our children. 6. How can we win? We like to remind everyone that this event is about raising funds for a cause that we all believe in, CHEO. There are prizes for the categories to bring out the competitive edge, but the spirit of giving is what this event is all about. The judges have a difficult job and follow the criteria to help them in their decision, so be creative and have LOTS of fun with it. 7. Must all the lights be white? YES, as this helps us to position the trees in the hotel. THIS YEAR WE WANT TO THANK CANADIAN TIRE who is providing the event with PRE-LIT trees! 8. Is there food? There is a wonderful buffet for your teams to enjoy. It is important that you eat before 6:00 p.m. as they must switch things over to desserts starting at 6:00 p.m. to get ready for the silent auction portion of the evening. We recommend you always eat in pairs to allow for people to be at the tree in case the judges come to your tree. 9. Who can attend the silent auction? We encourage you to invite colleagues, clients and friends with their families. This event is FREE for the silent auction portion and there are over 100 silent auction prizes to bid on. It is a great place to start your Christmas shopping! 10. Do you need tickets to attend the silent auction?
5 No, this is a FREE event. Each team will receive the e-vite for this event; we welcome you to send it to clients, colleagues, and friends. 11. Can my company donate something for the silent auction as well? We are always looking for wonderful items to add to the silent auction tables so if you would like to donate an item, we would be more than grateful. You can contact Deneen Perrin at to arrange delivery or pick up. 12. Can we have more than six (6) people on our team? Unfortunately, due to space, six is the maximum allowed for the tree decorating portion, but we encourage you to have as many people as you want come to the Tree Lighting/Silent Auction portion of the evening. 6 CELEBRATE CHRISTMAS IN THE CASTLE Our judges are looking for the one-of-a-kind Christmas tree. The judges will be utilizing the following criteria as they judge the trees on the evening of November 26, Please remember that your décor should include a TREE SKIRT AND TREE TOPPER. VINTAGE ELEGANCE This year the hotel is celebrating its 100 th anniversary in the community and to mark the occasion your tree will embrace the vintage era. The colour scheme is champagne (rich cream) and rose (not pink). Accents can include beautiful lace ribbons, Christmas balls and dried flowers. The key is to give your tree a beautiful elegant vintage look reflecting the style and elegance of Ottawa s castle. Team Spirit is now incorporated into the two themes this year. TREES OF HOPE 15 th ANNIVERSARY TREE The colour which reprents the 15 th anniversary is ruby red. Perfect for Christmas! We want our 15 th anniversary tree to represent what this event is about the children. Please ensure that your tree has a wonderful childlike feel, it could be by using miniature toys within the décor, photos of children, teddy bears etc Your tree should still have an element of elegance with a whimsical approach. Please use gold accents to highlight the beautiful ruby reds. Team Spirit is now incorporated into the two themes this year. A CHANCE TO WIN This year the third prize will be a draw. We will draw a prize for six people amongst all the trees. Excluded are the winners from the two categories. This will give everyone a chance to win.
