1 Bussiklubi (B) Contract period Booking and cancellation terms (annex 1) RATES The Rates are for the Relevant Validity Period and are applicable to all individual and group bookings in Finland and Estonia. Rates for Russian properties are applicable to all individual bookings only. All rates are in EUROS except Russian properties' rates in Russian RUB. All rates are net and per room. All rates are inclusive of buffet breakfast and VAT.Should the VAT change during the duration of the contract and/or official government imposes taxes and/or service charges included into the contract rates, S-Group reserves the right to amend the rates according to change. All rates are subject to availability and for offline sales only. Rates can be sold as room only or as part of a package. Spa Hotels rates incl. one visit in the Spa / person except for Break Sokos Hotel Koli where no entrance included. Double / Twin room for single use will be charged at double occupancy rate. AVAILABILITY All rates are subject to availability. Hotel will confirm availability based on reservation requests received All rates are for offline sales only. Rates can be sold as room only or as part of a package CHECK IN/CHECK OUT Check in time: 3pm ( except Estonian properties check in time: 2 pm) Check out time: 12 noon MEAL OPTIONS Half board is available on request and any meal options must be ordered mimimun of 72 hours prior to arrival Early breakfast is available from hrs 5 am on request and must be ordered minimum of 72 hours prior to arrival Boxed breakfast / Take away breakfasts are available on request for a fee and must be ordered a minimum of 72 hours prior to arrival. If no such information is received on time, hotel reserves the right not to arrange the service Group cancellation schedule also applies for pre-ordered food and beverage services. EXTRA BEDS Baby cot: Child 0-2 years in baby cot free of charge. Max 1 baby cot per room Sokos Hotels Children below 16 years of age sleep free of charge in parents room when sharing existing bedding Radisson Blu Children below 17 years of age sleep free of charge in parents room when sharing existing bedding Additional extra beds for children and adults as well as junior mattresses are charged separately. Extra beds are not included in allocations. GROUP DEFINITION AND FREE POLICY A booking can be considered as a group reservation when it consists of a minimum of 11 persons at the time of booking. FOC policy Finnish Properties: 1/2 twn free per every 15 persons paid for. Every 16th person foc in half board arrangements. Max 3 persons foc / group FOC policy Estonian Properties: 1/2 twn free per every 17 persons paid for. FOC policy does not apply for half board arrangtments. Max 3 persons foc / group NO SHOW In case of No Show, Hotel will charge the partner the first night of the total stay as penalty CANCELLATION Following regulation applies unless no other special cancellation terms are stated & agreed between Partner and Hotel All cancellations have to be made in writing received by the Hotel from the Partner FIT Unless otherwise agreed in connection with the booking or unless there are other conditions stated in the agreement FIT booking can be cancelled: Finnish porperties not later than by 6 p.m. on the day of arrival, Russian properties not later than by 6 pm day before arrival, Estonian properties not later than noon day of arrival. LUGGAGE HANDLING Luggage handling can be arranged for a fee for groups with a written notice not later than 72 hours prior to arrival. PRE-PAYMENT/DEPOSIT: Payment is due according to invoice sent by the hotel. If prepayment/deposit is not received according to invoice Hotel has the right to cancel reservation(s). If prepaid group is cancelled according to cancellation terms and conditions, prepayment will be refunded to Partner. A bank fee of 10 will be deducted from total amount. Smallest refunded amount to Partner is in total 50 Pre-payment for larger groups/longer stays might be requested. ALLOCATION Allocations include only standard rooms for single and twin use. Upgrade rooms such as superior and business rooms are on a request basis and subject to availability. Extra beds/persons are on a request basis and subject to availability. Participating Hotel reserves the right to reduce the allotment if the materialization of the allotment is less than 70 percent (%) as of the end of first six (6) months of this agreement. In such case, Participating Hotel will notify Partner in writing minimum of thirty (30) days prior allotment reduction takes place. Separate terms and conditions for tour series may apply and be agreed.
