3 Selection Process Overview Overview and Timeline There are three steps to the Room Selection Process. To live on campus, you must complete all three steps: STEP 1: Online Housing Application. Complete the online housing application and Housing License Agreement at american.edu/roomselection by Friday, January 29, 2016 at 5 p.m. EST, no exceptions. STEP 2: Selection of Group Name. Students must create a Group Name by February 19, 2016 at 5 p.m. EST, no exceptions. This is required for everyone, including individual students (group of one) and groups of two or more. STEP 3: Room Selection. Select a space during the online room selection process between February 24 and March 2, Specific dates and times for selection in this range will be assigned. Visit american.edu/roomselection for all information. roomselection@american.edu with questions or call Tips for a Successful Selection Start talking to friends now to plan ahead! Students will be most successful with room selection when they create roommate groups that match the room/suite size they wish to select. Due to high demand for on-campus housing, top preferences might not be available. Students should make alternate plans and consider changes to their group sizes to obtain their optimal housing choice. Students should plan to select a space as soon as their selection times begin for a higher chance for their top preferences. Review the Housing License Agreement to stay on top of housing policies! 4 Room Selection Process & Policies Associated Deadlines The Online Housing Application must be completed by Friday, January 29 at 5 p.m. EST, no exceptions, by all students requesting to live on campus during the academic year. Students who would like to request housing accommodations based on a disability should contact the Academic Support & Access Center (ASAC) for information in advance of the housing application deadline (asac@american.edu, , american.edu/asac). All accommodation requests must be initiated through ASAC and not through Housing & Dining Programs. Students requesting accommodation are still required to also submit the housing application by Friday, January 29 at 5 p.m., no exceptions. Students who have questions about gender identity or expression pertaining to campus housing should contact Housing & Dining Programs or the Center for Diversity and Inclusion (CDI) prior to the housing application deadline, January 29 at 5 p.m., to discuss available options. Housing Eligibility Room Selection for is limited to students currently living on campus or in university-provided off-campus housing at the Berkshire Apartments. Students who are currently studying abroad and have lived in campus housing during the semester prior to studying abroad are also eligible. Students who have previously opted to move off of campus or have more than eight semesters in residence are not eligible to participate in the Room Selection Process. These students may complete a waitlist application and will be housed on a space available basis. Cassell, Congressional, Federal, Nebraska, Roper Halls, and McDowell Hall suites are communities where students may select a roommate(s) regardless of sex or gender. Please note that in order to select open gender housing, students must completely fill the room/suite/apartment they are selecting. Changes and Cancellations Requests for room/assignment changes will be reviewed after the first two weeks of classes in September Students who complete the room selection process are bound by the schedule of cancellation fees found in the Housing License Agreement. Fees start at $500 and increase periodically after June 1. The University reserves the right to reassign and/or consolidate spaces as necessary. Page 4

5 Room Selection Process & Policies East Campus Notice: Congressional and Federal Halls Students selecting a space in East Campus are selecting a space that is currently under construction. This may have implications for the academic year that include one or more of the following: Move-in for fall 2016 will be restricted to Saturday, August 27 and Sunday, August 28 for campus residents residing in East Campus residence halls. Arrival prior to this date will not be permitted; Delayed move-in, or assignment to temporary spaces, until construction is complete; Intermittent outages or facility limitations related to water, power, internet, air conditioning, etc.; Delays in furniture installation in rooms and/or common areas; and/or Frequent requests for access to your living unit by university personnel or project contractors/management. By selecting a space in one of these newly constructed facilities, you are agreeing to these, and other possible conditions/inconveniences, during the academic year. Alcohol Policy Change for Fall 2016 Resident students who are 21 years of age or older and living in a housing unit (defined as a room, suite, or apartment), where all other assigned students are 21 years of age or older, may possess and consume alcohol within their living unit. A resident is accountable for what occurs in the room(s) and/or unit(s) and is therefore expected to comply with District laws and university policies in the possession, consumption, and distribution of alcohol. In the District of Columbia, the possession and/or use of alcohol by persons under the age of 21 is prohibited. Students should review the Housing License Agreement for further details on the University regulations related to the possession and consumption of alcohol in the residence halls. Substance Free Housing Substance free accommodations will be made available in McDowell Hall and Cassell Hall for rising sophomores and upperclass students. Residence Hall Entry Protocol Procedures for resident and guest entry into the residence halls will change beginning in the academic year. The current claiming a guest protocol will no longer apply beginning fall The changes to the entry protocol will increase security and ensure residents are responsible for their guests in the residence halls. All residents and guests will be required to present identification when entering the residence halls, and non-au guests will be required to register at the front desk. Page 5

6 Rising Sophomore Housing A rising sophomore is defined as a student who has lived on campus for three or fewer semesters, including Spring 2016.* Housing is guaranteed for rising sophomores who complete all three stages of this Room Selection Process.** *This includes current Washington Mentorship Program, International Gateway Program, and transfer students. **Note for transfer students: First year transfer students with junior or senior academic standing should contact roomselection@american.edu prior to January 29, Housing Options Cassell Hall A suite-style living environment with two or three double occupancy bedrooms housing four (4) or six (6) suitemates who share a bathroom and a living area. Specific floors will be designated for rising sophomore students. Cassell Hall houses approximately 350 sophomores, juniors, and seniors. Centennial Hall A suite-style living environment with double and single occupancy rooms joined by a semi-private bath. Floors 3, 4, 5, and 6 will be available for sophomore housing for the academic year. East Campus: Congressional and Federal Halls (See note on page 5) East Campus residence halls are traditional style living environments (double occupancy room), but feature a private bath shared by the two students living in that room. East Campus will house approximately 570 students. Hughes Hall A traditional residence hall with corridor-style rooms and shared floor bathrooms. There will be aproximately 100 spaces available to sophomores, juniors, and seniors in this hall. A limited number of triple accommodations will be made available for rising sophomores and upperclass students in the academic year. McDowell Hall A traditional residence hall with corridor-style rooms and shared floor bathrooms. The hall also features six (6)-person doubles in suite-style living with semi-private bath. McDowell Hall provides accommodation for approximately 370 students. A limited number of triple accommodations will be made available for rising sophomores and upperclass students in the academic year. Roper Hall A traditional residence hall with corridor-style rooms and shared floor bathrooms. This option is available to rising sophomore, junior, and senior students participating in the Social Justice Living Learning Community. See page 5 for further details on this community. There are approximately 30 spaces available for returning students in Roper Hall. McDowell Hall Special note: Students who elect to live in semi-private living units with private baths (Cassell Hall, McDowell Hall suites, East Campus residences) are responsible for cleaning their in-unit bathrooms. 7 Rising Upperclass Housing A rising Upperclass student (rising junior or senior) is defined as a student who has lived on campus for four to seven semesters, including Spring A semester abroad is considered one semester of on-campus housing. Residence hall space will be available to a maximum of 400 rising juniors and seniors via the Room Selection Process.* Once those spaces are selected, any remaining juniors and seniors may request to be placed on a waitlist. *Note for transfer students: New transfer students with junior or senior academic standing should contact roomselection@american.edu prior to January 29, Housing Options Anderson Hall A traditional hall with shared floor bathrooms. There will be a limited number of single occupancy rooms available for rising upperclass students. Cassell Hall A suite-style living environment with two or three double occupancy bedrooms housing four (4) or six (6) suitemates who share a bathroom and a living area. Specific floors will be designated for rising junior and senior students. Cassell Hall houses approximately 350 sophomores, juniors, and seniors. Hughes Hall A traditional residence hall with corridor-style rooms and shared floor bathrooms. There will be approximately 100 spaces available to sophomores, juniors, and seniors in this hall. Berkshire Apartments Studio and one-bedroom (both small and medium/large) apartments are available in university-leased spaces at the Berkshire Apartments. All apartments are two-person occupancy (no single occupancy). Rising juniors and seniors may select from approximately 40 spaces in the Berkshire Apartments. Please note: Basic furniture, cable and internet will be provided. Nebraska Hall Apartments Nebraska features two-, three-, and four-person apartments, with single occupancy bedrooms. The most common housing type in Nebraska Hall is a four-person apartment. Students will select from approximately 250 available spaces in this hall. Special note: Students who elect to live in semi-private living units with private baths (Cassell Hall, Nebraska Hall, Berkshire Apartments) are responsible for cleaning their in-unit bathrooms. 8 Living Learning and Special Housing Communities American University offers a number of special living environments known as Living Learning Communities (LLC), where students live together and explore a common interest or academic pursuit. The Residential Community Cluster (RCC) is a living and learning environment located in the McDowell Hall suites, created and implemented by students based on a shared theme, purpose, or partnership. They are completely student-driven and the community can take a number of different forms based on community goals and interests. Students interested in participating in a Residential Community Cluster must complete and submit a separate application by Friday, February 5, 2016 at 5 p.m. EST in addition to each student completing the housing application by Friday, January 29, 2016 at 5 p.m. EST. A link to the application will be available at american.edu/roomselection. Once accepted into the RCC, students will be assigned by Housing & Dining Programs to their new room. No further action by the students will be necessary. The Social Justice LLC is designed for students interested in better understanding and practicing social justice. Students will engage in a wide variety of topics, such as civil rights, women s rights, Gay, Lesbian, Bisexual, and Transgender rights, and other social justice movements.* The community is open to both new and returning students of all majors. To participate, complete the housing application indicating the LLC option.* Students applying for this program will select a room during the LLC room selection day on Wednesday, February 24, Second-year students in the Honors Program or the American University Scholars Program (AU Scholars) are invited to participate in a second year community, located in Hughes Hall. Interested students should sign up or apply with the Honors or AU Scholars office by January 29, 2016 at 5 p.m. EST.* Students should also complete the online housing application. Students will then select a room during the LLC room selection day on Wednesday, February 24, *Students who select the Social Justice LLC on their housing application or who apply for the second year Honors or AU scholars program, will only be able to select housing in their respective LLC during room selection. 9 Housing Application and Selection Process Students may begin the Room Selection Process by accessing their AU Housing Portal. Visit american.edu/roomselection for additional information. Step 1: Online Housing Application All students interested in living on campus MUST complete a housing application by Friday, January 29, 2016 at 5 p.m. EST. Students who miss this deadline will no longer be eligible to participate in the Returning Room Selection Process. Page 9

10 Housing Application and Selection Process Step 2: Selection of Group Name All students interested in selecting housing must create a Group Name for their group by Friday, February 19, 2016 at 5 p.m. EST. Groups Of Two Or More: Students can create a roommate group in the AU Housing Portal. Each group must select a group leader. Group leaders will be responsible for selecting housing for all members of their group. The group leader may be re-assigned at any point. Students in a group of two or more can choose Create a new group or Add yourself to a group that another student has created. Students also have the option to Browse Potential Roommates or create or join a group. See illustration below: Students Selecting as Individuals (not selecting with pre-determined roommates): Students without a roommate must create a group name and select themselves as group leader, regardless of the room size they plan to choose. They may do so by clicking the Create a Group Name option in the AU Housing Portal. Page 10

11 Housing Application and Selection Process Step 3: Room Selection Students will select their actual building and room between February 24 and March 2, Following the selection of Group Name process, Housing & Dining Programs will groups on Tuesday, February 23, 2016 to indicate the date and time groups will select housing. Selection dates and times will be randomly assigned, however priority is provided to groups that can completely fill a living unit. Students selecting the Social Justice Living Learning community, students selected for the second-year Honors Program, and the second-year American University Scholars Program (AU Scholars) will select on Wednesday, February 24, Rising juniors and seniors will select on Wednesday, February 24 or Tuesday, March 1, Rising sophomores will select on Thursday, February 25 or Wednesday, March 2, IMPORTANT NOTES Groups will be ed on February 23 with the assigned date and time to select housing. Housing can be selected at or after the appointed time on that date only. Upperclass (junior and senior) housing is limited, so missing your selection period will limit your housing options/availability. Group leaders can pass the group leader role to another group member at any time using the reassign group leader tool in the AU Housing Portal. On February 24 and February 25, 2016 only group leaders will be eligible to select housing. Group leaders will be required to select housing for all group members during this time. Additionally the group leader may only select spaces for group members within the same room or suite. On March 1 and 2, 2016, all group members can select housing for their group. If there is no longer housing that accommodates all group members, groups can decide to separate and make selections individually. Group members will receive an automated when anyone in their group is assigned housing. Eligible students currently abroad should complete all steps of the application by all deadlines. If unable to make your housing selection at the designated time, either designate a group member (if applicable) to select your room or roomselection@american.edu by February 23, 2016 to have a Housing & Dining Programs staff member select for you. By selecting a room during Step 3, students understand that they agree to and accept the terms of the Housing License Agreement. Due to the high demand for on-campus housing, students may not be able to select a specific room during Step 3. Students that have successfully completed Step 1 and Step 2 but discover no spaces are available during their assigned selection date/time will have the opportunity to complete a Pending Housing Application to indicate their continued interest in on-campus housing. Housing & Dining Programs will administratively assign these pending assignment students as space becomes available. Pending Assignment students can expect to be assigned by July 31, 2016, and are committed to the full terms of the Housing License Agreement. Page 11

12 Room Selection Scenarios Please review the below scenarios as a guide for how to successfully navigate the room selection process. If you have any questions, please contact roomselection@american.edu or attend an Information Session (p. 15). Scenario 1: Rising Sophomore Student Nick, Michael, David and Chris, all sophomores, wish to live together. They select a group name by February 19 and select Chris to be their group leader. Housing & Dining Programs contacts Chris group on February 23 to share that they are selected to participate in room selection on Thursday, February 25 at 2 p.m. Chris is unavailable at 2 p.m. on that date, so he passes group leadership responsibilities to David through the AU Housing Portal. The group had discussed that their first choice was to live in Cassell Hall. When David logs on at 2 p.m, he is able to select a four-person suite in Cassell Hall. Scenario 2: Rising Upperclass Student Marisa, Courtney, Rachel, Jasmin, Liz and Alicia, all junior and senior students, wish to live together. They select a group name by February 19 and select Courtney as their group leader. Housing & Dining Programs s Courtney s group on February 23 to share that they are not able to be offered a six-person unit together. They are encouraged to form smaller groups by February 26 in order to participate in room selection on March 1. Marisa, Courtney, Rachel and Jasmin decide to form a new group of four. Liz and Alicia form a group of two, declaring Liz their Group Leader. Courtney and Liz s group is ed on Monday, February 29 with a new time and date to select for their new group. Courtney selects a four-person apartment in Nebraska Hall on Wednesday, March 2 at 10:30 a.m. Liz selects a double room in Cassell on Wednesday, March 2 at 11:45 a.m. Scenario 3: Individual Student Joel is a junior student without a specific roommate preference. He is very interested in living in Nebraska Hall. He selects a group name by himself by February 19. Housing & Dining Programs s Joel on February 23 to share that he will select housing on Wednesday, March 2 at 11 a.m. Joel logs on at 11 a.m. and selects a bed in a partially vacant room/suite/apartment. 13 Room Selection Scenarios Scenario 4: LLC Julia and Mashaal, both sophomore students, wish to live together. They select a group name and assign Mashaal as the group leader. During Step 1: Online Housing Application, they decide they wish to be part of the Social Justice LLC. Housing & Dining Programs s Mashaal and Julia that their selection time is February 24 at 10:30 a.m. Mashaal logs in at 10:35 a.m. and selects a room on the Social Justice floor in Roper Hall. Scenario 5: Open Gender Lindsay, Jim, Martha, and Robert, all rising upperclass students, wish to live together in Cassell Hall. They know that in order to live in a mixed gender suite they need to be able to fill the entire suite. They select a group name by February 19 and select Jim to be their group leader. Housing & Dining Programs s Jim s group on February 23 to share that they are selected to participate in room selection on Wednesday, February 24 at 3:30 p.m. During his time slot, Jim notices that all the four-person apartments in Cassell are filled. He tells his group and they decide to select Nebraska Hall apartments. He selects a room for each of them in Nebraska Hall. Scenario 6: East Campus Sasha and Klara, rising sophomores, wish to live in one of the residence halls on East Campus. They select a group name by February 19 and decide that Klara will be the group leader. Housing & Dining Programs s Klara s group on February 23 to share that they are selected to participate in room selection on Thursday, February 25 at 9:30 a.m. During her timeslot, Klara selects a space in Federal Hall for both herself and Sasha. After she selects a room for them, she is directed to select an alternate housing option in the event that Federal Hall might not be ready for occupancy by August. She selects alternate housing options for herself and Sasha. Scenario 7: No Available Spaces Jane, a sophomore, is selecting as an individual. During her selection period, she finds that there are no remaining spaces available. Jane completes a pending housing application through the AU Housing Portal and indicates her housing preferences. Jane indicates her first preference as a double in Federal Hall, and her second as a traditional double. On June 2, she receives an confirming her assignment to a traditional double space in McDowell Hall. Page 13
