3 FOOD & FUND DRIVE PACKET Aloha! Thank you so much for your interest in holding a food drive to support the Hawaii Foodbank. We are always very grateful for those in the community who want to help us feed our island s hungry. Community food drives are extremely important in that they bring in much needed canned goods to the Foodbank, which we rarely receive from other donors (manufacturers, retailers, wholesalers). Please take a look through this packet to see how best to run a food drive. There are two forms that we ask you to complete and submit to us: Community Food Drive Registra on Form (at the start of your drive): The registra on form helps us to keep track of all community events being held on our behalf. It asks for your contact informa on and keeps track of any supplies you have requested. Food and Fund Drive Report Form (at the end of your drive): The report helps us to keep track of food and monetary dona ons that were delivered to us. Because food and monetary dona ons are tracked by different departments, this form alerts us to what we should be expec ng. Food Drive Box Label: In addi on, we ask that you label all food dona on boxes with a Box Label. 4 ABOUT THE HAWAII FOODBANK THE HAWAII FOODBANK MISSION STATEMENT The people of Hawaii are one ohana. The Hawaii Foodbank provides food so that no one in our family goes hungry. We work to gather food and support from our communi es. We then distribute food through charitable agencies to those in need. Our mission is from the heart, and we will fulfill our mission with integrity, humanity and aloha. WHAT IS THE HAWAII FOODBANK? The Hawaii Foodbank is the only nonprofit 501(c)(3) agency in the state of Hawaii that collects, warehouses and distributes mass quanes of both perishable and nonperishable food to over 200 charitable agencies on Oahu and Kauai. The Hawaii Foodbank forms a vital link with food donors, charitable agencies and the hungry in Hawaii by collec ng, inspec ng, storing and distribu ng donated and purchased food. Last year, the Hawaii Foodbank on Oahu and Kauai distributed statewide over 13.4 million pounds of food, including 3.7 million pounds of fresh produce to feed families in need. The Hawaii Foodbank has served the people of Hawaii for 29 years. HISTORY John White came to Hawaii in 1964 as a graduate student to study for his doctorate in Poli cal Science at the University of Hawaii. A er seeing the growing number of people who needed emergency food, he dropped his studies and dedicated his life to making the Hawaii Foodbank a reality. In 1982, John worked with the Health and Community Services Council (HCSC) and the An Hunger Coali on, to organize a Food Bank Workshop conducted by a representa ve of the Cleveland Foodbank. As a result of the workshop, a Foodbank Steering Commi ee was formed to begin a local food bank in Hawaii. That same year, the Good Samaritan Law governing food dona ons was passed by the Hawaii State Legislature. The law encourages food donors to contribute unmarketable goods by protec ng them from liability, except in cases of gross negligence or wanton acts. With a food bank model in one hand and determina on in another, John White opened the first Hawaii Foodbank warehouse on Sand Island Access Road in Opera ng on a shoestring budget, the Hawaii Foodbank distributed 380,000 pounds of food to 75 member agencies in its first year of opera on.

5 HUNGER IN HAWAII 1 in 5 of Hawaii s residents needs emergency food assistance. Through its network of island food banks, local food pantries and meal programs, Hawaii Foodbank is providing food assistance to more than 123,000 households encompassing 287,000 Islanders including 47,894 keiki, and over 46,000 kupuna Low Wages, Underemployment, Unemployment Drive Need 75% of client households have incomes that fall at or below the federal poverty level. Client Households Have To Make Tough Choices 56% have had to choose between food and medicine/medical care. 48% have had to choose between food and paying for housing. 28% of client households make these choices EVERY MONTH Source: Hunger in America 2014 For more information about Hunger in Hawaii, visit

6 HAWAII FOODBANK MOST WANTED ITEMS In Hawaii, one in five residents needs emergency food assistance each year. Your help is needed all year long. FINANCIAL CONTRIBUTIONS CANNED PROTEINS CANNED MEALS CANNED VEGETABLES CANNED FRUITS RICE FINANCIAL CONTRIBUTIONS: Your $10 dona on enables the Hawaii Foodbank to distribute food for 25 meals. MEAT TUNA CHICKEN STEW SPAGHETTI CHILI

7 HOW TO RUN A FOOD AND/OR FUND DRIVE 1 DETERMINE THE BASICS OF YOUR DRIVE: Decide if you will collect FOOD, RAISE MONEY OR BOTH. Set the START AND END DATES of your Drive. Get BOXES to hold food dona ons. Designate a collec on and storage area. Are you going to hold any SPECIAL ACTIVITIES during your drive? Bake sales Departmental compeons PLAN YOUR DELIVERY to the Hawaii Foodbank. ESTABLISH GOALS for your organiza on: 10 pounds or $10 per person 100% par cipa on 2 3 ASK FOR SUPPORT: Have your boss ENDORSE your food drive. Get a CORE GROUP OF VOLUNTEERS involved to help you. Create a plan for FREQUENT COMMUNICATION among your core group of volunteers in order to gauge progress and troubleshoot challenges. Will your company MATCH A PORTION OF THE DONATIONS collected? BRAINSTORM WAYS TO GET THE WORD OUT: ADVERTISE throughout your community and/or organiza on. BE CREATIVE! Create flyers, e mail no ces and newsle ers. Hold a KICKOFF at the start of your drive. Invite a Hawaii Foodbank representa ve to speak at your kickoff. Are there OTHER POTENTIAL DONORS to your drive (clients, vendors, building tenants)? Brainstorm ways on how to get them involved.

8 HOW TO RUN A FOOD AND/OR FUND DRIVE (CONTINUED) 4 GENERATE 5 TRACK ENTHUSIASM AND PARTICIPATION: DECORATE your Collec on Boxes (drawings, flyers, colorful wrapping). Plan SPECIAL THEME DAYS such as Meal Mondays, Tuna Tuesdays (using the Top 5 Most Wanted items as your guide). Encourage FRIENDLY COMPETITION. Set up a TOUR of the Hawaii Foodbank warehouse. Play the Hawaii Foodbank AGENCY & CLIENT TESTIMONIAL VIDEOS at your next staff mee ng or in the lunch room. YOUR PROGRESS: UPDATE employees & donors with progress reports How much you have collects so far How much of your goal you have a ained How much more to go! POST UPDATES in a high traffic area or announce them in mee ngs 6 FINAL STEPS: RECRUIT FELLOW EMPLOYEES and company vehicles to transport your collected food to one of the Food Drive sites on Saturday, April 19, 2014, or deliver your dona ons to the Hawaii Foodbank warehouse on a weekday prior to April 19. To ensure PROPER ACKNOWLEDGEMENT: Submit a FOOD AND FUND DRIVE REPORT Label every box of food with the FOOD BOX LABEL TAX INFORMATION: CHECK DONATIONS will be issued an acknowledgement via mail CASH DONATIONS will be credited to the par cipa ng organiza on, unless individual donor s name and address are submi ed FOOD DONATIONS will be credited to the par cipa ng organiza on SHARE YOUR RESULTS and send THANK YOU LETTERS to donors and coordinators

9 WAYS TO ENERGIZE YOUR FOOD OR FUND DRIVE FOSTER FRIENDLY COMPETITION Create a compeon among departments. Reward the winning team or top solicitor. Publicly recognize each dona on with a Paper Can Display and display cans on a wall in the store or office. Assign specific items from The Most Wanted list to each team. Or reward the team that donates the most well balanced collec on of food. Organize a Box Decora ng Contest. Employees can vote with one canned good in the box they like the best. Reward the winning entry. CREATE AN INCENTIVE FOR PEOPLE TO GIVE Offer a discount on purchase, when a customer brings in a certain amount of canned goods from The Most Wanted list. Auc on off prime parking stalls for a designated length of me to the highest bidder. Drawing for prizes: Designate the entry fee (or a por on of the fee) as a dona on to the Hawaii Foodbank. Sell passes for casual dress days ($5 for one day or $20 for five days). MAKE IT FUN Hold bake, bento and/or white elephant sales. Decorate paper bags for people to take home, fill with food and return. Create a giant thermometer to track your progress toward your goal. Place the thermometer in a visible area and update regularly.

10 FREQUENTLY ASKED QUESTION How can I help the Hawaii Foodbank the most? Monetary dona ons provide the greatest return to the Hawaii Foodbank. Every $10 you donate allows us to distribute food for 25 meals. What type of food is most needed? Non perishable items: canned meats / tuna, canned meals (spaghe, chili, beef stew), canned soups, canned vegetables and canned fruits. How does my dona on get to the Hawaii Foodbank? We encourage you to drop off your dona on directly to our warehouse located at 2611 Kilihau Street, as this will help us to save on transporta on costs. However, if you cannot transport your dona on, please arrange for a pickup with our dispatch at or coordinate with our staff (addi onal instruc ons on registra on form). Please make sure that EVERY box is marked clearly with a Food Box Label including organiza on name, contact person and address. Where are you located? The Hawaii Foodbank is located in Mapunapuna off of Nimitz Hwy. at 2611 Kilihau Street. What are your hours? The Hawaii Foodbank accepts food and monetary dona ons Monday through Friday from 8:00 a.m. 4:45 p.m. What supplies does the Hawaii Foodbank offer to assist in my Food and Fund Drive? Food Drive Banners are available to help publicize your food drive. The Hawaii Foodbank Logo is available via e mail if you re planning to print your own flyer or banners. Top 5 Most Wanted Items flyer lists our top five most needed canned goods and is available to distribute to your employees, clients or customers. Fact Booklets are available to explain who we are, what we do, who we help, and where our funding comes from. Dona on Canisters are available to collect your monetary dona ons.
