Run the Update This will update your system from Version 8.0 to Version 8.1. A er downloading the Version 8.1 update file from the PC Synergy website* to your Windows desktop, follow these steps. PostalMate network users: Every sta on must be updated one at a me, star ng with the Master. 1. Do a PostalMate backup. 2. Close all programs on all worksta ons. 3. Double click on the downloaded file.* This will extract the necessary files and ini ate the update. 4. Follow the steps in the install wizard un l complete. * If upda ng from a CD, insert the CD. When the menu appears, click on Update to Version 8.1 Page 1

2 Set Retail Rates for New Offerings Retail shipping rates Rates for new services Running the update will automa cally load new Published rates for the new services into your system, as well as Wholesale rates based on your FedEx Express er; you ll need to establish your Retail rates: 1. From PostalMate s main menu, choose Tools > PostalMate Se ngs, and select Set Shipping Rates on the le. 2. Use either the Global rate se ng feature OR Click on Weight based services, and set rates for: FedEx 2Day A.M. FedEx 2Day A.M. [AK] Then click on Fixed Rate services, and set rates for: FedEx 2Day A.M. Envelope FedEx 2Day A.M. [AK] Envelope USPS Priority Flat Rate (Priority Mail Large Flat Rate Box for APO/FPO). Remain in PostalMate Se ngs. Rates for new add ons Retail add on rates 1. From PostalMate Se ngs, select Add On Rates on the le. 2. Select FedEx and, if desired, enter a retail rate for: Hold at FedEx Loca on (FedEx does not charge a fee for this) 3. Select FedEx Gr and, if desired, enter a retail rate for: Hold at FedEx Loca on (FedEx does not charge a fee for this) 4. Select UPS and enter retail rates for: Dry Ice (Medical) (UPS does not charge a fee for this) Dry Ice (Non medical, <=5.5 lbs) (UPS does not charge a fee for this) Dry Ice (Non medical, >5.5 lbs) (Wholesale is $5.00) Remain in PostalMate Se ngs Rates for new Surcharges Retail surcharge rates 1. From PostalMate Se ngs, select Surcharge Rates on the le. 2. Select FedEx and enter retail rates for: Addi onal Handling (Wholesale is $8.00) Addl Handl (Freight) (Wholesale is $100.00) Remain in PostalMate Se ngs. Page 2

3 Rates for new insurance Retail insurance rates PostalMate now supports USPS insurance for Global Express Guaranteed (GXG) and Express Interna onal services. If you intend to use either or both of these, you ll need to set markups for them. 1. From PostalMate Se ngs, choose Insurance Rates on the le. 2. For USPS Express Interna onal and USPS GXG, enter a percentage markup (or margin if you prefer) and/or a flat dollar amount. Remain in PostalMate Se ngs. Add New Services to Rate Comparison Tabs You can choose which tabs on the Rate Comparison screen will display the new services. This includes the new FedEx 2Day A.M. services, and also USPS Priority Mail (domes c and interna onal) for carrier branded packaging. 1. From PostalMate Se ngs, choose Addi onal Se ngs on the le. 2. Click the Shipping Se ngs bu on, then on the Service Display tab. 3. With the Parcels bu on selected, click on the tab where you d like the new services to appear in Rate Comparison. 4. Expand the list of services under Federal Express, and check the boxes next to the FedEx 2 Day A.M. services. Repeat this for any other tabs as desired. 5. Select the Carrier Packs bu on, and repeat the previous step. 6. Click on the tab where you d like to have Priority Mail services with tubes displayed. 7. Expand the list under United States Postal Service, and check the boxes next USPS Priority Mail and USPS Priority Mail Interna onal. Repeat this for any other tabs as desired. 8. Click OK. Remain in PostalMate Se ngs. Assign Printer for Dry Ice Label If you intend to use the new UPS Dry Ice add on (see page 6), PostalMate can print the required label for you. You ll need to assign a printer for the new label: 1. From PostalMate Se ngs, select Label Se ngs on the le. 2. Scroll down the bo om of the list. In the Printer Name column for Dry Ice, select the desired printer. 3. Click Save and Close. Repeat this on each worksta on. Page 3

4 This sec on contains a summary of the major changes and enhancements included in Version 8.1. Dim weigh ng and minimum ra ng weights are used for ra ng when applicable Enhancements for carrier branded packaging Useful new packaging informa on. In many cases, carriers will offer several similar packaging op ons that share the same ra ng and business rules, which can be confusing. That s why the Rate Comparison screen now displays a list of the possible packaging op ons that qualify for a given rate just hover over the link under the selected rate. Moving your cursor over the link lists all of the packaging op ons that have the same rate and business rules Dimensions can be entered for expandable carrierbranded packaging types Dim weight ra ng. You may know from experience that some types of carrier packaging specifically those in the pak category can expand greatly when large items are inside, and may then get dim weight ra ng applied when they re scanned at the hub. For such packaging types you can now enter dimensions, so that PostalMate will use dim weight ra ng if applicable. Minimum ra ng weight. Some carrier branded packaging types (mostly boxes and tubes) have a minimum ra ng weight meaning that if the package is lighter than that, it will get rated at the higher weight. For example, the large UPS Express box has a minimum ra ng weight of five pounds when used for domes c services; if the package only weighs two (Con nued on page 5) Page 4

5 (Enhancements for Carrier branded Packaging, con nued from page 4) pounds, you ll be billed at the five pound rate. PostalMate now factors this into its ra ng for all carrier branded packaging. Packaging products updated. Many new carrier branded packaging op ons have been added, and obsolete ones have been eliminated. The terminology for carrier packaging has also been revised across the board, so that it matches as closely as possible what s actually printed on the packaging itself. New look for the Carrier Branded Packaging screen. Formerly tled "Carrier Packaging Class, this screen now has graphics that more closely resembles the range of available carrier branded packaging. This screen has a new, simpler look. Examples of carrier branded packaging will display only for carriers used in your store FedEx additions and changes New service: 2Day A.M. PostalMate now supports this recently introduced service, which provides guaranteed delivery in two business days by 10:30 a.m. to most U.S. addresses (noon to some Zip Codes). New add on: Hold at FedEx Loca on. This allows you to specify on your customer s behalf a FedEx loca on (such as FedEx Office) where the package will be delivered and held for pickup by the recipient, rather than to the recipient s address. FedEx doesn t charge for this op on, so the wholesale and retail rates are set to $0.00 by default. (Con nued on page 6) Page 5

6 (FedEx Addi ons and Changes, con nued from page 5) When you select this add on from the Package Details screen, you ll get a list of up to 10 available pickup loca ons. Hold at FedEx loca on is not available for FedEx Home Delivery, and Saturday hold is only allowed with Priority Overnight or 2Day services. For many years FASC loca ons have been exempt from Addi onal Handling charges, however this exemp on no longer applies to Interna onal or Express Freight services; therefore the Addi onal Handling surcharge will be now applied when appropriate for those services. First Overnight Saturday Delivery. This op on is now supported for des na on zip codes where it s available. UPS Dry Ice This new add on allows you to process dry ice shipments with UPS Air services (dry ice isn t regulated for Ground, and FedEx prohibits dry ice shipments from retail loca ons). When doing a UPS air shipment, you ll see a Dry Ice bu on on the Package Details screen. Clicking on it will display a window asking for more informa on. Contents and weight are required; the contents field will auto populate from the Package Details screen if contents were entered there. Depending on the contents and weight, there are possible varia ons; the correct one will be automa cally invoked. They are: Medical. UPS does not charge an addi onal fee. Non medical, 5.5 pounds or less. UPS does not charge an addi onal fee. Non medical, more than 5.5 pounds. UPS charges $5.00 for this. You may set retail amounts as desired for all three itera ons (see page 2). Page 6

7 Link Noti ications to your website for tracking If you use the No fica on feature, you know that both Shipping and Delivery no fica on s contain the package s tracking number in a hyperlink, and clicking on it leads to the carrier s website where the package can be tracked. You now have two new op ons to instead link to your store s website or any other site you specify that has package tracking capabili es. Op on #1 : Other website (simple). The tracking number will be shown in no fica on, but not as a link. There will be a Track here link that will open the specified web page; the user will have to ini ate tracking. A simple op on is for this text link to lead to your store s (or other specified ) website... Op on #2: Other website (advanced). The tracking number will link to whatever web page you specify, and be inserted into the proper place in the tracking feature. This is done my entering of %%TRKNO%% into the URL. Depending on the website, the tracking may automa cally ini ate....a more advanced op on takes them to your website s tracking page, and may ini ate the tracking process (Con nued on page 8) Page 7

8 ( No fica ons, con nued from page 7) Op on #2 requires some special knowledge about how the website is designed, and some modifica on to the website may be necessary. To select either of the new op ons: 1. From the main menu choose Tools > PostalMate Se ngs. 2. Choose Addi onal Se ngs on the le. 3. Click on No fica on Se ngs. 4. Click on the Tracking Op ons tab, and select the desired op on from the drop down list. Insurance for USPS GXG and Express International PostalMate now supports USPS insurance for Global Express Guaranteed (GXG) and Express Interna onal services. Instruc ons for se ng retail rates for these two new offerings are on page 3. Changes to DHL insurance DHL is in the process of revising its fee structure for coverage. Un l the business rules are clarified and finalized, in PostalMate the first $100 of coverage is no longer free. This change is designed to ensure that you do not inadvertently undercharge. Endicia Settings moved Se ngs for the Encidia interface (for online USPS mailing and shipping) are now located in PostalMate Se ngs: From PostalMate s main menu, go to Tools > PostalMate Se ngs, then click on Endicia Se ngs on the le side.
