3 Welcome to the Customer Accounts Receivable System/Bank Management Service (CARS/BMS). This quick reference PowerPoint will provide you with a high level walk- through on how to run the Preview Comp Plan Statement (formerly known as Preview Monthly Statement).
4 Access Treasury is the start page for financial ins tu ons who receive or process work on behalf of the Treasury. located on the Federal Reserve Bank Services website for the convenience of our customers. The page provides contact names and links to other Treasury services that are available through the Federal Reserve Bank. 4
5 1) Select the Bank Management Service link under Access Treasury Services. The Secure Creden als available to access the Bank Management Service will appear in a pop- up dialogue box. 5
6 1) Click on the appropriate creden al from the list in the dialogue box and Select OK. 2) Input token Password in the login box. 3) Select OK. You will then navigate to the Bank Management Service Home Page. 6

9 1) Verify the Bank Management Reporter role is selected. 2) Select BMI from the menu op ons. 3) Select Enter BMI from the sub- menu op ons. 9
10 4) The BMI Repor ng screen is presented. 5) If necessary, select a Statement Month from the dropdown list. Note: The default month/year is the current Expense Month. If more than one Statement Month is available (the start of a calendar month through the 7 th business day of the calendar month), the dropdown list may be selected. 10
11 6) Enter one or more of the op onal search fields: Comp Plan ID (leading zeros do not need to be entered) and/or; Comp Plan Name (Comp Plan Name is not upper/lower case sensi ve). 7) Click on the Search bu on. Comp Plans that the user has access to and meet the search criteria are presented in the Results grid to the right of the Search sec on. Clear Criteria bu on The Clear Criteria bu on will clear the search fields and the results grid. 11
12 8) Select a record returned in the Results grid: The (Comp) Plan tab of the screen is selected. AFP Codes assigned to the Comp Plan repor ng level and marked as Reported are displayed in the Plan tab. All Sites, DDAs and CANs assigned to the Comp Plan will be presented under the corresponding tab. 9) Enter Volume (op onally select the Replace checkbox). The only editable fields are Volume and Replace checkbox. 1) Entering for AFP Code and clicking the Save bu on would update the current volume to 110, ) Entering for AFP Code and clicking the Save bu on would update the current volume to 90, The Replace checkbox is used to completely reverse previously entered BMI volume (displayed in the Curr Volume column) before processing the Volume entered. In this example: 3) Entering for AFP Code , selec ng the Replace checkbox and clicking the Save bu on would update the current volume to 10, ) Click on the Save bu on once you ve completed entering volume. Note: Always save your work before proceeding to a different repor ng level or screen. Clear Fields bu on The Clear Fields bu on will remove all entries not saved. 12

14 The Preview Comp Plan Statement allows authorized users to view the results of ac vity and monthly analysis regarding the BMI for a specific Comp Plan for a specified Statement Month/Year. 1) Verify the Bank Management Reporter or Rela onship Manager role is selected. 2) Select Inquire/Reports in the menu op ons. 3) Select Preview Comp Plan Statement. 14
15 4) The Preview Comp Plan Statement screen is presented. 5) Select a Statement Month/Year From. 6) Select/enter one or more of the op onal search fields: Select a Statement Month/Year To (recommended); Enter a Monthly Statement ID (leading zeros do not need to be entered); Enter a Comp Plan ID (leading zeros do not need to be entered). 7) Click on the Search bu on. Note: Comp Plan Statements that the user has access to and meet the search criteria are presented in the Results grid (to the right of the Search sec on). 15
16 8) Select a record from the Results grid. 9) The Search sec on collapses. 10) Informa on is populated in the Addi onal Informa on sec on. Search through the necessary tabs (Addl Informa on, Contact Informa on, Monthly Analysis Payments, Emergency/Tracked Payments, Net Gain or Loss, BMI Detail, or Deposit). To generate a report (op onal) - 1) Click on the Run Report bu on. This will produce the selected Preview Comp Plan Statement in PDF format. Note: The report may appear as a new tab or window in your browser. 16
17 2) The Preview Comp Plan Statement is created in PDF format. 3) The Preview Comp Plan Statement can now be saved to your PC or printed. Note: Un l the account analysis cycle has ended and a Monthly Statement is produced, the Bank Management Informa on may change as a result of adjustments processed by the Account Analyst. 17

Upload an Expense Template. Apply an Expense Template.
19 1) The Expense Template is created in Excel format and sent as an a achment to the e- mail address in the user s profile. 2) Before downloading an Expense Template, verify your e- mail address is correct. 3) Select User in the menu op ons. 4) Select My Profile. 19
20 4) The My Profile screen is presented. 5) Verify the informa on in the E- mail Address, First Name, Last Name, Phone Number and Phone Extension are correct. 6) If updates are entered, click the Save bu on. Note: If no updates are made, to exit the current screen or any screen, do the one of the following: 1) Select a different screen from the menu/sub- menu op ons; 2) Or, if applicable, select a different role from the dropdown list. 20
21 Uploading BMI is a 3- step process - Step 1 is to Create an Expense Template (also referred to as downloading a BMI File). Step 2 is to Upload an Expense Template to CARS/BMS. Step 3 is to Apply an Expense Template (or process the file into CARS/ BMS). STEP 1 Create Expense Template Verify the Bank Management Reporter role is selected. Select BMI from the menu op ons. Select Upload BMI Data from the sub- menu op ons. Select Create BMI File. 21
22 5) The Create BMI File screen is presented. 6) If necessary, select a Statement Month from the dropdown list. Note: The default month/year is the current Expense Month. If more than one Statement Month is available (the start of a calendar month through the 7 th business day of the calendar month), the dropdown list may be selected. Select the desired Comp Plan for expense repor ng from the Comp Plan dropdown list. 7) Op onal To obtain a specific repor ng level other than the complete Comp Plan: 1) Select the desired repor ng level (i.e., Site, DDA, or CAN) from the Repor ng Level dropdown list. 2) Select the desired repor ng level ID from the Repor ng Level ID from the dropdown list. Cau on: When a specific Repor ng Level is selected, the Expense Template will only contain informa on for that specified Repor ng Level. 8) Click the Download Expense Template bu on. 22
23 The Expense Template is created in Excel format and sent as an e- mail a achment to the e- mail address in the user s profile. 9) Click on the OK bu on to con nue. 23
24 10) A er a few minutes, check your e- mail for a message from BMS. 11) Open the a achment and save the Expense Template to your PC. Note: When saving, the Expense Template can be renamed. 24
25 12) Open the Expense Template saved on your PC using Excel. Statement Month/Year, Comp Plan ID, Repor ng Level, Repor ng Level ID and AFP Code are displayed and protected for every component matching the download request. Volume and Replace Flag columns are displayed and editable for every component matching the download request. 13) Enter Volume (op onally enter an X in the Replace Flag column) as desired. 1) A Volume entry of (in this example, AFP Code ), increases the Volume reported. 2) A Volume entry of (in this example, AFP Code ), decreases the Volume reported. The Replace Flag column is used to completely reverse previously entered BMI Volume before processing the Volume entered. 3) A Volume entry of with an X in the Replace Flag column (in this example, AFP Code ), replaces any previously entered volume, for the current expense month, with ) Once all entries have been made, Save the updated Expense Template. 15) Proceed to Step 2 of the 3- step process. 25
26 Step 2 Upload Expense Template 1) Verify the Bank Management Reporter role is selected. 2) Select BMI from the menu op ons. 3) Select Upload BMI Data from the sub- menu op ons. 4) Select Upload BMI File. 26
27 5) The Upload BMI File screen is presented. 6) Click on the Browse For Files bu on. 27
28 7) The Windows File selector is presented. 8) Select the updated Expense Template saved on your PC and click the Open bu on. Note: CARS/BMS allows mul ple Expense Templates to be uploaded. 28
29 9) The Expense Templates appear in the Selected Files list. If you selected the incorrect file(s) for upload: 1) Select the file in ques on. 2) Click on the Remove bu on, or on the Clear All bu on to clear the Selected Files to Upload list. 10) Select the Expense Template. 11) Click on the Upload bu on. Note: CARS/BMS allows mul ple Expense Templates to be uploaded. To upload all Expense Templates at once found in the Selected Files to Upload list: 1) Do not select an Expense Template. 2) Click on the Upload bu on. 29
30 12) The Expense Template is removed from the Selected Files list and validated. 13) Results of the valida on appear in the Status Log. Note: The result must say Upload Complete to con nue. 14) A er the Expense Template is successfully uploaded, proceed to Step 3 of the 3- step process. 30
31 STEP 3 Apply Expense Template Select BMI from the menu op ons Select Upload BMI Data from the sub- menu op ons Select Apply BMI File. 31
32 The Apply BMI File screen is presented. 4) Select the desired file (Expense Template). Op onal, click the View Excel File bu on to view the file prior to processing. Op onal, click the Delete File bu on to delete the file without processing. 5) Click on the Apply BMI Spreadsheet bu on to process the file. Cau on: Once the file has been processed (Apply BMI Spreadsheet bu on was clicked), the file cannot be deleted. 32
33 6) A confirma on message is received when the Expense Template is successfully applied. 7) Click on the OK bu on. At this point the Expense Template has been processed. 8) Op onal, verify volume was processed with one of the following: Enter BMI 1) Select BMI in the menu op ons. 2) Select Enter BMI. BMI Detail Query 1) Select Inquire/Reports in the menu op ons. 2) Select BMI Detail Query. Preview Comp Plan Statement 1) Select Inquire/Reports in the menu op ons. 2) Select Preview Comp Plan Statement. 33

35 Before a UPR can setup a CARS/BMS user, several preceding tasks must have been performed: 1) The CARS/BMS user requested, received, and installed the proper digital creden al. 2) The CARS/BMS user a empted to login and received a message that the UPR has been informed. 3) The UPR received an e- mail from CARS/BMS asking them to complete the user s profile. User setup in CARS/BMS is a 3- step process: Step 1 is to assign a Role. Step 2 is to assign Func ons to that role. Step 3 is to assign Data Permissions to that role. STEP 1 Assign Role 1) Verify the User Profile Requester role is selected. 2) Select Security in the menu op ons. 3) Select User. 35
36 4) The User Maintenance screen is presented. 5) Enter one or more of the Search fields (usually First Name and/or Last Name). 6) Click on the Search bu on. 36
37 7) Select the user from the User List sec on of the Results grid to the right of the Search sec on. 8) CARS/BMS will return a message that the selected user has no roles assigned. 9) Click on the OK bu on to con nue. 37
38 10) The Role tab is presented. 11) Select a role (i.e., Bank Management Reporter, Rela onship Manager, or User Profile Requestor (UPR)) from the Role dropdown list. 12) Select Ac ve from the Role Status dropdown list. 13) Select an Effec ve Date (current date or future date). Note: If you want the role to be effec ve immediately, it is recommended you select the same date as the System Date. 14) Click on the Add bu on. Future Effec ve Date - When a future Effec ve Date is selected, the record/role will become available that specified date. 38
39 15) CARS/BMS will return a message that the role was saved successfully. 16) Click on the OK bu on to con nue. 17) Select Access tab. 39
40 18) The Access tab Informa on is generated automa cally a er the Role has been added. Confirm Change Model is set to correct model if more than one model is established for the associated User ABA and role- for Financial Management Services, Federal Reserve Bank, or Financial Intui on user. 19) A er the role (i.e., Bank Management Reporter) is assigned, proceed to Step 2 of the 3- step process. 40
41 STEP 2 Assign Func ons 1) Select a role (i.e., Bank Management Reporter) in the Role List sec on of the screen. Note: You may have to perform a Search (by clicking on the Search bu on) and select the user from the Results grid. 2) Click on the View Func ons/permissions bu on. 41
42 3) Assign all or a subset of func ons available to the role by checking the selec on box for specific func on(s) Note: If assigning all func ons, click on the le checkbox within the View column and the Update column. 4) Click the Accept Changes bu on. 5) The system will return a message that the user func ons were saved successfully. 6) Click the OK bu on to con nue. 7) A er func ons are assigned to the role (i.e., Bank Management Reporter), proceed to Step 3 of the 3- step process. View and Update View allows for the par cular func on to be visible to the user. Update allows for the par cular func on be visible and updatable. The box to the le of the View and Update columns is the same as Select All. The box to the right of the View and Update columns is the same as Remove All. 42
43 STEP 3 Assign Data Permissions 1) Select the Permissions tab. 43
44 2) The Permissions tab is presented. 3) Select ABA from the Permission Type list. The Permission Value presents the user with 3 radio bu ons All, None, Custom. To assign all your ABA permission(s) to the Bank Management Reporter: 1) Select a Permission Value of All. 4) Click on the Accept Changes bu on. 5) Follow steps 2 3 for the remaining Permission Types. Note: It is recommended to select All for Community, since FI is the only Data Permission available. All, None, Custom Selec ng All will give the user all of the UPR s data permissions for the selected Permission Type. Selec ng None will not give the user any of the UPR s data permissions for the selected Permission Type. Selec ng Custom will allow the UPR to give the user a subset of the UPR s data permissions for the selected Permission Type. 44
45 To assign a subset of your ABA permission(s) to the Bank Management Reporter 1) Select ABA from the Permission Type list. 2) Select a Permission Value of Custom. 3) All ABAs available to the UPR to assign are listed in the Available List Matching. 45
46 4) Select one or more ABAs from the Available List. Note: To select mul ple ABAs, hold [Ctrl] + le - clicking on the mouse over the desired data permissions 5) Click on the Add To bu on. The selected records will move from the Available List sec on to the Selected List sec on. 6) Click on the Accept Changes bu on. 46
47 7) CARS/BMS will return a message that the user permissions were saved successfully. 8) Repeat the process for Account Type, CAN, Community, Comp Plan and Statement ID permissions in the same manner. 47
