1 PowerPoint Work Shop Series Intro to Power Point Working with PowerPoint Accessing PowerPoint Presentations Session 1: Intro to PowerPoint Objectives- Following the workshop, Intro to PowerPoint, attendees will be able to: Open PowerPoint utilizing: Content Wizard Template Blank presentation Existing presentation Have knowledge of: Toolbars Common Tasks bar Altering Views Shortcuts Build a simple presentation in Outline View Save a presentation What is PowerPoint Opening PowerPoint PowerPoint is a complete presentation graphics package. The program supplies everything you need to produce a professional looking presentation. PowerPoint offers word processing, outlining, drawing, graphing, and presentation management in an easy to use package. PowerPoint offers four alternatives to opening a presentation: Content Wizard, Templates, Blank, or an existing presentation.

2 AutoContent Wizard AutoContent Wizard produces an outline for your presentation, including selected background and text format. Choose AutoContent Wizard and click OK button. Follow AutoContent Wizard as it takes you through the process of organizing your presentation. Click Next > button to continue with instructions. At the above screen, select the type of presentation that best suits your goals and objectives by clicking on each subject heading, such as: general, corporate, projects, operations, sales, or personal, and Carnegie Coach. "All" contains the listing of all templates available in the Content Wizard.

3 Click Next > to continue to the next selection process. The above screen asks how your presentation selection will be used, is it to be a normal face to face presentation, or will it be prepared for the Internet or Kiosk. Select Presentations for this workshop. Click Next > to continue. The next screen, illustrated above, has you select the type of output for your presentation. Select On-screen presentation and leave the rest at the default for this workshop. Click Next > to continue.

4 The above screen asks for information concerning presentation title, author, and any additional info you wish to add to your presentation's title slide. Just click and type. Click Next > to continue. You have supplied all the necessary information for the Content Wizard to format your presentation. Click Finish and you will be taken to your newly formatted presentation.

5 Background Layout Outline View This view is considered the Outline View and will be discussed in detail later on. The screen illustrates the Text format you have chosen for the your selected presentation type. Included is a view of the background layout. To add your own text, just highlight existing text and Type. Templates Templates allow you to designate a look and feel to your presentation without the concern of building one from scratch. You can also build your own templates and store them in the Template file for future presentations. Once you select Template, there are three areas in which to choose from: General, Presentation Design, and Presentations.

6 General: takes you to the ContentAuto Wizard and a Blank presentation. Preview Screen Presentation Design: provides you with a consistent background. Click on a design that best suits your presentation. You can quickly view each template by looking at the Preview screen. Preview Screen Presentations: Provides you with a background and text layout much like the ContentAuto Wizard. Just select a presentation style that best suits your goals and objectives. You can quickly view each template by looking at the Preview screen.

7 Blank Presentation Blank presentations allow you to build your presentations from scratch, focusing on content rather than layout. Blank Layout The above New Slide screen appears once you have selected the Blank Presentation as your opening choice. PowerPoint provides a variety of slide layouts for you to choose from. For the purpose of this workshop session, please select the Blank layout. Click OK. Views Once you have opened PowerPoint to fit your needs you are ready to begin building your presentation. There a many ways in which do anything in PowerPoint, from adding and manipulating text, to adding and altering slide layouts. Utilizing Toolbars, Common Task box, the View Menu, and Shortcuts will aid in speeding you along in building a dynamic, motivating, and exciting presentation. Toolbars Toolbar selection allows you to control PowerPoint tools for easy and fast results. The most common used toolbars are: Formatting Animation Effects Common Tasks Drawing Click View in your main Toolbar, select Toolbars to view a submenu of all available tools.

8 Formatting: selecting to view the formatting tool adds the above bar to your screen. It allows you to quickly manipulate text including font size, position, bullets, and color. Just highlight text you want to alter, choose a formatting option. Animation Effects: selecting to view the Animation tool adds the above box to your screen. It allows you to quickly animate text and graphics, including adding transitions and sound. Common Tasks: selecting to view the Common Tasks tool adds the above box to your screen. It allows you to quickly manipulate and add slides to your presentation. This box is discussed in greater detail later on in the manual. Draw: selecting to view the Draw tool adds the above bar to your screen. It allows you to quickly manipulate clip art including color, position, and view. Common Tasks The Common Tasks box contains three selections: New Slide, Slide Layout, and Apply Design.

9 New Slide: adds a new slide to your presentation. At the above screen just choose a new slide format that best suits your needs for the next slide. Click OK. Slide Layout: alters the layout of a slide. At the above screen, choose a new layout for your slide. Click Reapply. Apply Design: adds a background design to your slide. Choose a design that best suits your presentation and click Apply.

10 View Menu In the main menu of PowerPoint, View allows you to quickly access differing slide views that aid in building your slide presentation. There are six main views that we will cover in the series, we will begin with the first five: slide, outline view, slide sorter, notes page, and slide show. Slide view: provides you with a view of the slide in which you are currently working. This is a Slide view Outline view: provides you with a textual view of your slide show which aids in maintaining focus on content rather than on structure and background design. This is an Outline View

11 Slide Sorter view: provides a view of all slides in a presentation within one area. Slide order can be altered by clicking on a slide and dragging it to the desired location. This is the Slide Sorter View Notes Page view: allows for adding textual notes for individual slides for instructors to use during a presentation. Just click and type in the dotted box. This is the Notes Page view

12 Slide Show view: allows you to view your presentation in full screen mode. Just click to go to the next slide in your presentation. This is a Slide Show view Click on arrow and select "End Show" to quit this view. Shortcuts Shortcuts allow for quick selection of many of the above views. The above shortcut selection, found in the main tool bar area, allows for quick access to New Slide, Layout, and Background Design respectively. Just click icon to apply desired function. The above shortcut selection, located at the bottom left corner of your slide screen, allows for quick access to Slide View, Outline View, Slide Sorter, Notes page, and Slide Show, respectively. Just click icon to enter desired view.

13 Building a Presentation Blank Presentation Open a Blank presentation, unless one is already available. PowerPoint prompts you to select a slide layout. PowerPoint's layout defaults with a Title slide. Click OK. Since we do not want to bother with the background design and layout yet, and want to concentrate on the content of the presentation, click on Outline View. From main menu, click View, then click Outline view, or use the shortcut found at the bottom left of screen, click on the icon that illustrates multiple straight lines. Outline menu The above screen shows the Outline View, just click and type to begin adding content to your presentation. Notice the View screen, it provides a single slide view of your text.

14 Outline menu Promote Demote Move Up Move Down Hide Text Reveal Text Manipulating Text Utilizing the side menu in Outline view allows you to add slides, demote and promote text, and alter slide positions. Click Promote arrow to enter text from either a bullet or to a new slide. Click the Demote arrow to add bulleted text. Click the Move Up arrow to move a slide up one position. Click to Move Down arrow to move a slide down one position. Click Hide Text to hide text for easier viewing of slides. Click Reveal Text to open previously hidden text on a slide.

15 Saving To save a PowerPoint presentation, click File in the Main Tool bar, and select "Save As." Save As allows you to insert your own title for the presentation and select where you want to save it on your computer. Type in a title for your presentation in the Save As box. This is a good time to get in the habit of coming up with short, lowercase titles. Creating, naming, and saving your presentation to a specified folder provides you with control of your file and aids in locating it if you choose to upload to the Internet server or WebCT. Click on New (folder) button to create a new folder to hold your presentation file. Click the Save button. Next Workshop sessions covers working in PowerPoint slide presentations.
