1 BYU Conferences and Workshops Young Ambassadors Singing Entertainers 2016 CHECK IN AND ORIENTATION Welcome to YASE! Check in for all participants will be held at the BYU Conference Center from 9:00 10:45 a.m. on July 11 (Session One) and July 18 (Session Two). At check in you will receive a name badge, the agenda, a workshop T shirt, and a meal card. If you are staying in campus housing, you will receive your room assignment and key. Housing meal cards begin with Monday lunch and end with Saturday breakfast. Commuting participants will receive a meal card for lunches (Mon-Fri). Orientation begins at 11:00 a.m. in 2254 BYU Conference Center. Lunch will follow orientation. Classes will begin at 1:30 p.m. in the RB (Richards Building). Please come to the Richards Building prepared to dance and sing. All participants will be taught the same songs and dance routines for auditions & everyone will be placed into a group number. Note: Remember that you cannot wear dance attire to your voice classes or in the cafeterias. Please come to Orientation in Honor Code approved dress. MEALS FOR COMMUTING PARTICIPANTS All camps include daily lunch either in the campus all you can eat cafeterias or on site. Some camp packages include a barbeque or banquet. These are for ALL participants. Please read the Commuting Information PDF on our website for more information. RESIDENCE HALL COUNSELORS Our amazing former Young Ambassadors and current Young Ambassadors will be your counselors in the residence halls! Counselor groups consist of the counselor and 8 12 participants of the same gender. While counselors are not substitutes for parents, they will assist you at the evening activities and after hours. They also conduct devotionals and head counts each night. They look forward to meeting you! CLASSES AND EVENING ACTIVITIES You will receive a complete agenda and a schedule of evening activities when you arrive. Classes include performance seminars, group voice training, and group dance instruction. You will receive group instruction from faculty and performers. Please note the dance classes are a big part of this camp and you will be expected to participate. Participants staying in the residence halls are required to attend all evening activities. Commuting participants are encouraged to attend all the evening activities as well. Activities may include a dance, fireside, a theatre performance, and the Entertainers Showcase. All participants are required to attend all classes and the Final Performance. 1 P age
2 ENTERTAINERS SHOWCASE/MUSIC We hope everyone wants to perform at the Entertainers Showcase! To prepare, read ALL the information listed below and the information regarding the Entertainers Showcase available on the YASE website. The Entertainers Showcase will be held at the Pardoe Theatre, Harris Fine Arts Center on Tuesday, July 12 (session I) and Tuesday, July 19 (session II) from 6:00 10:30 p.m. What is the Entertainers Showcase? The Entertainers Showcase is an opportunity for you to perform in front of the other participants attending the camp and receive written feedback from the current Young Ambassadors and director. Participation in the Showcase is not required; however, all participants are required to attend. Selected individuals will be chosen from the Showcase for the final show. How much time do I have? You have three minutes and no longer than three minutes. We expect you to be considerate of the other performers by timing your number and cutting it (if necessary) before you arrive. Please do not call and ask us if you can extend it by a few seconds three minutes is the limit. Come prepared with your own sheet music (an accompanist will be provided if needed) or a prerecorded track. If you decide to wear a costume (not required), don t forget your shoes. Can I be in two numbers? You may only sing/speak in ONE number. You may help another participant with their showcase number on stage as a prop, standing, sitting in a chair, etc. Can my family come watch me? Family and friends are welcome to attend when you perform. They do not need tickets to attend the Entertainers' Showcase, nor do they need to stay the entire time. More information about the Showcase! These are important read them all! Sign up is done online. You will be sent an in June. We will check all lyrics for the Showcase. Please be in honor code compliance or you will not be allowed to perform. If you are concerned about your choice, call our office at Please do not change lyrics to make the song compliant (copyright violation), choose another song. Please remember that all costumes, choreography and lyrics must comply with the BYU Honor Code. If you bring a pre recorded accompaniment track, it must be on a CD. If you bring a CD be aware that we follow the Los Angeles songwriter Showcase system, which is one song, one CD. Put your name on your CD! If you bring sheet music, bring a copy if you are using our accompanist. Write your name, address, and page number on every page of your sheet music. We do not want your master and we cannot take song books. You must turn in your music at registration. Please don t leave it in your car. Come prepared! Sign up to practice with the accompanist will be done at check in. 2 P age
3 All CDs must be picked up on Friday after the final performance from the Head Counselor. Any CDs left will be sent to BYU Lost and Found. If you do not sign up online and wait until check-in: o please have the name of the song, the musical (if applicable) and the composer(s) with you AND your sheet music (if applicable). We will ask you for it at check-in. o You will be assigned a performance time, you cannot request one at check-in. The following song list may be used for numbers in the final show, please do not use them for your Entertainers Showcase number. Circle of Life Ease on Down the Road Family I Won t Say I m in Love Let s Hear it for the Boy Life is a Highway Love You I Do Shower the People Singing in the Rain We'll Be There/Journey of No End Zero to Hero FINAL SHOW The final show will consist of participant group performances from the Young Ambassadors' repertoire interspersed with selected solos and small group performances chosen from the Entertainers' Showcase. All participants will perform in the final show on Friday, July 15, 2016 (Session I) or Friday, July 22, 2016 (Session II). The performances will be held in the BYU Pardoe Theatre in the Harris Fine Arts Center. Because of the limited seating capacity in the Pardoe Theatre, there will be TWO performances each Friday night. The first will start at 6:00 p.m. and the second will start at 8:00 p.m. Those chosen to perform as soloists will perform in one show only (soloists will receive tickets to the show they are performing in). The group performances will be in both shows. Pardoe Theatre, BYU Harris Fine Arts Center (HFAC) Friday, July 15, 2016 (session I) Friday, July 22, 2016 (session II) 6:00 7:30 p.m. (first show)* and 8:00 9:30 p.m. (second show)* Participants in session one will receive ten tickets for one show on July 15, and participants in session two will receive ten tickets for one show on July 22. Participants will have the opportunity to request tickets for the early or late show at check in. Participants will be told what time their tickets are for on Wednesday afternoon (if they do not request a particular time). Participants are responsible for contacting family regarding which tickets they have received. Tickets will be held at the YASE will call desk under the participant s name. 3 P age
4 The YASE will call desk will be set up and opened at 5:00 p.m. The table will be located in the 3 rd floor lobby of the HFAC, on the north end, next to the entrance of the Pardoe Theatre and will be open from 5:00 8:00 p.m. The doors of the Pardoe Theatre will open at 5:30 p.m. (first show)* and 7:45 p.m. (second show)*. The theatre will be cleared between performances. Empty seats will be opened at 5:55 p.m. and 7:55 p.m. for those in the stand by lines. *Times subject to change RECEIPT You should have received an e mail copy of your receipt upon registration. Please verify that all information (dates, payment amount, etc.) is correct. Please notify us if you see an error. ON-CAMPUS FOOD AND HOUSING PACKING YOUR BAGS (Items suggested for campus housing participants) Alarm clock Camera/Charger Clothing for dance classes (see rehearsal attire doc.), casual wear, Sunday dress (fireside) Hangers Journal Large water bottle Light jacket/sweater Other toiletry items as needed (hairspray, hairdryer, deodorant (important!), etc.) Scriptures (Bible, Book of Mormon, D&C, Pearl of Great Price) Shampoo, conditioner, soap Shoes (including those for concerts, dance classes, casual wear, etc.) Flip flops are okay for residence halls only. (Jazz shoes are not required, bring them if you have a pair you have broken in). You can dance in bare feet or tennis shoes Small amount of spending money Small fan (residence halls can get hot) Sunscreen Sweats/Lounging wear/robe Towels Please note that theft is prevalent on campus during the summer. We recommend leaving your laptop, ipad, Kindle, tablets, MP3 players, etc. at home. If you do bring your phone to campus, remember it has to be on silent during class time or activities, no headphones are allowed in classes. Wifi is not available in the residence halls. Participants purchasing the housing package will stay in BYU residence halls; the cost includes breakfast, lunch, and dinner, and counselor supervision. Each participant will receive a key for their room/hall. Please be aware that there is a $30 fee for lost room keys. Roommates are assigned by the camp staff (unless a roommate was requested upon registration). You will be assigned a roommate who is attending the same camp. 4 P age
5 Members of the opposite sex are not allowed in personal rooms for any reason, but are welcome in the main floor lobby areas during visitor s hours. Violations will result in immediate dismissal from the program without a refund. Participants and their parent/guardian are liable for any damage they cause to university property, equipment, or facilities. Each room has two single beds, desks, clothes closet and mirrors. A furnished linen packet includes sheets, towels, washcloth, pillowcase, pillow and blanket. There are shared bathroom facilities on the floor. (There are no private baths.) There is only one towel change on Wednesday so you may want to bring an extra towel from home. The halls have a/c, but you may want to bring a small fan from home. LATE ARRIVALS If you are going to arrive late, please call and inform us of your approximate arrival time. TRAVEL Driving Instructions to the BYU Conference Center: If you are driving to Provo via I 15 southbound or northbound, take the BYU Orem University Parkway Exit (#269), and head east toward Y mountain (big Y painted on it). This street (University Parkway) will take you past UVU, University Mall and bring you into Provo. Continue following University Parkway past Lavell Edwards Stadium (on your left) and the Marriott Center (on your right). The BYU Conference Center is the last building on your right, just after the Marriott Center (there is a big grassy field on the east side). PARK ON THE WEST SIDE. The building will be under construction when you arrive so you will need to enter from the South. Leave your luggage in your car while you check in. You will receive a map to the Residence Halls where you will take your luggage. Orientation is at 11:00 a.m. back at the BYU Conference Center. PARKING AND PARTICIPANT PERSONAL VEHICLES We do not encourage you to bring your car to campus. If you need to bring a vehicle please plan on parking in the Helaman Halls parking lots. There is a lot of construction on campus this year; because of this, there is limited parking. You are not allowed to use your car to transport other participants during the camp. If you are staying in housing, you are not allowed to go off campus unless you have a parental release form stating where, with whom, and when you will be gone. AIR TRAVEL If you are arriving by plane, there are several commercial shuttle services available to transport you from the Salt Lake International Airport to Provo for a nominal fee. These can be found on the internet by searching Utah airport shuttles. Advanced reservations are required. Have your flight number and your arrival time ready when you call. Have the driver take you to the BYU Conference Center (Monday morning) or BYU Cannon Commons. Please note that BYU is not affiliated with any shuttle services. 5 Page
6 Express Shuttle (Please make advanced reservations!) $30-$35 for first person Approximate cost one way (subject to change): Online reservations available at Important note for parents: When using any Salt Lake City airport shuttle service please be sure that they will drop off your child at appropriate check in location on campus. Some shuttle agencies will only take the rider to the BYU Marriott Center. INSURANCE BYU Conferences and Workshops provides a limited accident policy for all participants. Any accident related costs beyond the limit of this policy are the responsibility of each participant. Participants must carry primary insurance for the workshop. Medical expenses incurred due to illness are not covered. All participants will be treated at the BYU Student Health Center or local instant care unless the nature of the injury dictates otherwise. Parents/guardians are responsible for payment of transportation and treatment of their son/daughter. If a participant is taking medication of any kind, please be sure it is indicated on the registration form. (You can call the registration office at if you need to add additional information). This will allow you to receive medical attention more quickly in case of an emergency. CLIMATE Brigham Young University is located in Provo, Utah, approximately 4,500 feet above sea level. Summer daytime temperatures range between 85 and 100 degrees and evening temperatures cool to between 55 and 65 degrees (F). CANCELLATIONS AND REFUNDS Only the parent/guardian of a participant has the authority to request a refund. A nonrefundable handling fee of $50 will be assessed on all cancellations requested before the deadlines listed below. If you are attending Session I, the refund deadline is 5:00 p.m. Monday, June 27, The refund deadline for Session II is 5:00 p.m. Friday, July 1, No refunds will be given after these dates. Brigham Young University or its affiliates are not responsible for any change or cancellation charges made or required by airlines, travel agencies, or other institutions. The refund process will take between working days. You will be reimbursed in the same way you made the payment. HONOR CODE INFORMATION THE FOLLOWING ARE THE RESPONSIBILITIES OF EACH PARTICIPANT: Maintain a respectful attitude toward faculty, instructors, counselors, and all other individuals; demonstrate proper use of university equipment and facilities; attend all camp sessions and activities; follow instructions; respect curfews; dress modestly; refrain from vulgar and profane language; and come prepared to observe the BYU Honor Code. 6 P age
7 Any participant involved in theft, the illegal use of drugs, consumption of alcohol, infraction of dormitory rules, curfew, BYU standards, or any other unlawful or immoral act will be sent home and/or prosecuted. No refunds will be given for those asked to leave the program because of these violations. Parents are responsible for picking up a participant who has been dismissed and for paying any costs incurred for transportation. Due to safety and liability concerns, participants found in or entering campus construction areas will be subject to immediate dismissal without a refund. Brigham Young University's Division of Continuing Education is committed to providing a learning atmosphere that reasonably accommodates persons with disabilities who are otherwise qualified to attend. Prior to registration, all applicants with disabilities may discuss the program requirements and available facilities with the applicable program director. ADMISSION AND STANDARDS Participants attending this program must maintain the standards of Brigham Young University (i.e., high standards of honor, integrity, language, and morality; abstinence from tobacco, alcohol, coffee, tea, and harmful drugs; and modesty in dress). Shorts worn on campus must be knee length. Sleeveless shirts or tank tops are not allowed. Skirts and dresses must not have slits that come above the knee. Dress standards are strictly enforced in the cafeterias and on the main campus. Please refer to the rehearsal attire link for information on appropriate dance clothes for both male and female camp participants. A clean and well cared for appearance should be maintained. Hairstyles should be clean and neat, avoiding extreme styles. Men's hair should be trimmed above the collar, leaving the ear uncovered. Earrings for men are unacceptable, and men are expected to be clean shaven. Beards are therefore not acceptable, except for documented medical reasons that must be coordinated with Conferences and Workshops.
