1 Turning Tablet on and Logging In 1. Open up tablet and fold cover to lean it back on: 2. Turn Tablet on by holding in the power button on top right of tablet (it will vibrate). 3. The Tablets are encrypted by BitLocker. Enter the BitLocker password: For forgotten passwords, 4. Put in the password for the Windows User Account SWGPS. For forgotten passwords, 5. On the Windows 8.1 Home Screen select the EMIS Desktop tile: Connecting to the Internet 1. To access Emis Web you will need a connection to the Internet. The Tablet has built in Wifi and 3G. Click on the Networks icon on the Windows Taskbar: 2. You will see the 3G Network - 3 UK (HSPA) (red box right) and available Wireless Networks at your current location: 3. If you have a signal for 3G - status is On and some bars are white then that should be sufficient. If there is no 3G coverage you will need to connect to a Wireless network (may need to ask for name and password). If neither are available you will need to work offline (take paper notes) and update the patients record when you are back in an area where there is an Internet connection. 4. Test your Internet connection by opening Internet Explorer and navigating to a website such as the BBC News. EMIS Anywhere User Guide v1.1 Page 1 of 11

2 Connecting to N3 (via VPN) 1. Once you have established a connection to the Internet connect to the VPN to access the N3 network. The VPN client automatically starts when Windows starts: 2. The VPN Username should already be entered in the Username field - if not refer to the VPN text file located on the Desktop. The password will be a static 4 digit number and a randomly generated 8 digit number generated by the N3 Connect Token. There should be no spaces between the 12 digits. To generate the authentication code on the token, press the button to the right of the display: Example: PIN = 9697 Authentication code = Therefore in the Password field, enter Press OK If you forget your PIN or the token stops working please call the Egton N3 Support Desk on: If the connection is successful you will get the following window: 4. Click on Accept. You will then see the following message: Connecting to Emis Web 1. Once you have a connection to the N3 network (VPN is connected) you can open Emis Web. Double click on the Emis Web icon: 2. You will be presented with the Emis Configuration Switcher: EMIS Anywhere User Guide v1.1 Page 2 of 11

3 3. Put in the Organisation ID for SW Healthcare or the GP Practice. The Organisation ID for SW Healthcare is (evening & weekends urgent visits). The EMIS Configuration Switcher enables different patched versions of EMIS Web to be opened on the same device (GP Practices are hosted on different versions of EMIS). Please be patient as when switching between different organisations the software may need to patch up or down which could take a few minutes. Managing Patients on Emis 1. Once you have logged into Emis the first part of the process is to trace the patient who you need to book into an Appointment Book. You will need the patients Family Name, Gender and Date of Birth. Select Trace Patient from the Quick Toolbar (picture of a wand): enter the Family Name, Gender and Date of Birth and click on Find: 2. The system will search Local Patients (Blue above), for patients that have already been traced over to SW Healthcare and Shared Patients (Red above) which will look at GP Practices patients that have Data Sharing turned on. If the details are correct and the patient is registered at a GP Practice that has the Care Record sharing turned on (or has already been traced) the patient should be found: EMIS Anywhere User Guide v1.1 Page 3 of 11

4 3. If it is the correct patient select Select Patient. You will asked to Accept the patient: 4. Please check that the patients GP/Organisation has been brought across. If it has select Accept. If it hasn't select Accept & Edit Registration. In the Additional Information for the patient details select Current GP Practice search glass and find their GP Practice: There are practices that have the same name throughout England and Wales. Please make sure the practice is listed under NHS South Worcestershire CCG. Booking Patient 1. Open up the Appointment Book from the Quick Access Toolbar: EMIS Anywhere User Guide v1.1 Page 4 of 11

5 2. Navigate to the Session Holder Filters and select the Service and Location you are working for (Urgent Care Visits - Location): 3. Select a slot on the appropriate Appointment Book and right click. If you still have the patient open you have just traced (displayed in blue bar above appointment book) select Book current patient...otherwise select Book new patient...and do a Patient Find: 4. Complete the Book Slot details (if Reason not listed use Other and add Notes). Select a Slot Type of Home Visits: EMIS Anywhere User Guide v1.1 Page 5 of 11

6 and Book. As part of the outcomes we need to collect you will be prompted for what service you are working in. Select the appropriate service: If working on the Urgent Care Visit service you will be presented with a list of where the referral came from: EMIS Anywhere User Guide v1.1 Page 6 of 11

8 Patient Consultation 1. When you arrive at the patients location, highlight the patient in the Appointment Book and press "V" on the keyboard. Make sure the Consultation Properties are correct and click on OK: 2. You can now start a new consultation. To access All the patients records (inc the GP Practice records) select the View -> My Records bar on the left hand side: 3. When you select All Records from the Menu you will be presented with a message that there is more shared date. Click to action: 4. You will then be asked if the patient has given their permission to view their records. If possible, this should be carried out in front of the patient. 9 5. Shared Records are displayed with a red & blue symbol: Cross Organisational Tasks You can send tasks back to other GP Practices using Cross Organisational Tasks. Each GP Practice within the pilot should set up a PMCF team who will be responsible for managing these tasks 1. To send a task select Add a new user task from the Quick Access Toolbar: 2. Select a Task Type, Patient should be the Active Patient or find the patient (changes to Subject when moving off field). In the To box click on the Spy Glass and select the Teams tab. Search for the GP Practice and select the Team name beneath - should be PMCF (Practice Name): EMIS Anywhere User Guide v1.1 Page 9 of 11

11 Sending nhs.net s The Emis Anywhere tablets do not have any client software installed (such as Outlook). If you need to send an using your nhs.net account a shortcut has been added to the Internet Explorer Favorites Bar: You will find a list of GP Practices generic accounts here. The address to access nhs.net should the shortcut above be deleted is Visit Record Sheet A Visit Record Sheet has been put on the tablet in the event you have no access to the Internet and therefore no access to Emis Web. The document is located within a shortcut folder located on the Desktop called Visit Record Sheet, Please do a Save As before adding notes so there is always a master to use. When you are back in a location where there is access to the Internet, log in to Emis Web and add the notes to the patients care record. You must delete the Record Sheet (and from the Recycle Bin) after you have copied these notes to Emis Web.
