3 GroupWise WebAccess GroupWise WebAccess is the web interface to GroupWise. This means that District GroupWise can be viewed and retrieved using your own internet account such as AOL, Earthlink, etc. If you have a District account, you can use the web interface, GroupWise WebAccess. Instructions for use Access the internet through your internet service Go into your web browser (Internet Explorer, Netscape, etc) In the Location or Address field, type and hit the enter key. You may encounter a Security Alert message similar to the example above. The security message is a new feature that reflects a newly installed, more secure Groupwise Web Access system. Click Continue to this website to enter the site. NOTE: If you previously bookmarked the address you will be prompted to log in a second time. This is due to the website s new secure status. When the second login screen appears, you must bookmark this new address, and then login. Also, be sure to delete your old bookmark. In-Service 12/14/07 Page 3

4 Once you get the screen shown below, just set a bookmark so that you will not need to type the IP address URL each time. GroupWise WebAccess Login Screen Click on the Username box and type in your user name (usually first initial, last name), then hit <Tab> Type in your password, and click on the Login button. 5 You will now see all the GroupWise icons at the left of the window. Each function will provide most of the features that the regular GroupWise provides. However, because it is presented in a web- format, it does have limitations. GroupWise WebAccess Editing Features: While in your mailbox, there are useful editing features available to you. By using the Delete, Move, Accept, Decline, or Complete buttons, you may Delete or Move , Accept or Decline appointments, or mark tasks as Complete. The left-most column small checkboxes: These allow you to perform several edits with a simple mouse-click. For instance, if you chose to delete several s at the same time, you would simply click on the checkbox next to each desired , then click the "Delete" button. All of the selected s are deleted (but recoverable from your Trash). In-Service 12/14/07 Page 5

6 To Send an On the GroupWise Main Menu, click on New and choose Mail, Appointment, Task or Note For the To, CC, and BC fields, you can enter a name or select one from the address book. Click on the Address book button located on the right-hand side of the Mail Message box to select the name of the address book you want to use. System Address Book is the District address book; your personal address book (if you have created one) is identified by your name. Type in the first few characters of the first or last name your looking for, followed by a *. Example: Jo* would display all the names starting with the letters Jo, like Jones, Johnson, etc. If you wish to search the address book, click the Search Address Book to begin the search. The names will appear in a table format. Click the To: button on the left-hand side to place that address in form. Repeat for the CC and BC fields as needed. Click OK. 8 To View Calendar Click on the Calendar Tab on the far left of the GroupWise screen Notes: This is just a framework for using GroupWise Web. Keep in mind that the experience of using GroupWise over the web will not be like using native GroupWise at the District. The speed will vary depending on the speed of your internet connection. The key to learning it is experimentation. If you are having difficulty accessing a particular feature, please notify Technology (Even send an with GroupWise Web) We will research the availability of the feature you are trying to access. We will also assist you with any problems or questions you may have. In-Service 12/14/07 Page 8

9 Internet Filtering Request If an internet URL is blocked that you feel is appropriate or a URL is inappropriate that you feel should be blocked, please use the following procedure: 1. Send an containing the URL to: url-review@stbernard.com. You may optionally comment on the site s appropriateness, but it is not required at this point. 2. Wait until the new rating comes back from the rating service. The new rating, if any, will be applied overnight to the District's filtering system. 3. Clear the Internet cache on the workstation you are working on, and try to access the URL again. 4. If you still disagree with the blocking status of the site, forward the return from the rating service, along with your rationale for blocking or unblocking the site to Deborah Stark in Education Services. 5. Deborah Stark will make a decision to override the rating service if necessary and will create a trouble ticket to the Technology Department. In-Service 12/14/07 Page 9

10 Submitting A Trouble Ticket Online You may submit a trouble ticket online instead of calling the Technology Department. You simply need to follow these steps: 1. Go to the District website 2. Click on the Work Management System link under the District Resources section under the District tab (this will only work within the District). 3. The PUSD Work Management System Customer Service >> Login window will open. Type in your User ID (it is the same as your Network Login User ID. No password is needed. Click the Login button to proceed. 4. The Customer Service >> Issue History window will open. Here you will see a listing of your previously submitted trouble tickets that are currently open. If you need to check the status of a trouble ticket, please call the Technology Department at (562) In-Service 12/14/07 Page 10

11 5. To submit your new ticket, click on the New Issue link at the left side of the page. The HEAT Self Service Customer Service >> New Issue window will open. Your User ID and contact information is already supplied here. You simply type a detailed description of your issue in the About Your Issue field located below your contact information. 6. You must next choose which department to direct your ticket to. You do this by clicking the down arrow located below the text Important: click on the pull down menu to select the appropriate department. This field is located directly to the right of the About Your Issue field. Choose the appropriate department as follows: Technology - all computer related repairs and questions Operations - all work orders Student Info System SASI related issues 7. To submit your ticket, scroll down and click on the Submit link. 8. The HEAT Self Service Customer Service New Issue Confirmation window will appear. It is your confirmation that your ticket was submitted successfully. Your ticket number is provided on this page. For fastest service, please provide the ticket number when contacting us. The Work Management System will also generate an to your Groupwise account that provides the same confirmation information. In-Service 12/14/07 Page 11

12 and Spam Filtering Over 80% of the 250,000+ s per month the District receives is spam. Spam s can clog and slow down the network. The District uses a spam filtering system that blocks spam: mass advertising, inappropriate, or otherwise non-business s. The system successfully blocks over 98% of the spam that is sent to the District. While the spam blocker is very efficient, it is not perfect, and following are methods to deal with two common problems. Problem #1: A spam was not blocked. If you do not recognize the sender as a reputable company DO NOT unsubscribe to spam s; you will only receive more spam. If you would like technology to attempt to block future spam from a particular sender, simply right click on the and forward as attachment to spam@paramount.k12.ca.us. We will attempt to block future unwanted s from that sender. Problem #2: The spam blocker is blocking an from someone that you do want to receive from. Send the blocked address a test from your District account. This initiates a conversation thread between you and the outside (blocked) address. The spam blocker recognizes that you and the (blocked) address have an relationship and then unblocks the address after 15 minutes. This process is referred to as Auto-White listing. If the address you wish to converse with is still blocked, send an with the subject line of UNBLOCK ADDRESS and the body containing the address to spam@paramount.k12.ca.us. Also include in the body of the the approximate date and time the sender was blocked. This will assist Technology in locating the blocked (s) in the log. In-Service 12/14/07 Page 12

13 Anti-Virus Protection The District installs computer virus protection on all computers. The current anti-virus software application is named Sophos. Sophos runs in the background and is updated automatically when you are logged into the network. Follow the instructions below to perform a scan for viruses. Sophos scan procedure. To be performed when virus is detected and alerted via system tray pop up window. Locate Sophos icon in the system tray. The system tray is located at the bottom right corner: the Sophos icon is the blue shield. When the mouse pointer is placed over the icon, it will display Protected by Sophos. Right click the icon. Select Open Sophos Anti-Virus. The following window will appear: For a standard scan, select Scan my computer. This should detect and remove all threats on current system. For a more thorough and extensive scan, please contact the Technology department for instructions/detail. In-Service 12/14/07 Page 13

14 Passwords The use of secure passwords is very important because it reduces the chance of unauthorized persons accessing documents and . Passwords should be changed at least every three months. Do not use passwords that are obvious to an outside observer. Do not use your first or last name or your User ID! Once you ve changed your password, do not share it with anyone. To make it easier to remember, you can make your network, Groupwise, and SASI passwords the same, but then it is doubly important that no one else knows the password. Passwords that are not secret are useless. If you have any questions about the use of passwords, please contact the Technology Department at extension Windows 2000 or XP Users Network Password 1. Hold down the Ctrl and Alt keys and hit the Delete key. 2. The NetWare Security window is now displayed. Click the Change Password button. 3. Click inside the Old Password box, type your old password. 4. Tab down to the New Password box, type your new password. 5. Tab down to the Confirm New Password box, type your new password. 6. Click OK. 7. The Password Change message window is displayed with the message Passwords for all selected resources were successfully changed. 8. Click OK. Window 98 Users 1. Click on Start Button at lower left-hand corner of your screen. 2. Click on Settings. 3. Click on Control Panel. 4. Double click on the Passwords icon. 5. The Password Properties window is now displayed. Click on the tab labeled Change Password. 6. Click on Change Passwords. 7. Click Change Windows Password. 8. At the message, You may also change other passwords to be the same as your Windows password", make sure the Novell Netware box is checked. If no check appears, click in the box to place a check in it. Click OK. 9. The box titled Change Windows Password is now displayed. 10. In the "Old Password" box, type your current password. 11. Tab to the "New Password" box. Then, type your new password. This password is case sensitive. Type your password in "lowercase" letters (caps lock off). 12. Tab to the "Confirm New Password" box. Then, type your new password again. 13. Click OK to the "Netware Password Synchronization" window. 14. Click OK to the message "Your Netware Password has been successfully changed". 15. Click OK to the message "Your Windows Password has been successfully changed". 16. You are now back at the Password Properties window. Click Close. 17. Click on the X in the upper right-hand corner of the screen to exit the Control Panel. In-Service 12/14/07 Page 14

15 Groupwise Password 1. Go into Groupwise. 2. Click on Tools, then click on Options. 3. Double click on Security icon. 4. Type your current password in the Old Password box. If this is the first time you are typing a password, this option will be gray and not available to you. Go to the next step. 5. Tab to the New Password box. Type in your new password. This password is case sensitive, so type your password in "lowercase" letters (caps lock off). 6. Tab to the Confirm New Password box. Type your new password again. 7. Make sure the "Remember Password" box is NOT checked. 8. Click OK. 9. Click Close on the options box. In-Service 12/14/07 Page 15

16 Using Removable Storage Devices & USB Flash Drives USB flash drives have become a common medium for storing and transferring files between computers and other permanent storage areas. While the use of these devices is relatively straightforward, there are a few steps you should take to ensure that your data is not lost or corrupted. The following list outlines the steps to connect, use, and disconnect a USB storage device. 1. Insert the device into an open USB port on the computer. A window similar to the one below will appear. 2. Select Open folder to view files, and click OK. In-Service 12/14/07 Page 16

17 3. A window will open, displaying the files and folders stored on your device. 4. Transfer files to and from the storage device as necessary. When you are finished and want to eject the device, close all files that are stored on the device. Also, if you have a window open or on your taskbar that is displaying the contents of the device, close it. 5. To eject the device, click on the Safely Remove Hardware icon in the system tray (the icon with the green arrow). In-Service 12/14/07 Page 17

18 5. When the Safely remove USB Mass Storage Device Drive(Letter:) message appears, click on the message. 6. If the device has finished transferring all data, you will receive a message that it is safe to remove the device. In-Service 12/14/07 Page 18
