4 1 Executive summary This document describes the pilot ENUMERATE Data Platform, a set of web pages developed for the ENUMERATE Thematic Network to automate the collection of survey responses. This deliverable describes the platform, its structure and main functionality. Screenshots from the first public version of the platform have been included. 2 The ENUMERATE Pilot Data Platform The platform is available at: At this web address are the currently active surveys, where interested institutions can access them and submit their responses. The ENUMERATE project will implement two different kinds of surveys: A core survey (implemented in the first and third year of the project), designed to be simple and quick to complete, to be distributed through the national coordinators to the base of cultural heritage institutions across Europe. The aim of the core survey is to generate a reliable baseline from which to extrapolate a general picture of national and European activities. A more in-depth, thematic survey designed to assess digitization, digital preservation, usage and cost in greater detail, in order to build up a more granular picture of overall activity and best practices. The main objectives of the platform are twofold: 1. To implement a powerful survey definition process allowing the creation of multilingual surveys, flexible enough to accommodate both core and thematic surveys. 2. To automate the collection of survey data through a friendly and simple to use web-based mechanism Later in the project the platform will be extended to publish the results obtained after each survey. 4

5 3 Platform structure and functional description The platform has two main sections: 1. Administration. This is password protected and only accessible to the ENUMERATE Thematic Network members with the tasks of survey definition and administration. It is possible to: List the existing surveys and create new ones (Figure 1); Define introductory texts (Figure 2); Define the survey sections, questions and allowed responses. Several different types of questions are allowed, including: free-text input, selection from a list, checkboxes, numeric input, and tables (Figure 3); Translate the survey text (Figure 4); Activate the surveys so that the public can respond to them, and deactivate them once the survey is finished; In case of "closed group" surveys (in which only a predefined set of institutions are invited to fill-in the survey), manage the list of invited institutions and send invitations and reminders to them (Figure 5); Monitor the responses (Figure 6); Analyse and export the survey response data (Figures 7 and 8). 2. Survey submission. This is the entry point for survey respondents. The surveys currently active are listed and can be accessed through a normal hyperlink (Figure 9). For each survey there will be: An initial welcome page explaining the objectives of the survey and its deadline, allowing the user to select a different language (Figures 10 and 11); One page for each survey section, which the user usually navigates sequentially using the Next and Previous buttons, and lists all the questions included in that section. Where needed, an 'information" button shows a popup with guidance notes (Figures 12 and 13); A terminology list explaining the terms used throughout the survey (which is hyperlinked from the survey questions and notes) (Figure 14); The user can save and resume a survey, and download a copy of the survey in PDF format using the corresponding buttons found at the bottom of the survey pages. 5
