4 Compliance to Duty of Care legislation With more businesses embracing globalisation to reduce productivity costs and maximise growth opportunities, employees are travelling more frequently and into remote destinations. Business travel, whether it is international or domestic, exposes employees to higher levels of risk. Away from the familiarity of home, travellers can be put into precarious situations that may impact their health and safety. The increased threat of risk to travelling employees, heightens the corporate liability of employers who have a legal and moral Duty of Care to their employees. Many countries including Australia, Belgium, Canada, France, Germany, Netherlands, Spain, UK and the USA have some form of employer Duty of Care legislation in place however laws in regards to an employer s Duty of Care obligations across countries are diverse. Complying with Duty of Care obligations at a basic level means that employers must protect the health, safety and security of an employee wherever they work, so far as practically possible. Failure to comply with Duty or Care legislation may result in civil and criminal liabilities for an employer. The lack of a specific Duty of Care law in a jurisdiction does not necessarily mean there are no legal obligations for businesses in relation to employee health and safety while travelling. Organisations need to consider the laws of the jurisdictions where their employees are travelling to, and where they are a citizen of. In addition, compensation claims for air travel are bound by rules within treaties such as the Montreal Convention, which governs the rights and liabilities of passengers and carriers in international air travel. 5 FCm Secure Start FCm Secure Start FCm Secure Start Secure Start features What is Secure Start? Secure Start is a no cost program for FCm Travel Solutions customers. It is a starting point for building your individual travel risk management program. The program includes: Itinerary based traveller tracking Color coded, risk map dashboard (powered by ijet International) GPS/mobile based traveller tracking (traveller opt in) FCm Travel Solutions Global Crisis Communications process ( and SMS) Subscription-based security alerts for travel and security managers (powered by ijet) Itinerary based traveller tracking Traveller tracking reports queried by clients or FCm using Secure Start will draw on passenger name records (PNRs) that reflect the air, car, rail and hotel segments generated whenever a reservation is created, renewed, or cancelled (for PNRs transmitted to our global reporting platform, ClientBank). Secure Start requires the delivery of PNR data into FCm s reporting platform FCm ClientBank. Once implemented, Secure Start displays new and updated content generally in real time or no later than four hours from the creation, change or cancellation of a booking. Color coded risk map dashboard (powered by ijet) Secure Start s user interface features a map with risk ratings for over 200 countries and over 290 cities and is based upon ijet intelligence. In addition to seeing which countries and cities are rated as low versus high risk, users can see ijet s corporate risk rating details and alerts for that country with just one click on the country in question. GPS/mobile based traveller tracking (traveller opt in) As part of FCm s mobile solution, which is available on iphone and Android devices, clients can choose to enable a mobile GPS location check-in feature. For this feature to work, the passenger s address must be included in the appropriate ClientBank format, in conjunction with Secure Start itinerary based traveller tracking requirements. Once enabled, a traveller can utilise this feature to identify their daily or other specified location requirements, and restrict their location from being disclosed via their mobile device until they have done so (based upon instructions per company travel policy). Once initiated by the traveller (opting in), the GPS coordinates will supplement the itinerary location data in Secure Start and show up on applicable traveller tracking reports. Page 2 Page 3
6 FCm Secure Start FCm Secure Start Global Crisis Communications Process FCm has created a comprehensive approach to the distribution of critical incident information, travel related crisis response and re-accommodation of clients. FCm s Global Risk Leaders, which are based in five nations around the world (USA, UK, UAE, Australia and China), monitor daily alerts from our global risk intelligence partner (ijet) and determine if they meet the criteria for initiating a crisis communication process. When this happens, a process is triggered in our global customer relationship management (CRM) tool, which instantly sends an escalated alert in the form of a formatted crisis communication message to subscribing clients and FCm personnel via , SMS text message and Chatter (internal FCm personnel only). Once sent to over 85 FCm countries, a designated Country Risk Leader initiates a local or in country crisis response action plan that involves reviewing existing reports or running new ones, and contacting any potentially impacted clients and their travellers to assist them with any travel related re-accommodation. Each Country Risk Leader provides information back to global program administrators via our CRM tool. Subscription-based security alerts to travel managers (powered by ijet) Each FCm client s travel managers and/or security managers can subscribe to daily alerts via our account management team. ijet s alerts are up-to-the moment threat alerts and intelligence on civil unrest, crime and violence, health alerts, weather, transportation and natural disruptions. FCm s account management team will configure a client s subscription within our CRM tool according to their preferences. These alerts are not provided automatically to travellers as part of Secure Start, but can be pushed to travellers as part of Secure Protect s paid communications package feature, once implemented. What makes Secure Start unique? 1. Color coded risk map dashboard (powered by ijet) While competitive solutions offer similar functionality at a cost or with lesser quality intelligence, Secure Start includes this feature with ijet intelligence at no cost to FCm clients. 2. GPS based traveller location reporting FCm is the only travel management company that currently offers this functionality as part of our base travel risk management program at no cost to clients. Other best in class products or programs charge considerable premiums for use of this functionality. 3. Content Rich Alerts (powered by ijet) FCm Secure Alerts (powered by ijet) are intelligence based (versus news based). Most other travel management companies that provide alert content at no cost to their clients generally provide content from tier two news aggregators. FCm Secure Alerts provide significant, in-depth intelligence to our clients at no cost to them. The alerts are powered by ijet s world-class 24x7 intelligence operations that monitor and analyse over 19,000 sources of information in over 200 countries. 4. Global Crisis Communication Process FCm s comprehensive approach to informing and supporting our clients in response to critical incidents or escalated alerts is an automated process managed within our CRM platform. This platform provides FCm with a unique industry approach to consistent automation and processes that trigger responses in over 85 countries around the world. Secure Start implementation Secure Start requires a client s travel management program to be implemented with FCm, reservation data to be integrated with FCm ClientBank, and an account manager to set up a client s crisis communications and alert subscriptions. 7 FCm Secure Protect FCm Secure Protect FCm Secure Protect What is Secure Protect? Secure Protect is FCm Travel Solutions proactive approach to travel risk management. Secure Protect is the culmination of our base, no-cost offering (Secure Start) and additional paid features powered by ijet, FCm s travel risk management partner. These features can be purchased individually, based upon the client s program needs. Secure Protect features Communications feature This feature allows client administrators the ability to send their own, ad hoc and SMS text messages to travellers from a traveller location report. This feature also supports the automatic distribution of relevant ijet threat alerts to travellers via , as they pertain to destinations associated with the traveller s current or future travel plans booked via FCm and included in the FCm ClientBank database. Trip briefing tied to itinerary This feature allows each itinerary to be matched with destination risk ratings in ijet s risk intelligence database. If a destination included on an itinerary exceeds the client s configured risk tolerance level, an ijet security trip briefing will be sent to the traveller via . This will provide critical information on current and recent health and security risks in the area, as well as helpful advice and contact numbers for assistance. Custom content A custom message via based upon client provided and system supported custom rules can be generated and sent to the traveller. These messages can be policy based, risk based, or based on any other criteria that can be supported by the Secure Protect rules engine. What makes Secure Protect unique? Automated report distribution A dynamic report can be created and ed to the client administrator or designated recipient based upon client provided and system supported custom rules. For example, create and a report with a list of travellers when a flight exceeds more than six employees on the same plane. No insurance or membership purchase required Some travel risk management solutions in the market today require the purchase of both a travel risk solution and a medical coverage/evacuation membership. FCm clients operate in many countries, across many cultures around the globe, and often have pre-existing insurance relationships that may already provide emergency medical and evacuation coverage for travelling employees. Whether clients turn to FCm for medical and evacuation options, or they want to use preexisting programs in conjunction with Secure Protect, clients should have the option to measure the value of travel risk management solutions and medical and evacuation plans separately. Secure Outreach is a crisis response hotline, designed specifically for FCm and is currently available only in specific FCm markets (Australia, USA and UK). This hotline supplements FCm s operations and after-hours emergency services, and provides support to clients that require more than travel reservation and logistics support. Employees of eligible clients that purchase Secure Outreach have access to a hotline staffed and supported 24/7 by ijet s world class response operations. Participating clients travellers in need of security support can be transferred by an FCm representative directly to an ijet response coordinator to help them through their crisis, or if medically related, to their designated medical services provider. Clients with more than 500 travellers, have the option to purchase a customised response hotline for an additional cost. Whether facing a crisis due to civil unrest, crime, violence or disruptions that could impact the safety of your organisation s travellers, ijet s global response operations provide around-the-clock assistance. With a global network of on-the-ground security partners, you can rest assured that your organisation s personnel are protected and can be removed from harm s way if and when they need assistance.
