1 Event Information Q: HOW LONG IS AIDS WALK MIAMI? A: AIDS Walk Miami is a 5 kilometers (3.1 miles) and takes roughly 1 to 1 ½ hours to complete. Volunteers with directional signs will be posted along the route which indicates the direction Walkers should take to return to the finish line at the Miami Beach Botanical Gardens. Q: WHAT IS THE SCHEDULE FOR THE DAY OF AIDS WALK MIAMI? A: 8:00 AM: Registration & Check-In (Registration/Check-In located at the Miami Beach Convention Center, 2000 Convention Center Drive, Miami Beach, Florida 33139) 8:30 AM: Opening Ceremonies begin 9:00 AM: Walk begins 9:30 AM: Post-Walk Celebration at the Botanical Gardens Q: ARE PETS WELCOME AT THE WALK? A: The Walk is a pet-friendly event, provided your pet is friendly. Pet Friendly registration tables are located just outside the entrance of the Convention Center and are available for those with pets. Be advised a 5K Walk can be very hard on animals not accustomed to walking such distances, especially in the heat. While we take great measures to ensure that our Walkers don t suffer from heat exhaustion or dehydration, we do not have veterinarians or animal experts on-hand. Please keep your pet s best interests as your top priority! Q: WHAT IF I WANT TO RUN THE 5K, OR WHAT IF I AM A SLOW WALKER? A: Everyone is invited and encouraged to participate in the Walk in their own way but please recognize that if you run ahead of the police-supported road and lane closures, or fall behind the road closure schedule, the roads along the route will be open to traffic, and you will need to be on the sidewalk. In either case, please still be aware that you are participating at your own risk and be careful! General Information Q: WHERE DOES THE MONEY GO?
2 A: 100% of every dollar raised from AIDS Walk Miami supports the programs and services provided by Community AIDS Resource, Inc. d/b/a Care Resource, South Florida's oldest and largest HIV/AIDS community organization providing Primary Medical Care, Dental, Psychosocial, Case Management, Outreach and Prevention, Food Bank, Home Delivered Meals and Nutritional counseling and education to over 15,000 residents living in Miami-Dade and Broward counties who are either affected or infected with HIV/AIDS. Q: WHAT IS A GENERAL WALKER? A: A General Walker is a Walker who has not elected to join a Walk Team or start a team. There is a nominal registration fee of $25 with the exception of a Junior Walker (5-18 Y.O). Participants who raise a minimum of $50 will receive a complimentary commemorative AIDS Walk Miami t-shirt with the exception of a Junior Walker (5-18 Y.O) who is asked to raise a minimum of $25 in donations to receive a commemorative AIDS Walk Miami t-shirt on the day of the Walk. Q: WHAT IS A TEAM? A: Teams can consist of as few as two people and are comprised of walkers representing a variety of companies, schools, churches and organizations in our communities. There are also many friends and family teams that participate, some of whom walk in memory of those they have lost. Teams can range in size from two to more than one hundred walkers. Q: WHAT IS A SLEEP WALKER? A: A Sleep Walker is: a participant who is not able to attend the actual fundraiser due to previous commitments, is physically impaired, or just too far away to make it to the event. There is a nominal registration fee of $25 for each participant with the exception of a Junior Walker (5-18 Y.O) This Walk type is able to utilize all of the fundraising tools on the site and is eligible to receive the same benefits as a General Walker. Sleep Walker s must raise a minimum of $50 in order to receive a commemorative t-shirt by mail. Q: WHAT IS A JUNIOR WALKER? A: A Junior Walker is reserved for Elementary, Junior High and High School students only. Junior Walkers must be between 5 and 18 years of age and are asked to raise a minimum of $25.00 in donations to receive a commemorative AIDS Walk Miami t-shirt on the day of the event. There is no registration fee applied to this type of participant. Q: ARE THERE ANY INCENTIVES OR PRIZES? In addition to becoming eligible to receive one of many prizes donated by local business for the top 5 fundraising individuals, here is a list of incentives for your generous support: Raise $50: Receive a complimentary commemorative AIDS Walk Miami t-shirt on the day of the Walk. A Junior Walker must reach a $25 goal for this incentive. Raise $500: Receive a personal invitation to meet and greet our Celebrity Grand Marshall at the VIP/Press Reception held on Friday or Saturday, prior to the event. (Online donations must show this amount or higher no later than 4/20/2015) Raise $1000: Qualify to receive a complimentary table at the opening ceremonies for you and your team, family, friends or co-workers. Donations Q: TO WHOM SHOULD DONATION CHECKS BE MADE OUT? A: Checks either made payable to AIDS Walk Miami or Care Resource is accepted. Q: WHERE DO I MAIL DONATIONS? A: Care Resource, 3510 Biscayne Boulevard, Miami, Florida 33137
3 NOTE: clearly include the name of who you are sponsoring on the check. Otherwise, your donation could be credited as a general donation. Registration Q: HOW DO I REGISTER FOR AIDS WALK MIAMI ONLINE? A: Simply log on to and click on the Register Here button on the main page. You will be guided through the sign up process. Here you can select to create a Walk team, join another Walk team or register as a General Walker, Sleep Walker or Junior Walker. Once your registration is complete, you will receive a confirmation from AIDSWalkMiami.org. This will contain your username and password that you have selected. There is a nominal registration fee of $25 for each participant with the exception of a Junior Walker (5-18 Y.O). All participants are asked to raise a minimum of $50 in donations to receive a commemorative AIDS Walk Miami t-shirt on the day of the Walk with the exception of a Junior Walker who must raise $25 for this incentive. Q: WHAT IF I DON T WISH TO REGISTER FOR AIDS WALK MIAMI ONLINE? If you prefer to register by phone or please contact us by phone at (305)751-WALK (9255) or to info@aidswalkmiami.org. Provide us with your name, address, phone and credit card or check information for the registration fee of $25 and an address, and you will receive a system-generated username and password via . Please use this to access your personal fundraising web page. Once logged in you can create your own username and password, as well as design your page. NOTE: Even if you don t wish to use the web site to raise funds, it will still save you time at Event-Day Registration to add your cash and check donations to the web site ahead of time. Please log in to your personalized fundraising page on our website, and select Enter Gift on the right hand of the screen to do so. Q: IS THERE A MINIMUM AMOUNT I SHOULD RAISE FOR AIDS WALK MIAMI? A: Yes. AIDS Walk Miami does require a minimum registration fee of $25 for each participant with the exception of a Junior Walker (5-18 Y.O) However, we encourage everyone to set an ambitious fundraising goal and do their best to achieve it. Additionally, fundraising participants of AIDS Walk Miami are eligible for incentive awards and prizes for their levels of support. Q: SHOULD WALKERS USE THEIR HOME OR WORK ADDRESS TO REGISTER? A: All walkers should register using their home address. If you must use your office address, make sure you put your company name, as often times the Post Office will return mail sent to an individual at a business address. Providing more than one address will result in a duplicate registration. Fundraising Q: WHAT SHOULD I DO TO START RAISING FUNDS FOR AIDS WALK MIAMI? A: A few simple suggestions to get started with your fundraising can be found below. For more fundraising ideas visit our Fundraising Tips & Tools page. Set up your Team or Individual Fundraising Web page. Then send out an to friends, family members, and co-workers. Each sent from your Web page contains a link to sponsor you online with a credit card.
4 Social Networking. Use sites such as Facebook and Twitter to ask your friends and other contacts for support. Write notes, share links that are news-worthy and related to the battle against HIV and by all means, share the link to your fundraising page! (Be sure that you are mindful of each site s anti-spam or solicitation policies.) Matching Gift Programs. Many corporate organizations have corporate giving programs that match the contributions their employees give to a charitable organization. By utilizing the matching gift programs of your employer or your family and friends' employers, you can quickly double or triple your fundraising dollars. Check to see if your employer participates in the corporate giving policy online now or ask your Human Resources representative to see if they have a matching gift program. Host a fundraising party or event. Ask a local bar or restaurant to donate their space for a happy hour or fundraising dinner party. Charge a flat admission or suggest a donation. Plan a raffle, contest, or drink special to make the night exciting! Awards and recognition! Give your Team Members an incentive to sign up, raise money and walk. Ask a local business to contribute to your team by providing an incentive prize or two and then create a contest within your team or group of friends to determine who will win it. Contest ideas include: most new team members enlisted, most fundraising requests sent using the web site, highest amount raised, or most original fundraising effort. Q: HOW ELSE CAN I SUPPORT AIDS WALK MIAMI? A: There are many opportunities for you to get involved in AIDS Walk Miami, from volunteering on the day of the event to becoming a corporate, gift or water stop sponsor. Even if you aren t in a position to sponsor the Walk, you may have contacts that are. To find out about any of these options or share sponsorship leads that you think might be helpful, please contact us at WALK (9255) or by at info@aidswalkmiami.org. Website and Online Fundraising Q: I FORGOT MY USERNAME AND/OR PASSWORD. HOW CAN I FIND OUT WHAT THEY ARE? A: Remember that your username and password are case-sensitive. Click on the Forgot your password? link and choose one of the options that follow. You can get a hint for your password, have it ed directly to you, or have your User Name sent to you, if you ve forgotten that, as well. Still stuck? Please contact us at (305)751-WALK (9255) or by at info@aidswalkmiami.org for further assistance. Q: HOW CAN FRIENDS AND VAMILY FIND MY INDIVIDUAL FUNDRAISING WEB PAGE TO MAKE A DONATION? A: When you send an from your AIDS Walk Miami fundraising page, the link to your individual page will automatically be included in the bottom of the , as will the link to your team page (if applicable). Also, on the home page of the website, friends and family can locate you by clicking on Sponsor A Participant. By typing in the name of the participant, they will then be able to select that participant from the results returned, which will lead them to your individual fundraising web page. Q: WHY IS THE "SPONSOR A WALKER" SEARCH NOT FINDING A PARTICIPANT THAT I KNOW HAS REGISTERED? A: While they are not case sensitive, you must type in the exact spelling of the first or last name of the person you are looking for. If you continue to have a problem locating a participant that you are sure has registered, please contact us at (305)751-WALK (9255) or by at info@aidswalkmiami.org for further assistance.
5 Q: HOW CAN I SEE WHO HAS DONATED TO ME? A: From the AIDS Walk Miami home page, click on the Main Login link under the MY HQ header along the left side of the screen. Once you are redirected to your Individual fundraising page, click REPORTS from the menu near the top of the screen and then donation report to view your donation history. Q: WHY AREN'T THE CASH AND CHECK CONTRIBUTIONS I'VE RAISED SHOWING UP ON MY PERSONAL FUNDRAISING WEB PAGE? A: While credit card donations made through the website will automatically appear on a walker s personal web page, cash and check donations require walkers to update their fundraising Web page by logging in and choosing the Enter Offline Donation option on under the My To Do List column. Donations of these types will only appear once they have been received and verified by Care Resource. Q: ALL OF MY DONORS ARE NOT SHOWING UP ON THE SCROLL MECHANISM. WHY? A: As your donors make a contribution, they have the option of whether or not they want to appear in the recognition scroll. Team Questions Q: WHAT ARE A TEAM LEADER'S RESPONSIBILITIES? A: To organize the creation and recruitment of your team members and motivate each of them to help meet your team s common goal. It is a time for meaningful camaraderie outside of the work or school environment; a great reason for friends and family groups to get together; a way to show support for those fighting HIV/AIDS; and a chance to walk in memory of loved ones. Q: WHAT IS A TEAM TABLE? A: A Team Table is a designated area in the Miami Beach Convention Center at which your Team can meet on the day of the event. Many Team Leaders decorate their tables with balloons in addition to bringing T-shirts and breakfast items for their team. To qualify for a Team Table on the day of the AIDS Walk, your team must have raised more than $1000 online no later than one week prior to the Walk. As space is limited, Teams who do not qualify for a Team Table can arrange their own location inside the Convention Center to meet on the morning of the Walk.
