1 The American Physiological Society Meeting/Conference Proposal Application Instructions SECTION 1: CONTACT INFORMATION Enter the contact information for the meeting/conference organizer, including telephone number and address. If applicable, enter the contact information for the co-organizer of the meeting/conference. SECTION 2: BASIC PROPOSAL INFORMATION Meeting/Conference Title: The meeting/conference title must always be billed as an APS meeting or conference, followed by the full title. The following are some examples of previous APS meeting/conference titles: 2012 APS Intersociety Meeting: The Integrative Biology of Exercise 2012 APS Conference: Autonomic Regulation of Cardiovascular Function in Health and Disease Meeting/Conference Date: Select a month and year that you would prefer your meeting/conference to be held. APS holds its meetings and conferences typically in the summer and/or fall of each year. For example: October, 2014 Please note: APS reserves the right to make the final decision on the date of your meeting/conference based on other APS programming conflicts and desired venue. Meeting/Conference Location: Enter three locations where you would prefer your meeting/location to be held. For example: San Diego, CA, San Antonio, TX, Denver, CO Please note: APS will try its best to accommodate the desired location for your meeting/conference; however, APS reserves the right to make the final decision on the location of your meeting/conference based on cost and accessibility to venue. SECTION 3: ORGANIZING COMMITTEE Enter the name and institute of each of your colleagues assisting you in the implementation of the meeting/conference. If there is more than six involved in planning the meeting/conference, please list their names/institution in section 8 of the application form. SECTION 4: MEETING/CONFERENCE COMPONENTS Place an X next to each of the components you plan to have at your meeting/conference. Select all that apply. For example:

2 X Symposia Concurrent Symposia X Plenary/keynote SECTION 5: MEETING/CONFERENCE TOPIC Topic: Provide a brief summary on the topic of your meeting/conference proposal. Tell the APSCC why this topic is warranted a meeting/conference slot with APS. For example, the topic may be based on timeliness of the science (recent breakthroughs, new science etc.), or based on interest from others in the scientific community. Objectives: Provide a brief summary on the objectives that will guide your meeting/conference and what should attendees expect to gain from attending. For example, your objectives may be to bring scientists from all around the world to discuss the emergence of a technique used in cardiovascular physiology or to bring trainees together with established scientists to present their findings on a particular topic. Target Audience: Place an X next to each of the components you plan to have at your meeting or conference. Select all that apply. For example: X Established scientist X Industry scientist X Student History: Provide a brief meeting history of your topic for your proposed meeting/conference. For example: 2006 APS Intersociety Meeting: Comparative Physiology 2006: Integrating Diversity Virginia Beach, VA, October 8-11, APS Intersociety Meeting: Comparative Physiology 2010: Global Change & Global Science: Comparing Physiology in a Changing World Westminster, CO, August 4-7, 2010 Topic Overlap: Provide details on whether the proposed topic and meeting/conference overlap with other meetings or conferences on the same subject outside of APS. For example another meeting being held on the same topic within a year of your proposed meeting/conference. SECTION 6: EXECUTIVE SUMMARY Prepare a one page summary of your proposed meeting/conference. Include factors such as the number of symposia/poster sessions, how women, minorities, and junior investigators will be involved in the meeting/conference, list session titles, what would be the draw for attendees to come to the meeting/conference, and any additional key points you wish to describe. Click here for an example of an executive summary from a past conference proposal. SECTION 7: FINANCIAL SUPPORT Describe your plan to gain financial support for your meeting/conference. List pharmaceutical and industry companies you are planning to ask for funds to sponsor the meeting/conference. List grants or other methods to seek funds.

3 SECTION 8: OTHER INFORMATION List other aspects that you feel were not covered in the application form that emphasize your proposal. For example, a list of agreed speakers for your meeting/conference, sponsorship funds pending for meeting/conference, novel topic idea for proposed meeting/conference etc. HOW TO SUBMIT YOUR MEETING/CONFERENCE APPLICATION 1. Type all responses to each section in application. 2. Save a copy for your records. 3. Submit your meeting/conference application file via to meetings@the-aps.org
