5 NHSmail 2 transition progress report Inter-site point to point connections To enable mailboxes to be transitioned, a dedicated connection between the Accenture and Vodafone datacentres is required. This is now in place and marks the completion of an important milestone on the path to transition Active Directory Used to manage accounts. The first point at which both old and new services are federated and live service co-existence starts. This milestone is currently scheduled to happen over the course of the next week (subject to service readiness) Relay ( gateway) On track to move from the Vodafone to the Accenture service. Covered later in the slides Portal development The NHSmail 2 Portal which provides the directory, administration tools and training/guidance is progressing as planned and we anticipate getting end users involved in the review process within the next few weeks. will not be accessed via the portal as it is on the current platform, it will be via Outlook Web App (OWA). Access to OWA and the new portal will still be via Training pilot c.100 volunteers have tested OWA training materials - feedback will be used to ensure the training materials are suitable 5

9 Bulk registrations throughout transition Business as usual (BAU) registrations to continue as normal Bulk registration will pause two weeks in advance of pilot (7 March) and resume in the mop-up phase when we are confident it won t impact portal go-live Registration quota uplifts will not be available but we will continue to support BAU activity, such as junior doctor intake 9

10 NHSmail 2 transition approach Aggregated method not site-by-site basis, so users in the same organisation will be transitioned at different times LOAs transitioned last to minimise impact. LOAs will still be able to administer accounts throughout the transition Portal cutover at the end of transition Training webinars to be provided for LOAs and trainers in advance of pilot and transition Transition preparation account transition, inc. pilot Portal user and admin tools 10

11 NHSmail 2 - key LOA impacts User and account administration: LOAs will be able to administer accounts using the existing administration tools although there will be a workaround for some activities LOAs will be able to check whether an account has transitioned in order to support them appropriately Account bulk registration A review of web browsers, clients and applications accessing NHSmail is required 11

12 NHSmail 2 web browser requirements LOAs will need: IE 9 to administer accounts Latest version of other browsers, such as Firefox, Chrome or Safari Users who access NHSmail via will need: IE 7 or IE 8 for Outlook Web App (OWA) Light IE 9 or later for Outlook Web App (OWAO Standard Latest versions of other browsers, such as Firefox, Chrome or Safari for OWA Standard. 12

15 Key impacts on web portal users Once the account has transitioned users will be asked to log-out and back in again at Shared folders Will need to re-subscribe to any shared folders following transition Guidance on re-subscribing will be provided Opportunity to review permissions and processes To-do bar To be found in OWA after transition, not the existing NHSmail portal Includes reminders, mailbox quota and download information guidance will be provided 15

16 Key impacts on client users Once transition is complete Outlook users will be prompted to close the client and restart - no work will be lost Users can work collaboratively with colleagues throughout the transition. No impact on: Calendar invitations and calendar availability information (free / busy) Distribution lists Directory access Sharing tasks and contacts (folders still to be confirmed) Once transition is complete the service will be fully compatible with Outlook 2016 No changes necessary for users who access NHSmail via mobile devices 16

17 Key impacts on applications Applications that currently connect with NHSmail over N3 use: POP3 or IMAP4 to receive SMTP to send LDAP to look up in the directory No changes necessary for those connecting with the above There will be additional application capabilities on NHSmail 2 17
