2 2 *Prior to installation Microsoft Windows needs to be up to date* Installation Overview This is the general installation process 1)Case Closed will send you a link to download your copy of the Case Closed files. This is a link to ftp:// The will contain the login credentials and the file name to download. 2)Install Microsoft SQL Server 2008R2. (You may already have this installed for other applications.) 3)Attach the CaseClosed2 database to the Microsoft SQL Server 2008R2. Verify the name that this will attach as. Sometimes it may default to CaseClosed2_Live. You should change to CaseClosed2 during the attach process. (Case Closed can assist in this) 4)Install Case Closed on the server (Case Closed can assist in this) 5)Install runtime files on each workstation. 3 3 Microsoft SQL Server Installation If you already have SQL installed, you just need to create a user for case closed OTHERWISE: 1)Determine what OS you are running and install the correct SQL Server 2008R2 2) Follow the Microsoft installation process during setup. Important SQL Server requirements 1)Workstations must be on the same domain as the SQL Server 2)Authentication choose SQL and Windows Authentication 3)For Window's firewall, open both ports 1433 and 1434 (TCP AND UDP) on the incoming and outgoing sides of the Windows Firewall. 5 5 Case Closed Software Installation Case Closed software is a client/server application designed using Microsoft s development tools. Database used is SQL server and Microsoft VFP for reporting. There are 2 zip files for Case Closed. 1)First is the file on the FTP site that needs to be downloaded. This includes the Case Closed files as well as the Microsoft SQL Server database called CaseClosed2. You should have received a link via . If not, please call Case Closed. 2)The next is the Case Closed Setup Files (see below) You will need MS SQL Server (express of full version see links above). The Case Closed Setup Files can be downloaded from a link on (Under the Utility Files (Post-Sale) section, called Case Closed Install.) You should be logged in as an Administrator when installing files to avoid any permission issues. This download will be required for Server and Client installations. 1)Download and Save this file to your hard drive. File name is setup.zip. 2)Extract setup.zip to an installation directory of your choice (recommended: \caseclosedinstall) 3)Within that installation directory, click the Setup.exe file to execute 4)This Setup.exe must be run on the server and all clients that will use Case Closed. 5)Note: The Setup.exe will also install 2 add on applications used by Case Closed. At the end of the install, you will have option to check/uncheck the 2 add on programs. You should leave these checked and continue installing these 2 apps. Case Closed Software will then send you the application files (you may have already received), (to be copied to the server ONLY), via FTP or other desired method. Your IT staff simply copied these files (zipped up) to the server s application directory (recommended: \\<server name>\caseclosed). All workstations should then have a shortcut created to the server application directory, pointing to the CaseClosed.exe file. Example: \\<server_name>\caseclosed\caseclosed.exe The Server application directory MUST have full permissions and security to that folder (\\<server_name>\caseclosed) Case Closed can run as a standalone application on a single PC or as a shared application on a network server. 6 6 Register OCX for Printing *** IF YOU RAN THE SETUP.EXE ABOVE, IT AUTOMATICALLY REGISTERS THIS OCX. YOU CAN SKIP THIS STEP *** Depending on your Windows OS and permissions when doing initial installation, you may need to manually register an ocx file on the computers to run reports. To test if you do, simply run the Case Closed software and try to preview (or print) any report. If it doesn t run, you will need to register the OCX. This is a very simple process. 1)On each computer, click the Start button (lower left hand corner) and click the Run command (older Windows) or you may have a blank edit box where you can type in a command for later Windows OS. 2)(you must be logged into the computer with permissions to register OCX files) In the Run command section, simply type in: regsvr32 c:\caseclosed\ MindsEyeReportEnginePro1.ocx (without the quotes) 1)Hit Enter or Run Copyright Case Closed Software ~ ~ Page 6

7 7 External Programs Mail Client - Case Closed includes a built in feature to send SMS text messages. This feature requires a mail client to be installed. In most cases, everyone will have a mail client already (like Outlook). However in the event you do not and cannot install a mail client, the SMS text messaging feature will not be available. Media Files - Case Closed has the ability to watch & listen to video and audio case files from within the software. This feature requires a soundcard with speakers as well as a video player such as Windows Media player. Again, most computers have the needed hardware and software for this. But in the event that a computer does not have these, these features will not be available on that computer. Copyright Case Closed Software ~ ~ Page 7

8 8 Automatic Updates Periodically, updates are done on the software. These updates can be enhancements as well as any bug fixes. We have a update program called case_closed_unattended.exe. This program will go out to our FTP site to check for updates. If one is available, it will automatically update the software. (you will NOT see any screen activity or message boxes as this is an unattended update so there are no user prompts) Make sure your firewall and security allows access to and all folders. This is where we post the FTP files. This case_closed_unattended.exe can also be setup without user intervention to run automatically after hours. This is the recommended method. You can use the Windows scheduling feature (in Windows OS) to setup this up to run after hours (ex. 2-4 in the morning) If you are an IT person, you can skip most of these instructions but there are a couple of things you will need the instructions for. Here are the detailed instructions: CASE CLOSED STRONGLY RECOMMENDS MAKING SURE THAT YOUR COPY OF CASE CLOSED SOFTWARE IS COMPLETELY UPDATED BEFORE SETTING UP THE AUTOMATIC LIVE UPDATES. IT IS ALSO RECOMMENDED SETTING UP AUTOMATIC LIVE UPDATES ON THE SERVER AND NOT A WORKSTATION. INTERNET CONNECTIVITY MUST BE AVAILABLE DURING THE HOURS THAT THE UPDATE IS SCHEDULED. First you will need to note the path to your case closed directory. This can be done by right clicking on the icon that you would use to open case closed and clicking properties. This will open up a dialog box that will show you the full path to your case closed directory in a field called Target. This is shown in the images below. Copyright Case Closed Software ~ ~ Page 8

9 9 Next you will need to open the Task Scheduler program. You can find it under the start menu. Below is the path to follow under the start menu to find it. START -> Control Panel ->Administrative Tools->Task Scheduler The following screen will appear when you click scheduled tasks. Copyright Case Closed Software ~ ~ Page 9

12 12 On this screen click New button. When the next screen comes up you will want to locate the case closed directory that you took note of at the beginning. Once in that folder you will want to find the file case_closed_unattended.exe as shown in the picture below. Copyright Case Closed Software ~ ~ Page 12

13 13 Use the /S:0 switch to skip all user messages, since this is set to run after hours and without user intervention. Make sure you have Wake the computer checked as shown below: Copyright Case Closed Software ~ ~ Page 13

14 14 After you hit OK, you may be required to enter the user name and password that this task will use. This is the username and password that you use to logon to the computer. 16 16 External Links Case Closed has some internal links to and Youtube.com These links are used for submitting support tickets to Case Closed and some of our training videos on YouTube can be accessed from within the Case Closed Software. Remote Case Review (RCR) RCR allows authorized persons access to the agent s case file(s). Authorized persons may be the District Attorney, Public Defender etc. In order for the RCR and Mobile App to work, you will need IIS. In most cases, IIS comes with your Windows server from Microsoft. Mobile App The mobile app is HTML/ASP pages designed for your smartphone or other mobile device such as ipads. Any mobile device with internet connection will work. Both RCR and Mobile are installed on your server and configured through your IIS. It is not public on the internet. Case Closed will work with your IT staff to setup and configure your IIS for the RCR and the Mobile App Please allow access to these sites through your firewall.
