3 Admission Policies of Graduate School of Science and Engineering (Engineering), Yamagata University Overview and Features Graduate School of Science and Engineering (Engineering), Yamagata University, consists of Master's Program and Doctor's Program. The Master's Program is offered in 9 courses, i.e. Polymer Science and Engineering, Organic Device Engineering, Chemistry & Chemical Engineering, Biochemical Engineering, Bio-System Engineering, Informatics, Electrical Engineering, Mechanical Systems Engineering, and Management of Technology (MOT), with enrollment capacity of 270 students. The Doctoral Program is offered in 5 courses, i.e. Organic Materials Engineering, Bioengineering, Electrical Engineering and Informatics, Mechanical Systems Engineering, and Management of Technology (MOT), with enrollment capacity of 26 students. The Master's Program at Graduate School of Science and Engineering (Engineering) aims to provide a master's education to allow students to pursue and cultivate academic background and to foster individuals who have research skills in the specialized areas and superior abilities supported by advanced expertise, from a broader perspective elevating the faculty education practiced as "an educational institution capable to advanced science and technology and globalization, through the research activities intensified with enhancing the engineering education, with a goal of 'a graduate school to foster abilities to take the initiative in developing new fields', in response to the social situation and the industrial structural changes"; the master s program has turned out many excellent students who have completed these courses. The doctoral program aims to provide a rich academic background and to foster individuals who cultivate advanced research skills required to engage in the highly specialized world-class research and education independently as a researcher in the specialized areas, thereby contributing to the society, in the progress of globalization. The doctoral program has contributed to build a rich life and create a prosperous future. Eligibility of applicants Applicants must satisfy one of the following categories or satisfy one of the following categories by the end of March 2015: (1) General applicants (i) Persons who have been awarded a master's degree or a professional degree; (ii) Persons who have been awarded a degree equivalent to a master's degree or a professional degree in a country other than Japan; (iii) Persons who have been awarded a degree equivalent to a master's degree or a professional degree by taking one or more distance-learning courses, in Japan, provided by a foreign school or schools; (iv) Persons who have been awarded a degree equivalent to a master's degree or a professional degree, in Japan, by completing the postgraduate program at a foreign educational institution accredited under the educational system of the said country and is so designated by the Minister of Education, Culture, Sports, Science and Technology; (v) Persons who have completed the course of the United Nations University established based on the United Nations General Assembly resolution from December 11, 1972 stipulated in Article 1, Clause 2 of the Act on Special Measures Incidental to Enforcement of the Agreement between the United Nations and Japan regarding the Headquarters of the United Nations University (Act No. 72 of 1976) and have been awarded a degree equivalent to a Master's degree. (vi) Persons who have completed the course for a non-japanese university, an educational institution which has received a designation set forth in Article in Enforcement Regulations for the School Education Law, or the United Nations University, who have passed an examination or screening equivalent to the regulations stipulated in Article 16.2 in Standards for the Establishment of Graduate Schools, and who are recognized to have academic ability equal to or exceeding Master's degree holders. (vii) Persons who satisfy either of the following requirements designated by the Minister of Education, Culture, Sports, Science and Technology (Bulletin No. 118 of Ministry of Education, 1989) a. Persons who have been engaged in research activities at a university or research institute for at least two years after graduating from a university or its equivalent and who have been recognized by Yamagata University's graduate schools as having an academic ability equal to holders of a master's degree or a professional degree by means of their research and technological achievements; o b. Persons who have been engaged in research activities at a university or research institute for at least two years after completing a 16 year course of study in the educational institutions of a foreign country, or after completing a 16 year course of study in the educational institutions of a foreign country by taking one or more distance-learning 2

5 courses, in Japan, provided by the said foreign school or schools, and who have been recognized by Yamagata University's graduate schools as having an academic ability equal to holders of a master's degree or a professional degree by means of their research and technological achievements; or (viii) Persons who have been recognized by Yamagata University's graduate schools as having an academic ability equal to or higher than holders of a master's degree as a result of individual Eligibility confirmation process and who have reached 24 years of age. (3) International applicants Applicants who are nationals of countries other than Japan. Please note that nationals of countries other than Japan who have either graduated from a university in Japan or completed a master's degree in Japan will not be considered international persons. Eligibility of applicants. (1) The Preliminary Screening will be conducted as follows: (i) Eligibility confirmation process 1: The Graduate School will examine the applicant's research and other demonstrable achievements (such as books, academic papers, academic lectures, academic reports and patents) to evaluate that the applicant's research-based performance is of a worth equal to or higher than a master's thesis. If the applicant's previous work is accepted by the Graduate School, the applicant will be eligible to apply for admission. (ii) Eligibility confirmation process 2: Applicants will become eligible to apply for admission if they are deemed to possess academic ability that is equal to or higher than that of a master's degree holder. (2) Documents and materials required for Eligibility confirmation process 1 or 2: (i) A completed Application Form for Eligibility confirmation process (a form designated by the Graduate School of Science and Engineering, Yamagata University), (ii) An academic transcript from the last school from which you graduated (prepared and sealed in an envelope by the school), (iii) A graduate certificate from the last school from which you graduated, (iv) A completed Preliminary Screening Form for application eligibility (a form designated by the Graduate School of Science and Engineering, Yamagata University), (v) Record of Research and Technological Achievements (describing your research activities, such as contents of works, books, academic papers, academic lectures, academic reports, patents and utility models, using the designated form). Application documents are accepted weekdays between 9:00 and 16:30. (3) This Eligibility confirmation process can be substituted with the Certificate of Applicant Eligibility issued by the Graduate School of Science and Engineering, Yamagata University. Persons who have the certificate and wish to be exempt from the Eligibility confirmation process must send the transcript of the certificate together with the other application documents. 5. Advance consultation for applicants desiring special consideration for taking the entrance 4

7 examination or attending the courses If applicants with diseases, injuries, or physical disabilities desire to be given special consideration while taking the examination and/or undertaking the doctoral program, please contact the Admissions Office, Faculty of Engineering, Yamagata University (Tel: ) for consultation before commencing the application period. Please consult as soon as possible, since some conditions may need preliminary arrangement at Yamagata University. 6. Application documents are accepted between 9:00 a.m. and 4:30 p.m., except between August 11 (Saturday) and August 15 (Wednesday), Late applications will not be accepted. If sending by postal mail, applicants must allow for a sufficient number of days for the documents to reach the Admissions Office. (Application documents sent by postal mail must also arrive at the Admissions Office no later than the deadlines stated above) 3. If submitting by postal mail, please write "Enclosed: Application Form, Doctoral Program, Graduate School of Science and Engineering (Engineering) " in red on the front of the envelope and send the documents by registered mail. Application procedures (1) Application documents Application documents must be completed and provided by all applicants, whether general, working or international applicants. Curriculum Vitae Please refer to the Faculty member list of Doctoral Program at the homepage of the Graduate School of Science and Engineering, Faculty of Engineering, Yamagata University, to fill in the name of the prospective primary academic advisor in the application form for admission. Completion certificate or a certificate of expected completion* Academic transcript from your graduate school* Summary of Master's Degree Thesis* Research Plan Record of Research and Technological Achievements The certificate must be prepared by the president of the university or head of the graduate school from which you graduated or expect to graduate. The transcript must be prepared and sealed in an envelope by the president of the university or head of the graduate school from which you graduated or expect to graduate. The contents of your thesis must be summarized in no more than 2, 000 Japanese characters on the designated form. A transcript of the thesis, or related academic lectures or patents, if any, must be attached. A summary written in English is also acceptable (no more than 600 words). The applicant's intended theme or field of research, including the basic concept and objectives, must be stated on the designated form in no more than 1, 000 Japanese characters (or no more than 300 English words). (The applicant may consult any academic advisor) Reasons for application must be included in the plan. Documents required to be submitted by working applicants: List the applicant's research-related activities, such as contents of studies, books, academic papers, 5

8 academic lectures, academic reports, patents and utility models, using the designated form. Application fee 30, 000yen (Submit the Yamagata Applicants expecting to complete the master's program or the professional University Application Fee degree program of the Graduate School of Science and Engineering, Yamagata Payment Certification) University in March 2015 are exempt from payment. Or, applicants who has been accepted, as of their application for admission, to be awarded the Japanese Government Scholarship for International Students after entering the graduate school, are also exempt from payment. 1. Payment period First Examination: July 15 (Tue) to July 25 (Fri), 2014 Second Examination: January 19 (Mon) to January 30 (Fri), Notes on the payment procedure (1) The fee must be paid at a branch of Japan Post Bank or at a post office using the designated Payment Slip for Doctoral Program, Graduate School of Science and Engineering. Please note that the payment must be made at the teller counter as it cannot be processed by an ATM machine. (2) Write your (the applicant's) name, postal code, address, and phone number in the specified space marked with "*" on each slip using a ballpoint pen. (3) Specify your intended area of specialization on the Payment Receipt Slip and the Yamagata University Application Fee Payment Certification. (4) Make sure the bank or post office's stamp, with the date of receipt, is affixed to the Payment Receipt and the Application Fee Payment Certification when receiving it at a branch of Japan Post Bank or at a post office. 3. Submit the Yamagata University Application Fee Payment Certification stamped by the bank/post office. 4. The application fee will not be refunded for any reason, except: (1) the applicant decides not to apply for admission (including where the application documents are not submitted or where the application is rejected); or (2) the application fee was unintentionally paid twice; or (3) the applicant enters the graduate school with the extension of the award period of the Japanese Government Scholarship for international students awarded after the application for admission. * For more details about getting a refund of the application fee, please contact the Admissions Office of the Faculty of Engineering. The refund request should be made by March 31 (Tue), Self-addressed envelope A stamped, self-addressed envelope (23.5 x 12 cm), with the applicant's name, address and postal code. Within Japan, the required postage is 350 yen, including express delivery fee. Permission for Application Working applicants must submit the permission issued by the applicant's immediate manager or equivalent. Certificate of Residence, etc. Persons from other countries who are residing in Japan and have registered as a resident of Japan should submit a copy of their Certificate of Residence. Persons who have not registered as a resident in Japan should submit a photocopy of their passport, a certified copy of their family register, or a certificate of citizenship issued by the applicant s home country. Address Label Fill out the postal code, address, name, and telephone number of the applicant who will receive a notification of the result, etc. on the specified form of this graduate school. Note: Persons whose eligibility has been accepted by the afore-mentioned Preliminary Screening 1 or 2 do not have to submit application documents marked with asterisk "*". (2) Notes regarding your application (i) Incomplete forms will not be accepted. (ii) It is permissible to fill in the designated application forms using a word processor or other device. 6

(2) Test location Faculty of Engineering, Yamagata University Jonan, Yonezawa City, Yamagata Prefecture, , Japan (3) Contents of oral examination (i) General applicants The oral examination will cover the applicant's master's degree thesis, subjects and fields of intended research, and research plan. (ii) Working applicants The oral examination will cover the applicant's master's degree thesis, Record of Research and Technological Achievements, and research plan. (iii) International applicants The oral examination will cover the applicant's master's degree thesis, subjects and fields of intended research, and research plan. * Applicants will be given 30 minutes to make their presentation for the oral examination. Equipment such as an OHP, slide projector, or liquid crystal projector may be used in the presentation. 9. Place of examination Examination place at Faculty of Engineering, Yamagata University: Jonan, Yonezawa City 10. Notices to the applicants when taking the entrance examination (1) Admission Ticket for examination (i) The applicant must carry the Admission Ticket for examination on the examination day and present it before entering the test location. (ii) The applicant must always carry the Admission Ticket for examination with you in the test location and follow the instructions given by officials during the examination hours. (iii) If the applicant fails to bring the Admission Ticket for examination on the examination day, he/she must inform an instructor when entering the test location to take the procedures to issue a provisional Admission Ticket for examination. (iv) If the applicant has lost the Admission Ticket for examination, he/she must immediately inform the Admissions Office of the Faculty of Engineering. (v) The Admission Ticket for examination is required for admission procedures. Please retain it until the decision of acceptance or rejection is finalized. (vi) (2) Traffic disturbance may be caused by weather conditions. Check the weather conditions and the traffic situation to allow enough time for coming to the test location so that you arrive in Yonezawa city by the preceding day of the examination day as possible. (3) The applicant must arrive at the test location 30 minutes before the examination starts. (4) If you did not arrive by the examination start time, inform an instructor to get instructions. (5) If the applicant arrives more than 20 minutes after the examination started, he/she is not allowed to enter the examination room. (6) In the event of traffic accident or disaster on the examination day, the examination may start later. (7) Be sure to cancel alarm of electronic devices such as mobile telephones and smart-phone and turn them off before entering the examination room. Carrying such item (s) with you or having in your hand without placing in a bag or similar during the examination hours may constitute a wrongful act (8) The applicant must not use alarms of watch or others during the examination hours. (9) The applicant who continues to take the examination afternoon should bring a lunch. (10) The applicant must not access the premises by car or motorbike. (11) Attendant person may not enter the building at the test location. (12) Arrangement of accommodation facilities for taking examination will not be offered by Yamagata University. (13) Attention to solicitation of agents around the test location and the nearest stations for service on the results of the examination. Yamagata University has no relationship with such agents and do not take any responsibility for any 7

10 trouble. Attention to agents or persons who collect under the name of questionnaire and misuse personal information obtained from you such as address and telephone number. 11. The admission ticket numbers of successful applicants will be posted on the homepage of the Graduate School of Science and Engineering, Faculty of Engineering, Yamagata University ( The notification of acceptance issued on the same day of the announcement will be sent to the successful applicants after the notification of results. 12. (2) Enrollment location Admissions Office, Faculty of Engineering, Yamagata University: Jonan, Yonezawa City, Yamagata Prefecture, , Japan Tel: (3) Items required for enrollment (i) Enrollment fee: 282, 000 yen Payment of the enrollment fee should be made when submitting the enrollment documents. Students expecting to complete Master's Program or Professional degree courses of the Graduate School of Science and Engineering, Yamagata University in March 2015 and intend to continue their studies by undertaking the Doctoral Program of the Graduate School of Science and Engineering, Yamagata University, however, are exempt from payment. (ii) Enrollment documents designated by the Graduate School of Science and Engineering, Yamagata University (iii) Education and Research Scholarship for Students Affected by Disaster or Injury. Notes:1. Students with an outstanding academic record who are unable to pay their admission and tuition fees because of economic reasons or some other special reason, such as having been victim of a natural disaster, may apply for exemption from paying all or half of the admission and tuition fees. 2. Japanese students may apply for a scholarship loan from the Japan Student Services Organization. Money will be granted following a selection based upon the rules of the Japan Student Services Organization. However, it should be noted that the number such scholarships is limited. 13. Tuition Successful applicants should pay tuition fee after entrance. Tuition fee: 535, 800 yen per year (planned) (1) The tuition fee stated above is planned because it has not been finalized. (2) If the tuition fee is revised while enrolled, the revised tuition fee will be applied at the time of the revision.. (3) Details of the tuition payment will be provided with the enrollment guide sent to successful applicants. 14. Special arrangements for working students stipulated in the Standards for Establishing a Graduate School, Article 14 With the rapid advancement of science and technology in recent years, there has been increasing demand for graduate schools to provide professional engineers, educators, and researchers with opportunities to receive higher education. In reality, however, most professionals are unable to take such opportunities, mainly due to time and/or geographical constraints. In response, the Standards for Establishing a Graduate School, Article 14 gives due consideration to working 8

It stipulates that, "If deemed necessary for an educational purpose, graduate courses may provide education through appropriate special arrangements, such as classes and research guidance made available during evening or other hours, or special periods/hours." Our doctoral program in engineering provides special arrangements in conformity with the Standards for Establishing a Graduate School, Article 14, to actively accept professional engineers, educators and researchers who desire to receive graduate school education. The special arrangements are provided as follow: (1) In addition to regular daytime classes (8:50-15:55), night classes (16:00-21:10) are offered; (2) Saturday and Sunday classes are also available; (3) If needed, classes will be offered during summer and/or winter breaks; (4) Students who would like to take a specially arranged course during non-regular hours must submit the Special Arrangement Application Form at the beginning of the school year, and obtain the approval of their supervisor and the professor/lecturer teaching the class. 15. Extension of course period Working students and other students with approved reasons may choose to extend the period of their doctoral courses beyond the regular length of three years. Those interested should contact the person in charge, listed below. (1) Eligible Persons Those who have an occupation or other unavoidable circumstances are eligible. (2) Period of Extension It is possible to extend the regular course term of three years by up to three additional years. However, students with extended course terms who are unable to complete their courses even after exceeding twice the regular course period (six years) are subject to expulsion. (3) Inquiries regarding the application method, as well as application forms, may be submitted to the following address: chome, Jonan, Yonezawa, Yamagata, Japan School Affairs Office, Faculty of Engineering, Yamagata University (Phone: ) Applications for course period extensions will be accepted at the time of enrollment (while conducting these procedures). However, if necessary, it is possible to apply up until the period preceding the beginning of the scheduled year of completion. (4) Tuition i. The yearly tuition for extended course periods is as follows: Yearly tuition x regular course period (three years) permitted course period (Example) Yearly tuition (2014) for an individual who was permitted a six-year course period: 535,800 yen x 3 years 6 years = 267,900 yen (yearly tuition) ii. Tuition will be determined upon the notification of the extension of course period results. iii. In situations where tuition is amended during an individual's course of study, the new tuition will be applied. In this instance, there will be an additional notification. 16. Others (1) Our doctoral program in engineering offers a separate admissions program for October enrollment. (2) Applicants' personal information obtained through the admissions process will be used for the following purposes only, and never disclosed, provided to, or entrusted into the custody of any third party: (i) Conducting the entrance examination; (ii) Enrollment procedures; (iii) Statistical survey on enrollment; (iv) Necessary administrative tasks related to the student's study program at Yamagata University, and (v) Other administrative tasks necessary for the University (3) Discovery of a false statement in the documents submitted may result in the withdrawal of any offer made. 17. Request for the Application Guide (1) Request at a counter The Application Guide is available at the counter of the Admissions Office of the Faculty of Engineering, Yamagata University (excluding Saturdays, Sundays and public holidays). (2) Request via the homepage of Yamagata University Requests for informational documents can be made directly through Tel or the "Mobatcho" service through "Request Materials" on the "Admissions" or "For All Test Takers" pages on the Yamagata University homepage ( When making a request through Tel or Mobatcho, please verify the handling of information stipulated by each company. 9
