Unity Meet Me Conferencing Service Definition Service Summary Unity Meet Me Conferencing is InTechnology s hosted audio conferencing service for Unity IP Voice users. Unity Meet Me Conferencing offers: Reservationless and scheduled conferences for up to 50 participants Microsoft Outlook integration for conference host users Web based conferencing moderator client Participant call back feature Lecture mode for company announcements Fixed and usage based charging models

Service Definition Conference Bridges InTechnology will provision a conference bridge into a Unity Group of the customer s choosing. Each bridge is assigned with a telephone number, and configured with a maximum number of participants. The maximum number of participants is defined based on the size of bridge purchased by the customer. The customer can purchase a single conference bridge or multiple conference bridges. Once the bridge is provisioned, the customer administrator can assign users from across their Unity Enterprise to the bridge as Conference Hosts. Meet Me Conferences Once a user has been assigned to a conference bridge as a Conference Host, the user can create single or multiple instances of a Meet Me Conference (a conference room). The conference can be created either via the user s CommPilot web portal, or one-time conferences can be created via a Meet Me Conferencing Outlook plugin. It should be noted that the value for the maximum number of participants that can join the bridge is contended across all of the conferences created on that bridge. For example, a bridge supports 50 concurrent participants. This means that one conference of 50 participants, two conferences of 25 participants, five conferences of 10 participants or ten conferences of 5 participants can take place on the bridge at any one given time. It should be noted that when a caller is attempting to join a conference on a bridge where port capacity has been reached, the caller will receive busy signal. There are a number of conference types that can be created by the user. These are defined as follows: One-time conference The one-time conference allows a user to create a conference that is available on a particular day, at a particular time and for a specified duration. One time conferences can be created via the user s CommPilot web portal or via the Microsoft Outlook plugin. When creating the conference, the user can also: Restrict the number of participants that may join the conference (this figure will need to be less than the capacity of the assigned conference bridge). Specify that all attendees are muted on entry to the conference Specific that the conference ends when the moderator leaves Prevent the conference starting until the moderator has joined Specify a notification when attendees join (play tone, play recorded name, provide no notification) It should be noted that the Account Code feature is not currently supported. Recurring Conference The recurring conference allows a user to create a conference that is available on a particular day, at a particular time that recurs on a configurable basis (every day, every week, every month or every year). The user can also configure and end date on which the conference will expire. Recurring conferences can be created via the user s CommPilot web portal only. In addition, the user can: Specify the estimate number of participants that will join the conference (this figure will need to be less than the capacity of the assigned conference bridge). Specify that all attendees are muted on entry to the conference Specific that the conference ends when the moderator leaves Prevent the conference starting until the moderator has joined

Specify a notification when attendees join (play tone, play recorded name, provide no notification) It should be noted that the Account Code feature is not currently supported. Reservationless Conference The reservationless conference allows a user to create a conference that is always available. The user can specify a start date from when the conference availability starts, and optionally an end date when the conference will expire. Reservationless conferences can be created via the user s CommPilot web portal only. In addition, the user can: Specify the estimate number of participants that will join the conference (this figure will need to be less than the capacity of the assigned conference bridge). Specify that all attendees are muted on entry to the conference Specific that the conference ends when the moderator leaves Prevent the conference starting until the moderator has joined Specify a notification when attendees join (play tone, play recorded name, provide no notification) It should be noted that the Account Code feature is not currently supported. Charging Model The Meet Me Conferencing service is available on a fixed monthly charging model and a usage charging model. Please note: the customer must specify one charging model or the other. It is not possible to have a mixture of both within a customer Enterprise. Fixed Charging Model The fixed charging model comprises of three options, defined as follows: Bridge Size Maximum Concurrent Participants Small 10 Medium 25 Large 50 The fixed charging model attracts an ongoing fixed monthly rental for the bridge, and attracts no usage based charges. The customer will still pay for call charges where the participant call-back feature is used. In this scenario (where the feature is authorised), a user may initiate a call out to the participant to bring them into the conference. This call will be charged at the customer s standard tariff, based on the call type (e.g. local, national or mobile) of the called party. Internal callers (using the Unity service) will not pay call charges when calling the bridge. External (PSTN) callers will pay their service provider call charges at the rate defined for the telephone number type (e.g. geographic, 08xx) assigned to the conference bridge.

Usage Charging Model The usage charging model provides the customer with a conference bridge that supports up to 50 concurrent participants. The usage charging model attracts a usage service charge which is billed in arrears at the end of each month. The service charge is a per minute fee, chargeable for all participants utilising the service. For example, a 10 user conference with duration 45 minutes will attract 450 x the per minute service charge. The usage charge is irrespective of and not related to any call charges associated with participants calling into the bridge, or users using the participant call-back / dial-out features. The customer will still pay for call charges where the participant call-back feature is used. In this scenario (where the feature is authorised), a user may initiate a call out to the participant to bring them into the conference. This call will be charged at the customer s standard tariff, based on the call type (e.g. local, national or mobile) of the called party. Internal callers (using the Unity service) will not pay call charges when calling the bridge. Usage Charging Model Minutes Bundles Customers taking the usage charging model may also purchase optional minutes bundles. These bundles provide a number of inclusive conference usage minutes in return for a fixed monthly fee. This fixed fee is always chargeable throughout the contract duration, irrespective of conference usage. Where a month s usage exceeds the number of purchased inclusive minutes, the customer s additional usage (over the inclusive minutes) will be billed at the agreed pence per minute usage rate. This is in addition to any fixed monthly charges for minute bundles. Conference Functionality Conference Moderator Conference hosts are allowed to create conferences against the bridge(s) to which they are assigned. When they create a conference, a host PIN number is generated along with the conference ID (room number). The participant who joins the conference using the host PIN number (instead of the standard conference ID / room number) has special privileges over that conference. The moderator functionality is managed through a web based moderator client application. The moderator client is opened by clicking on the Launch Moderator Client link in the Outlook plugin, or alternatively by clicking the button on the user s CommPilot web portal (under Moderator Access on the respective Meet Me Conference). Dialling a participant the moderator can enter the telephone number of a participant into the Moderator Client and make the conference call out to dial them in. Please note that the use of this feature will incur call costs against the conference bridge which are payable by the customer. The rate of these calls will be as per the agreed customer tariff for the called destination type. (Please note that this feature can be enabled / disabled for each bridge). Lock / unlock a conference the moderator can lock a conference to prevent any additional participants from calling in. The conference must be unlocked in order to allow additional participants to join. Start / pause / stop recording the conference the moderator can start, pause and stop the recording using the client. Start / stop Lecture Mode the moderator can invoke Lecture Mode, whereby all participants other than the moderator are muted. This feature is intended for addressing a number of participants on a one way basis. Mute / un-mute a participant the moderator may mute a participant and then unmute them Hold / un-hold a participant the moderator may place a participant on hold and then un-hold them Drop a participant from the conference the moderator may remove a participant from the conference. Moderators can also perform a number of operations via the telephone keypad during the conference. When the moderator menu is playing the various options, they do not hear the conference. Only the moderator hears the options, and not the other participants. The keypad options available to moderators comprise of: * to repeat the menu options 0 to transfer to the operator 1 to mute or un-mute the line 2 to perform a participant count followed by roll call 3 to turn on or off Lecture Mode 4 to lock or unlock the conference 5 50 access the call recording sub-menu 6 to invited a new participant by calling the participant 8 to end the conference # to return to the conference Moderators can also use the Participant Call Back feature. This provides the participant with a URL link on their meeting request, which is populated into the meeting request using the Meet Me Conferencing Outlook plugin, or copied by the Conference Participant The functionality available to the conference participant is available via the telephone keypad during the conference. The keypad options available to participants comprise of: * to repeat the menu options 0 to transfer to the operator 1 to mute or un-mute myself (the participant) 2 to perform a participant count followed by roll call

9 to login as the moderator (requiring the moderator PIN) # to return to the conference Microsoft Outlook Meet Me Conferencing Plugin Unity users assigned as Conference Hosts may use a plugin for Microsoft Outlook that provides quick and easy control over the Meet Me Conferencing service. The plugin is accessed in the Meeting Request and Appointment tabs (once opened) of Microsoft Outlook. Upon first use, users will need to login to the plugin using their Unity username and password. Once logged in, users assigned to a bridge can use the plugin to: Create a one-time conference Specify the configurable parameters for their conferences Populate their Outlook Meeting Request or Appointment with details of the conference, comprising: o Telephone number to dial into (DDI) o o Participant Conference ID (Optional) Call Me Now request a call back feature a URL that allows the participant to click a URL, enter their telephone number, then have the conference bridge make a call out to their telephone. (Please note that there are two versions of the Outlook plugin, one that includes this detail when populating the Meeting Request / Appointment, and another version that excludes the Call Me Now detail) Launch the moderator client View the moderator PIN number of the selected conference View help documentation The Microsoft Outlook Meet Me Conferencing Plugin is compatible with Outlook 2003, Outlook 2007 and Outlook 2010. Call Me Now Feature The Call Me Now feature adds a URL into the Meet Me Conference participant dial-in details (that are populated into the Outlook meeting request by the plugin) which allows the recipient to click the URL and enter their telephone number. The conference bridge will then dial that user and allow them to join the conference by pressing a digit on their telephone keypad. The feature can also be used by users not using the Outlook plugin, by copying and pasting the URL from the Meet Me Conferencing area of their CommPilot web portal. It should be noted that the customer will incur call charges where this feature is used. These charges will be as per their standard tariff, in line with the call type (e.g. national, mobile) of the phone number the participant requests a call on. Call types can be restricted as per the Outgoing Calling Plan. Dial Out Feature The Dial Out feature allows moderators to enter the telephone number of a participant into the Moderator Client and make the conference call out to dial them in. Please note that the use of this feature will incur call costs against the conference bridge which are payable by the customer. The rate of these calls will be as per the agreed customer tariff for the called destination type. (Please note that this feature can be enabled / disabled for each bridge). Outgoing Calling Plan The Outgoing Calling Plan defines what types of outbound call the bridge is permitted to make. The bridge will make outbound calls when a conference moderator dials out to a user, or if the call me now feature is used. The Outgoing Call Plan for the bridge should at all times be configured to only permit outbound calls to call types required by the customer. It is strongly advised that the Outgoing Calling Plan always be configured to bar calls to premium rate and personal (070) number types to minimise the possibility of the outbound calling features of the Meet Me Conferencing service being misused or used fraudulently.

Conference Recordings A moderator can record a conference for up to 12 hours. After the recording has been started, it can be paused, restarted and stopped. When the recording is stopped, the recorded audio is made accessible through the moderator user s CommPilot web portal. Conferences recordings are started, paused, restarted and stopped via the Moderator Client. Security Best Practices To avoid potential misuse of the Meet Me Conferencing service, it is strongly advised that the customer following a number of best practices: Outgoing Calling Plans outgoing calling plans should always be configured to permit the minimum requirement in terms of outbound call destinations. Premium rate and personal number (070) number types should always be barred. It is recommended that international calls are also barred, unless the customer requires that international participants may be called out to by the bridge. Reservationless conferences in particular for customers opting for the usage charging model and especially where conference bridge details are sent out externally, it is recommended that one-time or recurring conferences are used instead of reservationless to minimise the possibility of unauthorised use of the conferencing service. Where reservationless conferences are required, and in particular where conference bridge details are sent out externally, it is recommended that the Moderator required to start conference option is selected to prevent potential unauthorised use of the service. Call Me Now feature customers should be aware that if users are allowed to use this feature, recipients of the user s meeting requests will be able to initiate outbound calls from the Unity platform to call destinations permissible by the Outgoing Calling Plan. This will incur associated call costs in line with the customer s agreed call tariff. Service Level Agreement There are no SLA parameters above those defined in the Unity IP Voice Service Level Agreement.
