Chapter 1 Reporting System Hello Dear Member In this manual we want to cover the IVAO Tours Reporting Page s system in divisional part which each active division presented tours for IVAO members. You can be awarded from desire division after you finished the legs of the tours. Here you can visit the Tours reporting Page ( Click Here ) After you open up the tours reporting page, a blank page will be shown to you. You can select your desire division (from top the left side) for starting the division s tour(s). Each division has specific abbreviation code (ID=Identification) in IVAO. You can find the list of these codes from Here. I m selecting India Division s tours for starting a tour. Now I have to find IN from the list and select it in menu. After you select the division s ID; tours reporting page will be re-directed to the division s tours page. Copyrighted 2015 International Virtual Aviation Organisation Page 2
Here in this page, all tours of the division which is in India division now (Closed Tours / Preview / Open) will be visible for you. On the left side you have 3 data block: 1. View tour details: You can see all division s tours and their status. 2. File My Report : You can send your flight s report from this part (for each tour) 3. View my report (which is not visible in picture above) : You can see your report s status after validator s validation (Accepted, Rejected, Pending) Copyrighted 2015 International Virtual Aviation Organisation Page 3
Chapter 2 View Tour s Details Now if you want to start a tour, first you have to make a survey on a desire tour and its rules. It s very important for validators that you obey tour s rules. I m selecting India International Cargo 2012 for starting. Click on desire tour. Introduction: The introduction of the desire tour will be shown to you. You have to see detail & general rules for this tour below tour s picture. Check List: Author: Tour s creator Name & His/her staff position. (By clicking on name you can mail to tour s creator) Aircraft: Permitted Aircraft for this tour (Which is Medium and Heavy Aircraft ONLY on this tour) Remark: Tour s creator remark (like any special information that you have to know). Tour Legs must be flown in order: you have to obey the sequence of the tour s legs. (YES mean you have to obey the sequence & NO means that you can choose each leg by your own decision and sequence) Maximum flights per day: Unlimited (you can fly unlimited legs in this tour, no restriction set in this part) Copyrighted 2015 International Virtual Aviation Organisation Page 4
Since this tour is open, you can file your flight s reports for this tour. But before we file any reports I would like to attract your attention to top of this page. Leg List: In this part you can see all legs of the desire tour. There are 10 legs in this tour and you can see a table of data for this page. Check List: Leg: The number of leg. Departure: Departure Airport (ICAO Code) Arrival: Arrival Airport (ICAO Code) Distance: Distance between departure airport and arrival airport in each leg. ETE: Estimated Time En-Route for each leg. Max Speed: Maximum permitted speed for each leg. Maximum Altitude: Maximum flight level (Altitude) for each leg. Rules: The most important part of this chapter is rules. All Division s validators in IVAO want you to read the rules and obey them. This is kind of simple respect to validator s validation. Always remember validators are kind, if you respect to them by accepting R&R, they will be kind with you for validation. Copyrighted 2015 International Virtual Aviation Organisation Page 6
Chapter 3 File Flight s Report: In this part, I want to show you, how you can send a flight s report(s) to the validators. First for flying you have to fly your desire leg(s) of the tour (you can check leg s sequence from leg table as I explained to you above). Whenever your flight completed you have to report your flight to the validator of the division by sending a report. As you can see many status have been assigned into my tour s report. There are 4 statuses in tour s reporting page: 1. Not Started: You didn t start this tour (OR validator still didn t validated your first report) 2. In Progress: You started the tours ( At least there is one accepted reports has been found in system) 3. Completed: You finished the tours and all your reports accepted. You should be wait for your award. 4. Awarded: You have been awarded by the division s staff. Copyrighted 2015 International Virtual Aviation Organisation Page 7
Send a Report: Now, in File my Report box, whenever you click on your desire tour, rule s preview page will be shown to you. Please double read it and press Enter button in your keyboard. After you pressed the OK button, page will be re-directed to reporting page. Copyrighted 2015 International Virtual Aviation Organisation Page 8
Here you can see simple format of reporting page. There are some data blocks, which have to be filled by you. Check List: Leg ID: Leg number Departure ICAO Code: Departure Airport (Where you departed from) Arrival ICAO Code: Arrival Airport (Where you arrived to) Date: Date of your flight (Automatically will be set to present date by system) Takeoff Time: Time of departure (OR connected time) Landing Time: Time of arrival (OR disconnected time) Wind Aloft: Maximum wind that you had in your flight. Note: You must write down the wind direction and speed at cruising altitude. Callsign: Your Flight s callsign (Exact callsign) ATC Contacted: ATC facilities that you contacted to them, like VABF_CTR, EDDF_TWR & etc. Remark: Any special information that validator needs to know, like disconnecting, changing callsign in flight or Midnight flying. Checking Reports: When you submit the Fill leg a confirmation box will show to you for confirming the data. Click on OK then your first report will be sending to validators of the division. Now your tours status will be change to In Progress. Enjoy further legs! Note: Sometimes validator leaves comment for you. By clicking on accepted or rejected status you can see the comment. After you finished the legs, you cannot report anymore flight. You will receive message that you finished this tour. Also you can see your leg s list (Or you can check it from View My Reports box from the left side of page ) Here we want to check our status of reports. Note: if you encounter with any rejected reports, check the reason, if your timing were wrong you can modify the leg by clicking on the Rejected status and re-send it to validators. But if your flight had something wrong which mentioned by validators you have to re-fly the rejected leg and re-send it to validators. You can see all my legs have been accepted by validators. As you can see in the red part, my award is still on pending status. You should be penitent for issuing awards from Division s staff. Sometimes tour s setting is on Auto Validating System. In this case your reports will be validated by the system itself. If there be any rejecting from system the reason will be mentioned in comment; if you saw any unreliable reason from system, contact tour designer for solving the problem. Also in the left side you can see Completed Status for India International Cargo tour. BTW, you can see all 4 statuses in Green Box! Well, my award has been issued!
