Product Overview Office Depot Merchant Services is a Transaction Express mobile application that turns an Apple or Android device into a credit card terminal. It s a state-of-the-art, secure way for merchants to grow their business in all new directions, and it s FREE to download from the itunes App Store and the Google Play Store. Downloading Office Depot Merchant Services Application 1. In the Apple App Store or Google Play Store, search for Office Depot Merchant Services. 2. Office Depot Merchant Services Powered by TransFirst LLC should return. 3. Select Free / Install to initiate the app download. User may be prompted to enter their Store password. Supply password and select Ok. 4. End User License Agreement will display and must be accepted before use of the Office Depot Merchant Services application is allowed. Read and Accept the EULA to proceed. 5. Continue to the Create New Account instructions on Page 6. Launch Application by selecting the icon added to the home screen or the icon added to the application list. P a g e 4

Welcome Emails Four Emails will be received during the Office Depot Merchant Services account activation process: Transaction Express Welcome Email Transaction Express Activation Alert Office Depot Merchant Services Portal Welcome Email Merchant Processing Electronic Welcome Kit The following information received in these emails will be needed to finalize account setup: Merchant Number: This is included in both the Transaction Express Welcome Email and the Transaction Express Activation Alert. Gateway ID: This is included in both the Transaction Express Welcome Email and the Transaction Express Activation Alert. Registration Key (RegKey): This will be included in the Transaction Express Activation Alert In addition to the values noted above, the appropriate Login URL s and temporary passwords to both the Transaction Express gateway and the Office Depot Merchant Services online portal will be included. Create New Account Office Depot Merchant Services Some initial configuration is needed to begin the Office Depot Merchant Services mobile application account set up process. If the Office Depot Merchant Services application is being launched for the first time: Select Create New Account o Supply First Name o Supply Last Name o Supply Email Address (this will be the Username used to access the application and portal) o Supply Phone Number o Supply Password o Confirm Password Select Create Account Once Create New Account is completed, a Welcome Email will be delivered to the email address provided with instructions on how to access the Office Depot Merchant Services online portal. Using the online portal is discussed later in this document. The Privacy Policy, End User License Agreement and Terms of Use should be reviewed and accepted prior to proceeding past this point. Account Sign-In - Office Depot Merchant Services Application Once the initial Office Depot Merchant Services mobile application configuration is complete: Select Sign In to access the account o Supply Username (email address used during setup) o Supply Password Application will launch Android Login Apple Login Finalizing the Office Depot Merchant Services Application setup After Logging in to the Office Depot Merchant Services application, the Settings menu will display. The page being displayed will highlight in red at the bottom of the application screen: Android Setting menu: P a g e 7

Office Depot Merchant Services Application Settings Merchant Settings Select Merchant Settings to finalize the Office Depot Merchant Services mobile application configuration. The following 3 fields will need to be entered in order to connect to the Transaction Express gateway account associated with the processing account: Merchant ID Received in the Transaction Express Welcome Email. Gateway ID Received in the Transaction Express Welcome Email. RegKey Received in the Transaction Express Activation Alert. Select Save after providing all values. This configuration is only required upon first time setup. Logging in to an existing account on a new device will auto-populate this information on the new device. Merchant ID: This is the merchant account number which is associated to this account. Gateway ID: This is the Transaction Express gateway ID which was assigned. Registration Key: This is the RegKey which is associated to the Transaction Express gateway ID. The RegKey is Case Sensitive. Test Mode: This enables Test mode. Transactions will not process if the application is in Test Mode. P a g e 8

Finalizing the Office Depot Merchant Services Application setup Receipt Setup Receipt configuration and DBA configuration is accomplished in the Office Depot Merchant Services online portal. Visa and MasterCard have data requirements for emailed receipts. The customer receipt must include (but not limited to) the following pieces of information to meet compliance rules: Business Name is the DBA Business name on the merchant account being used. Address Line 1 & 2 shows the DBA address for the merchant account being used. City is the DBA city on the merchant account being used. State is the DBA state on the merchant account being used. Postal Code is the DBA zip/postal code on the merchant account being used. *Country is also required but is added automatically and cannot be changed These fields are completed in the My Profile section of the Office Depot Merchant Services online portal. Select Save Changes to save all address information to the online portal. More information on using the online portal is available in the Office Depot Merchant Services user guide beginning on page 18. P a g e 9

Settings Menu- Office Depot Merchant Services Application Device ID: This value is assigned to the device once activated on the Office Depot Merchant Services application. Merchant Settings: This is where the following information will be configured: o Merchant ID o Gateway ID o Registration Key o Test Mode (on/off)* Default Description: This is required for all mobile transactions. This can be updated on a transaction by transaction basis if needed. Tips: This allows for Tips to be enabled and a default Tip % to be set. This amount will be added to all sales by default and can be adjusted on the Signature screen on a transaction by transaction basis if needed. Card Reader: This is where the card reader being used with the application Passcode: This enables a Passcode for the application which must be entered when the application is launched. Note: Gateway ID and RegKey will be included in the Activation Alert received from Transaction Express. *Test mode allows sample transactions to be processed which will not authorize or settle. Connecting Card Reader On the Purchase screen, a message will indicate if a card reader is connected to the device: Card Reader not connected: Card Reader connected: Plugging in the card reader while on the Purchase screen will update a Not Connected message to a Connected message. P a g e 11

Processing a Sale Select the Purchase icon at the bottom of the application in order to initiate a Purchase: This will route to the Purchase screen as shown here: To process a Purchase: Enter an Amount Update Description if needed *Enter Invoice Number *Invoice Number can be viewed as the Customer Reference ID in Transaction Express Select Continue to navigate to the next screen and complete the transaction. To add Card Information: If Reader is attached, swipe the card If no Reader is attached, enter the following information: o Name on Card o Card Number o Expiration Date o *Security Code CVV2/CVC/CID o *Zip Code o *House Number (Street Address) * Security Code, Zip Code and House Number are required on keyed transactions. Select Signature to capture a signature for the transaction and to finalize the purchase. Swipe Screen Sample Keyed Screen Sample P a g e 12

If Accept Tips is on, Tips can be adjusted on the signature screen (left). If Accept Tips is Off, Tips will not display on the signature screen (right). The Tip Percentage can be adjusted with the - / + provided Select Charge to submit the transaction for authorization. A response screen will display with the status of the transaction: In the case of a Partial Approval, the transaction response screen will display as shown: P a g e 13

Sending an Email Receipt There are two ways to email a receipt from the Office Depot Merchant Services application. The first is supplying an email address on the transaction response screen and selecting Send Receipt. The second is to find and select a transaction in the History Detail, supply an email address, and selecting Send Receipt. P a g e 14

Transaction History Access Transaction History by selecting the History icon at the bottom of the application to access the Transaction History for the device being used: The History Detail will provide a list of transactions which have been processed through the Office Depot Merchant Services application on this device. Once a transaction is selected, it can be Voided (if same day), Refunded (if next day) or an additional receipt can be emailed. In order to resend a receipt for a transaction, scroll down on the Transaction Detail screen. The original email address for the sale will be retained, but can be changed to the desired email address. Select Send Receipt to trigger the email. P a g e 15

Voids and Refunds Voiding or Refunding a transaction occurs by accessing the transaction in the History Details list. Access Transaction History by selecting the History icon at the bottom of the application to access the Transaction History for the device being used: Select the transaction you would like to Void or Refund. o Voids are processed same day, before a transaction is settled. A Void is always for the full amount of the transaction. Altering the amount on a Void will result in an error message. o Refunds are processed after a transaction is settled, usually the next day. Select the Void / Refund option under the amount Once Void / Refund is selected, an amount box will display. For a Void: Enter the full amount of the transaction (the full amount will default in the Void/Refund box) For a Refund: Enter the amount to be refunded for this transaction. The amount can be anything up to the full amount of the transaction. P a g e 16

Select Refund to issue a Void or a Refund. Once a Refund is processed, a Refund amount will be visible on the Transaction Detail screen for that transaction. Full Refund Partial Refund P a g e 17

Office Depot Merchant Services Online Portal Navigation The left navigation bar will display on all screens and is the primary navigation tool for the Office Depot Merchant Services online portal. Transactions will display all transactions which have been processed through the Transaction Express account used to configure the Office Depot Merchant Services application. Receipt Settings will allow a user to configure the receipt settings for the account. Gateway Settings is where the Merchant account and Gateway settings are configured. Manage Devices will display all active devices associated to the Office Depot Merchant Services account. Your Profile will display the Name, email address and physical address used to configure the Office Depot Merchant Services account. P a g e 18

Landing Screen / Transaction List The landing screen of the portal will display all transactions which have been processed through the Transaction Express account used to configure the Office Depot Merchant Services application. The paging tool at the bottom of the page allows the user to navigate through the pages of reported transactions. Transactions which have a device ID reflected were processed through the Office Depot Merchant Services mobile application. Transactions which do not have a device ID were processed directly in Transaction Express. P a g e 19

Action Column: Selecting the magnifying glass in the Actions column will allow a user to view the details of a transaction. Transactions processed through the Office Depot Merchant Services mobile application will display the geo-location details and signature in addition to the standard transaction information. Selecting the envelope in the Actions column will allow a user to resend a copy of a receipt to a customer. The original email address will populate in the pop-up box provided, but can be changed if needed to send the receipt to a different email address. P a g e 20

Receipt Settings The Receipt Settings page is where receipts are configured for the Office Depot Merchant Services mobile application. Time Zone This is the time zone which will display on receipts. Merchant If specified, this email address will be sent an email notification for every order. Multiple email addresses may be specified and separated with a comma. BCC - If specified, this email address will receive a copy of all receipts. Multiple email addresses may be specified and separated with a comma. Reply To - This is the email address which will populate on sent emails if Reply is selected. Show Map This setting will toggle the map display on receipts. Receipt Header This field allows a custom header which will display on all receipts. Receipt Footer - This field allows a custom footer which will display on all receipts. Sample Receipt: o Show in Popup will create a sample receipt in a popup window to be reviewed. o Email to BCC & Merchant will send a sample email to the addresses specified on this page. Save Changes will Save all changes Undo Changes will undo all changes P a g e 21

Gateway Settings The Gateway Settings page is where all gateway configuration information is stored. If the account was activated on the mobile device, this information will be present upon login. If the account is set up in the online portal first, device configuration will still be needed. Gateway Transaction Express should be selected. Gateway ID This is the Transaction Express Gateway ID which was received in the Transaction Express Welcome Email. Merchant ID This is the Merchant ID number which was received in the Transaction Express Welcome Email. Registration Key This is the RegKey which was received in the Transaction Express Activation Alert. This value is case-sensitive. Confirm Registration Key Re-enter the RegKey in this field. The Test Settings button can be selected to validate the Gateway ID and RegKey combination entered are valid. Save Changes will Save all changes Undo Changes will undo all changes P a g e 22

Manage Devices The Manage Devices page will display all devices which have been activated on the Office Depot Merchant Services account. Devices can be deactivated and reactivated on this screen. Deactivated devices will not be able to log into the Office Depot Merchant Services mobile application as long as the device remains deactivated. A user attempting to log in on a deactivated device will receive the following error: P a g e 23

Your Profile Your Profile will display the information used to initially set up the Office Depot Merchant Services account. This profile information should match the Doing Business As name and address on the merchant account as this information will display on all emailed receipts. Email Address is the Email used to log into both the Office Depot Merchant Services mobile application and the Office Depot Merchant Services online portal. Business Name is the DBA Business name on the merchant account being used. Address Line 1 & 2 shows the DBA address for the merchant account being used. City is the DBA city on the merchant account being used. State is the DBA state on the merchant account being used. Postal Code is the DBA zip/postal code on the merchant account being used.
