XERO TOUCH REVIEWER S GUIDE 5 TO GET STARTED STEP 1: SIGN UP TO XERO Small business owners don t need a Xero login to begin. They can sign up for a free 30-day trial by going to Xero. com and signing up. Owners are also not required to use their own data. They can use Xero s demo company, with dummy data, to try featuresand get familiar with Xero. Once an account has been set up, accessing the demo only requires a few steps: Click the list icon, then select My Xero Click Demo Company to access the Xero Dashboard This will set up a Xero environment suitable for testing. To test Xero Touch, the apps need to be installed. STEP 2: INSTALL XERO TOUCH Xero Touch is available for the most popular mobile devices. There are native versions of Xero Touch available for Apple s iphone and ipad that are optimized for each device, in addition to a version for Google Android devices. ABOUT THE DEMO COMPANY DATA We provide the Xero demo company so you can see how Xero works. The demo company is filled with fictional data that you can use and add to, to see what it s like to use Xero. When you access the demo company a copy of this data is essentially created just for you, so you can experiment with the solution - using real or fictional data. Any data you import or enter in Xero will not be kept or seen by anyone else. You are also welcome to use actual data with Xero, either entering or importing data that is more familiar to you. XERO TOUCH REVIEWER S GUIDE 7 GETTING STARTED Xero Touch has been designed to provide access to those core features that small businesses want to do on the go: Dashboard. A snapshot of the financial position, including bank account summaries, invoices and their status, and receipts. Invoices. Quick access to all stages of invoicing, such as overdue or unpaid, submitted or drafted. Invoices can be created here, too. Receipts. Conveniently track drafted, submitted and completed receipts; and process new expenses and receipts. Small businesses can also capture those expenses immediately by taking a photo of a receipt and submitting it on the spot. Contacts. Small businesses can keep track of their clients and contact details for easy access on the go. Data is centrally stored and updated in the cloud meaning that everything that happens in Xero gets updated in Xero Touch and visa versa.

Users may then create a four-digit security code to speed the login process. Users on Apple ios devices may also login with their fingerprint through Touch ID. DASHBOARD Once logged in to Xero Touch, select the organization created for this review or use the Demo Company. Then enjoy the easy-to-understand dashboard, which provides a snapshot of the organization s financial position including bank account, invoice and expense claim status. BANK ACCOUNTS Small businesses rely on their bank accounts. But it s traditionally been difficult to match transactions in a bank account or multiple bank accounts with the accounting system. Payments come in and expenses get paid. So it s important for small businesses to easily access this data, in order to better understand their cashflow and make more-informed business decisions. Xero Touch delivers this vital information, where small businesses can view bank funds and transactions that need to be reconciled. BANK RECONCILIATION Xero s Bank Reconciliation is a key component of our accounting software on Xero Touch and on the web and allows small businesses to effortlessly keep their accounts accurate and up to date. Bank reconciliation lets small businesses easily match transactions from their bank statement with matching transactions in Xero. It s fast and fun and can be done anytime, anywhere. With Xero Touch, users can: Match. Xero finds a match, based on amount, for the imported statement line. Create. When there is no matching item in Xero, users can create one on the spot. In some cases, Xero will suggest a match based on similar and previouslyreconciled transactions. Transfer. When there is no matching transfer in Xero, users can create one immediately.
XERO TOUCH REVIEWER S GUIDE 9 MOBILE INVOICING Small businesses can have their invoices paid quicker and easier even while on the move with Xero Touch. Users can: Check the status of each invoice, including overdue or unpaid, submitted or drafted. Create invoices within Xero Touch and indicate the invoice recipient and the invoice due date. Users can also reference different inventory items and amend the invoice number and tax rates. Complete and label the invoice as approved and sent, approved, sent as a draft or saved as a draft. EXPENSES AND RECEIPTS Xero makes it easy to manage personal expenses and reimburse employees for payments they have made on behalf of a small business. With Xero Touch, users can: View all receipts currently in Xero, including those that are drafted and those that have been approved for payment. Receipts can be opened, reviewed and updated. Add receipts to quickly complete an expense claim. If there s a paper receipt, users can simply take a photo and upload it to the record, which then gets added to the expense claim within Xero. Record business expenditures and expense claims. Also track money spent from a business account. Although these expenses don t need to be reimbursed, it s important to keep track of all expenditure. In these cases, users simply select the bank account they spent the money from instead of choosing to be reimbursed themselves. View claim status and all past receipts. The Receipts tab shows drafts, submitted, approved and paid claims. Users also view any business-related transactions that have been created, which allows them to keep track of all expenditures for their small business. All the information is in one place no more losing those paper receipts or forgetting to claim an expense. FILES The Files capability on Xero Touch eliminates the archaic file cabinet, shoebox or computer folder method of file storage. Now, files can be scanned and uploaded anytime, anywhere. This means that small businesses can simply and conveniently store all relevant files and documents next to their financial data within Xero making collaboration with advisors even easier. Photos of receipts, assets, locations and people can be uploaded to Xero, ensuring that records can be collected and updated on the go. In addition to capturing and uploading images, Xero Touch can also be used to review any files that are in a user s inbox, allowing them to make decisions and check progress when on the move.
