Library and IT Services Manual Business Connect This manual is for the larger part based on the existing Business Connect (BCT) manual itself, but is rewritten for the Tilburg University situation. BCT is a program enabling you to operate your telephone and to adjust various settings. The Tilburg University telephone directory is linked to the one of the telephone exchange. Should you encounter inaccuracies in the telephone directory (for instance your room number), you can adjust it yourself via BCT. Mind! Adjustments of name or title is not possible via BCT, they should be passed on to your personnel officer. Log on and log off When you want to open Business ConneCT, you click: Start, Programs, BusinessConneCT Click BusinessConneCT. As soon as you have started BCT, the dialogue screen for registration is displayed. Select Use basis verification August 2011 1

Enter the following data: User name: your log on name equals your username and telephone number without interspacing Password: your password is your telephone number as a standard. Mind! It is wise to adjust your password. Go to page 14 to see how to adjust your password for BCT. You can possibly store the application settings at Start configuration and mark automatic registration after application start. Click Account validation. Click OK. Following text appears after successful validation: Account validated. August 2011 2

The top BCT bar BCT contains two groups of reproduction buttons, namely: 1. Buttons to switch between reproduction of call handling settings screen 2. Buttons for reproduction of specific lists list with calls, stores all received and sent calls and displays them regardless of your role. list with voicemail messages (if available); contains the maximum 30 most recently received 3. Zones of the screen in BCT The BusinessConneCT screen is divided into zones, namely: 1. Call zone: for incoming, prepared and connected calls. 2. Zone for wait/connect: contains details on calls you have put on hold or that are connected. 3. End zone: summary ended calls. 4. Contactability zone (optional): here you can state a reason for absence and moment of return. 5. Directory zone: here you can search for numbers in the various directories. The directory zone is linked to the Internal telephone guide. 6. What you see here, depends on the list button you clicked. You can also hide this screen by clicking the button for wing ( ). The contactability zone (4) is turned off as a standard. If required you can turn on this zone. Consult page 13. August 2011 4

Group list Click the button for the group list ( ) for display of the group members. Remark: when the group list button is not displayed, you might have to click the button Display list ( ) first. In the settings screen you can define the group list button content. Click the button settings ( ) in the top bar of the application. Click the tab for the group field. Select the required group(s). When you click a group member with the right mouse button, a menu with more options is displayed. August 2011 5

List with calls (missed, dialled or answered) Click the button List with calls ( ). This list contains: List with missed calls List with last dialled numbers List with answered calls A menu with more options is displayed when you click the right mouse button on an item in one of the lists. List with voicemail messages (if available) Click the button List voicemail messages ( ). A small yellow ear indicates a new voicemail message. The pictogram turns blue as soon as you play the message. When the button List voicemail messages is not displayed, you might have to click the button List display ( ). Click the item in the list of which you want to play the voicemail message. Choose the medium with which you want to play the voicemail messages. Click the button Play. When you want to temporarily stop the playing, you click the button Pause. When you want to break off the playing, you click the button Stop. When you want to delete a message, you click the button Delete. A menu with more options is displayed when you click a list item with the right mouse button. August 2011 6

Call zone: Basis handling of calls 1. Answering a call The telephone rings and a call pictogram appear in the call zone. Click the button Call answering ( ) or take the receiver off the hook to answer the call. Remark: Hands free calling is switched off for the telephone when the button Call answering turns grey. In that case you can only answer calls by taking the receiver off the hook. 2. Calling with the computer keyboard Take care that the number field in the call zone has the focus. Enter the number with the computer keyboard. Press Enter on the numerical keyboard. The telephone rings or switches to the hands free mode. August 2011 7

3. Redialing the last number Click the down arrow of the choice list with the number field in the call zone. Choose the required number from the last five chosen numbers. Press Enter on the numerical keyboard of the computer keyboard. You can also use the List with calls. The 30 last chosen numbers are displayed here. 4. Put a call on hold Click the button Hold ( ) during a call or drag the corresponding pictogram to the hold zone. Subsequently you can make another call. 5. Taking a call from hold When you want to take a call from hold mode, you click the button Take from hold or you drag the corresponding pictogram to the call zone. 6. Alternate between the connected caller and the caller on hold You are connected with a caller and a caller is on hold. Click the button Alternate ( computer keyboard. ) or press the plus key (+) on the numerical keyboard of the August 2011 8

7. Connect a caller There are various ways to connect. Connect without speaking with caller B (blind connection) You are speaking with caller A. Click a group member with the right mouse button (caller B) or an item in the directory (caller B) and choose Blind connection. Connect with speaking with caller B You are speaking with caller A. Click the button Hold ( ). Enter caller B's name (or use the number field) and press Enter. Or double click a group member or item in the directory. Now you can talk to caller B. Click the button Connect ( ) to connect the call. August 2011 9

Establish a trio call You are connected with a caller and a caller is on hold: Click the button Trio call ( ). Both callers are displayed in the call zone and you hear an audio signal. Click the button End call ( ) or put the receiver on the hook to end a trio call. You have withdrawn from a trio call and the other callers both are connected with each other. 8. Refuse a call The telephone rings. You can refuse an incoming call without answering it first by clicking the button End call ( ). The call will be stored in your List with missed calls and the caller hears a busy tone. August 2011 10

Settings 1. Voicemail settings With BCT it is possible to record a welcome message and/or to refer a message to other colleagues. This is possible via the screen below. To access your voicemail settings: Click settings ( ) Click tab Voicemail A voicemail message may be recorded via the telephone or PC (in case of a connected microphone). It is also possible to deliver a voicemail message per e-mail. You can request it at the LIS Service Desk or your Local IT Support Unit (LAU). August 2011 11

2. Contactability settings In the screen below you can make contactability settings. You can also define contactability profiles and have automatically switched between the various contactability profiles via the planning. For instance between 09:00-10:00 is the Office hours profile, between 10:00-11:00 you are in a meeting (Meeting profile) etc. Per profile you can set what should be done, for instance the profile Meeting profile automatically switches to the voicemail or it is directly forwarded to a colleague. To access your contactability settings: Click settings ( ) Click tab Contactability August 2011 12

General settings In the screen below you can make general settings. Click settings ( ) Click tab General When you press the button Personal data ( ), you can for instance adjust your room number. Mind! Adjustments of name/title cannot be performed via BCT, they should be passed on to the personnel officer. Change password Even more important you can also adjust your password here. When adjusting your pin code remember that your pin code should have at least 5 figures and should be unique. August 2011 13
