Preface Annual Report Engineering Society, HKUSU was founded in 2005 as an official student organization in the Department of Electrical and Electronic Engineering, The University of Hong Kong. It serves as an official representative body of the Members. Our aims include promoting the comradeship and understanding among Members, facilitating the communications between the Association and external bodies and helping Members to gain insight of their profession and future career. This Annual Report serves as an official document recording what have been done by the cabinet in session 2012 2013. Reports about general affairs and function reports of the Association are included in this Annual Report. ~ 2 ~

General Membership 75 Members were recruited in Session. All of them are Full Members who are year 2 undergraduates of the Department. Finance The Association has a bank account in The Hongkong and Shanghai Banking Corporation Limited since 2005. As on 11 th February, 2014, the Association had a financial reserve of HK$ 26,646.60. Comparing to the session 2013 2014, the amount of financial reserve has increased since there is a increase of the number of new members, as well as the membership fee received. Moreover, we acquired sponsorship in quite a lot of our functions, thus reducing the deficit of functions. The Annual Financial Report of the Session was audited by Dr. N.H.C. Yung, the Honorary Auditor of the Association of the Session, on 11 th February, 2014. Representatives of the Executive Committee in Engineering Council, HKUSU: Dates of Council Meetings (CM): Wong Ting Kei (Chairperson) Li Yin Man (Internal Vice-Chairperson) Tang Siu Kit (External Vice-Chairperson) For Engineering Council, HKUSU, session 2013 2014: 1 st CM: 9 th April 2013 (Thursday) 2 nd CM: 3 rd June 2013 (Monday) 3 rd CM : 21 st September 2013 (Saturday) 4 th CM: 29 th November, 2013 (Friday) 5 th CM: 19 th January, 2013 (Sunday) ECM1: 23 rd April 2013 (Tuesday) ECM2: 21 st July,2013 (Sunday) Summary: Throughout the Session, 5 council meetings and 4 emergency council meetings (ECM) had been held for Engineering Council, HKUSU, session 2012-2013. Current affairs of the University, the Faculty, affairs of the Engineering Council and Engineering Society, HKUSU were discussed in the council meetings. Representatives of the Executive Committee voiced out the opinions of the Members and secured the welfare of the Members. ~ 6 ~

Affiliation Affiliation is the administration process for a student bodies to be a sub-organization o HKUSU. As an association mainly serves students of the Department, the Association is regarded as an Academic Society and shall be directly affiliated to Engineering Society, HKUSU. The starting date of affiliation was 23 rd April, 2008. The status of Partially Affiliated Society had lasted for 24 months. Since no decision of affiliation is overthrown by the Members in General Meetings or General Pollings of the Association, and the Association successfully complies with the constitution of Engineering Society, HKUSU, By-laws of Engineering Council, HKUSU and Engineering Council, HKUSU resolutions, also has no negligence of duties, unbecoming conduct or doing harm to the good name of Engineering Society, HKUSU, the Association has become Fully Affiliated Society after 23 rd April, 2010 As affiliated to Engineering Society, HKUSU, the Association is recognized as an official student organization of the University and enjoys several advantages: Obtaining recourses and using facilities provided by HKUSU Increasing the representation of Members by attending the Engineering Council Increasing the publicity of the Association and recognition as an official student organization of the University Throughout the Session, the Association benefits from affiliating Engineering Society, HKUSU from the above ways. ~ 7 ~

Staff-Student Consultative Committee(SSCC) Chan Ka Kit (Acting Academic Secretary) Date of Formal Meetings: 1 st : 22 nd February, 2012 4 th : 10 th October, 2012 7 th : 27 th February, 2013 Date of Informal Meetings: 2 nd : 14 th March, 2012 3 rd : 11 th April, 2012 5 th : 7 th November, 2012 6 th : 5 th December, 2012 Venue: For 4 th and 6 th meetings: Room 603, Chow Yei Ching Building, The University of Hong Kong For the rest of meetings: Room 601J, Chow Yei Ching Building, The University of Hong Kong Summary: The role of the Staff-Student Consultative Committee (SSCC) is to enable class representatives and class tutors to meet face to face to discuss matters raised by students or teachers. In the Session, three formal and four informal meetings were held by the SSCC. Since Association acts as the bridge between Department and Members, at least one of the Executive Committee Members would attend the meetings to join the discussion include problems and difficulties encountered in lectures, laboratory classes, teaching assistants, reporting scheme, computer utilization, departmental accommodation, and many other similar issues. The atmosphere during the SSCC is often informal, positive and problem solving. ~ 8 ~

Functions Joint Societies Sports Competition Objectives: To organize sports functions for Members to join To improve the relationship between Association and external parties Li Tsz Fung (Acting Sports Secretary) Period: January to November, 2013 Participants: Members Number of Participants 25 We co-organized the Joint Societies Sports Competition, which included 3-on-3 Men's Basketball Competition and 7-a-side Men's Soccer Competition with eleven other societies. Those societies are listed below: Biochemistry Society, SS, HKUSU Biological Sciences Society, SS, HKUSU Chemistry Society, SS, HKUSU Civil Engineering Society, ENS, HKUSU Environmental Life Science Society, SS, HKUSU Food and Nutritional Science Society, SS, HKUSU Mathematics Society, SS, HKUSU Medical Engineering Society, ENS, HKUSU Medical Society, HKUSU Physics Society, Department of Physics, HKUSU Our team won champion in the 3-on-3 Men's Basketball Competition. ~ 9 ~

Inauguration Ceremony Objectives: To introduce the Association To introduce the new cabinet of the Association To acknowledge the devotion of past Ex-co To build up an earnest and positive image of the Association Lui Yin Man (Internal Vice-Chairperson) Date: 22 nd March, 2013 Time: 19:00 21:00 Venue: Room G07, Main Building, The University of Hong Kong Participants: Members, Staff, Alumni and external parties Number of Participants: 50 The Inauguration Ceremony of Engineering Society, HKUSU, session 2013-2014 was successfully held in Room G07 of Main Building from 19:00 to 21:00 on 22 nd March, 2013. On that day, it was our honor to invite Ir. Dr. F.C. Chan, Prof. V.O.K. Li and all other guests to attend our Inauguration Ceremony. On the ceremony, Ir. Dr. F.C. Chan and Prof. V.O.K. Li gave us meaningful speeches, and then the new Executive Committee members were introduced. The hand-over ceremony marked the beginning of our term office. After the ceremony, a refreshment session was arranged so that guests and the Executive Committee members could chat together while enjoying the snacks and drinks. We would like to thank all guests who attended our Inauguration Ceremony. Their support was an inspiration to the Executive Committee and the Association. We would also like to thank all the helpers for their contribution to the Ceremony. ~ 10 ~

Problems: The preparation time is not enough The drinks for cocktail session are not enough Suggestions: The date of the ceremony should set later in order to have more preparation time More drinks should be prepared ~ 11 ~

Pastpaper Photocopying Service Objectives: To provide the convenience for Members in preparing the upcoming examinations Lee Ka Pui (Academic Secretary) Ordering Period (I): 10 th April, 2013 12 th April, 2013 Ordering Period (II): 3 th November, 2013 9 th November, 2013 Distribution Period (I): 16 th April, 2013 18 th April, 2013 Distribution Period (II): 19 th November, 2013 21 st November, 2013 Time (I): 12:30 17:00 Time (II): 13:30 17:30 Venue: 1/F Lobby, Chow Yei Ching Building, The University of Hong Kong Participants (I): Members, Year 1 Students Participants (II): Members, Year 1 Students Fee: HK$ 0.10 per side Number of Participants (I): 34 Number of Participants (II): 25 For the convenience of EEEA s members, two past paper photocopying services were held in semester two of the session 2012-2013 and in semester one of the session 2013-2014. Ordering of past papers online was introduced in past paper photocopying service II. Problems: Some students made their order and forgot to pick up their past papers within the distribution period. Suggestions: Such students were contacted in person for picking up their ordered past papers. ~ 12 ~

Happy Cycling Day Objective: To provide an opportunity for Members to know each other To make Members healthier Ng Wai Chung (General Secretary) Date: 13 th April, 2013 Time: 14:00 18:00 Venue: Nam Shan Wai, Yuen Long Participants: Members and Year 1 Students Number of Participants: 15 Fee HK$ 20 / person The participants first gathered at Yuen Long MTR station at 13:30. The event started at 14:00. The end time was at about 18:00 and participants dismissed at Yuen Long MTR station. Problems: Some participants don t know how to ride bicycle. It results in some time delay. Suggestions: Make sure all participants can ride bicycle before they join. Teach them before the trip. ~ 13 ~

Superpass Objectives: To relieve stress and bless our Members for the coming examinations To provide a bridge of communication between Members To sustain the culture of superpass Li Tsz Fung (Marketing and Welfare Secretary) Date (I): 19 th April, 2013 Date (II): 29 th November, 2013 Time (I): 12:00 14:00 Time (II): 12:00 14:00 Venue: Room 205, Chow Yei Ching Building, The University of Hong Kong Participants (I): Members Participants (II): Members and Year 1 Students Number of Participants (I): 37 Number of Participants (II): 44 To wish good luck for Members who are going to take examinations, 2 superpass functions were held in semester 2 of academic year 2012 2013 and semester 1 of academic year 2013 2014. The superpass function allows Members to have fun and get involved in traditions of superpass of the University. Roasted pig, refreshment, red paper and writing brushes were provided. Red pocket money of HK$ 1.30 were given to Members who come to the function to hope them can get a good result. Games were also set up for Members to relax. Problems: Not enough drinks were provided to Members Suggestions: More drinks should be ordered for this event ~ 14 ~

Graduation Party Annual Report Objectives: To strengthen the relationship between final year Members To wish good luck for final year Members in their future Sing Yui Hong (Publication and Publicity Secretary) Date: 29 th May, 2013 Time: 19:00 23:00 Venue: Participants: Tour Café, Rm A, 2/F, Ko s House Fee: HK$ 108.00 Number of Participants: 34 577 Nathan Road, Mong Kok Final year Members Graduation Party was held after the exam period to bless the final year members to have a bright future. Participants were gather at Yau Ma Tei MTR station and went to the venue together. Food was provided and games were held before and after the food were served. At the end of the event, a gift was distributed to each participant. Problems: Not enough food for the participants. Not enough preparation for the game material. Suggestions: Prepare the items at more early time. Order more food for this event. ~ 15 ~

Engineering Society, HKUSU Session 2012 2013 League of Legends Competition Objectives: To provide interaction between Members To provide opportunity for Members to show their talent Li Tsz Fung (Acting Sports Secretary) Date: 30 th July, 2013 Time: 21:00 00:00 Venue: Room 205, Chow Yei Ching Building, The University of Hong Kong Participants: Members Number of Participants: 10 The event was carried out through the Internet. Problems: Time clashes among the participants. It is difficult to arrange suitable time for both teams. Time management is hard since the flow of game is uncontrollable. Suggestions: Check the timetable of the participants to prevent serious time clash. Limit the time to prevent overrun. ~ 16 ~

Registration Days Objectives: To introduce the Department to Freshmen To promote the coming activities organized by the Association Lui Yin Man (Internal Vice-Chairperson) Date: 17 th August, 2013 Time: 09:00 18:00 Venue: Room 231, Haking Wong Building, The University of Hong Kong Participants Freshmen Number of Participants: 444 Registration Days for Undergraduate Admission 2013 was held by the University to introduce the undergraduate admission of the University and each curriculum provided by different departments to the Freshmen. They were mainly JUPAS applicants, non-jupas applicants. A booth was set in the Room 231, Haking Wong Building, The University of Hong Kong, showing the information and career prospects of the Curricula. Program briefings and discussion sessions were also held by the Department. The Executive Committee recruited student ambassadors to introduce the Curricula. Student ambassadors also shared their University life with the Freshmen and invited them to come to the orientation camp organized by Association. ~ 17 ~

Problems: Annual Report communication problems between helpers and the non-local Freshmen. Suggestions: Some non-local helpers should be recruited to enhance effective communication. ~ 18 ~

Orientation Camp Objectives: To introduce Department to the Freshmen To provide opportunities to the Freshmen to make friends with other Freshmen or senior students To introduce University life Tang Siu Kit (External Vice-Chairperson) Date: 20 st August, 2013 22 nd August, 2013 Duration: 3 days and 2 nights Venue: Tso Kung Tam Outdoor Recreation Centre Fee: Freshmen: HK$ 480.00 Organizing committee:: HK$150.00 Number of Participants: Freshmen: 40 Organizing Committee:15 Alumni: 10 Day 1 (20 th August, 2013) At 09:00, participating Freshmen were gathered in Library Extension 10, The University of Hong Kong. Souvenirs, 2 Camp T-shirts and 1 Association T-shirt were given to participating Freshmen. Ice-breaking games were held by group leaders in each group. The first function held was Hong Kong Orientation. Group photos were taken before groups dismissed in the University at 10:30. At 14:00, helpers and the Executive Committee transported Orientation Camp materials and bags of participants and organizing committee to the campsite. After dinner, Alumni were invited to share their experience with Freshmen. After the sharing, room games were held. Different groups had also prepared their group cheers. Day 2 (21 st August, 2013) Draw something was held after breakfast. After lunch, beach game was held in Golden Coast. The games were co-organized with HKUIEA. Detective game was held after dinner. After Detective game, room games were continued. ~ 19 ~

Day 3 (22 nd August, 2013) After breakfast, the result of detective game was released. Bidding Games were player. The overall result of different groups was released, the group with lowest score was punished and prizes were given to winning group. Group photo taking were held and Souvenirs were distributed before lunch and participants dismissed at the campsite. Others During 1 st mid-night of the Orientation Camp, evaluation was held by the Executive Committee, helpers and one group leader from each group. Comments from participants were collected and adjustments were introduced accordingly. Problems: Helpers and group leaders were not familiar with the most updated instructions of games. Freshmen did not reach the activity s venue punctually. The Executive Committee did not have much contact with Freshmen. Suggestions: A hard copy of the most updated instructions of games should be given to helpers and group leaders one week before the function. A special person should be assigned to call group leaders before each game. Helpers should be available to demonstrate all tasks to Freshmen. The Executive Committee may participate more in playing room games and the sharing session. ~ 20 ~

Firm Visit Annual Report Objectives: To provide a chance for our Members to broaden their horizons To provide a brief picture of future works for our Members To provide a platform for companies to promote their brand image and business scope to our Members Wong Gabriel (Financial Secretary) Date: 28 th September, 2013 Time: 09:00 12:30 Venue: Lamma Power Station, Hongkong Electric Company Limited Participants: Members Number of Participants: 30 Hongkong Electric Company Limited( 香 港 電 燈 有 限 公 司 ) is the only power company that supplies electricity to Hong Kong Island. We visit the Visitor Centre, Coal Yard Area, Solar Power Panel field and Turbine Hall of Gas-fired Generating Unit in the Lamma Power Station. Certificate of Appreciation was presented to Hongkong Electric Company Limited to thank for their hospitality. Problems: There are too many members that want to join the visit but number place is limited. Some members are put into waiting list and cannot join our visit. Suggestions: There should be more communication between the association and Hongkong Electric Company Limited, to see if more places can be arranged. ~ 21 ~

Commencement Lunch Annual Report Objectives: To provide opportunities for Staff and Members to interact To strengthen communication between Members To promote our Department to Year 1 Students To sustain the culture of commencement lunch Ng Wai Chung (General Secretary) Date: 22 th October, 2013 Time: 13:00 15:00 Venue: G/F, Union Building, The University of Hong Kong Participants: Members, Year 1 Students and Staff Number of Participants: 100 This is a traditional event of our Association which provided a platform for Members and Staff to communicate. Annual Dinner Objective: To provide an opportunity for Year 1 Students to organize a function To provide interaction between Members, Year 1 Students, Staff and Alumni Tang Siu Kit (External Vice-Chairperson) Date: 1 th November, 2013 Time: 19:00 21:30 Venue: Joseph's at Graduate House, Level P3, Graduate House, The University of Hong Kong Participants: Members, Year 1 Students, Staff and Alumni Fee: Members and Year 1 Students: HK$ 150.00 Alumni: HK$ 300.00 Staff: HK$ 300.00 Number of Participants: Members and Year 1 Students: 40 Alumni : 9 Staff : 3 10 Year 1 Students were recruited to be the organizing committee to organize the Annual Dinner. The Executive Committee took the consulting role. The Annual Dinner was in form of buffet and participants had to be dressed formally. Games and lucky draw were held during the Annual Dinner. Towards to end of the night, group photos were taken. Problems: The organizing committee could not follow the financial budget well. Suggestions: Assist organizing committee to plan and organize. ~ 23 ~

Drinks and snacks were provided to the participants. During the tea gathering, the Association and the Executive Committee of Session were introduced and experience of being the Executive Committee was also shared. Problems: Number of participants is less than expected that it turns out participants do not want to be the executive committee of the next session Suggestions: More promotions should be held before the recruitment ~ 24 ~

Prospect Time flies, the term of EEEA, ENS, HKUSU Session 2013 2014 finally comes to an end. In our Session, we have organized various activities and provided different kinds of welfare to Members, achieved the goal we have promised. Thank you all Members to join our activities. Without your support, we can t have that great success. We would like to thank Department, Members and past Executive Committees of the Association for their usual and strong support. Without them, we could not run the events smoothly. We hope it can be sustained in the coming session. Last but not least, we wish next year will be a great success and a fruitful year.
