Benefits of Utilizing Email: Emailing in Eaglesoft» Email will allow for a paperless way to communicate with patients, vendors and other providers as well» It may reduce your front office staff ss phone time which will free them up for other tasks» You can also email attachments such as scanned documents or x-rays» No more costly stamps
How to Get Started Emailing in Eaglesoft The office will need to contact their local ISP (Internet Service Provider). The ISP will:» Set up and support the office s internet connection and email service» Set up a MAPI-Compliant Email program as the default MAPI-Compliant Email program:» Eaglesoft only works with email programs that are MAPI-Complaint. (MAPI stands for Messaging g Application Programming g Interface)» MAPI-Compliant programs include: Microsoft Outlook, Outlook Express, Microsoft Exchange, Lotus Notes, Eudora Light 3.0.1 or later and Eudora Pro» AOL, Hotmail, Yahoo or G-mail are not MAPI-Compliant
Email Preferences» File / Preferences / Images tab Emailing in Eaglesoft Check the box Create note when Image is emailed This will put a note in the patient s Note History This preference IS workstation specific

What Areas Have Email Options in Eaglesoft (cont d)» Edit Patient Email address area if patient is a minor may choose the responsible party s email address Ability to send an email here by clicking on the hyperlink If office checkmarks, Receives Email Correspondences, then the patient can receive emailed ed letters and recalls (they will not receive emails if this box is unchecked)
What Areas Have Email Options in Eaglesoft (cont d)» Recall Wizard Can replace the need for postcards, phone calls, letters Option is found on the last screen of the recall wizard It will send to all patients that have an email address in the edit patient screen and are checked to Receive Email Correspondences
What Areas Have Email Options in Eaglesoft (cont d)» Letters (InContact, Edit Patient, Account) When processing letters from any area of the system, you can check the box Send To E-Mail and Eaglesoft will send the patient the letter in an email instead of printing or in conjunction with printing Eaglesoft will send email to all patients that have an email address in the edit patient screen and are checked to Receive Email Correspondences
What Areas Have Email Options in Eaglesoft (cont d)» Advanced Imaging From this screen you can choose to either email one entire exam (Email All) or one individual x-ray (Email) When the email box pops up, you can either key in the email address of the person you are sending to, or you can search for them in the email box under TO User can email specialists The patient must have an email address in the edit patient screen and be checked to Receive Email Correspondences to email x-rays
What Areas Have Email Options in Eaglesoft» SmartDoc Anytime you can save a document to SmartDoc, you can email it. Go to File / Email and then either type in the email address for the contact or find them by clicking on TO and looking at the contact list. To email from SmartDoc, the patient must have an email address in the edit patient t screen and be checked ed to Receive Email correspondences ces Some examples: treatment plans, reports, Perio charts, etc.
What Areas Have Email Options in Eaglesoft» ereferral Wizard The ereferral Wizard will allow your office to export data and send patient information to other offices via email, letters, etc. Choose the option Selected Specialist Electronically to send the information via email to another provider/office Please Note: Electronic referrals are sent via the System Snapshot connection to a server at the PTC. The referral recipient will receive an email containing a link to access the ereferral. (The customer s actual email program is not utilized for this transmission.)
What Areas Have Email Options in Eaglesoft (cont d)» ereferral Manager The ereferral Manager allows the office to view referrals generated in the ereferral Wizard, and allows the practice to easily communicate additional information to the referral recipient regarding the patient case Choose Email Specialist to generate an email to the specialist to whom the patient was referred Please Note: These emails are sent using the default MAPI-Compliant email program (as opposed to using the System Snapshot connection)
What Areas Have Email Options in Eaglesoft (cont d)» ereminders When an office enrolls in the ereminder program, they will be able to send appointment confirmation emails, phone calls, or text messages to patients The office will have the option of either sending an email in addition to a reminder phone call or instead of the phone call.
