Each year more than 5,000 graduands attend our ceremonies and in order to ensure the success of your graduation day, there are some important processes and deadlines that you need to be aware of and meet. This booklet contains important information about preparations for attending the ceremonies, which is relevant to students and guests. We therefore encourage you to read this booklet thoroughly now and if you have any questions to please contact us at graduation@port.ac.uk. Graduation is an important occasion for our students and their guests, and the information enclosed will help students and their family and friends to prepare for the ceremonies. These are important steps every student who would like to attend will need to follow! I look forward to seeing in July! Graduation is an important event for the University community we acknowledge and celebrate the success of our students as they prepare to move into careers, postgraduate studies and other avenues. To assist students and their families in preparing for graduation, the enclosed information has been provided. Please read the information carefully, and follow the guidance and notes. Complete the online booking form* at, which includes requesting guest tickets and noting any special needs you or your guests may have. Pay for additional guest tickets (see page 8). Book your academic dress this is compulsory (see page 13). Book your ticket to the Students Union Graduation Ball if you wish to attend (see page 18). Pre-book your appointment time with Success Photography, if you wish to purchase photographs (see page 14). For International guests, fill in the Visa Request Letter form if needed at. * Please do not wait until you receive your results to complete the booking form. If we do not receive your booking by 5.00pm on 9 May 2014, we will assume that you do not wish to attend your ceremony. About the ceremonies Elegibility to attend You will be eligible to attend in July if you meet all of the following criteria: You have no outstanding financial debts to the University. Any debts should be settled no later than Friday 30 May 2014. You have completed the online booking form*. *The booking form must be received by the Graduation Office on or before 5.00pm Friday 9 May 2014. Due to the detailed planning and preparation that goes into each ceremony, the University cannot guarantee late bookings will be accepted. Location of the ceremonies Graduation ceremonies are held in Portsmouth Guildhall, PO1 2AB. Please see our schedule on pages 6-7 to find out when your ceremony will take place. Tickets Allocation The University normally guarantees two guest tickets for every applicant and will fulfil additional ticket request where possible. Graduands may initially request up to a maximum of four guest tickets this includes any tickets for children. Please see our web pages for more details -. Cost of tickets Tickets for the graduand and the first two guests are free of charge, and tickets for additional guests will be charged at 15 each. Children 15 years and under can attend free of charge, but will make up part of the four tickets you can initially request. Tickets can be purchased using the Online Store at www.onlinestore.port.ac.uk. or in person at the Finance Counter in University House (cash/card/cheque) or by cheque, made payable to the University of Portsmouth. Cheques can be sent to the address on page 5. To secure tickets, they should be paid for as soon as they are booked. Additional tickets Once the first round of ticket allocation is completed, any remaining tickets are made available in the general guest ticket sale from Monday 9 June 2014 via the Online Store at www.onlinestore.port.ac.uk. This will be on a first-come, first-served basis. More details on this can be found online at. Please be aware that first and second round tickets will not be located together. Refunds Please note that refunds for the cost of tickets are only given in the event of academic failure or where extenuating circumstances exist. All requests for refunds need to be sent in writing to the Assistant Registrar (Graduation) within 30 days of the ceremony. Please send requests to graduation@port.ac.uk. Ticket collection Graduand and guest tickets are collected on the day from Spinnaker Sports Centre. Please see for more details. Special needs For guests with special needs, graduands will need to note these in detail on the online booking form. These details will be treated confidentially and sensitively. The University strives to accommodate any special needs. Portsmouth Guildhall does have a lift to all floors, as well as a hearing loop in the main auditorium. Please contact the Graduation Office if you have any questions. Adademic Dress All graduands are required to wear the correct academic dress for their award. This can be hired or purchased from our gown hire partner, J.Wippel & Company Ltd. Please see page 13 for more details. You need to place your order by Monday 30 June 2014. You can see an example of the University s gown and hoods at. Academic dress is collected from Spinnaker Sports Centre before the start of ceremonies. Please see the schedule on page 10 to find out what time you can collect your academic dress. Graduation is a formal academic occasion and graduands will be expected to dress smartly and in accordance with the formality of the occasion. Where appropriate, military or emergency services uniform, or national dress can be worn with the academic dress. Please note that the University reserves the right to prevent graduands from participating in the ceremony if they are unsuitably dressed. Photographs Success Photography encourages pre-booking of photography sessions. This will ensure you can be photographed before your ceremony and avoid queues. You can pre-book using the Success Photography website at www.successphotography.com. See pages 14-15 for information on photography. 8 9

Guidance for the day Please allow time for getting into the city. Graduation is a busy time and all forms of transport are affected. All graduands book in at Spinnaker Sports Centre when they arrive. Graduands can collect their student ticket and guest tickets. Graduands will also collect their academic dress from the Spinnaker Sports Centre. Graduands should arrive at least an hour and a half before the ceremony begins to allow time for booking in, collecting gowns and the taking of photographs. Booking-in enables you to collect your tickets and gown. Booking in, gown and ticket collections - Spinnaker Sports Hall Ceremony time 10.30am 2.30pm Booking in time at Spinnaker Sports Centre from: 9.00am 1.00pm Please note The booking in service at Spinnaker Sports Centre closes 30 minutes before the ceremony begins. Guest tickets Graduands collect all tickets on the day of their ceremony in the Spinnaker Sports Centre. Parking Please see the map on the back of this brochure for locations of public car parks. Some disabled parking is available near Portsmouth Guildhall, but it fills up quickly. For alternative parking locations. Please visit www.ncp.co.uk. The Guildhall The Guildhall is where the ceremonies are held. Additionally, official photography takes place here. Entering the Guildhall The Guildhall holds approximately 2,000 students and guests. Marshals will assist graduands and guests to appropriate doors in good time for the ceremonies to begin. To enter the building, both graduands and guests present the tickets collected from the Spinnaker Sports Centre. All graduands and guests should be in their seats no later than 15 minutes before the ceremony is scheduled to begin. The University reserves the right to refuse admission to those who are not able to be seated in time for the ceremony to proceed. Ceremonies The length of the ceremonies is determined by the number of students graduating, this is normally between 1 and 1 1 / 2 hours. The University of Portsmouth graduation ceremonies are formal occasions, with traditional elements throughout. For details of ceremony proceedings, please see the graduation web pages. An example of the order of proceedings is available online to view. Once the ceremony is finished, graduates and their guests meet in the Guildhall Square where traditionally informal photographs are taken. Returning gowns Academic dress should be returned to Squash Court 1 in the Nuffield Centre no later than 5.00pm on the day of your ceremony. This includes your gown, hood and hat. A charge will be made for any unreturned items. Parchments The majority of parchments will be issued as soon as possible after ceremonies. Parchments are posted by recorded delivery to graduates mailing correspondence addresses held on the student record system. Please update your mailing address before the end of term. If you have not received your parchment by the end of August, please email parchments@port.ac.uk. Data protection The graduation ceremonies of the University of Portsmouth are regarded as public events. This means that the names of graduands are published in the graduation programme, and audio-visual images of the ceremony are publicly available, e.g. through free downloads of ceremonies for students through the Success Photography website. Additionally, the names of graduands are displayed on graduation products e.g graduation t-shirts and the local Portsmouth newspaper. If you object to the publication of your personal data as described, you must, on the grounds that this use of data may cause you damage or distress, inform the Assistant Registrar (Graduation) of your objection. This must be done in writing by Friday 30 May 2014 at the latest. Seating Graduands are seated together in alphabetical order by course. Guests have allocated seats in the main auditorium, on the ground and first floors. 10 11

Student speeches The University s Graduation Ceremony is the annual event where students, families, friends and the University celebrate each student s success. The ceremony is also an occasion for the University and the attendees to reflect on the experiences of three years of study and show appreciation for those who have supported students throughout their life at the University. The Student speeches are designed to provide students with a voice on this occasion and to enable a student to represent the students as a whole at this important event. The speeches will form an important part of our ceremonies, and will provide an opportunity to convey to the audience what the University of Portsmouth means to the graduates. If you would like to be that student at your graduation ceremony you can apply and tell us why you would like to do so by emailing graduation@port.ac.uk. Please include your name, course and why you would like to present the Student Speech on behalf of the students at your graduation ceremony. International graduands Visa request letters If any of your guests require a letter to support a visa application, you should contact the Graduation Office via the form on the website at www.port.ac.uk/ graduationvisaletters. Photography SUCCESS PHOTOGRAPHY Your graduation day is a very special one, and one that you will want to commemorate. As official graduation photography and merchandise supplier appointed by the University of Portsmouth, we are delighted to offer a wide choice of photographic packs and frames, a free download of your ceremony video and quality graduation t-shirts and hoodies (see also page 15). We take every graduand s photograph as they are presented on stage, and offer professional studio photographs of both you and your family before the ceremony. Graduation T-shirts & Hoodies Printed with your name and those of your fellow classmates on the back! T-shirts are 100% cotton with contrast raglan sleeves.they have a cotton/lycra rib neck, with twin needle stitching on neck, sleeves and hem. Hoodies and cotton/polyester in contrast raglan style. They have double-lined hoods with contrast colour drawcord, front pouch pocket and ribbed cuffs and waistband. 14 15

University of Portsmouth Gifts The University of Portsmouth has a selection of quality gifts for you to choose from: Graduation accommodaton The University offers all graduands/graduates and their families the opportunity to stay in its quality accommodation during graduation week. There are two types of accommodation available. Rees Hall Rees Hall is located just 200 metres from Southsea seafront, overlooking Southsea Common and the Solent. During the summer vacation period Rees Hall is transformed into award-winning three-star guest accommodation. The hall offers a choice of single and double en-suite rooms, some with sea-facing views, on a bed and breakfast basis. The accommodation also includes tea and coffee making facilities in each room, two guest lounges, a courtyard garden and a licensed bar. The accommodation is available from a single night up to two weeks. It is extremely popular and you are advised to book as early as possible.
