HOW TO SETUP EVOKO ROOM MANAGER EVO WITH EXCHANGE 2007-2010-2013. AUTHOR: CONNY ISAKSSON (HEAD TECHNICIAN) REV. 01-2013 / 2013-08-16
This will describe how to do a basic setup Room Manager for New/Existing customer. (As we recommend, if customer has other polices can this manual be changed). 1. Create a Room Admin account. a. Logon to your mail server b. Open EMC (Exchange Management Console) Start All Programs Microsoft Exchange 2010 Exchange Management Console. c. Expand Microsoft Exchange On-Premises Recipient Configuration Mailbox d. On Right side in EMC click on New Mailbox Page 1 of 16
e. Choose User Mailbox f. Click Next g. Click Next h. Click on Browse to choose location where you user should be added. i. Fill in name, logon name and password after your naming convention. j. Click on Next. k. Click on Browse to choose the mailbox database Page 2 of 16
l. Click on next m. Click on next n. Click on New o. Clock on Finish Page 3 of 16
2. Create a Remote Manager Account (If user are going to use EVO) a. Go back to Microsoft Exchange On-Premises Recipient Configuration Mailbox b. On Right side in EMC click on New Mailbox c. Choose User Mailbox d. Click Next e. Click Next f. Click on Browse to choose location where you user should be added. Page 4 of 16
g. Fill in name, logon name and password after your naming convention. h. Click on Next. i. Click on Browse to choose the mailbox database j. Click on next k. Click on next l. Click on New m. Click on Finish Page 5 of 16
3. Create a Room (Resource Account) a. Go back to Microsoft Exchange On-Premises Recipient Configuration Mailbox b. On Right side in EMC click on New Mailbox c. Choose Room Mailbox d. Click Next e. Click on Browse to choose location where you user should be added. Page 6 of 16
f. Fill in name, logon name and password after your naming convention. g. Click on Browse to choose location where you user should be added. h. Click Next i. Click New j. Click Finish k. Now mark your newly created room. l. Right click and choose Properties Page 7 of 16
m. Go to Tab Organization n. Go down and mark Manager, then click on Browse to choose the Room Manager that you have created earlier. o. Go to Tab Resource General p. Mark Enable the resource Booking Attendant q. Go to Tab Resource Information r. Uncheck as picture (This is our recommendation, you may choose as your company policy) Page 8 of 16
s. Click on OK t. Click on Manage Send As Permission on right side u. Click on Add v. Choose the Room Manager (as you created earlier) w. Click OK x. Click on Manage Full Access Permission y. Click on Add z. Choose the Room Manager (as you created earlier) aa. Click OK Page 9 of 16
4. Create config file with Evoko Control Panel a. Start your Evoko Control Panel b. Choose your mail server (In this Basic setup, will I use Exchange 2010 Page 10 of 16
c. Fill in your mail server address (OWA address) and click on Test Connection d. Fill in Exchange user (your Room Manager), fill in Exchange password (your Room Manager password) and fill in Resource account mail address (your Room mail address.) Then click on test buttons to see so you got green tick marks. e. Click on System Properties, in the right corner to continue. f. To add Admin credentials, please click on button Add users Page 11 of 16
g. Fill in System Admin e-mail h. Fill in System Admin PIN code i. Fill in one or two facility managers. j. Fill in facility pin code (It cannot be same as System admin) k. Fill in your Remote manager l. Fill in Security Code m. Choose if you want the Room Manager always on or set by time. Page 12 of 16
n. Choose your time zone at Room Manager unit location. o. Click in Credential management, in the right corner to continue. p. To add Admin credentials, please click on button Add users q. Fill in your Room Managers credentials (You can add several accounts) r. Click on Room dashboard, in the right corner to continue. s. Click on Button Quickly t. Fill in Room Name, Exchange User, Mailbox Owner and choose the settings you request for Room Manager. Page 13 of 16
u. Click on Finish and Export, in the right corner to continue. v. Insert a new empty USB key, with specification max 4 GB and FAT file system in your computer. w. Now click on button Export to USB in the right corner, to continue. Now have you created a resource account in Exchange 2007/2010/2013 and configured it, you have also configured your Evoko Control Panel. Now should you go to your Room Managers and upload the configuration (How to setup Room Manager unit). Page 14 of 16
