Express Import system Guide for receivers

TNT s Express Import system TNT s Express Import system makes it easy for you to have documents, parcels or pallets collected on your behalf from 168 countries on a receiver pays basis. You as the receiver of the goods start the process by entering a request for collection, along with information about the goods and the sender. The system then automatically sends an e-mail with a hyperlink that gives the sender immediate access to the system. After entering the size and weight of the goods to be shipped, the sender receives all needed shipping documentation via e-mail, along with instructions for preparing the package(s) for pick up. The system even schedules a TNT driver to collect the package and get your goods on their way to you. It s as simple as that. Here s how the Express Import system works: Receiver requests quote (Optional) Receiver approves quote Receiver enters request Invitation emailed to sender Sender enters shipment details Sender receives shipping documents............ Shipment is delivered to receiver

1. Receiver enters request Log into the system with your username and password and click on Create Order. Complete the fields, specifying the goods you want collected, and some information about the sender, including a contact person and e-mail address. It s a good idea to include an alternate contact person and e-mail address in case your primary contact is away. Your input will be saved so you can quickly repeat orders in the future by pressing the Repeat button on the Monitor Orders screen and changing details from your previous order.

2. Receiver requests quote Because Express Import is available on a large range of TNT s services from time definite to Economy Express the receiver has control over the speed of delivery and cost. Therefore, you have the option of getting a price quote before the goods are shipped. Frequent shippers who are familiar with the costs may choose to skip the quote process to save time. When you choose to receive a quote, you will get an e-mail with the price of each available service based on the size and weight of your goods (as entered by the sender). Simply select the service you want. Once you make your selection, the system will send all needed shipping documentation to the sender. If you do not wish to receive a quote, you simply select the service you want when submitting your request. In this case, the system sends documentation to the sender immediately after he or she enters shipment details. (If the size or weight of your goods are not covered by the service you selected, you will receive an e-mail showing the available service options and asking you to select a different service.)

3. Invitation emailed to sender x10 item 206787 After you press Submit on the Overview screen, the Express Import system generates an e-mail asking the sender to click a hyperlink and enter shipment details. The sender has no need for a password, PIN code or account number. Even if he or she has a TNT account, sender access to the system is possible only through the invitation e-mail. The system lets you choose the language of the sender message. All messages are sent in the language you select and in English. Please note, however, that the text in the Message to Sender field will not be translated into the selected language, but will appear as you enter it. Receiver Sender

4. Sender enters shipment details x10 Once the sender clicks on the link in the invitation e-mail, he or she sees that you have requested a shipment and what goods need to be sent. To accept the invitation, the sender simply enters the size and weight of the goods. The sender may also decline the invitation. This could happen if, for instance, the goods you requested are out of stock. When a sender declines an invitation in the system, you are promptly notified via e-mail. 5. Receiver approves quote x10 item 206787 If you requested a price quote, you will receive an e-mail containing a link to the quote based on the size and weight entered by the sender. If the size or weight of the goods is not covered by the service you selected, you will receive an e-mail listing available service options and asking you to select a different service.

6. Sender receives shipping documents When the booking is complete meaning you have selected the service you want either with or without approving a price quote the sender receives an e-mail with instructions for preparing the shipment. Attached to this e-mail are: TNT Terms & Conditions of shipping A consignment note (4 pages) A commercial invoice (if applicable) The instructions ask the sender to read the Terms & Conditions. The sender must then print the consignment note and invoice (if applicable) and attach these to the package. The sender must leave the package open so the TNT driver can inspect the goods.

7. Shipment is delivered to receiver When the documentation is generated, this is an indication that the shipment is entered into TNT s booking system and scheduled for collection. The Monitor Orders screen shows a consignment number for each confirmed booking. You can check the status of your shipment at any time by entering this number in the Track Package function of TNT s website.

Questions and answers Getting started How do I register for the Express Import system? If you are an existing TNT customer, simply log in to your mytnt account via www.tnt.com. If you don t already have a mytnt account, you can register for one at www.tnt.com. The system will prompt you for the needed registration information. Alternatively, please contact your local TNT representative. I forgot my password or I m having trouble logging in. What should I do? At the login screen, click on the Forgot your password link. You will be taken through a series of secure steps that will assist you in logging into your account again.

Creating and managing orders What information do I need to create an order? You need the company address of the sender and a contact person s name and e-mail address. It is always a good idea to provide an alternate contact person and e-mail address as well, in case your primary contact is away. How do I create a new order? Select Create Order from the first screen you see after you log in and follow the prompts Which countries can goods be collected from? You can collect shipments from any of the 168 countries where Express Import is available. See the Services section of tnt.com for a list of these countries. It is advisable to check this list regularly, as the Express Import service is continually being improved to include more countries. My sender speaks a different language than I do. What should I do? No problem. The system accommodates several languages, including English, French, German, Italian, Spanish, and simplified Chinese. Simply select the sender s preferred language in the pulldown menu in the Sender Details section of the Overview screen. The e-mail will be sent in the language you select and in English. If your sender speaks a language not available within the system, you can contact your local TNT customer service representative to arrange an Express Import shipment. Can I get a quote before I commit to the transaction? Yes. Simply select yes when you are offered a quote in the Service Selection screen when creating your order. When you request a quote, the invitation will be emailed to the sender. Once he or she enters the shipment size and weight, you will receive an e-mail showing your service options and corresponding prices based on those details. Only after you have approved the quote by selecting the service you want, will the transaction continue. How will I know if the sender has accepted my invitation? There are two ways to know if the sender has responded: You will receive an e-mail notification. You may select this option in the Express Import system Settings Menu. You can also check the status of your booking on the Monitor Orders section of the system.

What if I do not get a response from the sender? There can be a number of reasons why a sender does not respond: The sender has not yet opened the invitation e-mail. A reminder e-mail is automatically sent 8 hours after the first invitation. The invitation expires after 24 hours. If your invitation expires, you will be notified and will need to create a new invitation. The sender s company is not yet open for business. You can check Sender Time on the Monitor Orders screen to find out the current time in your sender s location. The sender is not in the office. Your contact person may have a day off, for instance. To avoid this situation, it s always a good idea to add an alternate contact person and e-mail address when creating an order. What if I change my mind about what I requested? A new order will need to be created in the Express Import system if you need to amend your order. Go to the Monitor Orders screen and press the Cancel button. You will be asked to give a reason for cancelling. You may then send another invitation with your changed request by selecting the order on the Monitor Orders screen, changing the details of your request, and pressing Repeat Order. When you cancel an order, the system notifies the sender of the cancellation and the reason for it. The notification also informs him or her that there may be a new invitation to come. Can I cancel an order? Yes. You can cancel an order in the system until 1 hour before collection. After this time, you can no longer cancel the order online, but you may phone TNT customer service for assistance. To cancel an order through the system: Select the order on the Monitor Orders screen. State the reason for cancelling. The sender will be notified of the cancellation by e-mail. Can the sender change the service I selected? No. Only you as the receiver can select the service. Can I track my order? Yes. Simply find the consignment number for your shipment on the Monitor Orders screen and enter it in the Track Package function of tnt.com.

System security Are my TNT account details safe? Yes. The Express Import system is secure and your password is encrypted. As an added safety precaution, the system times out after 15 minutes to prevent unauthorised use. The TNT Terms & Conditions and disclaimer provide more details about our online security. Do I need to give the sender access to my TNT account? No. Senders only need the invitation e-mail to process a shipment. Your account number and login information are for your use only.
