1. Overview Aurora Web B2B is an on-line booking system available to all thl agent partners. You can get quotations, make provisional or confirmed bookings or make modifications & cancellations. Aurora Web B2B is available for the following thl products: KEA Campers (AU & NZ) Maui Motorhome & Car Rentals (AU & NZ) United Campervans (NZ only) Britz Campervan & Car Rentals (AU & NZ) Alpha Campervans (NZ only) Mighty Campervan Rentals (AU & NZ) Mighty Car Rentals (AU only) 2. Accessing the System / User Login Once your Super User or User account has been created you can access Aurora Web B2B by navigating to: https://www.thlrentalsb2b.com Enter your email address and password and click on Login Please Note: In the event that you do not remember your password enter your email address as above, but leave the password section blank. 3. Booking List This screen shows a list of current bookings for your organisation: Confirmed Bookings appear in BLACK Quote Bookings appear in GREEN Provisional Bookings appear in RED From this list, you can make modifications and cancellations. Aurora Web B2B Quick Start Guide 4
4. Searching for a Booking Use the Search Bar at the top of the Quotes & Bookings list to find bookings. Select the applicable criteria Click Search Please Note: Quotes & Bookings list will show a maximum of 99 rows. If your search returns more than this number, you will need to be more specific in your search criteria. Aurora Web B2B Quick Start Guide 5
5. Booking Process a. Checking Price & Availability Whether you wish to confirm a new booking, get a quotation or make a provisional booking, the first step is to check Price & Availability. Click Price & Availability on the navigation bar. Select the following: Country - The country in which the vehicle will be rented. Brand Select applicable brand (only one brand can be viewed at any time). Vehicle Type Select applicable vehicle type, or leave as All Models. Agent Code Driver s Licence Please select country driver s licence was issued in. Promo Code (Optional) You can leave as All Packages or select applicable package. If package is not valid then a message will appear. If you select a package then both standard and all inclusive rates will appear. Pick up/drop off Location Pick up/return Date & Time Adults & Children - Select the number of adults and children travelling Please Note: In the event that travel is within 24 hours, B2B will not allow a new quote, booking or modification to be made. Gross / Nett Function (Optional) If you select Gross Amount and the package is: Gross: prices are Gross Nett: Payable to agent prices are Nett & Payable at pick up prices are Gross If you select Nettt Amount and the package is: Gross: Payable to agent prices are Nett & Payable at pick up prices are Gross Nett: Payable to agent prices are Nett and Payable at pick up prices are Gross Aurora Web B2B Quick Start Guide 7
If the package is a Nett package the Nett amount will be highlighted in blue. For extra information on vehicle and prices click on: 1. Vehicle icon and name for vehicle details 2. Price Details for breakdown of prices Aurora Web B2B Quick Start Guide 8
Best Buy: Aurora Web B2B will display the lowest available rate at the time of booking. To modify search details: click change your search & then click Get Availability again. Once you have checked availability click Select Aurora Web B2B Quick Start Guide 9
b. Creating a Booking On Configure your vehicle page you can add: - All inclusive pack - Additional products and services Click: SAVE QUOTE Always subject to vehicle availability. Pricing on a quote is valid for up to 7 days. PROVISIONAL Vehicle will be held for 48 hours. Please note this option is not available for travel within 10 days and you may only hold up to 10 provisional bookings. CONTINUE This will confirm your booking Aurora Web B2B Quick Start Guide 10
On Submit Your Booking page: You can now place your booking by completing the above highlighted fields. If the customer already has an existing booking, open the Add to Existing booking tab and complete the above highlighted fields. Click Link to Rental Agreement link to view the Rental Agreement / Terms & Conditions Click Continue to place your booking Aurora Web B2B Quick Start Guide 11
Booking has now been created and you can view booking details. You have the option to view Customer or Agent confirmation Click Finish to return to the Quotes & Bookings list. Aurora Web B2B Quick Start Guide 12
6. Modifying a Booking or Quotation To modify Pickup or Return details: Click Select the selected line will be highlighted in yellow and the actions available for this line will appear at the bottom of the list. Click Modify Make the required changes to the Pickup and Return details Click Modify Booking and you will be shown the new pricing based on your modified travel details If you are happy with the modified pricing then click Confirm to proceed with the changes or click Cancel to undo them. If you confirm the changes, you will be able to view/print the new confirmation before being returned to the Quotes & Bookings list. Aurora Web B2B Quick Start Guide 13
7. Cancelling a Booking or Quotation From the Quotes & Bookings List you can select an existing item to cancel. Click Select the selected line will be highlighted in yellow and the actions available for this line will appear at the bottom of the list. Click Cancel Enter in reason as to why booking is being cancelled. Click Confirm to send cancellation request, or Cancel if you do not wish to proceed. Please Note: Once a booking is confirmed, it may be subject to a cancellation fee. To avoid unnecessary cancellation fees only place confirmed bookings if customer has made the decision to proceed with a rental. Where the customer is still making up his/her mind you may prefer to make a provisional booking which will hold a vehicle for up to 48 hours before it is automatically cancelled without charge. Note provisional bookings cannot be made within ten days of travel. Aurora Web B2B Quick Start Guide 14
8. Create other users Note this section is only available to users defined as a super user. Click Maintain other Agent Users Click Create, enter the first name, last name, password, confirm password and email address of the new user. Click Default and select applicable agent from Agent List. Please Note: If you have more than one account, all of the accounts will be displayed under Agent List. Only tick the accounts that you want this new user to access. Select the applicable Gross/Nett option. If both are selected then you will need to select a default option. Click Save. Advise new user of login and password. To change users details after initial set-up click Modify and change required details. An email will be sent from thl confirming that details have been updated. The email will be from SQLSERVICE which is a thl account. The subject line will read Email Id change confirmation. Aurora Web B2B Quick Start Guide 15
