All Trapeze modules use a single shared database, which ensures that the data is always consistent. Unnecessary duplicate data entries, which are a potential source of errors, are avoided and data can be extracted from across the system for statistics, analysis and reports. Planning data The Trapeze Operation Management System uses data from the Trapeze Planning System. This data, such as valid duties, can also be imported easily from other planning systems or entered directly. 2
Long-term and medium-term planning The Trapeze Operation Management System is an efficient tool which simplifies and streamlines the generation of duty plans, daily employee allocation and personnel administration. In many enterprises, long-term and mediumterm roster planning can reduce the cost of staff management, optimise paid working hours, and ensure a fairer spread of unpopular shift assignments. Tailored rosters can easily be designed and saved as templates The Roster module makes it easy to generate rosters and enables efficient, optimised planning, which takes into account all the rules and requirements and both external and internal agreements and contracts, as well as the validity of the individual duties. Changes can be made instantly using the mouse. The clearly designed, coloured roster view, with optional display of supplementary information on average working hours and duties, provides a quick overview of the roster list. Absence recording Trapeze Absence Planner enables the planning and entry of forward staff absences such as holidays, compensation for overtime, maternity leave and illness. Simply enter the holiday requests or daily absences and the system updates the employee accounts and daily shift assignments. Absence entries are automatically checked against predefined rules and absence quotas, to alert the planner to potential conflicts. 3
Day-to-day management A clear view of daily management activities For day-to-day staff management, a clear overview and good software support are absolutely essential. Incorrect shift assignments can create unnecessarily high costs for the organisation. The Trapeze Duty Manager module allows planned and unplanned changes to activities to be dealt with simply. Replacement staff can be contacted and assigned either automatically or manually. It updates time accounts automatically, and at the same time it ensures that all collective agreements and working practice rules are respected. Medium-term employee allocation at the click of a mouse Work-related or personal events can lead to unfilled shifts. In the convenient Trapeze Month Planner window, the system shows where intervention is needed and provides the planner with full support for the costeffective assignment of unfilled shift positions to suitably qualified staff members while respecting labour legislation and contractual conditions. Short-term employee allocation In Trapeze Duty Manager, employee allocation is as easy as drag-and-drop and is automatically checked for rule violations. System messages warn of work rule violations, and individual employee balances are displayed for quick reference: standard time, hours today, plus/minus hours, and much more. Additional information on working-hour balances, shift contents and employee data can be displayed at any time. Complete overview of employee attendance By clicking the attendance button the dispatcher is provided with a complete overview of employee attendance and the daily dispatch of vehicles. The tool helps the dispatcher to ensure that employees are punctual for work. SMS-reminders can automatically be sent to employees that have not signed in on time and thus may be getting late. 4
Administration and management Trapeze Account is one of the Trapeze Operation Management System modules that contribute to simplifying administration. This module has been targeted at reducing the time the wages office uses for entering and checking wage data. The module can easily be adapted to any kind of company using the advanced parameter-based rule configuration and labour agreements. Wage calculation Are wages being calculated correctly? This is not at problem when you use Trapeze Account. A complete, logical set of rules enables the user to model varying and complex rate structures. Trapeze Account module automatically determines the wage basis and exports data to external payroll systems. Current data for all employee accounts is always available. Statistical reports and cost views can be created very simply at any time, such as causes of absences or wage costs for a particular group of employees or type of duty. Vehicle management Long-term management and daily adjustments Trapeze Vehicle Manager supports planning and vehicle allocation and makes it easier to handle the daily work regarding sudden changes and necessary adjustments. The system also considers vehicle equipment and performance which enables you to utilise your vehicles optimally. The result is quick and optimised daily vehicle management. Optimising your fleet utilisation Trapeze Vehicle Manager is ideal for long-term vehicle management and daily adjustments. All vehicle data, including size, configuration, accessibility features and performance features, is stored in the database. This ensures that the right vehicles are assigned to the blocks. Signing in Let your staff sign in using a computer workstation, the Internet, employee card, mobile phone, or conventional time-recording equipment. Their starting times are recorded by the system and made available to the resource planners. Planners are informed of late arrivals and can take appropriate measures immediately. When an employee signs in, the system can pass on messages from the planner along with an updated shift plan and departure times, block and line numbers, depot return times and vehicle numbers, or if necessary replacement vehicles. 6
Web & mobile employee communication Communication between the company and its transport staff is often difficult due to variable work locations and geographical separation. Trapeze offers a variety of solutions for precisely this problem: Web-based solutions, solutions using text messaging or App for Smartphones. This not only improves communication and the exchange of information, but at the same time makes signing in and time recording much simpler. Easy access to company information Employees can gain access to information from Trapeze solutions using different media sources: Trapeze CrewWeb, Trapeze CrewApp or Trapeze CrewSMS. The available information varies depending on the solution, but employees are for instance able to: CrewWeb and CrewApp for Android Smartphones.
