3 UNDERSTANDING THE PIECES OF THE PUZZLE Before we can start to assemble the puzzle that is a working shift schedule, it s important to understand the pieces that we re working with and how they impact the overall schedule. Below are the four basic building blocks to shift scheduling: 5. Shift Types These types include a combination of shift times (i.e. morning or night), shift activities (i.e. on call ) and perhaps locations. 4. Shift Patterns Patterns can consist of fixed, where employees always work the same shifts, or rotating shifts; where they rotate through different days and time of day, for example: from days to nights. These rules often get converted into what is known as a shift scheduling policy.
4 MEETING THE NEEDS OF YOUR EMPLOYEES Keeping your team happy is just as important as meeting the needs and goals of your business. While you can t please everyone, here as some simple tips to keep in mind while building a shift schedule. Creating a schedule that takes into account all of the defined job types or skills, shift types, shift patterns, business rules and compliance with regulations is no easy task. Add in any additional complexity around employee preferences and you ll have your hands full for some time! 7 MANAGING THE EVER CHANGING SHIFT SCHEDULE As anyone who has ever created a shift schedule knows, it never stays complete for long. Whether you are scheduling three employees or three hundred, changes are bound to happen. Shift Swapping Most employers will allow the swapping of shifts, but leave it up to the employee to find someone to swap with. It is then up to a manager to approve and update the schedule. Vacation and Time Off Employees will often request vacation or time off, which should be done with plenty of notice when possible, giving the manager time to approve it and find a replacement for that shift. Absences and Sick Leave When employees call in sick or have an unplanned emergency, the manager responsible for the schedule is faced with scrambling for replacement. They ll often have a go-to employee, someone they know who will fill in a pinch, or if local legislation and business rules allow it, they can ask one or two employees to add additional hours to their shifts; either before or after, to cover the absence. Promotions and Special Events Shift swapping, time off requests and sick leave can all be requested by the employee in ShiftExpert all from a mobile app. This means the employee can manage his or her schedule remotely from any location, at any time. On occasion you will be faced with a need for additional staffing in order to cover a time planned high demand, for example during a marketing promotion, or during a special event. 8 EFFECTIVE TIME TRACKING AND ATTENDANCE An extension of managing the in-day schedule is the tracking of employees working hours and attendance. This is important for ensuring the hours requested are being worked and covered, as well as compensated for. 9 REVIEWING THE SHIFT SCHEDULE A continuous review of the schedule is important to ensure you are maximizing its effectiveness. You may choose to re-evaluate your business rules over time, adjusting how they impact the schedule.
