Introduction Remote Broadband Access (RBA3) allows authorised HCC personnel to connect to a standard HCC desktop from home. This is done using your home computer/laptop and your home broadband network connection. Once you are connected to the standard RBA3 HCC desktop you will have access to Microsoft Outlook email, HCC network drives and standard applications, including ICS, ACSIS, SAP etc. You need to go through this guide to access RBA3. 1 Policy You are responsible for the confidentiality and security of HCC information, whether you connect to the HCC network at work or away from the office. If you print anything out at home or away from the office, you must keep this secure and deal with this in line with HCC departmental policies. When using HCC equipment and services, everything you do in this environment is subject to HCC controls and policies. 2 The two ways of accessing RBA3 SecurEnvoy & RSA SecurID Fob. 2.1 SecurEnvoy The SecurEnvoy User Account is similar to RSA SecurID fob in so much as you will need a Username, PIN, & Passcode (this is sent to the user every 7 days by either an SMS message or E-mail depending on whether the user has a mobile phone or Blackberry) the Passcode replaces the need for a RSA SecurID Fob. The pass code from Secure Envoy must be used together with the personal ID number (PIN). Therefore10 digits in total. The 4 digit PIN is created for you and will be provided within your email. 2.2 RSA SecurID Fob (Only via exception) The RSA SecurID fob has a 6 digit code on its display panel which you use as authentication to access RBA3. It is important to note that the fob code changes every 60 seconds. You will see bars to the left of the fob which represent approximately 10 second intervals. When the display gets down to the last bar, wait for the next fob code to be generated before you type. The SecurID fob is used together with a personal id number (PIN). The 4 digit PIN is created for you and will be provided on the envelope of the fob. However if you are moving over from another working from home service e.g RBA2 or WLA your PIN will stay the same and transfer across. Page 3 of 18

Information on SecurID User IDs and Tokens: treat them as you would credit cards! Always keep them secure Never store them together Do not allow other people to use them Report any loss/theft to the Service desk immediately There is a cost to the Department for any loss Page 4 of 18

3 Connecting to RBA3 for the first time 1. As you will be using RBA3 for the first time you will need to install the vworkspace client. The steps below will take you through this process. 2. Navigate to https://rba3.hertscc.gov.uk/ (Note that you only have to go through Steps 3.2 to 3.14 once. After this you simply navigate to the URL above and follow the logon process. We recommend you save the URL above as a favourite for ease of access next time you login). 3. Once at the Welcome to RBA3 page shows click the appropriate option. a. lors Do not use b. HCC Staff SecurID if you have an RSA SecurID fob use this area c. HCC Staff SecurEnvoy if you receive text messages/email from a HCC Blackberry or any Mobile Page 5 of 18

4. This will take you to the vworkspace Web Access Login. Click on the Downloads tab. 5. From here select the Download the vworkspace client. Important: Ensure you read the message and understand the risks before proceeding with the install Page 6 of 18

6. A dialog box will appear at the bottom of your browser. Click Run. 7. Click Next. 8. Click Next Page 7 of 18

9. Accept the license terms of the agreement and click Next. 10. Enter the relevant details and if applicable select Only for me option to allow software to be accessible only for you. Click Next. Page 8 of 18

13. Click Install. 14. The install process should only take several minutes. Once completed successfully you will see the following box. Click Finish. Page 10 of 18

15. Finally you will need to restart your machine. Click Yes to restart your system. 16. Once the machine has rebooted you will now need to navigate back to http://rba3.hertscc.gov.uk/ 17. Select the relevant login method you have. Page 11 of 18

18. You will be taken to the vworkspace Web Access Login. Enter your details as follows: Username: Password: office. FirstName Surname Network password. This is the same as the password you use in the One-Time Passcode: For RSA SecurID fob users please type in your 4 digit pin number followed by the 6 digit code that appears on your fob. Please Note: It is important to note that the token code changes periodically. You will see bars to the left of the token code which represent approximately 10 second intervals. When the display gets down to the last bar, wait for the next token code to be generated before you type it into the computer. For Secur Envoy users please type in your 4 digit pin number followed by the 6 digit passcode from your HCC Mobile text or HCC Blackberry email. Page 12 of 18

19. You will then be directed to the following screen Click VDI Desktop which will load your profile. 20. Your profile is now loaded. Page 13 of 18

4 Compatibility View in Internet Explorer Internet Explorer 9 and below. Click on the Compatibility View icon in the URL box. For Internet Explorer 10 and 11 you will need to follow the steps below: 1. Right click anywhere in the tool bar right at the top of the page and select Menu bar. 2. This will now display the Menu bar below. Page 14 of 18

3. Go to Tools then Compatibility View settings. 4. Finally click Add to add hertscc.gov.uk, then click Close. Page 15 of 18

5 How do I log off RBA3 1. Click the Start icon, then select Log off 2. You will then be taken back to the Web Access Screen. Click LOGOUT Top right. Page 16 of 18

6 Policy information (Using RBA3 from home) Use of your own Home PC to access HCC services (RBA) Staff authorised to do so, may use their own Computer and broadband to access a range of HCC services from home, only by the HCC ICT prescribed methods. Staff who have been authorised to do so, may access HCC s email system via the Internet using their own PC equipment, only by the HCC ICT prescribed methods. Documents must be saved in a format compatible with current HCC software standards 7 Access to Network drives Access to your own home drive (H:) and shared areas (S:) should be exactly as on a HCC workstation (office). Be aware that all files modified in this system are located on the HCC network servers and are not local files (i.e. on your own PC). This means if you modify or create a file on one of the network drives, any changes made will remain the same when you are back in the office. 8 How to access the underlying desktop (personal) At the very top of the blue screen (desktop) there is a floating minimiser bar. This enables you to minimise the hcc desktop so you can see your personal desktop Tip: hover your mouse in the middle at the top of the screen and this will appear 9 How do I reactivate the HCC desktop Once the RBA3 toolbar minimises you need to click on the VDI session to reactivate the HCC desktop. 10 FAQ s Q I have deleted my SecurEnvoy code from my phone by accident A- Type in your four digit pin code then press enter, the same code will be sent to your mobile phone Q How often is the SecurEnvoy passcode sent to my phone? A Every 7 days after your last connection from home. So if you do not log in for several weeks the code on your HCC Mobile or Blackberry will still be valid. Q What do I do if my screen locks? A Pressing Ctr Alt Del as you would in the office will not work. To resolve you will need to press Ctr Alt End. Note: Some keyboard will require you to press Ctr Alt Function End. Q Can I access RBA3 from my HCC laptop? A - No, RBA3 is only accessible through non HCC computer equipment. Q Can I move files from my home computer drives to my HCC networked drives in RBA3? A - No, you cannot move files between the RBA3 desktop and your home computer. This is to ensure the security of the HCC network. Q Can I use my personal USB memory stick on RBA3? A - No, unfortunately you will not be able to access your memory stick from RBA3. This is to ensure the security of the HCC network. Q I have a wireless network at home, will RBA3 still work? A - Yes, RBA3 will work in exactly the same way through a wireless network. Q I have changed my Corporate Mobile number; will I still receive my SecurEnvoy Passcode? A - No. You must inform the Serco Service Desk of this change via the All Other Requests ESR (Electronic Service Request), your Passcode will still be sent to your old number until you have reported this change. Q Will I be able to print to my home printer? A No. Please store files on the network drives and access them for printing when you are next in the office. Q Who do I contact for support?
