Medicover OnLine This guide will provide you with basic information about Medicover OnLine, such as access and logging to the system, data safety, and description of the system s features. How to gain access to the Medicover OnLine system? In order to gain access to the system, you need to report to the reception of any Medicover Centre, with a document confirming your identity. After verifying your identity and the correctness of the data contained in the Medicover database, the receptionist will carry out a brief registration procedure, print the rules regulating the use of the system for you and assign you a unique password. The first password, generated during your visit at the Centre, is composed of eight characters. During the process of registration, the receptionist will ask you to type the first four digits of your password (known only to the Client) using a special keyboard, and then to confirm them. The system will automatically generate the other four alphanumeric characters. The first part of the password will not be visible to the receptionist. It will not be printed on the rules form either. Who may use the Medicover OnLine system? The system is available to the holders of Medicover cards entitled to examinations and consultations in Medicover Centres. Logging into the Medicover OnLine system To log into the system, enter: your Medicover card number, your individual password consisting of 8 characters received at the reception. For the sake of your personal data safety and its protection from access by unauthorised persons, during the first logging to the system, you will be asked to change the individual password assigned to you during the registration to a new one. The new password should contain at least 8 characters (including upper and lower case letters, a digit and a special character). For the purposes of data security, we recommend you to change your password once a month.
Note: please remember that the appointment and therefore the medical documentation concern the person whose card number you enter. That is why it is very important to make sure that it is the number of the person for whom the appointment is arranged (making an appointment for a child, you should enter your child s card number and the password). If the Medicover database does not contain your Personal Identification Number PESEL or the Personal Identification Number PESEL of the mother (in the case of a child) or passport number (for foreigners), once logged into the system, the system will ask you to supplement the information. Providing these data is necessary to pass to the next part of the application. If the required data are complete, the system automatically displays the page with contact details, i.e. phone number and e-mail address. At this point, you can also opt in to receive reminders about appointments by e-mail or SMS by selecting the appropriate option. Important: Entering your e-mail address is obligatory. After arranging or cancelling an appointment, you will each time be sent a confirmation of the operation to this address. You will also receive information on the planned implementations of new features of Medicover OnLine. You will not be able to arrange an appointment without providing your e-mail address. Data security Authentication and authorisation Medicover applies security measures at the highest level to ensure maximum protection of your data when using the Medicover OnLine system. In addition to the mechanism of encryption of the information you send in this way by using the SSL secure 128-bit protocol, the central system of authorisations applies the procedure of assigning unique passwords giving access to the Medicover OnLine service. Your initial individual password authorising the use of the system is assigned during the registration process and consists of two parts: one is generated by the system and the other is entered by the user and is known only to him or her. In the two-step authentication process, the password is subject to identification procedure and the identity of the person is confirmed (authentication), and verification whether the person has access and rights to use the system (authorisation). To minimise the risk of unauthorised access to confidential data of the account holder, at first logging, the system forces the user to change the individual password, while ensuring the possibility of changing the password at any time. Encryption (SSL) SSL (Secure Socket Layer) is software operating on the server, which uses coding protocols. It allows for secure exchange of information between the server and a computer, eliminating the possibility of outsiders gaining access to them. In web browsers (e.g. Internet Explorer), the information on the use of the SSL protocol by the site is indicated by displaying a closed padlock symbol at the bottom bar of your browser. In addition, there appears the https prefix in the address bar. You can check the authenticity of the certificate by double clicking the padlock symbol in the lower right corner of the screen. After clicking the padlock, verify whether the security certificate was issued for the address online.medicover.pl by Certum Level II and whether it is valid. Root certificate update This item updates the list of root certificates on your computer to the latest list approved by Microsoft as part of the Microsoft Root Certificate Program. Adding additional root certificates to your computer enhances the security of web browsing, e-mail and applications that provide codes, so you can work in a seamless manner. This update addresses the root certificates from VeriSign, Thawte and Post.Trust from Ireland, and Certum. System requirements:
The update concerns the following operating systems: Windows 95 with Internet Explorer 5.0; Windows 98 with Internet Explorer 5.0; Windows 98 Second Edition; Windows Millennium Edition; Windows NT 4.0 with Service Pack 6a; Windows 2000 with Service Pack 2. How to use: After you finish installing the update, you do not need to do anything else. For Windows XP and Windows 2003, the update is automatic. To begin using the application, select the appropriate tab: Appointments to arrange a appointment at any Medicover Centre in Poland; Viewing and cancelling appointments to view the schedule of past and planned visits or cancel a scheduled appointment; Doctors' appointment hours to see when a given doctor or doctors of a given specialty are available; My data to update your contact details; Medications and prescriptions to view the medications prescribed to you by your doctor; Test results to view the doctor's comments to a test result and/or see the test result, Your Health Questionnaire; Card s Scope to see to what services you are entitled by holding you card. Arranging a visit To arrange a visit, select: City/region where the Medicover Centre is located; Type of consultation you want to arrange. Where the specialty is not listed or there are doubts as to which of the specialties should be chosen, please contact the Customer Care Centre. If there is more than one Medicover Centre in your city/region, the search criteria may be broadened by selecting the option All. Similarly, when choosing a doctor of a given specialty, if you choose the option All in the field Doctor s name, you will broaden the scope of the search to all doctors of that specialty working at Medicover. By clicking on the fields with question marks, you will receive detailed information about the field at which the sign is located. Date range the system shall begin the search from the first date and look for free visits within the next 7 days from that date. The system also allows you to specify your preferred hours during the day;
if you do not chose the preferred range, the system will look for visits throughout the working hours of the Medicover Centre. If the doctor does not admit patients on your desired dates or the visits have been taken up by other patients, the system automatically finds the first available appointment time and displays it along with information on the screen. After arranging the appointment, the system displays an invitation to the appointment, containing printable data concerning the visit. At the same time, you will be sent a confirmation of the appointment to your e-mail address indicated before. Viewing and cancelling appointments In this section, you can view your visits at Medicover Centres that already took place or future appointments. The system will show you where and when the arranged appointment will take/took place, with which doctor and of what specialty. To cancel a scheduled appointment, just click Cancel. After cancelling the appointment, you will see the following message: The visit has been cancelled, and you will be sent a confirmation of cancellation of the visit to your e-mail address. Appointment hours of the doctors working at Medicover Centres Here you can view doctors' appointment hours. By selecting specific criteria: city, Medicover Centre, specialty, doctor's name, and time range, you can find the information that is relevant for you. This module does not show the available visits, but only the hours when the doctor works at the Medicover Centre. To check available appointments with a particular doctor, click the link with the name of the doctor. The link will direct you to the page where you can make your appointment. My data In this section, you can update your personal information: address, contact phone numbers, and e-mail address. When you change the data, click Save to save the changes. All changed data is saved in the Medicover database. Test results This functionality is only used for presenting test results present in the electronic records of the patient. We publish results of the tests ordered after 1 February 2005. You have access to the results of laboratory and imaging tests performed at Medicover Centres in Warszawa, Łódź, Katowice, Kraków, Wrocław, Poznań, Lublin, Gdańsk and Gdynia. However, in Katowice and Lublin, only the name of the test and the comments of the doctor are visible in the case of X-ray examinations. Each test result is commented upon and accepted for publication by the doctor ordering the test, even if the result is qualified as normal by the laboratory system or the diagnostician describing the test. The test results will appear in Medicover OnLine it will be published when the doctor enters his or her comment into the system. In order to find the results of a specific test, choose the criteria by opening the available selection lists: Test name the tests ordered to the Patient; Specialty specialty of the doctor ordering the examination; Doctor name of the doctor ordering the examination;
Period shows test results that have been published online during this period. If you do not narrow down the search, you will see all test results published online after 1 February 2005. If there is not enough space on one screen, go to the other pages by clicking Next test or Previous test. To view details of a particular test, click Details. You can print information about the test result, but such information may be treated only as a printout from the system and not as the original result. You can receive the original test result only at the reception of a Medicover Centre, having previously placed a telephone order for the results at the Customer Care Centre. Medications and prescriptions The service is available for customers using all Medicover Centres in Poland, i.e. the centres in Warszawa, Łódź, Katowice, Kraków, Wrocław, Poznań, Lublin, Gdańsk, Gdynia, Szczecin, Białystok and Bydgoszcz. The system shows the medications prescribed by Medicover doctors since 1 February 2005. To find a particular medication prescribed by a Medicover doctor, indicate the selection criteria by: Choosing the medication writing its name in the field Medication name or Indicating the doctor after expanding the selection list Doctor, there appear the names of the doctors who have prescribed the customer any medications since 1 February 2005. To see the details of the prescribed medication, click Details. If there is not enough space on one screen, go to the other pages by clicking Next or Previous. Messages Medicover OnLine offers you the possibility of corresponding with your doctor in relation to the appointment you had with the doctor. The correspondence may be started by clicking the option Question on the list visits made in the Viewing and cancelling appointments tab. The patient can ask the doctor a question within 6 months from the date of the appointment. What we had in mind by launching this feature was primarily the possibility of communicating with your doctor within the Patient-Centred Care programme, as well as with doctors of some additional specialisations. The question should concern medical issues. After the question is asked, the system will display the information on the estimated earliest date when you can expect the doctor s answer. The correspondence maintained with a doctor may be reviewed in the Messages section. Your Health Questionnaire By completing the questionnaire prepared by Medicover specialists, whose questions relate, among others, to your diet, physical activity, sleep, and stress levels, you will receive your own personal health report and any proposals for changes in lifestyle. Additional information If you do not take any actions for 10 minutes, for security reasons you will be automatically logged out of Medicover OnLine.
If you write the wrong password three times during the login procedure, the account will be blocked for security reasons. The account will be automatically unlocked after 15 minutes. The account may be unlocked earlier after contacting the Customer Care Centre. If you wish to resign from the Medicover OnLine services, please submit a written request to the address of the Customer Care Centre: dok@medicover.pl. In order to reactivate your account, you should report to the reception of any Medicover Centre with your ID and go through the registration procedure once again.
