Registrations and Awards Online System User Guidance Awarding Access to HE Learners RAC Generation RACs for Access to HE courses can only be created by the Access to HE Administrator. 1. To download the RAC - click Review Cohorts on the home screen. 2. Select and click the cohort ID number. 3. Select the Results Submission Forms button.
4. Tick PPL RAC Form (if not ticked already). 5. Click Generate RAC. 6. Save the file to your computer. IMPORTANT: This file contains Macros. If you receive a warning message, please ensure you select Enable Macros. Checking the RAC Check all names are spelt correctly. If any errors are found, email registrations@gatewayqualifications.org.uk advising the cohort id, incorrect spelling and the correct spelling of the name. Gateway Qualification will make the amendment and advise when a new RAC can be downloaded. Please note amendments to units on Access to HE courses are not possible please contact Gateway Qualifications immediately if your RAC is incorrect.

RAC Completion Tab 1 Report of Achievement or Completion SUMMARY (Before Completion) The RAC is a protected Excel spreadsheet and the course and learner details cannot be amended. The form must be completed online. Both the Tutor and Internal Moderator must enter their name in the signature box. The Centre Moderator will verify this through secure online verification. The Centre Moderator must enter their name to the signature box.

Tab 2 Learner Summary Sheet (Before Completion) The course and learner details cannot be amended. Columns titled L2 Awards, L3 Awards, L2 Exemptions, L3 Exemptions and Total Credits will populate from the individual learner results tabs. 1. QAA Dip Click box to open dropdown list enter Y, N or Referred. 2. Destination Click box to open dropdown list to enter learner progression information. Tab 2 Learner Summary Sheet (After Individual Learner Tabs Completed)
Tab 3 onwards Individual Learner Results (Before Completion) All sections / boxes are protected except Date of Award if Previously Awarded and Grade. 1. Grade Click box to open dropdown list select Pass, Merit, Distinction or Exemption for all level 3 units and Achieved or Exemption for level 2 units. 2. If Exemption selected - Enter Date of Award if Previously Awarded. Access to HE Credits will update automatically when results are entered.
Total must equal 60 credits. Tab 3 onwards Individual Learner Results (After Completion)
Online results submission Once the RAC has been completed and all internal QA processes have been completed satisfactorily and agreed at the Internal Exams Board, the completed forms must be returned to the Access to HE Administrator to save for uploading. 1. To upload the RAC Click Result Submission. 2. Notes on this submission is optional. 3. Choose a results file to submit Click Browse. 4. Click Submit. 5. Click Confirm to submit the RAC or Amend to return to the Results Submission page.
Once confirmed, the Access Centre Moderator will receive an automatic email alerting them to the presence of an uploaded RAC that requires verification. Tracking the progress of results 1. Click Administration. 2. Review Results Status. Extension to Learning Agreements (NR Forms) - Submitting more than one results claim for the same cohort online If you find you need to submit a second claim on a cohort for which you have already claimed online: 1. Generate a new RAC*. 2. Enter the achievements for the new claims only (do not add in the results you have claimed for before). 3. Upload as previously described. *Please note, you cannot upload the same RAC document more than once the system will only recognise and process a new RAC each time you need to submit results for the same cohort.
