Setting up SMS message credits in Clickatell First, log on to www.clickatell.com, which is the website that we use with HPM to send text messages. Here you will need to set up an account where you can buy credits & run reports. Click on Sign Up today & get 10 free messages to create a new account. Account Setup: Select the option for Developers Central as the product selection. 1
Please select the appropriate country: Ireland & create a Username and Password for your account. Make a note of this as you will need this to login in future. The last section is a security question. Please answer the question. Please click on the blue link to read the Terms & Conditions & scroll to the end of the page. When this is done Please click on the back button which is shown in the screen shot below & is associated with the symbol as shown. Please select Create Account to continue. When continue is clicked a mail will be sent to the email address specified in Account Holder information above. Please keep this email for future reference. 2
The email should be similar to the screenshot as shown below. Please take note of the below information. Client ID: Username: Password: When the above details are recorded, Please click on the link to: log in immediately click here. This link will activate your account. The account will look as follows: 3
Once you are logged in to your account for the first time, you will be prompted to verify your mobile number. Click the option to Send Activation Code. A text message will be sent to your phone with an activation code, enter this code in the section shown above and click Verify Now. Once you have signed into your account you can change your password by clicking on Manage my Account. To set up text messaging in HPM you will need one more code called an API- ID. To get this code, scroll down the main page of your account in clickatell until you see an option for Connection Status with a link to Click Here to create a connection (API ID). Please keep this API ID for future reference. 4
On this screen shown above, select the first option HTTP/S. Click Submit and Get API ID 5
You will then be able to make a note of your API ID shown below. You need to buy SMS credits to send messages in HPM. In Clickatell, click on Buy SMS Credits at the top of the screen. 400 credits will cost about 10.40 and this is the minimum amount you can buy. 6
Reports can be run to see if patients have received the message that was sent in Message reports. 7
Setting up Text Messaging in HPM Open HPM go to Administration Other Settings SMS Configuration. This will display a screen where the username, password and API_ID need to be entered into SMS Account Details to activate the SMS messaging in HPM. You can also fill in the Sender Field, this is the name that will appear in the received text messages as shown below. Note: You must get this Sender ID approved by Clickatell by clicking on Manage my Account and Manage Sender ID s. This takes approximately 24 hours 8
Using Text Messaging in HPM Creating new SMS Templates To create a new template click on Administration and then Other Settings and then SMS configuration you will be brought to the SMS Configuration screen. Here you will see a list of existing SMS Templates. You can edit these or create new ones as you require. When creating a new template, the follow inserts can be used: [Recall] [Appointment] [AppointmentDate] [AppointmentTime] [SurgeryName] [SurgeryPhoneNumber] When one these inserts are used, the relevant information will be imported. For a text message to be sent successfully to a patient, the patient must have a valid mobile phone number (note that mobile numbers that have dashes or spaces will still be considered valid numbers) and that the patient has ticked the Consent to SMS option in the patients demographics. 9
Texting Appointments: To send an SMS message to a patient that has an appointment open the planner in the appointments module. Left click on an appointment to highlight and then right click on it you will see an option called Send SMS. This allows you to send a message to this individual patient by selecting a template. To send multiple SMS messages at the same time, you can right click anywhere (not on an appointment) in the planner and you will see an option to Select All and Select All for Resource. Select All will select all patients for this date. Select All for Resource will select all patients for the user s column that you are in for the selected date. Once you click on Send SMS you will be given the option to select a template that you wish to send. Once you click OK, the system will attempt to send the text messages to the selected patients. 10
Patients Health Summary texts In the patient s health summary you will see an icon that allows you to send a text message to this patient. Recalls When a recall schedule is set up there is an option to send that group of people a text message. Please refer to the manual for further information on Recalls. Exams When the exam results are downloaded a Text Message can be sent to notify the patient. Go to Tasks and Exam Management. Select the result of the patient you want to text and click on the Communicate button. 11
