1. SERVICE DEFINITION 1.1 Name SCISYS Document Management Service. 1.2 Category The G-Cloud categories for this service are EDRM / Collaboration. This service is offered under Lot 3 (SaaS) for inclusion in the government CloudStore. 1.3 Service Overview (Functional and Non-Functional) Document Management in the Cloud provides Alfresco s document management technologies for development and delivery of configured document management applications. Elasticity the solution scales indefinitely Pre-configured document management applications available for integration with an organisation s processes. Bespoke configured document management services can be developed in house or by the provider in advance of subscribing to the services. Assured Security the platform can be hosted on a range of secure hosting platform up to IL3. 1.4 Technical Requirements 1. Internet Access As the SCISYS Document Management service is cloud hosted, the fundamental requirement is internet access of sufficient bandwidth to support the number of users required by the end-user organisation. The service will support unsecured and secure (https) connections, as required. 2. Internet Browser The entire end-user GUI is provided in thin-client form which runs in a standard internet browser. Supported browsers and versions are: Internet Explorer V7 and higher Mozilla Firefox 2.0 and higher Chrome (all versions) 3. Content Rendering 1
Document Management solutions often involve the storage of different forms of content (files, images, etc). If it is a requirement for these to be rendered to the end-users they must be in a format which is supported natively by the browser OR that an appropriate browser plug-in or applet is provided which supports the format. 1.5 Service Attributes SCISYS Document Management service is a powerful tool enabling the rapid development, deployment and management of Document Management for large and small enterprises alike. SCISYS Document Management enables organizations to respond to change, redistribute valuable company resources, achieve process efficiency and gain greater control of their business assets. As a result, end-users experience greatly improved levels of service and staff members can work in a more productive, satisfying environment. This service is provided using the Alfresco Open Source product. The default public service is hosted in GBR / IRL. 1.6 Information Assurance This service is offered via the Internet at Impact Level 0 to Impact Level 3. 1.7 Trial Service Not applicable. 1.8 Service Provider SCISYS UK Ltd. 1.9 Service Tariff and Pricing The prices available for this service are defined in the Price List included with this service definition. 1.10 Contractual Terms and Conditions Please see the SCISYS Terms of Business: TERMS OF BUSINESS - Lot 3 - SCISYS Document Management Service This document is supplied by SCISYS in support of this Service Definition. 1.11 Ordering and Invoicing Process The ordering and invoicing process for this service will align with GPS requirements and will be subject to the specific call off contract. 2
The form of order used will be in accordance with the schedule to the G-Cloud Framework Agreement. 1.12 Termination Terms The termination terms are covered in the SCISYS Terms of Business: TERMS OF BUSINESS - Lot 3 - SCISYS Document Management Service. 1.13 Service Levels The service levels are covered and agreed during the customer on-boarding process. 1.14 Service Level Recompense Service level recompense is covered and agreed during the customer on-boarding process. 1.15 Service Management Service management will be through the SCISYS helpdesk during normal business hours 9am- 5pm Monday Friday with access via a web portal. Other service management options are available on a case-by-case basis. 1.16 Service Constraints Service level constraints are covered and agreed during the customer on-boarding process. 1.17 On-boarding and Off-boarding On-boarding is conducted as a consultancy piece using the rates indicated below in the pricing section. The exact duration of this phase will be specific to each customer and will depend on a number of factors. The likely duration of this work will be discussed with the customer in advance of the assignment commencing. Similarly the off-boarding process is consultancy piece, again using the rates indicated below, and will be personalised to each customer. 1.18 Data Restoration and Service Migration The service provides for all of a customer's production data to be bulk extracted at the end of a service term and delivered in a variety of formats (depending on the formats that the customer has been saving within the service). Depending on the format of the extract required, a charge will be levied for this provision. Once a service term has been concluded, all customer data will be destroyed in line with the security standards of the Information Level at which this service is offered. 3
1.19 Backup, restore and data recovery For a hosted service provided through SCISYS this service will provide backup, restore and data recovery facilities as required by the contract and in accordance with ISO/IEC 27001 and the SCISYS Quality Management System that complies with ISO 9001. 1.20 Consumer Responsibilities Consumer dependencies and responsibilities will be contract specific. They will be defined and agreed at the earliest possible stage of the service. 1.21 Training Training in SCISYS Document Management can be provided using the rates provided in the table in Section 2. 4
2. SFIA RATE TABLE Each implementation of the SCISYS Document Management service will be customer specific and will depend on a number of factors including: The number of users The amount of data stored by the system Performance requirements The Impact Level required The annual base charge for a typical implementation of 25 users is 3,000 per annum plus the following per user per month charges. This price excludes support which is customised to each customer.
