MultiSite Feature: Renters Insurance Versin 2 with Rmmates Renter s Insurance infrmatin can be tracked n each resident and rmmate, including insurance histry. Infrmatin can be edited in the Renters Insurance frm. This frm is lcated in the Tenants mdule under the grup sidebar Tenant Actins and the icn Renters Insurance. Renter s insurance infrmatin is nt captured during the mve-in prcess. The infrmatin needs t be added after the tenant is mved in t MultiSite sftware. T enter the infrmatin: 1. Get fcus n the tenant. 2. Click grup sidebar Tenant Actins 3. Click icn Renters Insurance 4. Select an Occupant. 5. Press Add New buttn. 6. Fill ut the infrmatin in the frm and save -->. 7. After saving, enter the aut bill item, if necessary! Step by Step Instructins 1. Select the Occupant frm the Select Occupant drpdwn. This drpdwn cntains bth the tenant and all ther ccupants. The drpdwn cntains bth Tenant and Rmmate recrds. Nte: The designatin f a Rmmate is determined frm the Occupants table. Rmmate checkbx must be checked. 2. If yu get a message indicating there are n recrds fr this ccupant, r yu want t add a new recrd, press the Add New buttn. 3. Yu d nt have t fill ut all fields n this frm t save the recrd. Fill ut as much infrmatin as yu can. The frm will let yu knw if yu are missing sme required infrmatin. a. Yu DO NOT HAVE t enter an Insurance Date Expires date. This date will be autmatically calculated after yu Save the new recrd. The Insurance Type HO4 will nt recalculate the expiratin date.
b. Insurance Type HO4 must have an expiratin date. 4. If yu are saving an Insurance Type = RLL yu will receive a message t enter an aut bill fr the renters insurance. 5. T help yu manage the renters insurance cmpliance there is a reprt called Renters Insurance. The tenant nte will cntain a summary f the infrmatin n the frm and the cntents f the Tenant Nte Cmment field. The Nte als recrded fr c-tenants/rmmates. Frequently Ask Questins abut the Renters Insurance 1. Hw d I und r set a resident t N Insurance? a. Select the Insurance Type NONE frm the drpdwn list. Mst f the fields disappear and yu can nly enter date Insurance Begins and a cmment. Yu d nt need t enter an expiratin date. The expiratin dates are self-maintaining. The next time yu enter a change f insurance the expiratin date will autmatically calculate. 2. Hw many insurance recrds can I enter? a. Typically yu will nly enter the mst recent Insurance infrmatin. The entering f histrical data is nt necessary fr the management f yur prperty. Belw is a screen sht f what the insurance histry might lk after several recrds have been entered. 3. Our prperty is using RLL (Renters Legal Liability) fr renters insurance. Is this feature integrated with RLL? a. Yes, the infrmatin n all residents are transmitted daily t RLL. RLL prcesses the infrmatin and takes actin accrding t yur agreement with RLL. b. It is imprtant that the daily infrmatin transmitted t RLL is accurate. The data entry frm recalculates Expire Dates autmatically s the infrmatin is as accurate as pssible fr RLL. Only the mst recent recrd infrmatin is transmitted t RLL. In the example abve, the first recrd in the grid is transmitted. The ther recrds will never be transmitted t RLL. Since nly the mst recent insurance update is relevant, MultiSite will recalculate any lder recrds s they d nt have a Expire Date like 01/01/2599. Nte: Any recrds yu save with an Expire Date f 01/01/2599 may be recalculated t an Expire Date ne day prir t the next Begin Date.
4. What is the HO4 insurance type? a. The designatin f HO4 means the resident has chsen t nt use RLL as their renter insurance prvider and has cntracted renters insurance with anther cmpany. Ask yu Management Cmpany fr instructins regarding the required dcumentatin fr prf f insurance. 5. The resident ID smetimes has a small c in frnt f a number, what des the c designate? a. In MultiSite sftware the head f husehld residents are called Tenants and they have a unique Tenant id. This Id is always a number. b. Rmmate r C-tenant infrmatin r ther ccupant type is held in the Occupants table. The small c indicates the resident is nt a HOH and helps MultiSite find the infrmatin quickly. The c ensures that each resident has a unique identifier. This is aut generated. c. All Rmmates must be entered int the Occupants table. 6. Hw d I knw what t enter fr the Insurance Date Expires? a. When yu are entering data the nly time yu need t enter an expiratin date is when the Insurance Type HO4 is selected. When yu chse HO4 the expiratin date is required. Yu will nt be able t save the recrd until a valid expiratin date is entered. b. RLL Insurance type: d nt enter the expiratin date. c. HO4 Insurance type: Expire date is required. If yu d nt knw the expire date d nt enter an insurance recrd until yu have a certificate with the expire date. d. Nne Insurance type: d nt enter the expire date. 7. Hw can I edit? All the fields are greyed ut. a. Get fcus n a recrd in the grid. b. Press the Add New buttn. 8. D I have t enter Occupants t use Renters Insurance features? a. Yes. 9. Are Insurance renewal dates tied r related t the Lease dates? a. The Lease start and expiratin dates and the Renters Insurance dates are nt related. 12. Residents wh want a PayLease accunt are required t have an Occupant recrd with either the Rmmate r C-Tenant = True. c. If a rmmate calls yu and asks fr a PayLease ID, lkup their Occupant ID and place a c in frnt f the number. Example: ID = 12345 their PayLease ID wuld be c12345. d. T find their ID

Paylease needs unique ID s and the unique ID s are generated frm the Occupant/Rmmate table. Always check the Rmmate checkbx t indicate a rmmate relatinship. During the first year yur prperty is using RLL, it is nt necessary t add the insurance type Nne t existing tenants. Required t enter an insurance recrd fr rmmates. The first year f RLL startup yu may enter insurance type NONE t rmmates. After first year enter RLL r HO4 Yur mve-in prcedure needs t include the assignment f Insurance. Yu may want t include the additin f ccupants prir t yur Cpy T Mve In. Renter Insurance frm is nt available fr the Applicant r ccupant/rmmates. Rental Insurance frm Tips: Open the Rental Insurance frm by getting fcus n a tenant then clicking the Rental Insurance icn. Once the frm is pen yu d nt have t clse the frm and repeat the prcess t get fcus n anther tenant. Yu may type in the unit id r press F2 t get a list f Units. Insurance type RLL : The nly field yu need t enter is the Insurance Date Begins. Yu may enter a future date. This insurance type des nt ever need t be renewed. The insurance is self-renewing until the resident mves ut r anther insurance recrd is added. If a resident changes t NONE r HO4 insurance type then enter a new insurance recrd. Insurance type HO4 : Required entry f Insurance Date Begins and Insurance Date Expires. Encuraged t enter Insurance Plicy ID and Insurance Cmpany This insurance type des expire and yu will need t add r edit the expiratin date. Insurance type NONE : Necessary t enter a recrd fr each rmmate, even fr the first year. If resident/rmmate ntifies that they n lnger are cvered by insurance then enter a RLL recrd. After first year f RLL all residents will need t have either RLL r HO4 cverage. The NONE insurance type will n lnger be used.
