EXTENDED SERVICE OPTIONS CHAPTER 16 16.0 OVERVIEW The MICR Reader Module is an Extended Service Option that simplifies the input of NSF checks into Debt$Net. When using the MICR Reader Module, you scan the check during the add process. Debt$Net checks existing debtors for matches on the bank routing number and account number combination. If a match is found, the debtor is displayed and the scanned data is carried to the Account Maintenance Screen. If no match is found, the debtor is added as usual and the scanned data is carried to the Account Maintenance Screen. Included with the ESO is a database of bank routing numbers for matching up bank names. 16.1 REQUIREMENTS AND INSTALLATION 16.1.1 Special Requirements 16.1.2 Installation The MICR Scanner Module is designed to run on PCs currently running Debt$Net version 6.9 or later. You must also have a check scanner. The first step to install this ESO is to have all user s log out of Debt$Net. You must have exclusive access to Debt$Net so that the new menu options will install correctly. The MICR Reader Module installs into the Debt$Net working directory through the ESO s menu selection by selecting Install ESOs (Figure 16-1). Debt$Net will then prompt you for the source directory for the MICR Scanner ESO files (Figure 16-2). Copyright 2010 The Computer Manager, Inc. 16-1

If this is incorrect (e.g., you have downloaded the files to some other directory) right click to bring up the Select Directory Form. The default directory on this form is the directory where Debt$Net is currently installed. If the displayed location is still incorrect, specify a new location using the Drive drop down list at the bottom of the form. After selecting the correct drive, click the Select button to begin installation (Figure 16-3). 16-2 Copyright 2010 The Computer Manager, Inc.

After selecting OK, exit and re-enter Debt$Net to complete the installation process. A message, Installing MICR Scanning ESO Please Wait will display in the upper right corner of the screen. Once installation is complete, a window displays with the message INSTALL COMPLETE...HIT RETURN TO CONTINUE. Click the OK button or Enter key to proceed. 16.2 REORGANIZING FILES Once the installation process is complete, you will need to reorganize the debtor and account files before running the MICR Reader Module. EXTENDED SERVICE OPTIONS reorganize files, select Utilities from Debt$Net s Main Menu, followed by File Maintenance Functions. Select Reorganize Files from the File Maintenance Functions Submenu, as seen in Figure 16-4. Figure 16-4. Reorganize Files. Figure 16-5. File Reorganization Screen. When the File Reorganization Screen displays (Figure 16-5), check the boxes labeled COLDBTR Debtor File and COLACCT Account File along the left side of the screen. EXTENDED SERVICE OPTIONS Upon clicking the Finish button, a message displays in the upper right hand corner of the screen, which says Reorganizing Account Data Files- Do Not Interrupt. Once the process is complete, a window appears over the screen: Click the OK button or the Enter key to clear the box and return to the Main Menu in Debt$Net. 16.3 SCANNING NSF CHECKS Upon installation of the MICR Reader Module, a new MICR Scan button is added to the Add Debtor/Account Selection Form (Figure 16-5). This screen is accessed by choosing Add Debtors/Accounts from the Account/Debtor maintenance menu. Figure 16-5. Add Debtor/Account Selection Form. Click the MICR Scan button to turn on the MICR Reader Module. The Check Scanning Screen displays, as seen in Figure 16-6, with a message at the top of the screen that prompts you to insert the NSF check into the MICR Reader. If the check is entered into the MICR Reader incorrectly, it will not scan. Once the check has been scanned by the MICR Reader, the fields on the Check Scanning Screen are automatically filled in with the information on the check. 16-6 Copyright 2010 The Computer Manager, Inc.
EXTENDED SERVICE OPTIONS Figure 16-7. NSF Check Information. Verify that the check information entered onto the screen matches the information given on the check. If some of the information from the check was scanned incorrectly, i.e., the bank account number, you may have the MICR Reader re-scan the check. Click the Read Chk button at the top of the screen and insert the check into the MICR Reader again. The fields on the Check Scanning Screen will be replaced with the new check information. If the bank name is missing, it may be entered on the Account Maintenance Screen, which will save it for future scans. When you are satisfied with the information displayed on the screen, click the Save button or hit the Enter key. Debt$Net will then search for a debtor in your database that matches the bank information given on the check. When a match has been found, the Debtor Add Form displays, containing the debtor s information. If a match is not found, you will be returned to the Add Debtor/Account Selection Form where you may add the debtor and account manually. Once you have exited out of the Account Maintenance Screen and Debtor Add Form, you will be returned to the Check Scanning Screen. You may continue scanning checks, as Debt$Net automatically skips ahead to the next check, or you may exit the MICR Reader Module. To exit the MICR Reader Module, click the Escape key. You will be returned to the Add Debtor/Account Selection Form. At this point, you may continue adding debtors, or exit the screen (click the Quit button) and return to the Main Menu.
