Forum 400 2015 Annual Meeting January 17 20 JW Marriott Phoenix Desert Ridge Resort Phoenix, Arizona Rules and Regulations Meeting With 2015 Forum 400 Attendees As in the past, you are encouraged to arrange meetings with 2015 attendees; attend education sessions; mingle with the members at the continental breakfasts and the refreshment breaks (many of which will be held in the exhibit area); and arrange to have dinner with attendees on any evening Forum functions are not scheduled. Forum 400 does not allow Industry Partner functions to conflict with any official Forum 400 functions. Forum 400 must approve all private functions in writing. Please send your requests to Forum Headquarters at cthompson@forum400.org. Payment of Fees Applications must be accompanied by payment of the total fee. Applications will not be considered without the required payments. Booth space is limited and will not be assigned without receipt of full payment. Reserve a booth early to avoid missing out on this opportunity. All applications are subject to review and approval by the Industry Partner Sub-Committee and Program Planning Committee. Right of First Refusal 2014 Annual Meeting sponsors are granted right of first refusal on the same sponsorship item for 2015. If a 2014 sponsor does not desire the repeat sponsorship in 2015, new sponsors will be accepted on a first-come, firstserved basis. All 2014 Annual Meeting sponsors will have thirty (30) business days to respond to the right of first refusal notification by Forum 400 staff. Sponsorship Benefits The sponsorship benefits are defined in this booklet. No other benefits are guaranteed or implied. In the event that the sponsor is authorized by the Forum 400 Industry Partner Chair to acquire or provide goods or services in lieu of part or all of the sponsor payment, a detailed description of the product or services and the fair market value must be submitted in writing to the Industry Partner Chair (care of Forum 400 Headquarters) for approval. Cancellation of Contract Signing the accompanying contract serves as an agreement between Forum 400 and the Industry Partner for the purpose of securing a defined booth and/or sponsorship at the 2015 Annual Meeting. The contract will serve as a valid booking order. This contract cannot be cancelled by the Industry Partner. Forum 400 reserves the right to cancel this contract at any time. Both parties must agree to any revisions or modifications by an instrument in writing. The contract represents the entire understanding and agreement of the parties and shall be governed by the laws of the State of Illinois, USA. Any person executing this agreement represents that he or she is fully authorized to do so and agrees to be bound to all terms and conditions. Cancellations must be submitted in writing to Forum 400 headquarters. Industry Partners will receive a 50% refund of booth space and/or sponsorships committed through Monday, June 2, 2014. From Tuesday, June 3, 2014 Friday, August 29, 2014, the Industry Partner will receive a 25% refund of booth space and/or sponsorships committed. No refunds will be made after August 29, 2014. Booths All exhibit fees include a booth space with backdrape and side dividers. The exhibit area (including booths) is carpeted. In addition, each booth is provided with one (1) table, two (2) chairs, one (1) wastebasket and two (2) complimentary Industry Partner registrations. Additional furniture, labor, electrical outlets, telephones, etc. may be ordered through the official decorating company at the exhibitor s expense. Nature of Exhibit The Forum 400 Annual Meeting is a closed event, designed to provide a showcase for equipment, products and services customarily used by life insurance agents. Forum 400 reserves the right to refuse exhibit space to any company whose display of goods or services is not likely to be, in the opinion of Forum 400, compatible with the general character and objectives of the Annual Meeting. If pictures or loud speakers are used, the Industry Partner agrees to comply with union requirements for the operation of the equipment. Sound presentations, slides or movies will be permitted if tuned to conversational level, not deemed objectionable to neighboring Industry Partners. Forum 400 Show Management reserves the right to determine what is objectionable. Forum 400 reserves the right to restrict the use of glaring lights or objectionable lighting effects. No exhibits will be permitted which interfere with the use of other exhibits or impede access to them or impede the free use of the aisles. The exterior of any display cabinet or structure facing a side aisle, or adjacent to an Industry Partner s booth, must be finished or suitably decorated at the expense of the Industry Partner erecting or installing such a display. Forum 400 show Management reserves the right to determine what is not finished or suitably decorated. Booth personnel, including demonstrators, receptionists and models are required to confine their sales activities to within the booth space. Each representative must always wear their badge in the exhibit hall and should be attired to reflect their company s image and to maintain the professional climate of the Forum 400 Annual Meeting. Arrangement of Exhibits The space provided will be shown on the floor plan, but Forum 400 reserves the right to make changes in the location, size and display limits of any booth, if in its sole judgment, is in the best overall interest of the show. Security, Insurance and Liability Neither Forum 400, its members nor the representatives and employees thereof; the official general contractor, nor its representatives and employees thereof; JW Marriott Phoenix Desert Ridge Resort, nor its representatives and employees thereof, will be responsible for any injury, loss or damage that may occur to the Industry Partner, or to the Industry Partner s employees or property from any cause whatsoever prior to, during or subsequent to the period covered by this contract. It is agreed by the parties that the nature of the facility available, the presence and circulation of large numbers of people, the difficulty of effective supervision over, and protection of large numbers of removable articles in the numerous booths and various other factors make it reasonable that each Industry Partner shall assume the risk of any injury, loss or damage, and the Industry Partner, by signing the contract, hereby assumes such risk and expressly releases the organization and individuals referred to above from any and all claims for any such injury, loss or damage. As part of the Industry Partner fee, Forum 400 has made arrangements for security in the exhibit area during the hours the exhibit hall is closed. Identification will be required for any Industry Partner or any of the Industry Partner s staff to enter the exhibit area during non-exhibit hours. All property of the Industry Partner is understood to remain under his or her custody and control, in transit to and from the confines of the exhibit hall, subject to the rules and regulations of the Annual Meeting. Industry Partners are required to carry floater insurance to cover exhibit materials against injury to the person and property of others. It is recommended that industry partners take precautionary measures of their own, such as the securing of small or easily portable articles of value. Entry into any other booth without proper credentials will not be permitted. Termination of Contract Forum 400 reserves the right, at any time, whether prior to or during the Annual Meeting, to terminate the Industry Partner s contract and to withhold from the Industry Partner, possession of the exhibit space specified in said contract or require the Industry Partner to vacate the premises immediately if the Industry Partner violates any warranty, representation or covenant made herein. Forum 400 may retain any money heretofore paid by the Industry Partner to Forum 400. Subletting of Exhibit Space Participants are prohibited from assigning or subletting a booth or any part of the space allotted to them except upon written permission from Forum 400 Industry Partners Chair or Executive Director. Participants shall not exhibit or permit to be exhibited in their space any merchandise not a part of their own regular products, nor shall they exhibit any advertising material not directly pertaining to such products. Only one company will be allowed to exhibit in each booth. Industry Partner Service Kit Each Industry Partner will receive an email from the official show contractor at least 30 days prior to the show opening which will include a link to the service kit that provides Industry Partners with complete shipping instructions, production information and other forms for all services needed during installation, show period and removal of exhibition. Use of Space A. All efforts to advertise, demonstrate and operate the exhibit must be conducted so as not to trespass on the rights of other Industry Partners and visitors. B. No exhibit will be permitted which interferes with the use of other exhibits or impedes access to them or impedes the free use of the aisles. C. Nothing shall be affixed by any manner to the floors, walls or columns of any location in the hotel. D. There is no storage of any exhibit material of any kind allowed behind drapes, in or behind your booth space. This will be strictly enforced by the fire marshal. Service Personnel In order to conform to union contract rules and regulations (if applicable), it is necessary that all Industry Partners use qualified union personnel for the various services required for installation and dismantling of exhibits and for material handling within the show. For further clarification on union clearance, contact the general contractor for Forum 400. Shipping of Materials Please carefully read the Material Handling Order for the Service & Rate Schedule contained in the Industry Partner Service Kit, which will be available in the Fall of 2014. It is imperative that these instructions be followed when shipping materials. Reservation of Right to Make Changes Forum 400 reserves the right to make such changes, amendments and additions to these rules and regulations as Forum 400 considers advisable for the proper conduct of the exhibit, with the provision that all Industry Partners will be advised of any such changes. Americans With Disabilities Act Industry Partners shall be responsible for making exhibits accessible to persons with disabilities as required by the Americans with Disabilities Act and shall hold Forum 400 harmless from any consequences of exhibiting companies who fail in this regard.
