Introducing ADP Workforce Time & Attendance Overview ADP Workforce Now Time & Attendance simplifies the job of collecting your employees time and attendance information and moving it quickly and accurately through the payroll process. The Time & Attendance Process Flow The following illustration shows each stage of the Time & Attendance Process Flow: Stages and Descriptions Stage Description 1 After the new payroll cycle starts, employees enter their time data in Time & Attendance, and the timecard punches are collected. The application applies rules, totals hours, calculates overtime, and highlights missed punches and other exceptions as per client requirements. 2 Time & Attendance supervisors review and edit time information and generate reports. 3 Time Practitioner checks pending events, payroll & time pair related exceptions, checks payroll export then locks pay period (so no further entries can be made to Time & Attendance data). 4 The Payroll Practitioner receives the pay and punch detail files and submits the payroll to ADP. 5 ADP processes the payroll file and the output including checks, vouchers, and reports to the Payroll practitioner. 6 Payroll Practitioner verifies the information and then starts a new payroll cycle in Payroll. 7 Practitioner can now move to a new pay period in Time & Attendance. 2014-2015 ADP, LLC 7 1-3 W011_ILT_WFN80V01_0415

Time Entry Overview ADP Workforce Now provides two basic tools for recording time for employees logging in to the application: Clocking buttons that you click to create time-stamped records that indicate when you started and stopped working An electronic time sheet on which you can record your worked time and some types of non-worked time (such as vacation or illness) Explore: Time Entry Methods Overview ADP Workforce Now supports four methods in which employees can record the hours they have worked. Additional Information Clock in and out times are based on ADP's system clock. This means that even if an employee uses different computers to clock in or out, both times are based on the same clock, ensuring that total recorded working time is accurate. For ease of use, clocking buttons are located in several places. Editing Timecards Overview One of your more important tasks is to edit your employees' timecards to make corrections on a daily basis and to fix exceptions. What Are Timecard Exceptions? A timecard exception is generated when you attempt to process a time pair that does not meet certain expectations or requirements. There are many exceptions that can be set up at the implementation phase or while working in the service world. These will depend on the setup decided. Examples The timecard is missing supervisor approval. The timecard is missing hours. The timecard is missing an in or out punch. The employee has clocked out early or late. The number of hours in the schedule does not match the number of hours worked. Processing Symbols and Descriptions Timecard exceptions are identified by symbols. The severity of a timecard exception is indicated by one of the following three symbols: Symbol Description You must resolve exceptions marked with the Error icon before the payroll can be processed. Exceptions marked with the Warning icon do not have to be resolved. Note: Supervisor approvals can be required. This means that supervisor approvals, which are still indicated with a Warning icon, must be recorded before payroll can be processed. Your ADP representative can change the severity off an error. Exceptions marked with the Message icon do not require action before the payroll can be processed Best Practice You should clear exceptions on a daily basis. You ll receive a notification in the Message Center when an exception is generated. The Individual Timecard combines employees with exceptions and exceptions by type on a single grid. Timecard information is totaled by week and pay period with the option to display the hours in a daily or cumulative view. Tabs to access totals, time off balances, and schedules. Timecard and row menus to complete tasks. Displays employee totals for the time period by pay code or by week. The default view is Display Totals by Pay Code. You can point to a pay code to view the pay code and pay code description. Rate masking (XXXXX) is applied to dollars. If schedules are enabled for your company, you can click the Schedule tab to view the employee s schedule displayed in blue below the employee s In Out times. This allows you to compare the worked time to the scheduled time. The schedules display in blue and are read-only. You can edit timecard transactions from the Schedules page. Demonstration: Part 1-Adding Missed Punches We will now demonstrate the process of adding missed punches. Scenario: On the first Tuesday, Edward Bonner punched out for lunch at 12:15 p.m., but he forgot to punch in when he returned. He left the office at 4:21 p.m. We need to correct the second time pair to reflect the return from lunch and his end-of-day punch out. Activity: Adding Missed Punches Starting Point: My Team > Time & Attendance > Individual Timecard Step Action 1 On the Employee ID bar, click the magnifying glass icon and select the employee. Result: The employee s timecard is displayed. 2 In the row with the missing punch, under the In-Out column in the In field, click the punch 4:21 PM and then right-click select Insert Time. Demonstration: Part 2- Inserting a New Row: We will now demonstrate the process of inserting a new row. Scenario: Next, we're going to add the missing punches for the first Wednesday. Activity: Part 2-Inserting a New Row This activity carries on from the previous exercise. Step Action 1 On the Employee ID bar, click the magnifying glass icon and select the employee. Result: The employee s timecard is displayed. 2 In the row with the missing punch, in the Out field, enter 1245p, which is the time the employee left for lunch. 3 In that same row, scroll to the left of the row, click the Timecard icon, and select Add Blank Row. Result: A blank row is inserted for that day. Demonstration: Deleting a Row We will now demonstrate the process of deleting a row. Scenario: On the second Monday of the pay period, Edward punched out for the day and as he was leaving, a coworker asked him for help. He stayed to assist on a project and then punched out again when he left. This punch generated a new row with just the punch out time. You need to delete the row that was generated when Edward punched out the first time. Activity: Deleting a Row Starting Point: My Team > Time & Attendance > Individual Timecard Step Action 1 On the Employee ID bar, click the magnifying glass icon and select the employee. Result: The employee s timecard is displayed. 2 In the first row for the day with the extra punch, in the Time Out field, click the Timecard icon at the beginning of the row, and select Delete Row. Result: The row is deleted and an Operation Successful message is displayed at the bottom of the page. 3 Click Save and then click OK. Result: The second row is removed and an Operation Successful message is displayed. Demonstration: Editing Hours We will now demonstrate how to edit hours. Scenario: Peter Biggins took the first Friday off using his personal hours. Result: The employee's timecard is displayed. 2 In the row for first Friday, in the Hours field, type 8. 3 In that same row, double-click in the Pay Code field, click the magnifying glass and select Personal. 4 Click the Timecard icon. 5 Click Add Note. 6 In the Note window, write Peter took the day off using his personal hours. Scheduling Employees Overview A schedule contains information about a typical workday for an employee. A schedule could include details such as start and stop times, the time allocated for lunch, and pay codes. Schedules can include worked time. Types of Schedules You can work with two types of schedules: Shift Use to assign a schedule to one or more employees only for specific days Schedule Template Use to assign a repeatable schedule to one or more employees for multiple days Overview of the Schedule Editor The Schedule Editor consists of two tabs: the Shifts tab and the Templates tab. Demonstration: Assigning a Schedule Template to Multiple Employees We will now demonstrate how to assign schedule template to multiple employees. Scenario: Starting today, let's assign John Barry and Aimee Carriere to a full-time 8:30 a.m. to 4:30 p.m. schedule template. Activity: Assigning a Schedule Template to Multiple Employees Starting Point: My Team > Time & Attendance > Schedules Step Action 1 Click the Templates tab. 2 In the Schedule Template field, click the magnifying glass, and select one of the available templates. Note: Of the six available templates, do NOT use Flexible because it is 8:30 am to 3:30 pm. 3 Click in the Start Week field, leave the default value of 1. 4 Enter a Start Date. Leave the End Date field blank. 5 To select an employee, click the employee's name. Hold down the shift or CTRL key to select multiple employees. Let's select John Barry and Aimee Carriere. 6 Click Apply. Result: The schedule template is assigned to the selected employees. Note: If you want to edit the schedule template assignment, select Edit for the Action field beside the Schedule Template field. Preparing for Payroll Processing Overview After a pay period has ended, your practitioner must complete a number of tasks to prepare the data for payroll processing and close the pay period. Then, your practitioner must move to the next pay period and move the data in the current pay period into an archive, where it can no longer be edited. Your responsibilities at the end of the period include the following tasks: Checking employee timecards for errors, known as fixing exceptions Making final edits Approving timecards Approving time off requests Fixing Exceptions You can locate timecard exceptions in two ways: by employee and by type of exception. On the Timecard Exceptions page, you can view, note, and resolve exceptions that have been generated by the application. Demonstration: Fixing Exceptions by Employee We will now demonstrate how to fix exceptions by employee. Scenario: There are several exceptions on Adeline's timecard. You will be able to view all of the error exceptions that must be fixed, and fix them from the same page. Instructions Starting Point: My Team > Time & Attendance > Timecard Exceptions Step Action 1 Select one of the error exceptions highlighted in red for Adeline Ancel. Result: The Timecard Exceptions page is displayed for Adeline categorized by exception type. 2 Click the Missing Out Punch tab. 3 In the Out cell, type 430p. (Monday) Note: If you right click instead, you can select Used Scheduled Out Time 4:30 pm. Use it to review subtotals for each employee for the chosen time frame. Demonstration: Locating a Report We will now demonstrate how to locate and run a report. Overview Reports always reflect current data at the time the report is run. By running the report, you can save a record or snapshot of the report data at a specific point in time. Scenario: You want to locate a report that shows the timecard exceptions for all employees who work in the Eastern time zone. Activity: Locating a Report Starting Point: Reports > My Team Reports > Time & Attendance Step Action 1 Next to the report you would like to run, click the Action icon and select Run. 2 In the Timeframe list, select Current Pay Period. 3 To filter data by a field, under Create a New Filter, in the Select Field list, select Time Zone. 4 In the Qualifier field, select Equals. 5 In the Selected Values field, click the Plus sign button. 6 On the Lookup page, select EST 7 Click Submit 8 Click Add Filter. 9 In the Report Output field, select the file format. Note: The title that you enter will display at the top of your report. 4 In the Report Description field, enter a brief description, for this activity we will type: Employee Total Hours Report- Overtime for This Month. 5 Select Run. 6 Click Save. Result: The Output tab displays. Additional Information My Reports are private; if you save a My Report, it will be available only to you to run in the future.
