YOUR VIRTUAL OFFICE Your Virtual Office contains all the tools you need to manage your business. This is where you will manage your personal information, sign up new Customers and Independent Consultants (IC s), manage your own and others AutoShip accounts, find links to training materials, see detailed reports about your own activity and that of your downline Customers and IC s, and much, much more. These brief tutorials have been prepared to guide you, step-by-step, through the functions you ll need to make the most of your Bioceutica membership. They are intended to simplify the process of managing your business so you can spend more of your time growing it by sharing the products and the message. If you have any questions about this tutorial, or about using your Virtual Office tools, the best and first person to ask is your upline sponsor. ESSENTIAL FUNCTIONS In the meantime, to help you get started, we have created step-by-step directions for some of the essential Virtual Office functions you ll need most often. As an IC, you can use these directions to walk your new Customers or IC s through these processes, or follow them to perform these functions for yourself. THE BASICS INTRODUCTION TO YOUR VIRTUAL OFFICE Your Virtual Office Dashboard When you log into your Virtual Office from the Bioceutica Home Page with your account number and password, you will come directly to your Virtual Office Dashboard. This page is a series of tiles with live links to the functions that each one describes. Across the top are four tiles labeled (l to r) The Store, Reports, My Account and Autoship: Click on The Store, and it will take you to a page where you can shop for Bioceutica products, business tools and sales aids. Click on Reports, and it will take you to a Reports Dashboard with links to all the Reports (data) you need to see and understand what is going on with your business and that of all the IC s in your downline. (More on Reports later.) Click on My Account, and it will take you to a page where you can see and manage all aspects of your account your personal information, your personal and business settings, and the status of all your orders. Click on AutoShip, and it will take you to a page where you can create, edit, combine and otherwise manage your automatic shipments and those of your family members and Customers. Below the top row links, the Virtual Office Dashboard also has links to your most frequently used Reports, and a quick view of your business s current status (your Personal Retail Volume (PRV), Cumulative Personal Retail Volume (CPRV), Personal Bonus Volume (PBV), Personal Group Bonus Volume (PGBV), and Cumulative Personal Bonus Volume (CPBV). There s a link to a tool that lets you upload before and after photos to Track Your Transformation from using the Intuitiv By Nature facial regimen. There are links to tools that let you quickly and easily Manage Your Network by adding new Customers or IC s, sending emails to your group, and even sending customized personal invitations to new prospects! There are links to the Store and Product Spotlight information to keep you up-to-date on product specials and promotions. And, most importantly, the links to Your Knowledge Library, include important training downloads and event listings in your area and across the country. The fastest way to become expert in the use of your Virtual Office is to spend a little time every day exploring it. Click on a different link each day just to see what it does and where it takes you. You ll find that the links are designed to be intuitive, clearly explained, easy-to-navigate, and very useful. Then, when you need to perform a task or find some necessary information, you ll know right where to go. 2
SECTION 1 HOW TO JOIN BIOCEUTICA AS A CUSTOMER Here is the easiest (and recommended) method to join Bioceutica as a Customer: 1. Go to the personal Bioceutica website of the Consultant who recommended you to Bioceutica. For example: www. Bioceutica.com/JaneSmith. (Their name and profile image will display on the homepage.) 2. Click Join Us at the top of the page next to the Consultant s name and picture. 3. Complete the Welcome to Bioceutica page by filling in your name and email address. Click Next. 4. The next page is the Enrollment Options page, where you can choose to join as an Independent Consultant or a Customer. Choose Bioceutica Customer and click Next. 5. This will take you to the Shopping Cart. (Note: You can purchase a product in order to complete the rest of the process, or choose not to purchase a product at this time.) On this page, you can see and shop for all Bioceutica Nutraceutical, Cosmeceutical, and Environmental products. Click on My Cart to verify or make changes to your choices, and then click on Check Out to continue the process. Note: You can purchase a product in order to complete the rest of the process, or choose not to purchase a product at this time. 6. This will take you to a page where you are asked to fill in all your personal and billing information. Once you complete all the fields on this page, and double check for accuracy, click Continue. 7. This takes you to a page that confirms that you have completed the process. Congratulations! You are now an official Bioceutica Customer. You will now receive an email that contains your Customer member number and password. Write down both and keep them in a safe place. You will need your Customer number and password the next time you wish to shop for Bioceutica products online. NOTE: You must have an account number to purchase Bioceutica products. If you do not have an account number and attempt to purchase a product by clicking on Shop on the Home Page, you will be asked to register (Steps 3 through 7 above) when you attempt to Check Out. 3
SECTION 2 HOW TO JOIN BIOCEUTICA AS A CONSULTANT Whether you are joining Bioceutica yourself, enrolling someone else, or personally walking a new prospect through the joining process, follow these simple steps (NOTE: if you are the enroller, start at the home page of your own personal website): 1. Go to the personal Bioceutica website of the Consultant who recommended you to Bioceutica. For example: www.bioceutica.com/janesmith. (Their name and profile image will display on the homepage.) 2. Click Join Us at the top of the page next to the Consultant s name and picture. 3. Complete the Welcome to Bioceutica page by filling in your name and email address. Click Next. 4. The next page is the Enrollment Options page, where you can choose to join as an Independent Consultant or a Customer. Choose Independent Consultant and click Next. 5. This will take you to the Shopping Cart page where you can choose the Membership Kit you wish to purchase The page offers four choices ranging from $ 89 for a Basic Starter Kit to $ 550 for a comprehensive Feel Better, Look Better, Live Better Starter Kit. Make your choice and click Add to Cart. 6. This will take you the Online Store page where you can purchase Bioceutica products to complete the rest of the process (you may also choose not to purchase a product at this time). Click on My Cart to verify or make changes to your choices, and then click on Check Out to continue the process. 7. This will take you to a page where you are asked to fill in all your personal and billing information, and to choose a URL for your personal Bioceutica website. Once you complete all the fields on this page, and double check for accuracy, click Continue. 8. If you chose to purchase the PrivaTest at this time, you will be taken to a page where you are asked to answer a number of questions that are necessary for the activation and completion of your PrivaTest. When you have finished answering these questions, click Continue. 9. This takes you to a page that confirms that you have completed the process. Congratulations! You are now a Bioceutica Independent Consultant! You will receive a welcome email that contains your Independent Consultant (IC) number and password. Write down both and keep them in a safe place. You will need them to log onto your Virtual Back Office from the Home Page, to purchase products or conduct the day-to-day business functions of your new Bioceutica business. Mary MARY 10. SECTION 3 HOW TO PLACE AN ORDER (PURCHASE A PRODUCT) Anyone can purchase Bioceutica products. If you are purchasing as a Customer or IC, follow these simple steps: 1. If you are new to Bioceutica, and wish to purchase products as a Customer, simply follow the steps outlined in Section 1, above. 2. If you have purchased products before, you may go to the Bioceutica Store by clicking on Shop at the top of the Bioceutica Home Page, or the home page of any Bioceutica Consultant. There, you may put products you wish to purchase into your shopping cart. When you are finished, click on the Check Out button. 3. This will take you to a page where you will be asked to Log In or to Create a New Account. Use your Customer number and password to log in. IMPORTANT: DO NOT ATTEMPT TO CREATE A NEW ACCOUNT! If you cannot find or remember your Customer number or password, call Customer Care at 800-423-1926, and someone will assist you. 4. When you successfully log in, you will not have to re-enter your shipping and billing information, because it is already in the system. Simply confirm the items in your Shopping Cart and click Continue. 5. This will take you to a page where you will be asked to confirm or edit your shipping address. When you are finished, click Continue. 6. This will take you to a page where you will be asked to confirm or edit your credit card information. When you are finished, click Continue. 7. This will take you to a message that confirms your purchase. Congratulations! Your Bioceutica products are on their way! If you are an Independent Consultant, you should access the Bioceutica Store from your Virtual Office by clicking on The Store on the top left of the Dashboard page, or on Shop For Myself at the bottom left. This will take you to a Bioceutica Store page that includes all Bioceutica products PLUS all Independent Consultant sales and training aids to help you build your Bioceutica business. (Note: These items are not available to Customers) From here, simply follow the steps outlined above for Customers. 5
SECTION 4 HOW TO SET UP AN AUTOSHIP ACCOUNT Log into your Virtual Office from the Bioceutica Home Page. This takes you to the Dashboard page. 1. Click on the green rectangular box labeled Autoship in the upper right portion of your screen. 2. This takes you to the My Autoship page. Click on the Add an Autoship link in the blue Add a New Autoship box in the middle of the page. 3. Open the Autoship Properties page, and complete the following steps:. Give your new autoship a name; complete the Autoship Name field. Choose a start date for your new autoship by clicking on the Open the Calendar pop up box and select a date for the autoship to process (always use a future date, do not select today s date). Do not change Select Shipping Method. Leave it at Lowest Cost Shipping. Choose Select Shipping Frequency by clicking on the drop down menu arrow and selecting your shipping schedule. Your options are Monthly, Bi- Monthly or Quarterly. Review your Autoship Properties, and if they are correct, click Continue. 4. You should now be on the Manage Address page. Select the address you want the autoship to be sent to by clicking on Select at the right end of the address line. 5. This will take you to the Manage Payments page. Select the credit card for this autoship by clicking on Select at the right end of the credit card info line. Or add a new credit card by completing the Or add a new credit card data fields below and then clicking on Continue. 6. This will take you to the Autoship Product Selection page. You will see Add Items to Your AutoShip in the area above the product list. Select the products you want to ship in your autoship by typing a number in the Quantity data field for each of those products you do want. Then click Add. 7. You should now be on the Customize AutoShip Details page where you will see the products you picked for your autoship listed below Assign and select the duration of each product below. 8. Look for the This Product Is For column and make sure the product is assigned to the correct household member (every household member in your account, including yours, will be on the list you can access by clicking of the drop down arrow). SECTION 5 HOW TO EDIT AN AUTOSHIP ACCOUNT Take the guesswork out of ordering product! Autoship is a convenient method to ensure your Bioceutica products arrive in pre-scheduled shipments. 1. Log into your Virtual Office. Once you are logged in and on the Dashboard page, look for the green rectangular box labeled Autoship located in the upper right portion of your screen. Click on Autoship. 2. This will take you to the My Autoship page. Look for the green Edit an Autoship box on the left side of the page. Click on Edit an existing Autoship. 3. This will take you to the Autoship Summary page. Click on Continue or Save for each autoship section below. As required, each section can be edited separately. Choose a START DATE for your new autoship by clicking on Open the Calendar box and selecting a date for the autoship to process (always use a future date, do not select today s date). Do not change Select Shipping Method. Leave it at Lowest Cost Shipping. Click on Select Shipping Frequency by clicking on the drop down menu arrow and select your shipping schedule. Your options are Monthly, Bi-Monthly or Quarterly. 4. At the bottom of the list you can click Edit to edit existing autoship products, or Add to add a product that you have never purchased in autoship before. 5. Select the products you want in your autoship by typing a number in the Quantity data field for each of the products you want. 6. Look for the This Product Is For column and make sure the product is assigned to the correct household member (every household member in your account, including yours, will be on the list you can access by clicking of the drop down arrow). 7. The Duration column determines which products will be shipped. Assign and Select the Duration of each product by choosing Continuously, Inactive or a specific number of shipments. Once you have selected the Quantity and Duration of each product click Save. 7
SECTION 6 HOW TO USE RESOURCES IN THE KNOWLEDGE LIBRARY The Knowledge Library section of your Virtual Office contains a wealth of helpful training documents, audio recordings, videos, important event listings and more all designed to keep you informed and inspired. To access this information, log into your Virtual Office. On the Dashboard page, look for the blue box labeled Your Knowledge Library located at the bottom center of your screen. You can choose to click on Documents & Audio or Event Listings. Clicking on Documents & Audio will take you the Knowledge Library page. Products The top Products portion of the Knowledge Library page contains links to complete product information briefs for all Bioceutica products listed by brand. Click on any product to access complete information about that product in downloadable PDF form. In addition, the right hand column contains an active, clickable listing of the most recent Product Training Call recordings, our Branding Guidelines and a link to a zip file of Approved Bioceutica Images to help you brand your business. Company The bottom Company portion of the Knowledge Library page is a list of active links to all important company documents. Click on the name of any document to view or download a PDF copy. This page contains links to: All important Bioceutica documents relating to the Compensation Plan (including the full Plan itself, summaries of the Plan, and explanations of Bonuses and Incentives). All important company forms (Consultant and Customer Registration Forms and more) All important Company information, including an extensive Training Workbook, company Policies & Procedures, the IC Agreement form, Product Price List, Frequently Asked Questions, Social Media Guide, Common Terms and other helpful documents. Links to PDFs of recent and past issues of our two company newsletters, Life Without Limits and InFocus. Events To access a list of important events and meetings across the country and in your area, return to the Virtual Office Dashboard page, find the Your Knowledge Library box in the lower center of the page, and click on Event Listings at the bottom of the box. This will take you to an Events List page that lists all current and upcoming events along with times and dates, contact information, event details, and links to downloadable PDF fliers for each event. 8
SECTION 7 HOW TO UNDERSTAND AND USE YOUR REPORTS As a Bioceutica Independent Consultant, you should know how to maneuver through your Reports in order to more effectively manage your business. Essentially, Reports are different views of all the data in the system. Rather than searching through a mountain of information to find the piece you are looking for, you can use Reports as filters to show only what you need to view. Different Reports show your current ranking and activity, define your relationships with your downline, show the volume totals for you and your downline IC s; their contact information; roll-ups; plus who is new, still active, inactive, about to be promoted and much more. 7A) THE BUSINESS OVERVIEW The Business Overview tile in the Reports Dashboard contains links to: 1. Your Genealogy Report This report contains account and contact information for IC s below you (your genealogy ). It includes at a glance details about each IC s activity level and status for the current month. When you press the > on the left of any IC s name, it will display that person s personally sponsored Consultants. By clicking on underlined links or icons anywhere in the Report, you can view more detailed information about that person or item. 2. Your BV Report This report shows your Personal Bonus Volume and total volume produced by you and your downline. The default view is set to Show All Volume. This view shows the total volume produced by IC s in your entire downline. By pressing the > you will be able to see the volume produced by each IC on that level. To view the volume of your Personal Group, select Show My PGBV (Personal Group Bonus Volume) from the dropdown menu at the top of the report NOTE: To return to the Reports Dashboard, Click Reports in the upper left, above the name of the Report. 9
SECTION 7 HOW TO UNDERSTAND AND USE YOUR REPORTS 7B) COMMISSIONS & BONUSES The Commissions & Bonuses tile in the Reports Dashboard contains links to: 1. Your Commission & Bonus Report This report shows all the monthly and weekly commissions and bonuses paid to you. Choose the monthly or weekly period you wish to view from the drop down menus, and click Go to view all of your payment details. 2. Your PRV Report This reports lets you know where your PRV (Personal Retail Volume) is coming from. In clearly defined graphs, you can view a breakdown of purchases by Customers and IC s by Product Line. It also shows how much PRV you are generating on a weekly basis for any commission period. Choose the month you wish to view from the from the drop down box. At the bottom of the Report, you will see a breakdown of specific purchases by Purchaser s Name, Product Purchased, and Date of Purchase. By pressing the >, you will be able to see the volume produced by each IC on that level. To view the volume of your Personal Group, select Show My PGBV (Personal Group Bonus Volume) from the dropdown menu at the top of the report 3. Your Manage Your Customers Report This report contains a list of all your Customers with their current status and contact information. Click Go to view all Customers, or type the name of a specific Customer in the search bar to view that Customer. By clicking on a Customer s name, you can: Update their contact information Adjust their Autoship Place orders on their behalf by clicking the Shopping Cart icon. 4. Your My Account Summary Report This report contains a list of all achievable Ranks and how close you are to achieving them. Using the drop down menu, select the rank you wish to view. It will show your current rank, and what you need to achieve the rank you are viewing. 5. Your View Downline Purchases Report This report allows you to see what products the Consultants in your downline network are purchasing. 10
